Google now describes what many people still call Gemini “extensions” as Connected Apps. They let Gemini use selected information from services such as Gmail, Drive, Calendar, Photos, YouTube and Search, and in some cases perform actions such as creating a task, writing a Keep note or managing a calendar event. The access is not universal: your account type, administrator, location, language, device, Gemini app and eligibility determine which connections and actions you actually receive.
The key distinction is between private content you authorize or are permitted to access and public information Gemini can retrieve under Google’s separate public-information rules. Connecting an app is also not the same as giving Gemini unrestricted control of your account or device.

What “Connected Apps” means in Gemini
“Connected Apps” is the current wording used in Google’s Gemini help material. “Gemini extensions” remains a common search term, but Google’s current settings and support pages generally describe the feature as connected apps.

A connected app is an enabled link between Gemini and a Google service. Depending on the service and your permissions, Gemini may search, summarize or answer questions about information there. Some integrations can also carry out narrowly defined tasks. The available list and capabilities are account-dependent, so the examples below describe documented possibilities rather than a guarantee for every user.

On a personal account, open Gemini’s Settings, then Connected Apps, to see the services offered to you. You can select an app, review its description and use its Learn more entry to check supported actions and limitations. Some apps work automatically after connection; others may ask you to approve access when you invoke them. In a prompt, you can type @ and choose an app when that option is offered.
Three different kinds of information access
Private information from a connected service
When a connection and the underlying service permissions allow it, Gemini may work with personal information such as email, files, calendar events, photos, videos, contacts, Wallet information, location, Search or YouTube data, and insights derived from those sources. Google warns that this information can concern sensitive or confidential topics.
Connection settings do not override the service’s own permissions. For example, Gemini can access only Drive files shared with you and Calendar events you are allowed to view. If a Drive owner blocks downloading, copying or printing, that restriction can prevent Gemini from using the file. Delegated Gmail access does not give Gemini access to the delegate’s inbox.

Google separately documents the use of public information. Gemini may use some public Search information automatically, even when you are signed out or Keep Activity is disabled. Public information from Flights, Hotels, Maps and YouTube requires Keep Activity to be on under Google’s stated conditions.
This public-information behavior does not mean Gemini can read your private Gmail, private Drive files or other personal content without the relevant connection and permission. Turning a Connected Apps switch off does not necessarily disable the documented use of public information.
Work or school information
For Google Workspace accounts, an administrator can enable or block connections. Gemini uses the Workspace data the signed-in user is allowed to access, while administrator policies, the Workspace edition and content-owner restrictions can narrow that access further. A company’s connected-app availability is therefore not determined by the personal-account list.

Which services Google documents
Google’s Personal Intelligence material lists the following categories for eligible personal accounts. The list can change, and the Connected Apps page in your own Gemini account is the authoritative list for your situation.

For work or school accounts, Google’s separate Workspace instructions specifically describe a Workspace connected app and Google Classroom. Those instructions are not a promise that every service in the personal-account list is available in Workspace.
What Gemini can do with Workspace connections
Google’s current Workspace app instructions describe both information retrieval and selected write or management actions.
Gmail, Docs and Drive: find and summarize
- Find information in Gmail, Docs and Drive.
- Answer questions about content you can access.
- Summarize supported Gmail messages and documents.
These capabilities do not turn Gemini into a general file-management or document-editing agent. The documented action set is narrower than the names of the connected services suggest.
Tasks and Keep: create and retrieve
- Add, edit and retrieve Google Tasks.
- Create and retrieve Keep notes and lists.
Whether a particular command succeeds depends on the app connection, account and the exact request. If Gemini presents a confirmation or permission prompt, review it before allowing the action.

Google documents creating and managing Calendar events through the Workspace app. Gemini still operates within the events and calendars you can view, and account or administrator policies may restrict the operation.

Chat and Classroom
Workspace instructions include searching Google Chat. Separate work-account guidance also covers Google Classroom, with administrator and edition prerequisites. Classroom capabilities and restrictions are not interchangeable with the personal-account integrations.
Actions Gemini cannot perform through the Workspace app
Google’s Workspace documentation lists specific boundaries. Through the Workspace app, Gemini cannot:
- Access comments or images in Docs or Gmail.
- Access pictures and videos in Drive that are outside supported documents, spreadsheets, presentations or PDFs.
- Create Drive folders or move Drive content.
- Count Gmail or Drive items or report their storage totals.
- Create or delete certain documents, spreadsheets, PDFs and presentations.
Work-account help lists additional restrictions, including limitations on creating or deleting Gmail drafts and on certain Classroom actions. Because Google changes supported actions, check the Learn more entry beside each app in your own settings instead of assuming that a successful read operation implies a corresponding write operation.

