Google Meet is the better fit when your team wants a shared Google Docs recap tied to Drive and Calendar. Zoom AI Companion is stronger when the workflow includes a host-controlled live summary, in-meeting questions, and recording-based review with chapters and highlights. Both can identify decisions and next steps, but neither should be treated as an unattended task manager: generated notes need a human check before they become an official record or an email.
The practical choice depends on where your team already works, whether cloud recording is acceptable, who may access AI output, which languages are needed, and what your administrator has enabled. The feature descriptions below reflect Google and Zoom help documentation checked on October 13, 2026; account, regional, and plan availability can change.

| Post-meeting artifact | Take notes for me creates a Google Docs file with Quick notes and Full notes. The file is saved in the organizer’s Drive and a recap link is sent shortly after the meeting. | Meeting summary is shared automatically with the host. The host can share it by email or Zoom Chat when continuous meeting chat is available. |
| Live catch-up | A late attendee can use “Summary so far” after note-taking has started. Ask Gemini can answer recap and action-item questions privately for the person asking. | In-meeting questions can answer prompts such as “Catch me up” and “What are the action items?” while the feature is active. |
| Follow-up support | Eligible work or school accounts may see “Routines for this meeting,” including a Gmail follow-up draft or export of action items to Google Tasks. | Meeting summary includes next steps. Smart Recording can extract next steps from a processed recording and transcript. |
| Recording review | The core workflow is a notes document; the cited help page does not establish a general recording-based chapter and highlight system. | Smart Recording adds smart chapters, highlights, a summary, and next steps to an eligible cloud recording after transcript processing. |
| Access and administration | Requires an eligible Google Workspace edition or Google AI plan, enabled smart features, and host or organization controls. | Requires an eligible Zoom Workplace plan and administrator, account, group, or user settings. Regional and industry exceptions may apply. |
| Language handling | Take notes for me lists English, French, German, Italian, Japanese, Korean, Portuguese, and Spanish, one language at a time. | Language support is feature-specific. Zoom maintains separate matrices, and Smart Recording highlights are currently documented as English-only. |

Take notes for me creates a Google Docs record
When Take notes for me is enabled, Meet organizes the output in a Google Docs document. The shorter Quick notes tab gives a concise recap, key takeaways, and action items. Full notes is the longer view, with an overview, decisions, action items, and discussion details.

The document is saved in the meeting organizer’s Drive. Shortly after the meeting, the organizer receives a recap link. Access follows the host’s sharing choices and the invitees’ permissions; seeing an attachment on a Calendar event does not by itself prove that every attendee can open the underlying document.
Late attendees can catch up without interrupting
While note-taking is active, a person who joins late may see Summary so far. It is a live catch-up view, so there must already be captured meeting content; it is not a reconstruction of conversation that happened before the feature was started.
Meet also offers Ask Gemini for interactive questions about the discussion, such as requests for a recap, key takeaways, decisions, or action items. Responses are private to the user who asks. Hosts can turn the capability off, and Google recommends confirming consent with external participants before using these AI features.

Post-meeting routines connect notes to Workspace
Some meetings show a Routines for this meeting area after they end. Suggested routines can include drafting a Gmail follow-up or exporting action items to Google Tasks. These are suggestions and drafts, not messages sent or tasks completed automatically.
The documented post-meeting routine requires all of the following:

- A work or school Google account.
- Smart features enabled by the organization’s administrator.
- Take notes for me and Ask Gemini available for the account.
- A Calendar event associated with the meeting.
- A computer rather than a mobile-only workflow.
The Gmail drafting option has additional limits: you must be the host, the event cannot be recurring, and at least one participant must be outside your organization. Review the draft for recipients, claims, commitments, and tone before sending.
How to use Google Meet notes and follow-up
- Confirm eligibility. Ask the Workspace administrator whether the edition or Google AI plan includes Take notes for me and Ask Gemini, and whether smart features and external-participant consent controls are enabled.
- Start the meeting and enable note-taking. Use the Meet control for Take notes for me before the discussion you want captured. Tell participants that AI notes are active and follow your organization’s consent policy.
- Keep late joiners in mind. Once notes contain material, a late attendee can open Summary so far. They can use Ask Gemini for a private question without making the answer visible to the room.
- End the meeting and open the recap. The organizer receives the Google Docs link after processing. Check both Quick notes and Full notes rather than assuming the short tab contains every decision.
- Validate the record. Correct names, owners, dates, decisions, and action-item wording in the document. Treat the generated file as a draft until a responsible person confirms it.
- Run an eligible routine if useful. From the meeting’s post-meeting area, choose a Gmail draft or Google Tasks export when it appears. Edit the resulting draft or tasks before sharing or assigning work.
Google Meet limits, language, and storage changes
Language support is single-language
Google’s current Take notes for me help page lists English, French, German, Italian, Japanese, Korean, Portuguese, and Spanish. It states that the feature supports one language at a time, so a meeting that switches among languages should not be assumed to receive a complete multilingual recap.

