Google Sheets makes named-user sharing and Viewer, Commenter, and Editor roles easy to apply. Excel can add file-password encryption and, in an organization configured for it, Information Rights Management (IRM) that limits who can open, print, copy, or forward a workbook. In both products, the decisive factor is the access policy you configure: identify recipients, grant the least privilege they need, and review or revoke access.
For a sensitive spreadsheet, keep Google Sheets set to Restricted and share with specific accounts, or use Excel’s encrypted file and organization-managed IRM when those controls are available. Do not treat a protected worksheet or a link that happens to be hard to guess as a confidentiality boundary.

What “safer sharing” actually means
“Safe” can mean several different things, and Excel and Google Sheets address those risks at different layers. Before choosing a platform, decide which outcome matters:
Free tools Windows power users keep installed
One-click scans. No signup required.
- Confidentiality: only approved people can view the values, formulas, and attachments.
- Integrity: recipients can make only the changes you intend, and you can identify or undo them.
- Controlled distribution: recipients cannot casually forward, print, copy, or download the file.
- Revocation: access can be removed when a project, contract, or employment ends.
- Administrative enforcement: an organization can apply identity, device, storage, and retention rules consistently.
Sharing permissions are the primary control for both products. A Viewer who receives a file through an individually identified account is a different risk from an Editor who gets a public link, regardless of which spreadsheet application displays the grid. Neither product’s official guidance establishes a universal security winner or supplies a controlled, head-to-head breach-rate comparison.

Excel and Google Sheets compared by security control
| Control | Excel | Google Sheets | What to evaluate |
|---|---|---|---|
| Granting access | File-level protection is available; managed environments can use IRM to assign permissions to users or groups. See Microsoft’s Excel protection guidance. | Share with named people or groups and assign Viewer, Commenter, or Editor roles. Link access can be configured separately. See Google’s access-role documentation. | Are recipients individually identified, and does each receive only the role required? |
| Link exposure | Risk depends on where the workbook is stored and how its link is distributed; the cited Excel guidance focuses on workbook and file protection. | General access can be Restricted or changed to anyone with the link. Google says anyone who has such a link can open the file, subject to the configured role. See Google’s sharing guidance. | Can an unintended recipient obtain the link, and does possession of it prove identity? |
| Confidentiality versus editing | Microsoft says worksheet-level protection is not intended as a security feature. Encryption and IRM operate at a different layer. | Protected sheets and ranges limit edits but are not a security measure; copying, printing, importing, or exporting may still be possible. See Google’s sheet-protection guidance. | Are you stopping accidental edits, or preventing unauthorized viewing and reproduction? |
| Organization controls | IRM can apply organization-managed permissions when the required server, licensing, and policy configuration exists. See Microsoft’s IRM guidance. | Workspace administrators and file owners can apply some sharing restrictions; permissions inherited from shared folders also matter. See Google’s sharing tips. | Can an administrator enforce identity, device, storage, and retention policy? |
| Time-limited access | Microsoft documents expiration dates for restricted workbooks when IRM is in use. | Eligible Google accounts can add an access-expiration date for a person with whom a file is shared. | Is temporary access supported by the account and edition you actually use? |
| Simultaneous collaboration capacity | Not stated in the cited Excel protection material. | Google’s Workspace sharing page says up to 100 people may have view, edit, or comment permissions on a Docs, Sheets, or Slides file at the same time. This is a collaboration capacity, not a security score. | Do not infer lower risk from a product-capacity number. |
How to share a Google Sheet with the smallest practical audience
1. Start with named accounts
Open the sheet and select Share. Add the specific people or groups who need it, rather than pasting a link into a broad channel. Assign one of Google’s three roles: Viewer for read-only access, Commenter for feedback without changing cell values, or Editor for people who must change the sheet. The role definitions are described in Google’s access-role documentation.
Use a group only when its membership is maintained as carefully as the file’s recipient list. A group can outlive a project and silently add new people, so confirm who belongs to it before sharing payroll, customer, health, or other restricted data.
2. Verify General access
In the Share dialog, inspect General access. Leave it at Restricted when only the named accounts should open the sheet. Changing it to Anyone with the link broadens access to every person who obtains the link; it should never be treated as identity verification. Google’s sharing guidance explains these settings and their effect.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsIf a wider audience is intentional, document why, choose the least permissive role that works, and distribute the link through a channel that does not expose it to unrelated people. Recheck General access after moving or copying the file, because a new copy can have different permissions.
3. Apply owner-level sharing limits
Owners can use Google’s sharing controls to limit whether editors may change permissions or reshare the file. Depending on the account and Workspace policy, owners can also limit downloading, printing, and copying for viewers and commenters. These settings reduce casual redistribution, but they do not make the content impossible to reproduce. Google explicitly warns that you can limit sharing, printing, downloading, and copying inside Drive, Docs, Sheets, and Slides, but cannot stop people from sharing the content in other ways; see Tips to share your files.

