Google Docs smart chips vs. @ mentions: What’s the difference?

Typing @ in Google Docs opens an insertion menu; a smart chip is one of the structured items you can insert from that menu. A people “@ mention” is therefore not a separate feature competing with smart chips. In precise terms, @ is the entry point and the selected person, file, date, event or place becomes the smart chip in the document.

The short answer: @ is the menu, and a smart chip is the result

Google Docs uses the @ character as a quick way to find and insert related information. When you type it in a document, Docs opens suggestions for people, files, dates, Calendar events, places and other insertable items. Selecting one creates an interactive smart chip.

That distinction resolves most of the confusion around the terms. “@ mention” is commonly used for the action of typing @ and choosing a person. Google’s interface documentation describes the resulting object as a people smart chip, rather than defining “@ mention” as a second feature with its own behavior.

A plain name in running text is only text. A people chip identifies a specific person and can expose related information when someone hovers over or selects it. A file chip points to a specific Docs, Sheets or Slides file. Date, event and place chips similarly attach structured context and actions to the document.

How the two concepts compare

Concept What you do What appears in the document What collaborators can get Does it grant document access?
@ menu Type @ and browse or search the suggestions. Nothing permanent until you choose an item. It is the picker for people, files, dates, events, places and other items. No. Opening the menu changes nothing about sharing.
People smart chip Type @, search a name or email address, then select the person. An interactive reference to that person. Hover or click to see the information and actions available for that person. No. The document must be shared separately.
File smart chip Type @, search part of a file name or related keywords, then select the file. An interactive reference to a Docs, Sheets or Slides file. Collaborators can use the chip to explore the related file, subject to that file’s permissions. No. A chip does not replace sharing.
Date smart chip Use a date entry such as @today, @tomorrow, @yesterday, @date, a specific date or a relative date such as @next tuesday. A structured date displayed in the language of the person who added it. The date remains the same for collaborators across time zones. No.
Calendar-event smart chip Open the @ suggestions and select a Calendar event. An event reference with its available details. An event popup can include a Join action when the event has a video meeting that is starting soon or already underway. No. Calendar and document permissions remain separate.
Place smart chip Create it from the @ menu or from a Maps link. An interactive location reference. A Maps preview, an option to open Google Maps or directions, depending on the available action. No.

What a smart chip adds beyond ordinary text

Smart chips turn a reference into an object that carries context. The exact popup and actions depend on the chip type, but the goal is consistent: readers can inspect or act on the referenced item without having to interpret an unlinked name, date or address.

People chips identify a person

To add one, type @, enter the person’s name or email address and choose the matching result. Typing @me can insert yourself. The resulting chip identifies the selected person and can reveal the information or actions Docs makes available when a collaborator hovers over or clicks it.

Use a people chip when the identity itself matters—for example, assigning an owner in a project brief or identifying a reviewer in meeting notes. It is more precise than typing a name because the chip is tied to a selected account rather than an arbitrary spelling of a name.

File chips point to a specific document

Type @ and search with part of the file name or related keywords. Select the intended Docs, Sheets or Slides file from the suggestions. The chip gives readers a structured reference they can inspect, while the underlying file keeps its own access rules.

If several files have similar names, search with a distinctive word and verify the result before selecting it. A chip is only useful when it points to the correct file; it does not merge the file’s contents into the current document.

Date chips store a date, not a moving countdown

Docs recognizes several date forms. You can enter @today, @tomorrow, @yesterday, @date, a specific date or a relative expression such as @next tuesday. Choose the suggested date to create the chip.

The date is displayed in the language of the person who added it. Google also states that collaborators see that date the same way across time zones. In other words, a date chip does not silently shift to a different calendar day when another collaborator views the document elsewhere.

Event chips connect notes to Calendar information

Select a Calendar event from the @ suggestions to add an event chip. The chip can show event information. When the event includes a video meeting that is starting soon or is already underway, its popup may offer a Join action.

Because the Join action depends on both timing and the event having a video meeting, its absence does not necessarily mean the chip is broken. The event may simply be outside the joining window or may not include a supported video meeting.

Place chips make locations actionable

You can create a place chip from the @ menu or from a Google Maps link. Depending on the location and the action available, selecting the chip can show a Maps preview, open the location in Google Maps or provide directions.

Place chips are useful in agendas, travel plans and event documents because a location becomes more than an address written in plain text. Readers can inspect the place or navigate to it from the chip’s actions.

How to use the @ menu in Google Docs

Insert a person chip

  1. Place the cursor where the person reference should appear.
  2. Type @.
  3. Search by the person’s name or email address. To insert yourself, type @me.
  4. Review the suggestions and select the correct person.
  5. Continue typing after the chip, or leave it in place as a reference for collaborators.

Choosing a result is what creates the people smart chip. Merely typing an email address as ordinary text does not create the same structured reference.

Insert a file chip

  1. Place the cursor in the document and type @.
  2. Enter part of the file name or keywords related to it.
  3. Select the intended Docs, Sheets or Slides file from the suggestions.
  4. Confirm that the chip represents the file you meant, especially when similarly named files appear.

The chip references the file; it does not automatically change who can open either document. If a collaborator needs the linked file, that file must be accessible to them under its own sharing settings.

Insert a date chip

  1. Type @ where the date belongs.
  2. Enter a supported expression such as @today, @tomorrow, @yesterday, @date, a specific date or @next tuesday.
  3. Choose the date suggestion rather than leaving the expression as plain text.
  4. Check that the displayed date is the intended one before continuing.

