Choose GST software as a records-and-controls system, not merely an invoice designer. The right product should help you issue compliant tax invoices or bills of supply, preserve stock and tax records, reconcile data, and retrieve an audit trail for the legally relevant retention period. It cannot decide your tax classification, place of supply, registration obligations, or e-invoice applicability for you; those settings and decisions still need validation by the business or its tax professional.

What GST software must do for an Indian small business

A registered person needs more than a PDF invoice. Section 35 of the Central Goods and Services Tax Act requires true and correct accounts covering production or manufacture where relevant, inward and outward supplies, stock, input tax credit, and output tax payable and paid, along with other prescribed particulars. Records generally have to be retained for 72 months from the due date of the annual return for the relevant year. If specified proceedings or an investigation are pending, the relevant records may need to be kept until one year after final disposal or for the normal period, whichever is later. See the CGST Act, 2017.

That makes software selection an operational and compliance decision. A useful system should let you create source documents, maintain customer and supplier tax details, track items or services, produce reviewable reports, export data, and preserve historical changes. A visually polished invoice that cannot restore a backup or explain an edited entry is a poor record system.

Invoice and bill-of-supply requirements to verify

CBIC’s sectoral FAQ identifies the core information normally expected on a tax invoice:

  • Recipient name, address and GSTIN, where applicable.
  • A unique invoice number and issue date.
  • Description of the goods or services.
  • Taxable value, applicable tax rate and tax amount, shown separately where required.
  • Place-of-supply information in transactions where the rules require it.
  • The supplier’s signature or permitted electronic authentication.

Ask whether the application enforces unique numbering by series, supports financial-year changes, and prevents accidental reuse. Check that it can store HSN codes for goods and SAC codes for services, apply the intended CGST/SGST or IGST treatment, and record credit and debit notes.

When a bill of supply is needed

A registered person using the composition scheme or supplying exempt goods or services issues a bill of supply rather than a tax invoice in the situations described by CBIC. The software should offer both document types and keep their numbering and reporting distinct. Do not assume a template labelled “GST invoice” is suitable for every transaction.

Invoice timing is transaction-specific

There is no safe single deadline for every invoice. CBIC’s invoice-rules page states a general 30-day deadline for invoices for taxable services, with 45-day cases for specified financial suppliers. Goods, continuous supplies, reverse-charge transactions and other categories can follow different provisions. Configure reminders only after your accountant has mapped the rules that apply to your supplies.

How e-invoicing actually works

GSTN’s E-Invoicing FAQs make an important distinction: “Please note that ‘e-invoice’ in GST doesn’t mean generation of invoice by a Government portal.” Your business first creates the invoice in its accounting, billing or enterprise-resource-planning system. If the business is a notified taxpayer for the transaction, prescribed details are reported to an Invoice Registration Portal (IRP). The IRP validates the submission and returns an Invoice Reference Number (IRN) and a QR-coded copy.

  1. Create the draft invoice in the software, including the supplier and recipient GSTINs, item codes, values, taxes and place-of-supply data.
  2. Send the prescribed invoice data through the product’s IRP integration or an approved connected workflow.
  3. Review validation messages. Correct source data rather than manually masking an error on the printed document.
  4. Store the returned IRN and QR information with the invoice and make the authenticated version available to the recipient.
  5. Follow the permitted cancellation or correction process if a mistake is found; do not simply delete the original record.

Applicability depends on aggregate turnover in preceding financial years, the prescribed limit and taxpayer or transaction rules. The GSTN FAQ excerpt does not establish the current threshold, so verify the latest notification on the CBIC site or obtain current professional advice before relying on an e-invoice switch in software.

The National Informatics Centre explains that IRP data can flow to the GST portal and e-way bill portal, reducing duplicate entry, and that interoperability is an intended property: an e-invoice produced in one software should be readable by another. This does not mean every vendor has identical validation, cancellation or error-handling behaviour. Ask to see the exact workflow.

