If Show as Conversations is gray, missing, or unavailable, the cause is usually the folder’s current arrangement or the Outlook interface you are using. In classic Outlook for Windows, arrange the folder by Date, then choose View > Show as Conversations. New Outlook, Outlook on the web, and Outlook for Mac use Settings pages instead of the classic checkbox. Account and folder compatibility—particularly with some POP or IMAP setups—can also limit the feature.
First identify your Outlook interface
Microsoft has several Outlook experiences with different conversation controls. Instructions for one can appear to be missing in another, so identify the app before changing settings.

| Outlook experience | Where conversation grouping is controlled | Important scope or limitation |
|---|---|---|
| Classic Outlook for Windows | View > Show as Conversations in a mail folder | You may choose This folder or All mailboxes; the folder generally must be arranged by Date. |
| New Outlook for Windows | Settings > Mail > Reading, under Message organization | Choose grouping by conversation, grouping by branches within conversations, or no grouping. |
| Outlook on the web | Settings > Mail > Reading, in the message-organization controls | The browser interface does not use the classic View-menu checkbox. |
| Outlook for Mac | Outlook > Settings > Email > Reading | Junk E-Mail and Deleted Items are not included in conversations. |
Classic Outlook and New Outlook can be installed on the same Windows computer, and their menus are not interchangeable. If your window has a prominent “New Outlook” switch or a simplified ribbon, check the New Outlook instructions rather than searching for the classic command.

In classic Outlook, Microsoft’s documented procedure is: “From any mail folder, such as your inbox, select View > Show as Conversations to toggle Conversation view on or off.” If the command is gray, the folder is commonly arranged by a field other than Date.
#1 Best Overall
1. Open a supported mail folder
Open the Inbox or another ordinary mail folder where you want threaded messages. Conversation view is a mail-folder display option; it is not a setting for the Calendar, People, or Tasks modules.
2. Change the folder arrangement to Date
- In the folder, open the View tab.
- Choose View Settings or the folder’s Arrange By control, depending on your ribbon layout.
- Set the arrangement or grouping field to Date. If a Group By dialog is shown, clear a custom grouping and select Date as the primary arrangement.
Microsoft Q&A guidance states that Show Conversations is available only when grouping by date. Categories, flags, sender, size, or other custom arrangements can therefore make the command unavailable.
3. Turn on conversations and select the scope
- Select View > Show as Conversations.
- When Outlook asks where to apply the change, choose This folder for the current folder only or All mailboxes for every mailbox in the classic Outlook profile.
- Open a thread with several messages. A triangular expand/collapse icon should appear beside it.
Outlook sorts messages in a conversation with the newest message at the top. A thread containing only one message may not look different from an ordinary list, so test with a subject that has replies.

New Outlook and Outlook on the web do not rely on the classic View-menu command. Use the reading settings instead.
New Outlook for Windows
- Select the Settings gear.
- Open Mail, then Reading.
- Under Message organization, select one of the available choices: Group messages by conversation, Group messages by branches within conversations, or Do not group messages.
- Close Settings and return to the folder. The list should refresh with the selected grouping.
“Group messages by conversation” presents a single thread for related messages. Branch grouping keeps separate reply branches visible within that conversation, which is useful when several recipients reply to different messages. “Do not group messages” returns to an individual-message list.
Outlook on the web
- Select Settings in the web interface.
- Choose Mail > Reading.
- Use the message-organization setting to group by conversation, group by branches, or stop grouping.
If you cannot find the setting, verify that you are in the full Outlook web mailbox rather than a third-party mail portal or a mobile browser view. Organization-managed accounts can also hide or restrict settings through policy.

Outlook for Mac
- Open the Outlook menu.
- Select Settings, then Email, then Reading.
- Review the conversation option and enable the grouping style you want.
Microsoft’s Mac documentation excludes Junk E-Mail and Deleted Items from conversations. A thread can therefore appear incomplete if one message is in either of those folders; moving the message to a normal mail folder is necessary before it can participate in that folder’s conversation display.
Why Show as Conversations is gray or missing
The folder is grouped by something other than Date
This is the most common classic-Outlook cause. Grouping by Flag Status, Categories, sender, importance, or another field changes the view model that Outlook uses. Set the folder to Date, return to the View tab, and check the command again.
Categories or flags took over the arrangement
Categories and flags are useful after conversation grouping is enabled, but applying them as the primary arrangement can disable the command. A practical sequence is to arrange by Date, enable conversations, and then reapply categories or flags for sorting and filtering. If reapplying a category makes the control gray again, keep Date as the arrangement and use the category as a filter or visual label instead of the grouping field.

