The essential test is not how many screens a vendor offers; it is whether the software removes re-keying, exposes exceptions early and connects reliably to your carriers, customs broker, accounting ledger and overseas agents.
What small forwarders should require first
A forwarding platform should act as the operational record for every job. A quote should become a booking without typing the shipment again. The booking should create the house and master records, populate documents, feed tracking events, generate billable charges and update the job’s margin. Customs, agents, customers and accounting should receive controlled data from that same record.

Ask vendors to demonstrate one realistic shipment from start to finish, including a rate with surcharges, a consolidation, a late milestone, a customs filing, an agent charge and the final profit report. A demo that shows isolated modules can hide the hand-offs where small companies lose time and money.
Core features in a complete forwarding workflow
1. Rate, tariff and quote management
The system should store carrier contracts, spot rates, tariffs, accessorials, fuel and security surcharges, validity dates, lanes, currencies and customer-specific margins. Users need version control so an expired buy rate cannot silently be used on a new quote.

The critical control is quote-to-book conversion. Customer, shipper, consignee, commodity, pieces, weight, volume, incoterm, mode and routing data should flow into the booking automatically. Require a change history showing who changed a rate or margin and when. GoFreight, Linbis, Logistaas and Logiware all describe quote-to-book workflows; treat those descriptions as capabilities to verify in a live demonstration, not as proof that every lane or surcharge is covered.
2. Multi-modal shipment execution
Confirm support for the modes you actually sell: ocean FCL and LCL, air HAWB and MAWB, road and multimodal moves. A coherent file should hold legs, vendors, cutoffs, equipment, transshipment points and delivery milestones without forcing staff to create disconnected jobs.
Do not pay for a broad mode list you will not use. Ask the vendor to model your busiest trade lanes, including mixed-mode moves, split shipments, rollovers and changes after booking. Verify whether each mode has its own document templates, rating logic, tracking events and billing rules.

Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →3. House/master consolidation and document generation
For consolidations, the relationship between house and master records must remain synchronized. Ocean operations typically require HBL/MBL relationships; air operations require HAWB/MAWB relationships. A change to pieces, weights, parties or routing should trigger the right downstream updates and warn users about conflicts.
Documents should draw from the shipment record rather than from separate spreadsheets. Test bills of lading, air waybills, commercial invoices, packing lists and arrival notices, including revisions, approvals, logos, mandatory fields and document numbering. Check whether customers and agents can receive only the documents they are authorized to see.

4. Tracking and exception management
Basic tracking is not enough. Require carrier milestones, estimated-time-of-arrival changes, terminal events, delivery confirmation and configurable alerts. Ocean teams should be able to monitor detention and demurrage clocks where those charges apply. Staff need an exception queue that distinguishes a missing event from a genuinely late shipment.
GoFreight reports more than 125 carrier integrations, while Logiware states direct EDI/API connectivity to more than 40 ocean carriers. These are vendor-published 2026 figures, not independent coverage tests. Request the written carrier list for your lanes, the event types delivered, polling or message latency, connector fees and the process when a carrier changes its data format.
A customer-facing status page or portal should show meaningful milestones without exposing internal notes, buy rates or other customers’ data. Alerts should be targeted by role and event; sending every update by email simply creates a new inbox problem.
5. Customs and compliance controls
Customs functionality is jurisdiction-specific. Ask exactly which filings and message types are supported in your operating countries, such as ISF, AMS, ACE, AES or ICS2, and whether the product connects directly to authorities, a customs broker or both.
Evaluate validation rules, commodity and party data, document retention, audit trails, amendment handling and denied-party or sanctions-screening integrations. Clarify who is legally responsible for filing, who reviews errors and what happens when the system or an authority is unavailable. A checkbox labeled “customs” does not establish regulatory coverage.