Electronic records, backups and audit trails

The Accounts and Records Rules require controls around electronic records, including proper backups, access to records and audit-trail or inter-linkage information. The rules state that electronic records should retain a log of every entry edited or deleted. These requirements turn data durability into a buying criterion.

Questions to ask before subscribing

  • How often are backups made, and are they encrypted and stored separately from the live system?
  • Can a staff member restore a company backup, or is restoration available only through support?
  • What happens to documents, reports and audit history after a subscription ends?
  • Can you export invoices, ledgers, GST reports, item masters and attachments in usable formats?
  • Does the audit trail show who changed or deleted an entry, what changed, and when?
  • Can permissions restrict invoice cancellation, tax-rate changes and master-data edits?
  • Will old documents remain readable if the product changes its interface or plan?

Request a demonstration of restoring a backup and retrieving an invoice from a prior financial year. A marketing statement such as “cloud backup” does not answer whether you can recover the data or prove its history.

Match features to the way your business operates

Tax setup and invoice correctness

Look for configurable GSTIN fields, HSN/SAC handling, tax-rate tables, place-of-supply logic, reverse-charge options where relevant, credit and debit notes, bill-of-supply templates, and invoice-series controls. Have the person responsible for tax review the configuration with sample interstate, intrastate, exempt and discount transactions. Software can apply a rule you configure incorrectly; it cannot replace the business’s classification decision.

Returns, reports and reconciliation

Inspect the reports the product compiles and the point at which you can review them before filing. Ask whether it compares purchase data or portal downloads with the books, flags missing or mismatched invoices, preserves the reason for a correction, and exports files in formats your accountant or the GST portal’s tools can use. A claim that a product “handles GST returns” may mean report preparation, portal upload, or only a spreadsheet export.

Stock and purchasing

Traders and manufacturers generally need item-level stock balances, purchase receipts, units of measure, adjustments and valuation information. Service businesses may need simpler service items, expenses and receivables. Because CBIC record provisions include stock records for relevant registered persons, do not pay for complex inventory if you will not maintain it, but do not choose an invoice-only tool where stock evidence is part of your obligations.

E-invoice and e-way bill workflow

If e-invoicing or e-way bills apply, verify current IRP connectivity, the fields validated, the handling of rejected submissions, IRN and QR display, cancellation windows, and whether accepted data can be reused for e-way bills and reports. Ask the vendor to show an error and its correction path rather than only a successful demo.

Users, registrations and branches

Count GST registrations, legal entities, branches, warehouses, users and accountant logins before comparing plans. Confirm whether each registration has separate invoice numbering and reports, whether one user can switch entities safely, and whether permissions can prevent a salesperson from changing tax masters.

Access model and connectivity

Cloud/browser systems make remote accountant access and multi-location work easier, while desktop systems may suit businesses that require local control or have unreliable connectivity. Ask about offline invoicing, synchronisation conflicts, local backups, supported operating systems and what happens during an internet outage. “Cloud” does not automatically mean a complete offline mode.

Product example Documented capabilities or limitation Published price information What you still need to verify
Zoho Books India The vendor describes GST handling for contacts, GSTIN and HSN/SAC fields, place-of-supply tax calculations, e-way bills, e-invoicing, GST reports and returns, inventory and an audit trail. Details are on its GST accounting software page. At the cited access point, a free plan was shown for businesses below ₹25 lakh annual revenue. Paid plans were listed as Standard ₹749/month billed annually or ₹899 monthly; Professional ₹1,499/₹1,799; Premium ₹2,999/₹3,599; Elite ₹4,999/₹5,999; Ultimate ₹7,999/₹9,599. These are vendor-posted, volatile prices. Plan limits, number of GSTINs and users, data retention after cancellation, support response, export detail, and whether the workflow fits your accountant’s filing process.
TallyPrime The TallyHelp GST FAQ covers GST setup, purchases, sales, returns, reports, reconciliation and related workflows. The FAQ, updated October 12, 2026, says online GSTR-9 filing was not supported in TallyPrime at that time and describes exporting and reconciling through the GST portal or offline tool. See TallyHelp’s GST FAQ. Current pricing was not established in the cited material. Exact edition, user and company limits, online versus offline steps, backup responsibility, portal changes and whether your required return can be filed from the product or must be exported.

