When WordPress says an email was sent, it may only mean that WordPress handed the message to its mail transport. It does not prove that the message reached an inbox. The reliable fix is to identify the failing layer: transport, sender authentication, provider delivery, or one plugin’s form and notification settings. Start with a controlled test from your SMTP or email-provider integration, then test the form separately.

Understand what “sent” means in WordPress
WordPress sends most plugin and form messages through the wp_mail() function. A successful return value means the message was processed for sending; it does not confirm delivery or inbox placement. The WordPress Developer Resources reference states: “A true return value does not automatically mean that the user received the email successfully.”

That distinction prevents a common mistake: replacing a working mail transport when the real problem is a form’s notification rule, an anti-spam response, a sender-domain policy, or a recipient mailbox. Treat the process as separate stages:
- WordPress creates the message. A plugin supplies recipients, subject, body, From and Reply-To headers.
- The transport accepts or rejects it. WordPress may use PHP
mail(), authenticated SMTP, or a provider API. - The provider attempts delivery. It can reject, bounce, defer, suppress, or accept the message.
- The recipient mailbox decides placement. The message may appear in the inbox, spam, quarantine, or nowhere visible if it was rejected earlier.
Your troubleshooting method should test each stage in that order.

Find the failing layer before changing settings
Run a controlled test from the SMTP plugin or email-provider integration, then submit the actual form. Compare the results rather than treating every missing message as the same fault.

Keep the exact test result and timestamp. Provider logs and WordPress logs can then be matched to the same attempt.
Step 1: Confirm the addresses WordPress is actually using
Before debugging SMTP, verify the site’s configured administration email and every plugin notification recipient. An email can be delivered perfectly to an address nobody checks, or to an old address left in a form setting.
- Check the WordPress administration email under the site’s general settings.
- Open each form’s notification panel and confirm every recipient, including comma-separated or additional recipients.
- Check for conditional notifications that send only when a field has a particular value.
- Use a mailbox you can monitor immediately for the controlled test.
- Record whether the form is intended to send an autoresponder to the visitor, an internal alert, or both.
Do not assume that changing the site administration email changes a form’s recipient. Many form plugins store their own notification settings.
Step 2: Run the mail integration’s test email
Use the test-email screen in your SMTP plugin or provider integration. Send to a mailbox you control and record whether the integration reports success or an error. This isolates the transport from the form’s field mapping and anti-spam logic.
If the test fails, copy the complete error text before making another change. Look for an authentication rejection, an unreachable host, a blocked port, a TLS or encryption negotiation error, or a sender identity that the provider does not authorize. Correct one variable at a time and rerun the same test.

If the test succeeds, do not stop there. A successful test proves that the integration can submit at least one message; it does not prove that a particular plugin is constructing a valid notification or that every recipient will accept it. Submit the real form immediately afterward and compare its result with the test.
Step 3: Inspect logs and capture transport errors
Review the SMTP plugin’s email log, the provider’s event log, and any WordPress debug log available to you. A useful record includes the time, recipient domain, subject, provider response, and whether the event was accepted, bounced, deferred, or suppressed. Avoid storing message bodies or personal data longer than your privacy policy permits.
For a temporary diagnostic, WordPress exposes the wp_mail_failed action. It supplies a WP_Error containing the transport error and message data. Add a short-lived logger in a site-specific plugin or a controlled maintenance change:

} );Trigger one test, inspect the log, and remove or disable the logger afterward. Log files can expose addresses, headers, and message content. Restrict access and do not leave verbose logging enabled on a production site.

No wp_mail_failed event does not prove delivery. It only means WordPress did not report a failure at that stage. Continue with provider events and mailbox checks.
Step 4: Configure authenticated transport correctly
WordPress normally formats mail for PHP mail(). That method may be unavailable, restricted by the host, or unauthenticated in a way that hurts delivery. An SMTP plugin can route mail through authenticated SMTP, and many integrations can use an email provider’s API instead.

Enter the values supplied by your mail provider exactly:
- SMTP host: the provider’s server name, not your website URL unless the provider explicitly says so.
- Port: use the provider’s documented port for the selected encryption mode.
- Encryption: match the provider’s TLS or other secure-connection requirement; do not combine a port and encryption mode from different instructions.
- Authentication: use the required account, password, application credential, or API credential. A normal mailbox password may not be accepted.
- From identity: use an address and domain authorized by the provider.
Save the settings, run the integration test again, and keep the exact provider response. If changing the password, host, or port fixes the test, document the working combination so a later plugin update does not reintroduce the error.