How to inspect, connect or disconnect an app
- Open the Gemini app or Gemini on the web while signed in to the account you want to manage.
- Open Settings and choose Connected Apps.
- Review the apps shown for your device, country, account and Gemini app. Google says this list can differ across those conditions.
- Select an app and read its description and Learn more details, including supported and unsupported actions.
- Use the connection control to connect or disconnect the app. If Gemini requests permission when you use it, review the requested access before approving.
- After connecting, test with a narrow request, such as asking for a summary of a specific file you already know you can open. Do not infer broad access from one successful result.
If an app is missing, that does not necessarily indicate an error. The integration may be unavailable for your account type, Workspace edition, location, language, device, Gemini app or eligibility status. A Workspace administrator may also have disabled it.
What happens to your data and chats
Google’s Gemini Apps Privacy Notice says information from Connected Apps and other Google services can be collected while you use Gemini. It describes uses including providing, maintaining and improving services; developing and personalizing services; communicating with users; measuring performance; and protecting Google, users and the public. Those uses include generative-AI and other machine-learning technologies.
Google also says some collected data may be reviewed by human reviewers, including trained reviewers working for service providers. The notice states: “Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services, including machine-learning technologies.” Treat that as a practical warning not to paste secrets, regulated data or confidential business material into Gemini unless your organization has approved the use.

Google’s Personal Intelligence guidance says connected data can support personalized insights and tasks and can be shared with other Google services when needed. Third-party services follow their own privacy policies. The result is neither unrestricted access nor a guarantee that connected information remains isolated from all service-improvement processes.

Google distinguishes the connection, the source service and Gemini Apps Activity:
- Disconnecting an app does not by itself delete Gemini Apps Activity.
- Deleting Gmail, Drive or other source data does not by itself delete Gemini chats.
- Deleting Gemini activity does not delete the original data in the source service.
- A source deletion or connection change may take days to affect what Gemini shows.
If Gemini has remembered a detail supplied by a connected app, Google advises deleting every Gemini chat that contains the information and disconnecting the source app. Doing only one may leave the information available through the other route.
For incorrect personalization, Google’s help says to turn Memory on and correct Gemini directly in the chat. That correction process is separate from deleting source files or disconnecting an app.
How to decide whether to connect an app
Connect when the benefit is specific
- You need a summary or answer from content you already have permission to access.
- You want a documented action, such as adding a Task or creating a Calendar event.
- You have checked the app’s current supported-action list and your organization permits the use.
Pause or avoid the connection when the risk is unclear
- The service contains confidential, regulated or highly sensitive information.
- You cannot determine what data the connection can retrieve or what retention and review rules apply.
- You are using a Workspace account and have not confirmed administrator approval.
- You expect unsupported actions such as moving Drive files, reading Gmail images or counting storage.
Use the narrowest connection and prompt that accomplishes the task. Verify important results in the source app, especially before relying on a generated summary or allowing a calendar or task change.
Common problems and their causes
“The app is not listed”
Check account type, country, language, device and Gemini app. For Workspace, ask whether the administrator enabled the connection and whether the edition supports it. Personal Intelligence eligibility can also differ by user; Google’s Contacts example is explicitly limited to US English users with an AI Ultra subscription on the reviewed page.
“Gemini cannot find a file or message”
Confirm that the signed-in account can open the item directly, that it is shared with that account, and that owner restrictions do not block downloading, copying or printing. A delegated inbox or content outside the documented file types may not be available.
“Gemini found information but cannot change it”
Read the app’s supported-action list. Read, summarize, create and manage permissions are separate. For example, Workspace documentation permits some Task, Keep and Calendar actions but excludes several Drive and document-management operations.
“I disconnected the app, but Gemini still mentions old information”
Disconnecting does not erase Gemini Apps Activity, and source changes can take days to appear. Delete the relevant Gemini chats as well as the source data, then allow time for the change to propagate.

Bottom line for Gemini “extensions”
Connected Apps are permission- and policy-bounded bridges to selected Google services, not universal account control. They can expose personal information and perform a limited set of useful actions, while public Google information follows separate rules. Personal users manage the connections they are offered; Workspace users also depend on administrators, editions and content owners. Before enabling a connection, inspect its current action list, avoid confidential material you would not want reviewed or used for service improvement, and remember that disconnecting an app does not erase Gemini chat history.

Can Gemini read my Gmail or Google Drive?
It can retrieve or summarize supported content only when the relevant connection is available and your account is permitted to access the messages or files. Workspace owner, administrator and sharing restrictions still apply.
Does connecting an app give Gemini access to my whole phone?
No. Connected Apps provide documented access to particular services and actions. They are not a general device-control permission.
Can I use Gemini with a delegated Gmail inbox?
Google’s Workspace guidance says delegated Gmail access does not extend Gemini access to the delegate’s inbox.