4. Check inherited folder permissions
A sheet inside a shared drive or folder may inherit access from that container. Removing one person’s direct permission does not necessarily remove access granted by a parent folder or shared drive. Inspect the folder’s membership and the file’s access list together, and place highly restricted sheets in a location whose membership is equally restricted.
5. Set an expiration when the account supports it
For contractors, auditors, or temporary project teams, add an access-expiration date when that option is available to your Google account. Expiration is a backstop, not a substitute for removing access promptly when the work ends. Confirm that the person cannot still reach a copy stored elsewhere.
6. Review and revoke
At the end of a project, return to Share, remove people who no longer need access, downgrade Editors who only need to read, and review group membership. If a link was ever set to “Anyone with the link,” change General access back to Restricted and issue a fresh, named invitation.
How to protect and share an Excel workbook
Separate the storage link from the workbook password
Excel files are often exchanged through a cloud storage service, an email attachment, a file server, or removable media. The storage system’s identities and link settings determine who can obtain the file; a workbook password protects the file after it has been obtained. Decide both controls together. A secure password does not compensate for a public download link, and a private storage link does not protect an unencrypted copy that a recipient forwards.
Encrypt the file for sensitive contents
In current desktop Excel releases, the usual path is File > Info > Protect Workbook > Encrypt with Password; labels can vary by edition. Use a strong, unique password and deliver it through a separate channel from the workbook. Microsoft documents file-password encryption and cautions that a password-protected workbook should not automatically be assumed secure; read Protection and security in Excel for the distinction between file protection, workbook structure, and worksheet protection.

Encryption helps when an unauthorized person obtains the file itself. It does not prevent an authorized recipient from opening it, taking a screenshot, copying values into another document, or sharing the password. Maintain a controlled record of who received the password and rotate it when the recipient list changes.
Use IRM when your organization has it configured
Information Rights Management can assign workbook permissions to particular users or groups and can restrict actions such as printing, forwarding, or copying. Microsoft also documents expiration dates for restricted workbooks. IRM depends on an organization-managed rights-management service, supported accounts, and policy configuration; it is not a feature you can assume is available in every consumer or unmanaged Excel installation. Follow your administrator’s policy and test the resulting restrictions with a non-sensitive workbook before relying on them.
IRM controls are stronger than a worksheet password because they travel with the rights-managed file and can be enforced when the recipient opens it. They still cannot control an authorized person’s camera, transcription, or manually re-entered data, and they may fail when a file is exported into a format outside the rights-management system.
Share through named identities
When the workbook is stored in an organization-managed service, grant access to individual accounts or maintained groups and choose read or edit permission deliberately. Avoid anonymous or broadly accessible links for confidential material. If your storage platform supports link expiration, download blocking, or device conditions, apply them according to your organization’s policy and verify them with a test account.
Use worksheet protection only for edit control
Worksheet or workbook-structure protection is useful for locking formulas, preventing accidental deletion, and leaving input cells unlocked. It is not a reliable confidentiality boundary. Microsoft states that “Worksheet level protection is not intended as a security feature” and warns against assuming that a protected workbook is safe for distributing sensitive personal information. The full warning appears in Microsoft’s Excel protection guidance.