Once inserted, the chip represents the selected calendar date. Its display language follows the language of the person who added it, while the date itself remains consistent for collaborators in different time zones.

Insert a Calendar-event chip

  1. Type @ in the document.
  2. Search the suggestions for the relevant Calendar event.
  3. Select the event to insert its chip.
  4. Open the chip when you need event details or, when offered, the Join action for a video meeting that is starting soon or already underway.

Insert a place chip

  1. Type @ and look for the place in the suggestions, or use a Maps link as the starting point.
  2. Select the matching location.
  3. Open the chip to inspect the Maps preview, open the location in Google Maps or request directions when those actions are available.

Permissions: mentioning someone does not share the document

The most important practical caveat is that a people chip is not an access-control command. Google Docs Editors Help states: “When you mention another user in a smart chip, they don’t automatically get access to your document.”

If the person needs to read or edit the document, share the document with them through Docs’ normal sharing controls. The same principle applies to linked files: inserting a file chip does not override that file’s permissions. A collaborator may be able to see the chip while still being unable to open the referenced file.

Keep the two actions separate in your workflow:

  • Insert a people chip when you want to identify or reference a person.
  • Share the document when that person needs access to its contents.
  • Check the linked file’s sharing settings when a file chip points to material others must open.

Why dates and places deserve special attention

Date language and time zones

Date chips have two properties that can surprise teams. First, the chip appears in the language of the person who added it. Second, Google says collaborators see the same date across time zones. A date entered by someone working in one region should therefore not turn into a different day merely because another reader is elsewhere.

For a deadline or meeting note, select the date suggestion so the document contains a date chip rather than an ambiguous phrase such as “next Tuesday” left as ordinary text. If the wording itself matters, keep explanatory text alongside the chip; the chip supplies the structured date reference.

Place previews and directions

A place chip can expose several location actions: a Maps preview, opening the place in Google Maps or getting directions. Which action appears depends on the place and the interface state. Treat the chip as a convenient route to location information, not as a guarantee that every viewer will see an identical set of controls.

Common points of confusion and fixes

“I typed @, but no chip appeared.”

Typing the character only opens the picker. A chip is created after you choose a suggestion. Search for the intended person, file, date, event or place and select the result. If you continue typing without selecting anything, the document may contain ordinary text rather than a smart chip.

“The person I mentioned cannot open the document.”

That is expected when the document has not been shared with them. Add the person through the document’s sharing controls; the people chip alone does not grant access.

“A linked file opens for me but not for another collaborator.”

The chip points to the file, but the file has its own permissions. Ask the file owner to grant the necessary access or use a file that the intended readers can open.

“The date looks different from the wording I expected.”

Use a supported date expression and select the date suggestion. Remember that the chip’s display language follows the language of its creator, while the calendar date remains consistent across time zones.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“The event chip has no Join button.”

The Join action is conditional. It may appear when the event has a video meeting that is starting soon or already underway. Outside that window, or for an event without a video meeting, the action may not be offered.

“The place chip does not show the action I need.”

Open the chip and check the available options. Place chips can provide a preview, open Google Maps or offer directions, but the exact action set can vary by location and current Docs behavior.

When to use a chip and when plain text is enough

Need Best choice Reason
Name a responsible person and let readers inspect the identity. People smart chip It creates a specific person reference instead of unstructured text.
Grant that person permission to read or edit. Document sharing controls A chip never grants access by itself.
Reference a source document, spreadsheet or presentation. File smart chip Readers get a structured link to the selected file.
Record a fixed calendar date. Date smart chip The date is structured and remains the same across time zones.
Connect notes to a scheduled meeting. Calendar-event smart chip Event details and, when eligible, a Join action are available from the chip.
Give readers a usable location reference. Place smart chip Readers can preview the place, open Maps or get directions when offered.
Write a phrase that should remain unchanged as prose. Plain text Not every name, date or location needs interactive behavior.

A practical workflow for collaborative documents

Start by deciding what the reader needs to do with the reference. If the goal is identification, a people chip may be enough. If the goal is access, insert the chip and then share the document separately. If the goal is navigation or scheduling, use the corresponding file, event, date or place chip so the relevant context is available from the document.

  1. Place the cursor at the reference point. Keep the chip next to explanatory text so readers understand its role.
  2. Type @ and search narrowly. Use a person’s name or email, a distinctive file keyword, a date expression, an event or a location.
  3. Select the intended suggestion. The selection step converts the search into a smart chip.
  4. Verify the chip’s behavior. Hover or click it to see the information and actions available for that type.
  5. Handle permissions separately. Share the current document and any linked file with the people who need access.

This workflow keeps terminology and permissions clear: the @ action finds an item, the chip stores the structured reference, and sharing determines who can open the material.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Terminology you can use accurately

For user instructions, “Type @ and select the person to insert a people smart chip” is the clearest wording. It describes both the action and the result without implying that “@ mention” is a separate product feature.

Use “@ menu” when discussing the picker itself. Use “smart chip” when discussing the object inserted into the document. Use “people mention” or “people smart chip” when the selected item is a person. This vocabulary prevents a common misunderstanding: mentioning someone identifies them in the document, but it does not notify or grant access unless the relevant sharing process is handled separately.

Bottom line

There is no head-to-head feature choice between Google Docs smart chips and @ mentions. Typing @ opens the menu; choosing a result inserts a smart chip. A person selected from that menu becomes a people smart chip, while files, dates, Calendar events and places create their own chip types. Chips add context and actions, but document access still depends on sharing permissions.