You are using instructions for the wrong Outlook edition
Searching for View > Show as Conversations in New Outlook, the web app, or Mac will lead to a dead end because those interfaces place the setting under Reading preferences. Conversely, a Windows classic-Outlook guide will not describe the branch-grouping choices found in newer clients.
The account or folder does not support conversation grouping
Conversation support depends partly on the account provider and folder implementation. Microsoft 365 and Exchange mailboxes normally expose the feature, while some POP or IMAP configurations may not. A 2026 Microsoft Q&A response discusses unsupported account or folder types, but this is community guidance and can vary by Outlook build; treat it as a compatibility possibility rather than a universal rule.

In classic Outlook, inspect File > Account Settings > Account Settings and note whether the affected mailbox is Microsoft 365/Exchange, POP, or IMAP. Then test the Inbox or another standard folder. If conversations work in a Microsoft 365 or Exchange Inbox but not in a particular imported or local folder, the folder—not the view command—is likely the limitation.

A complete troubleshooting sequence
- Identify the client. Decide whether you are in classic Windows Outlook, New Outlook, Outlook on the web, or Mac.
- Test a normal folder. Use the Inbox first, because custom, archive, search-result, and local folders can expose different capabilities.
- Correct the arrangement in classic Outlook. Open the affected folder, set Arrange By or grouping to Date, and remove category or flag grouping.
- Enable the feature in the correct location. In classic Outlook choose View > Show as Conversations; in New Outlook or the web app use Settings > Mail > Reading; on Mac use Outlook > Settings > Email > Reading.
- Choose the correct scope. Classic Outlook offers This folder and All mailboxes. Start with This folder so you can verify the result without changing every mailbox.
- Reapply categories or filters carefully. Keep Date as the primary arrangement if categories or flags cause the command to disappear.
- Check the account type. Use File > Account Settings > Account Settings in classic Outlook and test another supported mailbox or folder if the account is POP or IMAP.
- Restart Outlook after a profile or account change. Close every Outlook window, reopen the client, and check the setting again. This refreshes a view that may not have updated after synchronization.
- Verify with a multi-message thread. Look for the triangular expand/collapse icon or a grouped subject. A single-message subject cannot demonstrate that grouping is active.
How conversation grouping interacts with categories, flags, and branches
Conversation grouping changes how messages are displayed; it does not remove categories, flags, or message properties. You can still use those tools, but they may alter the folder arrangement if configured as the grouping rule. Keep Date as the underlying arrangement in classic Outlook, then use categories for visual classification and flags for follow-up.
Branch grouping in New Outlook and the web app is a separate presentation choice. It keeps related reply paths distinct inside one conversation, which can prevent unrelated branches from appearing as one undifferentiated stream. Classic Outlook’s familiar view instead presents the conversation with an expand/collapse control and newest messages first.
What to expect after it works
- Messages with the same conversation subject and related headers are displayed together when Outlook can associate them.
- Threads with multiple messages show an expand/collapse triangle in classic Outlook.
- The newest message appears at the top in classic Outlook’s conversation display.
- A message moved to Junk E-Mail or Deleted Items may not appear in a Mac conversation.
- Conversation grouping is a display preference; it does not merge messages, change recipients, or alter the contents of the mailbox.
When to stop troubleshooting the setting
If Date arrangement is set, the correct interface path has been used, and the feature works in one standard mailbox but not another, the remaining issue is likely account or folder support rather than a hidden checkbox. For POP or IMAP accounts, confirm the limitation with your organization or mail provider and consider using a Microsoft 365 or Exchange-connected folder for threaded work. Do not keep changing categories or rebuilding views if the same account consistently lacks the conversation option.
The practical fix is therefore diagnostic: correct the folder arrangement in classic Outlook, use Reading settings in newer clients, and verify that the account and folder type can provide conversation grouping.