Authenticated SMTP is a standard mail handoff. A provider API uses the provider’s authenticated web interface. Either can be appropriate; the important requirement is that the integration reports a successful handoff and the provider shows an accepted event. Choose one supported method and avoid leaving competing mail plugins configured to rewrite the same message.
Step 5: Align the sender domain with authentication records
The address in the From header should belong to a domain authorized by the sending provider. Using a visitor’s address as the From address can make the message appear to originate from a domain you do not control. A safer form pattern is a site-domain From address and the visitor’s address in Reply-To, so staff can answer the visitor without impersonating that domain.
Check the sending domain’s SPF, DKIM and DMARC records. SPF identifies authorized sending infrastructure. DKIM adds a signature that the receiving system can verify. DMARC evaluates whether the visible From domain aligns with authenticated SPF or DKIM and applies the domain’s policy when it does not. The records must reflect the provider you actually configured; an old provider entry or a missing authorization can cause rejection or poor placement.
After changing DNS, allow the records to become visible to receiving systems, then send another controlled message. Check the provider’s authentication result and the recipient mailbox’s message details where available. Keep the From domain consistent across the SMTP plugin, provider account and form notification settings.

Step 6: Troubleshoot a form that fails while other mail works
If password resets, registrations, or the SMTP test arrive but one contact form does not, focus on that form. Replacing the transport can hide the real problem.
Check the notification recipient
Open the form’s notification settings and verify the destination address, conditional rules, and any separate admin and autoresponder notifications. Send a test with the simplest valid submission so conditional branches are easy to interpret.
Check From and Reply-To
Set From to an address on the authorized site domain. Put the submitted email field in Reply-To if the plugin supports it. Check the generated headers in the plugin log or provider event. A malformed address or an unauthorized From domain can cause a rejection even when the transport itself is healthy.
Check required fields and validation
A form that never reaches its mail action may be failing validation in the browser or on the server. Submit all required fields, use a valid email format, and watch for an inline error or a failed response after submission. Test with a plain subject and message to rule out field-token or template mistakes.

A form can return a spam-blocked status while other WordPress mail continues through SMTP. Review CAPTCHA, honeypot, moderation, rate-limit, and spam-scoring settings. Check whether the submission is being placed in a spam queue rather than triggering a notification. Temporarily relax one anti-spam rule in a controlled maintenance window, submit a clearly legitimate test, and restore the protection immediately after isolating the cause.
Check plugin and theme conflicts
Conflicting form extensions, security rules, caching layers, or theme code can interrupt submission before wp_mail() runs. In a maintenance window, test with the affected form plugin’s required components and a standard theme, then re-enable other components one at a time. Record which change alters the result instead of disabling security controls indefinitely.
Step 7: Verify delivery beyond the WordPress dashboard
Test at least two recipient mailboxes that use different providers when possible. Inspect Inbox, Spam, quarantine, and any server-side filtering. A message accepted by the sending provider can still be classified or rejected by the recipient system.
In the provider dashboard, look for the event associated with the test time and recipient. A bounce normally includes a reason; a suppression event means the provider has stopped attempting delivery for that address because of earlier failures or complaints. Correct the underlying address or policy before removing a suppression entry. A deferred event indicates that delivery has not finished; wait for the provider’s final status rather than treating the first attempt as a permanent failure.
Compare three timestamps: the form submission, the WordPress or SMTP log entry, and the provider event. If WordPress logs the message but the provider has no event, inspect the transport handoff. If the provider shows acceptance but no mailbox message, investigate recipient filtering, authentication alignment, and spam placement.
A complete troubleshooting sequence
- Confirm the site administration email and every form notification recipient.
- Run the SMTP plugin or provider test email and save its exact result.
- Inspect WordPress and mail-plugin logs; add a temporary
wp_mail_failedlogger only when the existing logs do not expose the error. - Correct SMTP host, port, encryption, credentials, and sender identity until the controlled test succeeds.
- Verify SPF, DKIM, and DMARC for the sending domain and confirm that the visible From domain aligns with the authenticated sender.
- Submit the real form and inspect its recipient, From, Reply-To, required fields, validation response, and anti-spam status.
- Isolate plugin or theme conflicts during a maintenance window, restoring each component after the test.
- Check provider acceptance, bounce or suppression events, spam folders, and delivery to more than one mailbox.
- Remove temporary debug logging and document the working transport and sender configuration.
Common mistakes that prolong the outage
- Relying on the green “sent” notice: it confirms processing, not inbox receipt.
- Changing the SMTP setup when only one form fails: first compare the form’s settings with a successful plugin notification.
- Using a visitor’s address as From: use an authorized site-domain From address and Reply-To for the visitor.
- Mixing provider settings: do not pair one provider’s host with another provider’s port, encryption mode, or credentials.
- Ignoring provider suppression: repeated retries will not help while the recipient remains suppressed.
- Leaving diagnostic logs active: remove temporary logging because mail data can contain personal information.
- Testing only one mailbox: one recipient’s filtering policy is not representative of every destination.
Keep the fix reliable
After restoring delivery, keep one documented test address, the provider’s working host and port, the authorized From identity, and the DNS records used for SPF, DKIM, and DMARC. Re-test after changing the domain, mail provider, SMTP credentials, form plugin, or anti-spam rules. Retain provider event logs for the period needed to investigate bounces and complaints, while limiting access to message data.
The durable solution is not simply “install SMTP.” It is a verified chain: the form creates the intended message, authenticated transport accepts it, the provider authorizes the sender and records an accepted event, and the recipient mailbox receives or clearly classifies it. Test each link whenever a plugin or form appears to stop sending.
