Short answer: Excel for the web is sufficient for routine calculations, tables, formatting, printing, PivotTable exploration, and browser-based co-authoring. Desktop Excel remains the safer choice for VBA and legacy macros, ActiveX or form controls, digital signatures, XML maps, advanced chart formatting, and the complete Windows Power Query and Power Pivot toolset. Many teams can start in the browser and move to desktop Excel only when a workbook hits one of those limits.
Microsoft describes Excel for the web as looking much like the desktop app, but the similar interface hides important differences. The web edition is a browser editor connected to online storage; desktop Excel is the installed application with broader automation, connection, modeling, and file-compatibility support. Availability can change with your Microsoft 365 plan, account, tenant settings, file location, platform, geography, and staged web rollouts. The capability notes below reflect Microsoft documentation available on October 18, 2026.

| PivotTables, PivotCharts, filters, slicers and timelines | Generally supported for creating, editing, filtering, sorting, printing and drilling into PivotTables. | Supported, with additional desktop modeling and connection features. |
| Advanced chart formatting | Some desktop chart options are not web-ready. | Best choice for specialized formatting. |
| Digital signatures and XML maps | Can prevent or limit browser viewing. | Use desktop Excel. |
| File types | Supports .xlsx, .xls, .csv, .xlsb, .ods and .xlsm with caveats; .xls and .csv are converted when opened. | Broader compatibility, including full macro and connection behavior. |
What Excel for the web is good at
Excel for the web covers the work most people mean by “using Excel.” You can create and edit worksheets, enter formulas, format ranges, build tables, sort and filter data, print, and inspect or update many charts. Microsoft also lists PivotTables and PivotCharts in general, slicers, timelines, named items and sparklines as supported web features. Most worksheet functions behave similarly to desktop Excel, although a small set has different behavior or restrictions.
Routine calculations and workbook editing
For budgets, schedules, lists, trackers and ordinary reporting sheets, the browser editor provides the familiar grid, formula bar, cell formatting and table tools. It is suitable when the workbook consists of standard formulas and does not depend on installed add-ins, macros or specialized controls. The web app is also useful on a machine where installing software is not permitted.

PivotTable exploration
You can create, edit and print supported PivotTables in the browser, then sort, filter, use slicers or timelines, and drill into detail. PivotCharts are generally available as well. If a PivotTable is driven by a more complex external connection or a model that the web app cannot process, open the file in desktop Excel instead.
Function differences to check
Most functions calculate as expected, but Microsoft documents exceptions. NOW and TODAY use server time in Excel for the web, so their result can differ from a desktop computer’s clock or time zone. INFO can return #VALUE!. RTD requires stored values, and HYPERLINK behavior can depend on workbook settings. If a time-sensitive or connected workbook produces an unexpected result online, compare it in desktop Excel and verify the relevant workbook settings.
Collaboration, saving and storage
The browser edition’s biggest practical advantage is frictionless collaboration. Store a workbook in OneDrive, Dropbox, or a Microsoft 365 or SharePoint library, then give collaborators access. Excel for the web saves edits automatically. When everyone is working in the web app, Excel shows other users’ presence and updates as they happen, making it easy to see who is in the file and where changes are being made.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsWhen desktop co-authoring works
Current supported Excel applications, including Microsoft 365 desktop installations, can also co-author a shared workbook. The file still needs to be in a supported online location and each participant needs an account and app version that supports co-authoring. If someone is using an older or unsupported desktop release, have that person use the browser rather than mixing an incompatible client into the session.
A practical collaboration workflow
- Save the workbook in OneDrive, Dropbox, or a Microsoft 365/SharePoint library rather than only on a local disk.
- Share the file with the required people and assign edit or view permissions.
- Use Excel for the web when the team is entering data, checking formulas, filtering a table or reviewing a PivotTable.
- Open the file in desktop Excel for macro execution, model changes or other unsupported operations, then save it back to the shared location.
- Return to the browser for broad review and lightweight edits after the specialized work is complete.
Switching clients is not a substitute for version control. Before a major desktop operation, make sure collaborators have finished editing the affected area and that the file has saved successfully.