Summaries can be missing or wrong
Google explicitly warns: “Sometimes, the meeting summary can be incomplete, inaccurate or not generated.” Its troubleshooting guidance cites policy issues and connectivity problems as possible causes and recommends meetings of at least 15 minutes. The computer guidance recommends a meeting length from 15 minutes up to a maximum of 8 hours. Those are operating guidance, not an accuracy guarantee.
Finding older notes after September 2026
Google says the existing Meet Recordings folder, which contains previous meeting notes, is automatically renamed Legacy Meet Recordings starting in September 2026. If an older instruction tells you to look only for a folder named Meet Recordings, check for the renamed folder as well.
What Zoom AI Companion adds to meeting follow-up
Meeting summary starts when the host enables it
During a live meeting, the host can turn on Meeting summary. Zoom states that the summary covers discussion from the moment the feature is enabled, so material from earlier in the call may not appear. The completed summary is automatically shared with the host. The host can share it with participants by email or Zoom Chat when continuous meeting chat is available.

- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
In-meeting questions provide participant-level catch-up
While AI Companion is active, participants can ask questions against the speech-to-text discussion. Preset prompts include Catch me up and What are the action items? Account owners and administrators can control who may ask questions and whether the feature starts automatically. Zoom documents this capability for paid Workplace plan variants and notes that some regional customers or industry verticals may not have it.
Because access can be scoped by account, group, or user, decide in advance whether guests, contractors, or all attendees should be able to query the conversation. A participant’s answer is not the same thing as a finalized shared minutes document.
Smart Recording turns a processed recording into a review package
Smart Recording is a separate workflow from the live Meeting summary. It requires a licensed eligible account, cloud recording, an audio transcript, and the Smart Recording setting. After Zoom finishes processing the recording and transcript, it can generate:
- Smart chapters for navigating the call.
- Highlights that point to notable sections.
- A written summary.
- Extracted next steps.
The host or an authorized recording manager can edit the highlights, chapters, summary, and next steps. This makes Smart Recording useful for a long workshop, interview, or recurring review where someone needs to revisit sections rather than read one uninterrupted transcript.
Zoom’s cited Smart Recording documentation says customer audio, video, chat, screen sharing, attachments, and similar communications content are not used to train its or third-party AI models. Treat that as a statement about the documented feature scope, not a blanket substitute for checking current data-processing terms, retention rules, recording notices, or your organization’s policy.

