There is no universal gaming-convention rulebook. Each event sets its own age cutoff, adult-supervision requirement, accessibility process, tournament registration rules, and refund deadline. Before buying a badge, read that convention’s current policy page and confirm four things: who may enter, how to request accommodations, whether tournaments need a separate registration or fee, and the exact cancellation deadline.
Start with the event’s own rules
“Gaming convention” can mean a public expo, a trade conference, a private fan gathering, or a convention with several ticketed programs. The same child may be admitted free at one event, require a guardian at another, and be barred from a third. Policies can also change between editions, so an old social-media post or a friend’s experience is not a reliable substitute for the current terms.

Save a copy of the policy page and your purchase confirmation. Note the event dates, the deadline for accommodation requests, tournament sign-up opening time, and the last day to request a refund. If any wording is unclear, email the organizer before paying; a verbal assurance at the door cannot undo a nonrefundable purchase.

Are gaming conventions kid-friendly?
Some are, but “kid-friendly” is not a standard designation. Age limits may apply to the entire event, to a particular convention area, or only to tournaments and evening programs. The examples below show why you must check the individual event.

| Convention | Published age rule | Adult or guardian requirement |
|---|---|---|
| GameACon | Children six and under enter free when accompanied by a paid adult. All minors must have a responsible adult. | Under-12 tournament players require adult supervision. |
| Origins | Children 12 and under attend free. | A guardian must accompany them. |
| LVL UP EXPO | Minors 17 and under may attend with a parent or guardian. | Parent or guardian required for every minor in that age group. |
| GDC | No one under 18 may register. | There is no minor-registration exception in the stated policy. |
| BrickCon public attendance | Public attendance is open to all ages. | Check supervision expectations for children at the public show. |
| BrickCon private convention | Admission is 14+ with a parent or guardian; adult-fan areas are 18+. | The private event and its adult-fan programming have different thresholds. |
These are policy examples, not a general industry standard. They also illustrate several common traps: a free child ticket may still require a paying adult, a public exhibition may have a stricter private convention attached to it, and a convention can permit a minor in the building while restricting that minor from a specific program.
Planning a child’s first convention visit
- Identify the exact badge type. Confirm whether you are buying public-day admission, a full convention badge, a private-convention registration, or a single-program ticket.
- Read the minor policy word for word. Look for the age cutoff, whether the adult must be a parent or simply a responsible adult, and whether one adult may supervise more than one child.
- Check program-level restrictions. Tournaments, late-night events, ratings-restricted sessions, and private areas may impose rules beyond the main badge.
- Carry proof of the arrangement. Bring the adult’s identification, the child’s registration confirmation, and any required consent documentation. The organizer’s current policy determines what is actually required.
- Plan exits and meeting points. Large halls are noisy and crowded. Agree on a visible meeting location and a check-in schedule before splitting up.
Do not assume that “free” means “unregistered.” Some events still require a child badge or a guardian’s registration record even when the price is zero.

Can a child enter a gaming tournament?
Often yes, but tournament entry is usually separate from admission to the convention. A child may need a valid convention badge, a tournament seat, an entry fee, and an adult supervisor. Age restrictions can also vary by game, bracket, or venue.

|---|---|---|
| Is a convention badge needed? | Yes. The Tournament and Art Area are limited to paid ticket holders. | Check the individual tournament listing; registration rules vary. |
| Is there a separate tournament fee? | Yes. Each player pays an entry fee, regardless of age. | Some tournaments have their own registration requirements; the event says preregistration may be required. |
| Is adult supervision required? | Yes, for players under 12. | Follow the event’s minor and tournament instructions for the specific competition. |
How to avoid losing a tournament seat
- Check the tournament page before buying. Look for “preregistration,” “onsite registration,” capacity limits, check-in time, and refund terms for the event ticket.
- Separate the costs. Budget for the convention badge, the tournament entry fee, and any required equipment or game materials. A free or discounted child badge does not necessarily waive the player fee.
- Register every player correctly. Use the player’s legal name where the organizer requires identity matching, and enter the adult supervisor’s details if requested.
- Arrive before the check-in cutoff. A paid seat can be released if the player is absent when the organizer closes check-in; the tournament’s own rules control this point.
- Bring the confirmation and badge. Screenshots are useful if mobile service is poor, but keep the original confirmation email available as well.
If a child is close to an age boundary, ask the organizer in writing whether the cutoff is measured on the event date, registration date, or tournament date. Do not infer an exception from the child’s skill level or from another convention’s policy.

