This article focuses on supplier invoices and accounts payable (AP). Customer invoicing and accounts receivable (AR) are related, but they involve a different workflow.
What automated invoice processing changes
A spreadsheet-centered process usually relies on people to enter invoice details, organize records, check information, and move work between approvers. Automated invoice processing can use optical character recognition (OCR), machine learning, or other document-processing technology to capture invoices, extract fields, validate information, and route items for approval. IBM distinguishes this processing work from broader AP automation, which can cover more of the payment lifecycle. IBM’s overview of automated invoice processing explains that distinction.

Instead of making a spreadsheet the only record, a workflow may pass captured information to an accounting or enterprise resource planning (ERP) system. Whether that handoff is automatic—and whether a particular tool connects to Google Sheets—depends on the product and its configuration. Do not assume that an invoice is posted or paid just because software extracted its details.
Tasks software may take on
- Capture: Bring invoice documents into a workflow.
- Extraction: Read fields such as vendor, date, amount, and invoice number from digital or scanned documents.
- Validation: Check extracted values against available records or configured rules.
- Routing: Send invoices to the people responsible for review or approval.
- Handoff: Transfer information to an accounting system when the product and setup support it.
These are possible workflow functions, not a guarantee that every tool covers every step. IBM describes capture, extraction, and approvals as parts of invoice processing, while broader AP automation may reach further into the payment lifecycle.

- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
What still needs a person and business controls
Someone in the business remains accountable for whether an invoice is legitimate, correctly coded, approved under company rules, and appropriate to pay. AI-generated or extracted values should be treated as drafts or suggestions until the relevant controls are satisfied.
Microsoft’s Business Central Payables Agent documentation describes a feature that combines document processing with generative AI and is designed for standard invoices from known vendors. Microsoft recommends reviewing drafts and keeping vendor and chart-of-accounts information in good shape; it also notes that limited transaction history can result in fewer automated suggestions. These are details of that particular feature, not evidence that all invoice tools work the same way or achieve a particular accuracy level. Microsoft’s Payables Agent FAQ provides the feature-specific guidance.

Xero likewise describes AI accounting tools as offering suggestions, such as transaction categorization or payment matching, that a user decides whether to accept. That is a useful operating principle: use automation to prepare and surface information, but make responsibility for decisions explicit. Xero’s small-business guide to AI accounting tools discusses this approach.
Keep accounts payable and customer invoicing separate
AP concerns bills the business receives from suppliers and money it owes. The typical AP workflow covered here begins when a supplier invoice arrives, then proceeds through capture, review, approval, accounting records, and—if included in the process—payment.

Customer invoicing is accounts receivable (AR): the business creates and sends invoices, follows up on outstanding amounts, receives payments, and records them. QuickBooks describes invoice automation for AR as helping create invoices, send reminders, accept online payments, and match incoming customer payments to the books; it also describes OCR for reading text from digital or scanned invoice documents. Those are vendor-described functions, not a promise that every product or plan includes them. QuickBooks’ discussion of accounting in an AI world covers its description.
Some underlying ideas apply to both sides—capturing document data, matching it to records, handling exceptions, and preserving an audit trail—but the business goal differs. AP manages what the business owes; AR manages what customers owe the business. Confirm which workflow a tool supports before evaluating it.

Map the current process before choosing software
Start with the real path an invoice follows, rather than with a feature list. Record who handles each stage, what information they enter or verify, where approval happens, how exceptions are resolved, and which system is the accounting record. Note whether work is tracked in one sheet or spread across documents, email, and accounting software.
- Trace invoice arrival through recordkeeping. Include how documents are received, where they are stored, and how they become accounting records.
- Identify ownership and approval points. Name the role responsible for checking an invoice, resolving questions, and authorizing action.
- List required fields and rules. Record the data the business needs and the checks used to flag missing, inconsistent, or duplicate entries.
- Describe exception handling. Include what happens when a vendor is unfamiliar, an amount is unexpected, or information is incomplete.
- Mark the systems of record and handoffs. Identify where approved information must go and whether any spreadsheet still has a necessary role.
This map helps distinguish a genuine automation opportunity from a process problem that software would simply reproduce.

Evaluate an invoice tool against the whole workflow
Compare capabilities with the process you mapped. A tool that captures and extracts data may still leave approvals, posting, payment, or reconciliation to another system or to staff.
| Evaluation area | Questions to resolve |
|---|---|
| Workflow scope | Does it capture documents, extract and validate fields, route approvals, post to accounting, manage payment, support customer reminders, or reconcile transactions? Which steps are actually included? |
| Data fit | Does it handle the document types and fields you use? Can it work with your vendor records, chart of accounts, and available transaction history? |
| Review controls | How are drafts, uncertain values, duplicates, exceptions, permissions, and approvals presented and managed? |
| Integration | Does it connect to the accounting system you use? If a spreadsheet must remain in the process, is that specific handoff supported? |
| Records and security | Where is data stored, who can access it, how are changes logged, and what security documentation is available? Verify product-specific claims directly. |
| Total cost and change effort | Account for subscription, setup, integrations, staff training, and ongoing administration. Cost and migration effort depend on the product and the business; the cited sources establish no universal price or timeline. |
Integration complexity, security, reliability, audit logging, and subscription cost are among the adoption considerations IBM identifies. Treat them as questions to investigate for each candidate, not as features every tool provides. IBM’s overview discusses these considerations.
Test the workflow without handing over judgment
Before relying on automation for approvals or posting, try it with a representative set of invoices that includes exceptions as well as routine documents. Compare extracted values with the originals, see how uncertain information and duplicates are surfaced, and confirm who can approve or change records. Verify that the accounting handoff and audit history meet the business’s needs.
Keep a person responsible for exceptions and final decisions. Expand the workflow only when staff can understand what the software did, correct mistakes, and follow the business’s approval rules. A pilot can reveal fit and gaps, but it cannot establish a guaranteed saving, error reduction, or migration duration for every business.
What to expect from the transition
The practical change is that software may handle more of the repetitive document work and move information between steps, while people retain ownership of validation, coding, approval, and appropriate payment or collection. The right scope depends on the invoice workflow, source data, integrations, controls, security requirements, and total cost—not on the presence of AI alone.