Do not convert these feature descriptions into a universal ranking. Product capability, plan limits and government interfaces can change, and no independent performance, security certification or support-response measurement is established here.

A practical comparison process

  1. Map your transactions. List goods, services, exempt supplies, interstate sales, exports if applicable, reverse-charge cases, credit notes, recurring invoices and purchase returns.
  2. Map your records. Decide whether you need stock by item and location, serial or batch details, expense capture, customer balances, purchase orders, attachments and historical edits.
  3. Build a test data set. Use representative GSTINs, HSN/SAC codes, tax rates, place-of-supply combinations and one correction. Never test only a simple local sale.
  4. Run the complete workflow. Create, approve, issue, share, reconcile, export, correct and retrieve an invoice. If applicable, submit it to the IRP in a controlled test account and inspect the IRN and QR output.
  5. Review reports before filing. Have the accountant compare software totals with source documents and portal data. Record how mismatches are identified and resolved.
  6. Test resilience. Make a backup, restore it, export a year’s data and inspect the edit/delete history. Ask what access remains after cancellation.
  7. Calculate total annual cost. Include additional users, GSTINs, inventory modules, implementation, migration, support, payment fees, accountant access and required upgrades—not just the advertised monthly number.
  8. Document ownership. Confirm who owns the data, who can administer users, how credentials and API access are revoked, and how you will retrieve records if the vendor or plan changes.

Common selection mistakes and fixes

Choosing an invoice template instead of a records system

Symptom: invoices look correct, but stock, purchase, tax and audit records are scattered across spreadsheets. Fix: trace one transaction from purchase through sale, tax report, reconciliation and archive before buying.

Assuming software makes the tax decision

Symptom: users accept an automatically selected tax rate or place of supply without review. Fix: establish written rules with the accountant, lock master-data permissions and sample-check unusual transactions.

Confusing e-invoice generation with IRP reporting

Symptom: a PDF is called an e-invoice even though no IRN or QR code was obtained where required. Fix: confirm the IRP submission, response storage, validation errors and cancellation procedure.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ignoring the exit plan

Symptom: the business discovers after cancellation that attachments, edit history or prior-year documents cannot be retrieved. Fix: perform a trial export and restore, and put retention and access terms in the purchase decision.

Buying on a headline price

Symptom: the base plan omits a second GSTIN, accountant login, inventory or reconciliation feature. Fix: price the exact configuration for a full year and recheck current limits directly before payment.

Decision checklist

  • Can it issue both tax invoices and bills of supply for your applicable cases?
  • Are GSTIN, HSN/SAC, tax, place-of-supply, credit-note and numbering controls configurable?
  • Can your accountant review reports and reconcile books with portal data before filing?
  • Does it meet your stock and purchasing record needs?
  • If applicable, does it submit to the IRP and retain IRN, QR and error details?
  • Are backups restorable, exports complete and edit/delete logs available?
  • Do permissions, multiple registrations, branches and user access match your organisation?
  • What happens to data and audit history when a plan ends?
  • Have you tested representative transactions, a correction, a failed submission and a restore?
  • Does the current total annual cost fit the business after all limits and support charges?

Bottom-line buying rule

Select the product that fits your transaction mix and gives your accountant a reliable review path, not the one with the most attractive invoice design or the broadest feature list. Before committing, validate tax setup, test the IRP workflow if it applies, restore a backup, export historical records and confirm the current plan limits and price. That process is more defensible than assuming any “GST software” label guarantees compliance.