Do gaming conventions provide wheelchair access or ADA accommodations?
Many venues provide accessible routes and services, but the process is usually request-based. Contact the organizer before purchasing when the policy gives a lead time. Describe the practical accommodation needed—such as step-free access, captioning, seating, or an auxiliary service—rather than relying on a general statement that the venue is accessible.
| Convention | Request timing or contact rule | Services stated in the policy |
|---|---|---|
| GameACon | Attendees with special needs should contact the event at least two weeks before the event. | The organizer says advance notice helps it accommodate attendees; specific services are not listed. |
| GDC 2026 | Reasonable-accommodation requests were due by February 16, 2026. | Vault sessions include closed captioning. |
| Origins | Review the event’s accessibility guidance and contact the organizer for individual needs. | ADA-compliant ramps, automatic doors, elevators, accessible parking and restrooms, plus limited manual-wheelchair service. |
The GDC date is specific to its 2026 policy; a later edition may publish a different deadline. If you missed a stated cutoff, contact the organizer immediately anyway, but do not assume a late request can be fulfilled.

Accessibility checklist
- Ask whether the accessible entrance is the same entrance used for badge pickup.
- Confirm how to reserve seating, a wheelchair, captioning, an interpreter, or a quiet space, if needed.
- Ask whether an attendant or personal-care assistant needs a separate badge.
- Request written confirmation of the accommodation and the staff contact who will handle it onsite.
- Check whether services are limited in quantity, as Origins’ manual-wheelchair service is described as limited.
Can you get a refund if you cannot attend?
Refund rights are event-specific and may differ for badges, individual event tickets, hotel reservations, and tournament fees. The following figures come from the conventions’ published 2026 policies and should not be treated as permanent rules.
Recommended Free Tools
| Convention | Cancellation or refund rule | Fees and exceptions |
|---|---|---|
| GameACon | All ticket sales are final; no refunds or cancellations. | No general exception is stated. |
| LVL UP EXPO | Badge refunds are allowed up to seven days before the event. | Confirm how the deadline is calculated and whether separate event tickets follow the same rule. |
| BrickCon | Refund requests are honored until two weeks before the first day. | The rule refers to paid registration fees. |
| GDC 2026 | Cancellations were accepted through February 13, 2026. | A $300 cancellation fee applied. If organizers officially cancel, a full refund is available minus card fees. |
| Gen Con | Badge and event-ticket deadlines are published separately. | The stated administrative fees are 5% for event tickets and $10 for badges; consult the current deadline table before submitting a request. |
Refund steps
- Find the correct transaction. A badge order and an individual event or tournament order may have different policies.
- Calculate the deadline from the event’s wording. “Seven days before the event” and “two weeks before the first day” are not interchangeable, especially for multi-day conventions.
- Submit through the specified channel. Use the organizer’s form or ticketing account, not an informal social-media message.
- Record the request. Save the confirmation number, timestamp, and any administrative-fee disclosure.
- Check the payment method. Even an approved refund can take additional processing time, and card fees may be excluded where the policy says so.
Travel, lodging, merchandise, and third-party tournament purchases may have separate terms. A convention’s refund approval does not automatically cancel those arrangements.

What should you bring to a gaming convention?
Start with the items needed to prove admission and meet the event’s specific rules:
- Government-issued identification if the organizer requires age or name verification.
- Badge, registration confirmation, and tournament check-in details.
- Any required guardian documentation for a minor.
- Phone, charger or power bank, and a saved offline copy of essential confirmations.
- Prescription medication and clearly labeled accessibility equipment.
- An empty reusable water bottle. LVL UP EXPO allows reusable bottles when they are empty before entry and provides refill stations.
Do not fill the bottle before security if the event follows LVL UP EXPO’s rule, and check another convention’s bag and beverage policy rather than assuming the same allowance. Likewise, confirm rules for cosplay props, outside food, cameras, and personal gaming equipment before packing them.
A quick decision framework before you buy
- Age: Is every attendee eligible for this exact badge and program?
- Supervision: Who is responsible for each minor, and must that adult remain onsite?
- Access: What accommodation is needed, and has it been requested before the published lead time?
- Tournament: Is a badge required, is preregistration open, and is the fee charged per player?
- Refund: What is the final date, what fee is withheld, and what happens if organizers cancel?
- Evidence: Have you saved the current policy and received written answers to any exception you need?
If any answer is unknown, pause the purchase and contact the organizer. The safest assumption is that the strictest published rule applies until the event confirms otherwise.