Summary templates standardize the output
Zoom supports administrator-managed summary templates for specified Business, Enterprise, or Education accounts and supported desktop-app versions. Templates can impose a consistent structure for summaries and next steps, and users can edit or switch among the templates made available to them. This is valuable when a team requires the same headings for decisions, owners, deadlines, risks, and open questions.
How to use Zoom’s summary and recording features
- Check plan and policy. Confirm that the account has the relevant Workplace entitlement, that the administrator has enabled Meeting summary, questions, or Smart Recording, and that regional or vertical restrictions do not apply.
- Set the access scope. Decide who can ask in-meeting questions, whether AI Companion can auto-start, and whether guests may receive a summary. Configure account, group, or user controls before the call.
- Enable Meeting summary at the right time. The host should start it before the portion that must be captured. Tell attendees when it is active and follow required recording or AI notices.
- Use questions for live orientation. Participants can choose Catch me up or ask about action items while the feature is running. Keep important answers in the final review rather than treating a single response as authoritative minutes.
- Share the finished summary deliberately. It reaches the host automatically. Use email or Zoom Chat only when the organization’s continuous-meeting-chat and sharing settings permit it.
- For Smart Recording, verify the prerequisites. Turn on cloud recording, ensure an audio transcript will be created, and enable Smart Recording before ending the meeting.
- Review the processed package. Once processing finishes, inspect chapters, highlights, summary, and next steps. Edit inaccurate sections and confirm owners and deadlines before distributing them.
- Apply a template when consistency matters. If an administrator has published templates, select the one matching the meeting type and check that the desktop app version supports it.
Zoom language support is feature-specific
Zoom maintains separate language documentation for its AI features. A language listed for broad AI Companion capabilities should not be assumed to apply to Meeting summary, transcription, or Smart Recording in the same way. The cited Smart Recording table documents highlights as currently supported in English only. Check the current matrix for the exact feature, account, and client version you plan to use.
Compare the workflows, not just the word “summary”
1. Where the artifact lives
Meet produces a Google Docs artifact connected to the organizer’s Drive and Calendar context. Zoom distributes a Meeting summary through the host and permitted email or Chat channels, while Smart Recording keeps the review materials with the cloud recording. Choose the destination that matches your team’s filing, search, and retention habits.
2. How much follow-up is automated
Meet can suggest a Gmail draft or a Google Tasks export under narrow account and meeting conditions. Zoom extracts next steps in its summary and Smart Recording workflow. In both cases, the system proposes content; a person still decides whether to send, assign, or change it.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
3. Whether you need live assistance
Meet’s Summary so far is aimed at a late joiner, and Ask Gemini answers the individual user privately. Zoom’s questions let participants query the active speech-to-text discussion, with permissions that administrators can scope. The deciding question is whether the organization wants private catch-up, shared participant access, or both.
Best Value
4. Whether recording is acceptable
Meet’s main notes path is a Docs document. Zoom Smart Recording depends on cloud recording and transcript processing, which introduces storage, retention, access, and notice considerations. If your policy prohibits cloud recording, exclude Smart Recording even if the plan includes it.
5. Governance and consent
Both products expose host and administrator controls. Confirm who can activate the feature, who can read the output, whether external participants must consent, how long artifacts are retained, and how corrections are made. A technically available feature may still be unsuitable for a regulated or confidential meeting.
6. Language and quality control
Match the exact language requirements to the exact feature. Then assign a reviewer to check names, decisions, owners, deadlines, and sensitive statements. This step is necessary because the vendors’ own documentation allows for incomplete, inaccurate, or absent output.
Which platform fits common meeting situations?
Choose Google Meet when your team already works in Google Workspace
Meet is the natural fit when the canonical record should be a shared Google Doc, when Calendar context matters, or when action items should move into Google Tasks. It is also the clearer choice for teams that want a late attendee to read Summary so far or an individual to ask Ask Gemini privately. Verify the Workspace edition, smart-feature setting, device requirement, and external-participant conditions before promising the Gmail routine.
Choose Zoom when recording review is central
Zoom is better aligned with organizations that already store cloud recordings and want chapters, highlights, a transcript-backed summary, and editable next steps. Its in-meeting questions are useful when several participants need to query the live discussion, provided the administrator permits that access. Confirm that recording and transcript retention meet policy.
Use the existing platform when switching would create more risk
If attendees already know one interface and the organization has established consent, retention, and sharing rules there, the operational cost of switching may outweigh a feature difference. First test the enabled account with a short, non-sensitive meeting and verify who receives the document or summary.
A practical evaluation checklist
- Which account or plan actually includes the feature?
- Has the administrator enabled the required smart features, AI Companion controls, transcript, or cloud recording?
- Who can start the feature, ask questions, edit output, and share the result?
- Where will the official artifact live: Drive, email, Chat, or the recording library?
- Do external attendees need consent or a different sharing path?
- Is the required language supported by the specific feature rather than by the product generally?
- What happens if the summary is incomplete, inaccurate, or not generated?
- Who will verify names, decisions, owners, and dates?
- How long will notes, recordings, transcripts, and shared links be retained?
- Can the organization comply without cloud recording?
Bottom line for the comparison
Pick Google Meet for a Docs-first process that connects meeting notes to Drive, Calendar, Gmail drafts, and Google Tasks when the account is eligible. Pick Zoom AI Companion for host-controlled summaries, participant questions, and a recording-centered workflow with chapters, highlights, and editable next steps. In either platform, confirm entitlement and governance first, activate capture early enough to include the needed discussion, and have a person approve the resulting record before it drives follow-up work.
