Google Inactive Account Manager and Apple Legacy Contact solve different problems. Google’s feature activates after a period of activity you choose and can notify up to 10 people, with separate selections of account data for each. Apple’s feature is an after-death request process: a designated person presents an access key and required legal proof, then Apple provides only specified iCloud and backup data. Neither feature gives another person unrestricted access to the account, password vault, payments, or every service attached to it.
The fundamental difference: inactivity versus death
The trigger determines almost everything that follows. Google Inactive Account Manager is an advance plan for a Google Account that stops showing activity. Apple Legacy Contact is a post-death process that begins when a contact asks Apple for access and Apple verifies the request.

Google’s feature and Apple’s feature should therefore be treated as complementary rather than interchangeable. Google is useful when you want a controlled handoff after prolonged non-use, whether that non-use is caused by incapacity, loss of access, or death. Apple’s process is specifically designed for an estate or family member who must prove that the account holder has died.

What Google Inactive Account Manager shares
How Google decides that an account is inactive
The plan is based on activity signals across Google services, not simply whether you opened one particular app. Google says its signals can include the last sign-in, recent activity in My Activity, use of Gmail such as the Gmail app, and Android check-ins. The period is selected when you configure the plan, but Google’s public help page does not publish a definitive current list of timeout choices. The exact choices shown to you can also depend on the account and the current setup interface.
That uncertainty matters: do not assume a particular number of months or years is available, and do not confuse the plan’s selected waiting period with Google’s separate two-year deletion policy. Sign in and inspect the live Inactive Account Manager screen before relying on a specific timeout.
Up to 10 contacts, with different data for each
You can nominate as many as 10 trusted contacts. For each person, the account holder can decide whether to send only a notification or to share data as well. Google allows different selections for different recipients, so one person could receive a set of family photographs while another receives work-related documents, if those categories are offered for the account.

The contact’s mobile number is used to verify identity before the download can proceed. This is a controlled export, not a sign-in to your Google Account: the recipient does not receive your password or a general session into every Google service.
Data categories and their limits
Google’s examples of selectable categories include Blogger, Drive, Mail, and YouTube. They are examples rather than a guarantee that every account will show exactly those entries. Google also says that some information cannot be shared. The complete, current category list is presented inside the signed-in setup experience, so review it there instead of promising that every file, message, history item, or service will be included.

The category selection is made before the account becomes inactive. After the trigger, the designated person receives what you approved, not an opportunity to broaden the export. If a service is absent from your setup list, treat that absence as a boundary of the feature.
What the notification does
The notification is intended to tell the trusted person that the account has reached the inactivity threshold and explain any sharing you authorized. If you choose notification-only, the contact is alerted but does not receive the selected data download. If you choose sharing, the message identifies the categories and provides the download route protected by the phone-verification step.
How to configure the plan
- Sign in to the Google Account you want to protect. Open the account settings and locate Inactive Account Manager. Use the signed-in setup screen rather than relying on a timeout or category list copied from an older guide.
- Choose the inactivity period shown for your account. Confirm what Google considers activity and check that the period fits your situation. Google’s public documentation does not state a universal set of current choices.
- Add trusted contacts. You can add up to 10 people. Verify every email address and mobile number, because the recipient’s phone verification is part of the download security.
- Set the action for each contact. Decide whether each person receives a notice only or a notice plus data. Where offered, select all or specific categories and assign different categories to different contacts.
- Review and save. Check the recipients, category boundaries, and notification details. Update the plan whenever your trusted people, devices, or important data change.
Google’s separate two-year inactive-account deletion policy
Google also says that a personal Google Account not used across Google for at least two years is considered inactive and may be deleted, along with its data. This policy is separate from the waiting period you select in Inactive Account Manager. The two-year statement is a policy threshold, not a promise that your configured contact will receive data exactly after two years.
Google lists actions such as reading or sending email, using Drive, watching YouTube, sharing a photo, downloading an app, using Search, and using Sign in with Google as examples of activity. The policy does not apply to accounts established through work, school, or another organization. If an account is important, keep it active in accordance with Google’s policy and maintain a current recovery plan rather than treating Inactive Account Manager as protection against deletion.
What Apple Legacy Contact can access
Eligible iCloud and backup content
After Apple verifies a Legacy Contact request, the contact may access certain information held in iCloud and iCloud Backup. Apple’s published list includes:

“Some content” is important: the list does not mean that every item ever stored on a device or in every backup is automatically released. Apple decides what is eligible under the Legacy Contact process and grants access only after reviewing the request.

A Legacy Contact cannot use this process to obtain everything associated with the Apple Account. Apple excludes purchased movies, music, and books; subscriptions and in-app purchases; Apple Account or Apple Pay payment information; and information stored in iCloud Keychain. Apple’s setup guidance also identifies passwords and passkeys as outside the contact’s access.

