Use Help me write when you need to create or polish one email. Use Gemini in Gmail when the task also involves understanding your inbox, searching past messages or Drive, summarizing threads, checking Calendar information, or taking a supported Calendar action. The two features overlap on drafting, but they start in different places and are not available to every account, language, device, or region.

Help me write and Gemini in Gmail are related, not interchangeable

Google’s naming makes these tools easy to confuse. Help me write is a focused composing aid inside an email draft. It can generate a new message from your prompt or refine text you have already written. Gemini in Gmail includes those writing tasks, but its scope extends to information and actions connected to Gmail and other Workspace data when your account is eligible.

That distinction matters because the best starting point depends on the job. If you already know what you want to say and need a first draft, tone change, or cleanup, opening the composing tool is usually the shortest route. If you need to discover facts in messages, understand a long thread, locate a file, or ask about a meeting before writing, the broader Gemini assistant is the more appropriate interface—provided your account exposes it.

What Help me write can do

Create a first draft from an instruction

In an email compose or reply draft, Help me write can turn a short request into a complete message. Google’s mobile examples include asking for a birthday invitation or an introduction. You supply the purpose and useful context, then review the generated wording before inserting it into the draft.

Refine text you already have

Help me write is also useful when the hard part is not starting but editing. Give it a rough outline or existing draft and ask for a more formal version. The result is a rewrite of the material you supplied, rather than a search across your mailbox for missing facts.

What it does not establish on its own

Help me write should not be treated as an inbox research tool. The documented use is drafting and refinement from a prompt or draft. If the message needs dates, decisions, attachments or commitments buried in older correspondence, collect and verify that information first or use Gemini in Gmail if your account supports the relevant retrieval features.

What Gemini in Gmail adds

Summarize conversations

Gemini in Gmail can summarize an email thread, which is useful when a conversation contains many replies or a decision is spread across messages. A summary is an aid to orientation, not a substitute for checking the original thread when details or obligations matter.

Find information in Gmail and Drive

Google’s computer help lists finding information from prior emails and Google Drive files. This is the key scope difference from a compose-only assistant: you can ask for information that is not present in the text of the draft you are currently writing.

Suggest responses and draft messages

Gemini in Gmail can suggest responses and draft an email. Drafting therefore overlaps with Help me write; the practical difference is that Gemini can combine the writing request with broader Gmail context when the account permits it.

Answer Calendar questions and create events

The documented Gmail capabilities include getting information about Calendar events and creating Calendar events. Treat event creation as an action that requires confirmation: check the proposed date, time zone, attendees and title in Calendar after Gemini responds.

Other Workspace assistance listed by Google

Google Workspace Learning Center also lists overviews of search results, proofreading, suggested replies and meeting-time suggestions among Gemini capabilities. Availability of an individual function can differ by organization, account, language and rollout, so seeing one Gemini feature does not guarantee that every listed action is enabled.

Google’s full computer workflow and capability list is at Collaborate with Gemini in Gmail – Computer. The Workspace-level descriptions and warnings are in Using Google Workspace with Gemini.

How to use Help me write

For a new email

  1. Open Gmail and start a new message. In a supported account, locate the Help me write option in the compose experience.
  2. Describe the outcome, audience and tone. For example, request a concise birthday invitation or an introduction that states how you know the recipient.
  3. Submit the prompt and inspect the proposed draft. Add missing names, dates, links and other facts yourself.
  4. Insert or keep the generated text only after checking that the greeting, claims, requested action and sign-off are correct.

For an existing draft

  1. Write or paste your rough outline into the compose or reply window.
  2. Open Help me write and ask for the transformation you need, such as a formal rewrite.
  3. Compare the result with your original notes. Preserve details that the rewrite may have shortened or changed.
  4. Edit the final draft manually before sending.

The exact controls and supported devices can change as Google rolls features out. On Android, Google’s instructions are published at Draft emails with Gemini in Gmail – Android.

How to use Gemini in Gmail

Start from the Gemini interface

  1. Open Gmail in a supported account and look for the Gemini icon or assistant entry. Google says eligible work or school users can check for the Gemini icon in a Workspace app.
  2. Enter a focused request in the prompt box. Start with the information task, such as “Summarize this email.” or “Show my unread emails.”
  3. For a targeted search, use a precise request such as “Find emails from [person] sent last week.” Keep the bracketed text as the person’s actual name when you enter it.
  4. Use the answer as a working summary, then open the underlying messages or files to verify important details.

Move from discovery to drafting

Once you know the facts, ask Gemini to draft the message. Google gives the example: “Draft an email to Kevin summarizing our progress on Project Clover.” This illustrates the broader workflow: retrieve or summarize context, then turn it into a draft.

Ask for action items or logistics

Google’s published examples include “Create a list of action items for me based on this email.” It also shows “When is my package arriving?” as an example of asking about information in messages. These prompts are examples of supported task patterns, not a guarantee that every account will return the same result.