Why sheet and range protection cannot hide confidential data
Both products distinguish who can open a file from which cells they may edit. A protected range can stop an Editor from overwriting a formula while still allowing that person to view the formula and surrounding values. In Google Sheets, the help page for protected sheets and ranges says the feature “shouldn’t be used as a security measure”; users may still print, copy, paste, import, or export copies. See Protect, hide & edit sheets.
Use protection for integrity: lock calculation areas, define input cells, and reduce accidental changes. Use account permissions, encryption, and rights management for confidentiality. If a recipient must not see a column, do not share a sheet containing it and hope that hiding or protecting the column will suffice; create a separate, minimized file.
Link sharing, copying, and the limits of “download disabled”
A link is a distribution mechanism, not an access policy by itself. A restricted link that requires a signed-in, approved account is materially different from a link that opens for anyone who possesses it. Review the audience whenever a link is copied into a ticket, chat room, public document, or email thread.
Blocking download, print, or copy can prevent convenient one-click duplication, but it cannot guarantee that information stays inside the original spreadsheet. A recipient may photograph the screen, transcribe values, use accessibility features, or reproduce the data in another application. Google states this limitation explicitly in its sharing tips. Treat these switches as friction and risk reduction, not as a promise of non-disclosure.
Which platform fits common sharing situations?
| Situation | Safer starting configuration | Why | Extra check |
|---|---|---|---|
| Small team collaborating on non-sensitive planning | Google Sheets shared with named accounts; Editors only for people changing values. | Roles and the Restricted setting are easy to inspect in one Share dialog. | Review the audience after the project and check inherited folder access. |
| External reviewer needs comments, not edits | Google Sheets with the Commenter role, or an Excel read-only share through managed storage. | Least privilege reduces accidental changes. | Confirm that link access is not broader than the review group. |
| Workbook contains sensitive personal or financial data | Encrypted Excel file plus named, managed recipients; add IRM if the organization supports it. A restricted Google Sheet can also work with strong Workspace administration. | File-level encryption or organization rights controls address risks that sheet protection does not. | Minimize fields, document recipients, and remove access when the task ends. |
| Contractor needs access until a fixed date | Use an account with an explicit expiration feature: Google sharing expiration where eligible, or Excel IRM expiration where configured. | Time limits reduce forgotten permissions. | Revoke immediately if the contract ends early and check for downloaded copies. |
| Many people need a public, read-only reference | Publish a sanitized copy, not the working file; use the least-accessible link mode that meets the requirement. | Public distribution is inherently broader than named sharing. | Remove hidden columns, comments, formulas, and metadata that were not meant for publication. |
| Regulated or highly restricted data | Choose the platform approved by your organization’s security and compliance team, with managed identities, devices, storage, logging, and retention. | The spreadsheet application alone does not establish regulatory compliance. | Obtain a documented control assessment rather than relying on a product label. |
A practical pre-sharing checklist
- Minimize: remove columns, rows, hidden sheets, comments, and metadata that the recipient does not need.
- Identify: list each person or maintained group who should have access; avoid “everyone” unless that is the explicit business requirement.
- Choose a role: Viewer, Commenter, or read-only for review; Editor only when changes are required.
- Check the boundary: confirm Google General access is Restricted, or confirm the Excel storage link requires approved accounts.
- Protect the file: encrypt an Excel workbook containing sensitive data; use IRM when your organization has configured it.
- Protect the structure: lock formulas and input boundaries, but do not confuse this with confidentiality.
- Set a time limit: use an expiration feature when available and record the intended end date.
- Test as a recipient: open the share with a separate Viewer or contractor account and verify exactly what can be seen, edited, downloaded, printed, and copied.
- Record the decision: note the owner, recipients, purpose, storage location, and review date for sensitive files.
Common mistakes and how to correct them
“Anyone with the link” used as a shortcut
Risk: the link can be forwarded or exposed in logs, messages, or documents, and possession may be enough to open the sheet. Correction: return Google General access to Restricted, invite named accounts, or use an identity-enforced storage share for Excel.
Best Value
A hidden or protected sheet used to conceal data
Risk: protection controls edits, not the recipient’s ability to view or reproduce information. Correction: remove the sensitive data from the shared copy and grant access to a separate, minimized file.
Every collaborator made an Editor
Risk: unnecessary edits, permission changes, and resharing become possible. Correction: downgrade readers to Viewer or Commenter and reserve Editor for people with a defined change responsibility.
Password treated as a complete security plan
Risk: a password can be forwarded, reused, or applied to a file whose storage link is already broad. Correction: combine file encryption with named storage permissions, separate password delivery, and a recipient review process.
Permission removed in one place but inherited elsewhere
Risk: a shared folder, drive, or group still grants access. Correction: inspect parent-folder membership and group membership, then test with the former recipient’s account.
Download and copy restrictions overstated
Risk: recipients can still reproduce information outside the application’s controls. Correction: share less data, use trusted recipients, and apply contractual or organizational data-handling rules in addition to product settings.
What to do if the wrong person received the spreadsheet
- Contain access: change Google General access to Restricted or disable the Excel storage link; remove the unintended account and revoke group access where applicable.
- Invalidate credentials: change an Excel workbook password if it was disclosed, and review or revoke IRM permissions if the workbook is rights-managed.
- Check copies: ask the recipient to delete downloads and forwarded copies, while recognizing that software controls cannot prove every copy was destroyed.
- Preserve facts: record who had access, when, what version was shared, and which settings were active.
- Escalate appropriately: follow your organization’s incident, privacy, and regulatory procedures for personal, financial, health, or confidential business data.
- Re-share a minimized file: remove unnecessary fields and issue a new, narrowly scoped share after containment.
How to make the final choice
Choose Google Sheets when your main need is fast, transparent collaboration among identified accounts and your organization can enforce Workspace identity and storage policy. Its Viewer, Commenter, and Editor roles, Restricted General access setting, optional expiration, and owner controls make routine permission review straightforward.
Choose Excel when you need a standalone encrypted file, or when your organization already operates IRM and can enforce rights such as user-specific access, printing limits, copying limits, and expiration. Those advantages depend on correct configuration and supported infrastructure; an ordinary worksheet password or protected tab is not equivalent to IRM.