The access key and legal proof
The account holder generates an access key when designating the contact. The contact generally needs that key and a death certificate to submit the request. Apple notes that documentation can vary by country or region; it gives Japan as an example where a family certificate may be used instead of a death certificate. Check Apple’s instructions for the jurisdiction in which the request will be filed.
The access key is not a substitute for legal proof. Conversely, a death certificate without the key may not satisfy the normal Legacy Contact route. Give the contact a durable copy of the key and tell them where the original estate records are kept, while remembering that anyone who obtains the key may attempt to start the request.
Multiple contacts and deletion
Apple allows more than one Legacy Contact. Contacts do not have to act as a group: any one listed person can make decisions about the account data, including choosing permanent deletion. Select people who can cooperate on estate matters, and make sure they understand that access by one contact does not automatically create a shared review process for the others.

Device and account requirements
Creating the designation requires a supported Apple device. Apple’s current setup page specifies iOS 15.2, iPadOS 15.2, or macOS Monterey 12.1 or later for setup. The person you designate does not need an Apple Account or an Apple device to be a Legacy Contact. They still need the access key and the documentation Apple requires when they submit a request.
How to set up Legacy Contact
- Use a supported Apple device. Update the iPhone, iPad, or Mac if necessary so it meets Apple’s stated minimum versions.
- Open the Apple Account security settings. In the account’s Sign-In & Security area, choose Legacy Contact. Apple may adjust labels as operating-system interfaces change.
- Add one or more people. Select each contact carefully and verify the contact details shown by the device.
- Generate and deliver the access key. Apple allows you to print or save a copy. Give the key to the contact through a secure estate-planning method; a name in your contacts list alone is not enough.
- Review the data boundaries. Explain that the contact can request specified iCloud and backup categories, but not Keychain passwords, passkeys, payment details, purchased media, subscriptions, or in-app purchases.
- Revisit the designation when circumstances change. Replace or remove contacts if relationships, legal arrangements, or the location of the access key changes.
If no Apple Legacy Contact was set up
Apple has a separate process for requests involving a deceased account holder who did not designate a Legacy Contact. Apple says legal documentation may include a death certificate, a court order, or other documents, with requirements varying by jurisdiction. Its guidance describes court-order access in the United States, Israel, and other locations while noting that some regions use different procedures.
This route is not equivalent to presenting a Legacy Contact access key. Do not promise a single worldwide form, timeline, or document set. Start with Apple’s current instructions for the country or region where the request will be made: Apple’s guidance for deceased-account requests.
Which feature fits a particular situation?
You want a handoff after a long period of non-use
Google is the closer fit. You can choose the inactivity trigger, name several people, and tailor data categories for each. This can cover situations in which you are alive but unable to sign in, as well as a death that leaves no immediate access to the account. The plan is still constrained by Google’s available categories and its phone-verification process.
You want an estate process tied to verified death
Apple Legacy Contact is designed for this case. The access key and legal documentation create a formal request, and Apple limits the release to listed iCloud and backup categories. It is more specific than a general account-sharing arrangement, but it does not provide passwords, passkeys, payment records, or purchased digital goods.
You need passwords or financial records
Neither feature is a complete estate inventory. Google’s selectable list may exclude some information, and Apple expressly excludes iCloud Keychain, passwords, passkeys, and payment information. Keep critical credentials, two-factor recovery methods, insurance details, and financial instructions in a separate estate plan that is lawful in your jurisdiction.
You use an organization-managed Google account
Google’s two-year personal-account deletion policy excludes accounts established through work, school, or another organization. An administrator may control retention and access instead. Inactive Account Manager settings for a personal account should not be assumed to govern an organization-managed identity.
Planning checklist before you rely on either feature
- List the accounts and services that actually contain the records your family or representatives may need.
- For Google, open the live Inactive Account Manager setup and record the available timeout and data categories rather than relying on a third-party list.
- For Google, verify every trusted contact’s email address and mobile number and decide whether each person receives a notice only or a data download.
- For Apple, confirm that your device meets the stated operating-system requirement and that the Legacy Contact designation is visible in your account settings.
- Print or securely save Apple’s access key and tell the contact how to locate it.
- Explain the exclusions in plain language: Apple’s contact will not receive Keychain passwords, passkeys, payment information, purchased media, subscriptions, or in-app purchases.
- Keep recovery information and estate documents current. A contact cannot fix an incorrect phone number, missing key, or inadequate legal document after the trigger without going through the provider’s recovery or legal process.
- Review both plans after changing phones, email addresses, trusted relationships, or the location of important data.
Privacy and security boundaries
Both systems are designed to release a prepared subset, not to transfer ownership of an account. Google sends a notification and, if authorized, a download link protected by the recipient’s mobile verification. Apple requires the access key and proof of death, then limits the approved export to eligible data. These controls reduce accidental disclosure but do not eliminate the need to choose contacts carefully.

Do not place an Apple access key in an unprotected shared note, and do not assume that naming a Google contact gives that person live access to Gmail, Drive, or other services. If a recipient needs ongoing control of a business, domain, subscription, or financial account, create the appropriate administrator or legal arrangement separately.
Bottom line
Choose Google Inactive Account Manager when the event you are planning for is prolonged Google inactivity and you want up to 10 people to receive customized notifications or data downloads. Choose Apple Legacy Contact when you want a documented, after-death request for specified iCloud and backup data. Google’s selected waiting period and category list must be checked in the signed-in setup; Apple’s process is anchored by an access key, regional legal proof, and clear exclusions for Keychain, payments, purchases, and subscriptions.