6. Billing, accounting and shipment profitability
Charges should originate in the quote and shipment records, then flow into customer invoices, vendor bills, accruals, agent settlements and receivables/payables. A per-job profit-and-loss view should separate revenue, buy costs, estimated costs, realized costs, currency effects and write-offs.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsConfirm the accounting direction and timing. Some connectors send invoices one way; others synchronize customers, suppliers, payments and chart-of-accounts data in both directions. Ask specifically about QuickBooks, Xero, NetSuite, SAP or your actual ledger, and test tax codes, credit notes, multi-currency, rounding and period close. Info-X describes connections to QuickBooks, SAP, NetSuite and Xero; verify which editions and transaction types are included.
7. Customer and agent collaboration
A branded portal, secure document sharing and milestone notifications can replace long email chains. Permissions should be granular enough to separate a shipper, consignee, overseas agent, carrier and internal employee. Include download logs and expiration controls for sensitive files.
Ask whether overseas agents can exchange bookings, documents, charges and status data without adopting the same platform. If an agent must become a licensed user, include those seats and training in the total cost. Confirm how duplicate parties are matched and how conflicting updates are resolved.
8. Integrations and extensibility
Pre-built carrier, customs, accounting and rate connections reduce implementation effort, but an API is not automatically a usable integration. Require documentation for REST endpoints, webhooks and EDI messages, authentication, rate limits, retries, sandbox access and change notifications.

Obtain a written connector matrix. It should state supported carriers and authorities, data fields, update frequency, historical backfill, one-way versus two-way sync, setup fees, recurring fees and who supports failures. Info-X describes EDI/API and OCR capabilities; ask for an accuracy target, human review workflow and retention policy before relying on automated document capture.
9. Security, governance and data ownership
Require role-based permissions, encryption in transit and at rest, audit logs, backups, recovery objectives and export tools. You should be able to retrieve your shipment, financial and document data in a usable format if you change systems.
Ask for a current security certification or equivalent independent evidence, the data-hosting region, subcontractors, breach-notification terms and retention schedules. Logistaas specifically highlights SOC 2, encryption, role-based access and audit trails. Confirm the scope and date of any certification rather than accepting a logo in a sales deck.
10. Usability, implementation and support
Small teams need configurable workflows, practical onboarding and responsive support more than a long feature catalog. Test common tasks with a new user: create a quote, copy it to a booking, upload a document, correct a charge and find a late shipment.