Handle Calendar actions carefully

If Gemini offers Calendar information or event creation, verify the event in Calendar. Check the date, time, time zone, participants and recurrence before accepting or relying on it. A generated answer is not evidence that an invitation was sent or that an event was created successfully.

Access, plans and rollout conditions

There is no single universal availability rule. Google’s feature table says Help me write is available to eligible Google AI or Workspace plans in supported languages globally, while personal Gmail accounts without a paid plan have listed access limited to the United States. The same table separates languages and platforms and notes that availability will expand in ways consistent with local regulations and Google’s AI principles. Check the live table at Google’s Gmail feature overview for your location and account.

Gemini in Gmail’s computer instructions require an eligible Google Workspace or Google AI plan. Google also describes access through Google Workspace Experiments for personal-account trusted testers. That means a personal account may show an experiment while another personal account does not, and an organization may restrict the feature even when the underlying plan appears eligible.

For a work or school account, Google says to look for the Gemini icon in a Workspace app or ask the administrator. The Workspace Learning Center adds that the organization must support the feature. Administrators can therefore determine whether an employee or student sees Gemini even when the service is generally available for that plan.

Access factor Why it changes what you see
Account type Personal Gmail, Google AI and Workspace accounts can have different entitlements.
Plan Eligibility is tied to supported Google AI or Workspace plans; a free personal account is not a universal pass.
Language Features are released for supported languages, which may not all have the same capabilities.
Country or region Geography and local regulations affect rollout; the documented personal-account exception for Help me write is US-only.
Platform Computer and Android instructions are separate, and a control on one device does not prove parity on another.
Organization settings Workspace administrators and organizational support determine whether work or school users can use Gemini.
Experiment status Trusted testers may see personal-account features through Workspace Experiments that are not generally available.

Accuracy, privacy and review responsibilities

Google Workspace Learning Center states: “Gemini features may suggest inaccurate or inappropriate information.” Treat that as a practical operating rule for both drafting and retrieval.

  • Read every generated sentence before sending, especially names, dates, prices, promises and policy statements.
  • Open the original email or file when a summary drives a decision.
  • Confirm that a Calendar action actually occurred instead of assuming a conversational response completed it.
  • Do not rely on Gemini for medical, legal, financial or other professional advice, as Google’s guidance specifically warns against that use.
  • Remove confidential details that do not belong in the recipient’s message, even if the generated draft includes them.

Neither tool knows your intent perfectly. A fluent rewrite can change the force of a commitment, and a concise summary can omit a qualification. Human review is part of the workflow, not an optional final polish.

Troubleshooting when a feature is missing

No Help me write option in compose

  • Check whether the account has an eligible Google AI or Workspace plan.
  • Confirm that your language, country and device are supported in Google’s current feature table.
  • Try the documented platform instructions; computer and Android availability can differ.
  • If it is a work or school account, ask the administrator whether AI features are enabled.

No Gemini icon or prompt box

  • Verify that you are signed into the account that holds the eligible plan.
  • Ask a Workspace administrator whether the organization supports Gemini.
  • Check whether the capability is still rolling out or limited to an experiment for your account type.
  • Do not infer that a missing icon is a software fault; entitlement and regional rollout are common explanations.

The answer cannot find a message or file

  • Make the request narrower by naming the person, date range, project or subject.
  • Confirm that the account has permission to view the relevant message or Drive file.
  • Search Gmail or Drive directly and compare the results with Gemini’s response.

The draft sounds wrong

  • Provide audience, purpose, tone and required facts in the prompt.
  • Use Help me write’s refinement route for a rewrite of text you control.
  • Rewrite sensitive or legally meaningful language yourself and verify every factual statement.

Practical examples

Simple composition

You need to invite colleagues to a birthday lunch and already know the date, location and tone. Help me write can produce the initial invitation directly in the draft. You still add the exact logistics and check the recipient list.

Research before replying

A customer’s request refers to a decision made in an older thread. Gemini in Gmail can help summarize the current conversation and find prior email information, after which you can draft a response. Open the original messages before making a commitment.

Workspace context

You need to summarize project progress using a Drive document and recent email. Gemini in Gmail is the relevant route if your account exposes Drive retrieval. Help me write alone cannot establish those facts from a blank compose window.

Calendar coordination

You want to know when an existing meeting occurs or create a Calendar event. Ask Gemini in Gmail if Calendar features are available, then inspect Calendar to confirm the result and its attendees.

Bottom line: pick the narrowest tool that matches the job

Help me write is the focused, in-draft option for generating or improving email text. Gemini in Gmail is the broader assistant for drafting plus inbox, Drive and Calendar-related questions or actions. Choose based on scope, starting point and access—not on the assumption that one replaces the other. Because plans, languages, regions, platforms and administrator settings control availability, verify the live Google documentation and your account before planning a workflow.
