GST Invoices in India: Required Details, E-Invoicing Rules and Common Mistakes

A GST tax invoice in India must contain the particulars prescribed by Rule 46, with some details applying only to particular recipients or transactions. If e-invoicing applies to you, preparing a PDF is not enough: specified document data must also be reported to an Invoice Registration Portal (IRP) and registered. Check the document type, required fields and e-invoicing applicability before issuing the invoice.

First, choose the right GST document

A tax invoice is not the right document for every supply. CBIC’s sectoral FAQ distinguishes it from a bill of supply:

As an Amazon Associate I earn from qualifying purchases.

Document When it is generally used Tax shown
Tax invoice For a taxable supply by a registered person, subject to the applicable GST provisions. Applicable tax rate and amount are included.
Bill of supply For a registered person supplying exempt goods or services, or paying tax under the Composition Scheme, as described in CBIC’s FAQ. It does not show a tax rate or tax amount because GST is not collected on that document.

Edge cases depend on the supply and the applicable provision. Do not issue a tax invoice or bill of supply solely by copying the document used for another transaction.

What details must a GST tax invoice contain?

CBIC Rule 46 sets out the particulars for a tax invoice. The applicable fields depend on the transaction and on relevant provisos and notifications. Use this as a completeness check, not as a claim that every field applies identically to every invoice.

  • Supplier: Name, address and GSTIN.
  • Invoice number: A consecutive serial number unique for the financial year. Rule 46 permits multiple series and specifies permitted characters.
  • Issue date: The date the invoice is issued.
  • Recipient: For a registered recipient, name, address and GSTIN or UIN. For an unregistered recipient, the recipient and delivery details required by Rule 46 must be included in the stated circumstances, including where the taxable supply value is ₹50,000 or more. The rule also provides for details to be included below that amount when the recipient requests them.
  • Supply description: Description of the goods or services; for goods, quantity and unit or unique quantity code.
  • Classification: HSN code for goods or accounting code for services, as applicable under current notifications and rules for the taxpayer and document.
  • Value: Total value and taxable value, accounting for discounts or abatements as applicable.
  • Tax: Applicable tax rate and amount, with the relevant tax components identified.
  • Place and delivery: Place of supply and State name and code for an inter-State supply. Include the delivery address if it differs from the place of supply.
  • Reverse charge: Indicate whether tax is payable on reverse charge basis.
  • Authentication: Supplier’s or authorized representative’s signature or digital signature, subject to the electronic-invoice exception and other applicable provisions.

HSN/SAC requirements and document-specific exceptions can change through notifications. Check the current requirements for your taxpayer class and transaction rather than relying on a fixed digit-count summary. GST portal guidance on phased HSN reporting in Table 12 of GSTR-1/1A is return-reporting guidance; it should not be treated as a universal invoice-printing rule.

When is a GST invoice due?

There is no single issue deadline that safely applies to every supply. Timing depends on whether the transaction involves goods or services and on the applicable provision, including any conditions for the particular supply. Continuous supplies, transport-related situations and special categories can have distinct rules. Check the provision that governs your transaction before setting an invoice date or deadline; CBIC FAQ examples are not a substitute for checking every exception.

Who must use GST e-invoicing?

E-invoicing is the reporting of specified invoice data to an IRP for registration and authentication. It is not simply the creation or emailing of a PDF, and the government does not create the supplier’s commercial invoice. When a document is covered, the IRP generates an Invoice Reference Number (IRN); the applicable output requirements include the IRN and QR code described in IRP printing guidance.

IRIS IRP’s mandate guidance lists a ₹5 crore aggregate annual turnover (AATO) threshold effective from 1 August 2023 and says preceding financial years from FY 2017–18 are considered. Turnover alone does not settle applicability: the notified taxpayer class, exclusions and document type also matter. Confirm the current notification and your exact status rather than treating ₹5 crore as a universal rule.

How the IRP reporting workflow works

  1. Prepare the document data. Check the applicable schema and validate supplier and customer identifiers, document number and transaction fields.
  2. Report covered data. Submit the required invoice, credit note or debit note data to an IRP through an authorized system or API, or the available portal workflow.
  3. Use the registration details. Receive the IRN and validated information, then include the IRN and QR information on the document as required.
  4. Reconcile records. Match the registered document with returns and related e-way bill processes where applicable.

IRIS IRP provides portal and API integration guidance. A manual invoice template or a printed invoice book can help record invoice particulars, but it cannot itself register a document with an IRP or generate an IRN.

Know the 30-day IRN reporting restriction

According to an IRIS IRP production release dated 31 March 2025, from 1 April 2025 taxpayers with AATO of ₹10 crore or more must report invoices, credit notes and debit notes within 30 days of the document date. The portal restricts IRN generation when a covered document is reported later. The release refers to official GST advisory 543. If this applies to your business, build the reporting deadline into your workflow and verify the current advisory and portal rule before relying on it.

Common GST invoice and e-invoice mistakes

  • Incorrect supplier or buyer GSTIN: Compare the GSTIN with the correct legal entity’s master data before issue or IRP submission. Invalid identifiers can cause IRP validation failures.
  • Duplicate document number or IRN: Check the invoice series and prior registration before resubmitting. A retry should not accidentally create a duplicate document record.
  • Missing or malformed data: Validate mandatory and conditional schema fields, including transaction-specific details, before sending data to the IRP.
  • Assuming a PDF is an e-invoice: A formatted document does not establish IRP registration where the mandate applies. Complete the IRP step and use the resulting details as prescribed.
  • Reporting late: For the AATO ₹10 crore-and-above category described in the IRIS IRP release, reporting more than 30 days after the document date is restricted from 1 April 2025.
  • Choosing the wrong document type: Check whether the transaction calls for a tax invoice or bill of supply instead of using one format for every supply.
  • Relying on an old HSN summary: Check current notifications and separate invoice requirements from phased HSN reporting instructions for GSTR-1/1A.

If an error has already been issued or reported, do not assume a fixed penalty or automatic consequence applies in every case. The legal treatment depends on the precise facts and current provisions. Correct the record promptly using the applicable rules and, where needed, advice from a tax professional.

Checks to build into your process

Before choosing a manual or software-based workflow, confirm that it can handle the requirements that apply to your business:

  • Identify whether your taxpayer class and document are covered by e-invoicing notifications and exclusions.
  • Validate GSTINs, document numbers and mandatory or conditional fields before submission.
  • Ensure the IRP portal or API workflow returns and captures the IRN and required QR output.
  • For the applicable AATO ₹10 crore-and-above class, support the 30-day reporting restriction.
  • Keep an audit trail and reconcile invoice data with returns and e-way bill processes where relevant.

These are workflow checks, not an endorsement of any particular product. For case-specific compliance, check the current CBIC rules, GST notifications and portal advisories for your transaction, taxpayer class and State.