How to compare freight platforms
Use the same scripted shipment and scoring sheet for every finalist. Weight the capabilities that affect cash flow and compliance, not the number of optional screens.
| Evaluation area | Questions to score | Evidence to request |
|---|---|---|
| Mode and geography | Does it handle your ocean, air, road and multimodal lanes, authorities and currencies? | Live workflow using your routes and filing requirements |
| Quote to booking | Can rates, margins and shipment data transfer without re-keying? | Recorded conversion and change audit |
| Documents | Are house/master records and templates synchronized? | Generated HBL/MBL or HAWB/MAWB plus revisions |
| Visibility | Which carrier events, ETA changes and exception alerts are supported? | Carrier matrix, latency and outage procedure |
| Customs | Which filings, validations and screening connections are included? | Jurisdiction list, sample messages and responsibility statement |
| Finance | Does it produce job P&L, accruals and agent settlements? | Invoice, vendor bill and ledger synchronization test |
| Collaboration | Can customers and agents work securely without unnecessary licenses? | Portal roles, sharing rules and access logs |
| Extensibility | Can your team integrate systems not covered by a connector? | API/EDI documentation, sandbox and webhook behavior |
| Security | Can you control access, investigate changes and recover data? | Certification scope, audit sample, backup and export terms |
| Implementation | How much cleansing, configuration and training are required? | Project plan, migration template, support response targets |
| Economics | What will the complete three-year cost be? | Subscription, users, shipments, connectors, implementation and support fees |
Per-user, per-shipment and quoted-enterprise pricing are not directly comparable. GoFreight says pricing varies by user count and requirements. FocusFlow states pricing from €149 per month. Treat the €149 figure as a vendor-published starting price from 2026, not a quote for your operation; confirm included users, modes, integrations, storage and support.
Vendor examples worth investigating
| Platform | Published strengths to verify | Questions for a small business |
|---|---|---|
| GoFreight | Forwarding workflow, carrier integrations, APIs/webhooks, customs connections, billing, profitability and accounting options. | Which of the reported 125+ carrier connections cover your lanes, and what are connector limits and fees? |
| Info-X | Rates, quotes, bookings, tracking, documents, accounting, customs filing, OCR, EDI/API and links to QuickBooks, SAP, NetSuite and Xero. | Which filings, OCR review controls and two-way accounting transactions are available in your region? |
| FocusFlow | SMB-oriented visibility, invoice audit, carbon reporting, CSV/XML imports, REST APIs/webhooks and a stated starting price of €149 per month. | Can it be your system of record, or is it better paired with an operational forwarding platform? |
| Logiware TMS | Quote-to-cash workflow, multimodal support, customs, visibility, accounting, multi-currency and direct carrier connectivity. | Does its stated direct EDI/API access to more than 40 ocean carriers include your carriers and required events? |
All figures and capability descriptions in this table are vendor-published claims dated 2026, not independent benchmarks. Alice Zhou, Product Marketing Leader at GoFreight, cautions: “A vendor demo that skips any of these dimensions leaves an ocean heavy forwarder exposed to the exact workflow gaps that surface in month 3 of a contract, not month 3 of a sales cycle.” Use that principle for every finalist: insist on the complete workflow, not a polished feature tour.
A practical selection and rollout plan
- Map the current process. Document every hand-off from rate request to cash collection, including spreadsheets, email approvals, broker portals and accounting entries. Mark where data is re-entered and where delays create charges.
- Define a minimum dataset. List required party fields, commodities, equipment, documents, milestones, charges, currencies, tax codes and accounting dimensions. This becomes the migration and integration checklist.
- Build a scripted demo. Give each vendor the same FCL, LCL, air or road scenario, a consolidation, a changed ETA, a customs exception and a disputed invoice. Require staff to perform the tasks rather than letting the salesperson click through slides.
- Run technical and security diligence. Test carrier events, accounting synchronization, API authentication, permissions, exports, backups and audit logs in a sandbox or controlled pilot.
- Calculate three-year total cost. Include implementation, data cleansing, training, user and agent licenses, shipment fees, connectors, storage, support, custom work and exit costs.
- Pilot one lane or team. Compare quote-to-book time, document errors, exception response, invoice accuracy and job-margin visibility against your current process. Define go/no-go thresholds before the pilot starts.
- Govern the live system. Assign owners for rate tables, templates, permissions, integrations and data quality. Review failed messages, overdue milestones and margin variance weekly during the first months.
Common buying mistakes and how to avoid them
- Choosing by mode count: A long list of modes is less valuable than reliable execution on your actual lanes. Test exceptions, not just standard bookings.
- Accepting “integrated” without a data map: Ask which fields move, in which direction, how often and what happens when a message fails.
- Ignoring financial controls: A visually attractive operations system that cannot produce accurate accruals and job P&L will hide losses.
- Underestimating permissions: Shared portals need least-privilege roles, especially when agents and customers access documents.
- Believing a launch date without migration detail: Same-day imports may apply to a clean, focused dataset, not a complex historical conversion.
- Leaving data exit until renewal: Confirm export formats, document retrieval and deletion obligations before signing.
When a TMS, forwarding ERP or combination makes sense
A forwarding ERP is usually the better foundation when you need house/master files, documents, customs, agent settlements, customer billing and shipment-level profitability in one operational record. A general TMS may fit a shipper whose primary need is planning and executing its own freight, rather than selling forwarding services to multiple customers.
A visibility or invoice-audit product can be a useful companion when your existing forwarding system is sound but lacks broad tracking, carbon reporting or audit automation. Before adding a second system, decide which platform owns parties, shipments, rates, documents and financial truth. Duplicate ownership creates the re-keying problem you were trying to remove.