Macros, automation and interactive controls
The decisive limitation is automation: Excel for the web can open a macro-enabled .xlsm workbook, but VBA macros do not run in the browser. A workbook that depends on a button launching a procedure, a Workbook_Open event, or a scheduled macro therefore cannot be operated fully online.
What requires desktop Excel
- Creating, editing or running VBA projects.
- Running legacy Excel 4.0 macro functions or using 5.0 dialog sheets.
- Using ActiveX controls or traditional form controls embedded in a worksheet.
- Maintaining workflows that require visible or invisible digital signatures.
- Working with XML maps.
- Using connection-dependent features that the browser cannot render or refresh.
ActiveX and form controls are not shown in the browser grid. A macro-enabled file can therefore appear to lose its user interface online even though the underlying workbook remains intact. Legacy macro workbooks may not display in a browser at all. Open these files in desktop Excel, preferably the same Windows environment in which they were created and tested.
How to decide whether a macro workbook can go online
- Identify whether the file is
.xlsm,.xlsbor an older format and list every button, control, event and external connection it uses. - Make a copy and open that copy in Excel for the web.
- Check whether all sheets, controls and content appear. Do not assume that an opened file is fully functional.
- Test the business process that normally starts the macro. It will not execute in the browser.
- If the process depends on VBA, controls, signatures, XML maps or legacy macro components, keep the operational workflow in desktop Excel.
Power Query, Power Pivot and data modeling
Power Query connects to sources and imports and shapes data. Power Pivot adds a richer Excel Data Model. Together they feed PivotTables, PivotCharts and Power BI workflows. These tools are not equivalent across platforms.
Windows desktop entitlement
Microsoft states that Excel on Windows for Microsoft 365 Apps for enterprise offers the full Power Query and Power Pivot features. This is the most complete environment for building queries, editing transformations, managing relationships and developing a sophisticated Data Model.
Mac desktop
Excel for Mac includes many basic analysis capabilities, such as PivotTables, slicers, charts and basic import functions, but it does not provide the same full Windows Power Query and Power Pivot experience described for the enterprise Windows edition. A team that shares a model should confirm which member of the team will maintain queries and the Data Model before standardizing on Mac or web clients.

Power Query in the web app
Microsoft’s current Power Query documentation says that Excel for the web gained the ability in 2025 to refresh Power Query queries from authenticated data sources. That is a refresh capability, not a blanket promise that every desktop query can be created or edited online. Whether it works depends on the source, authentication method, account, Microsoft 365 plan and tenant configuration. Verify the exact connection and entitlement in the target environment before moving a production workflow to the browser.
Choosing a modeling workflow
- Simple import and reporting: use the web app when the workbook already contains a supported query and your main task is reviewing or refreshing it.
- New transformations or complex models: build and maintain them in Windows desktop Excel with the full Power Query and Power Pivot tools.
- Shared consumption: publish the finished workbook to supported online storage so colleagues can filter tables and PivotTables in their browsers.
Charts, controls and specialized presentation
Excel for the web supports most common charts and lets you view and edit many of them. However, Microsoft warns that some desktop chart options are not currently ready for the web. If a chart depends on a specialized axis, formatting control, custom element or other advanced setting, use desktop Excel to create and maintain it, then use the browser for routine viewing and data updates.
The same rule applies to control-heavy templates. A web user may see the cells behind a form but not the ActiveX or form controls that make the template interactive. Replacing controls with ordinary cells, tables, formulas or supported web features can make a simplified browser version, but that is a redesign rather than automatic compatibility.
File formats and compatibility
Excel for the web supports .xlsx, .xls, .csv, .xlsb, .ods and .xlsm, subject to format-specific limitations. When an .xls or .csv file is opened, the web app converts it. Keep an original copy if the source format or its import behavior matters.
Macro-enabled files
An .xlsm file can open online, but its macros do not run. The file should be treated as a viewing or non-macro editing copy unless the actual process is completed in desktop Excel.

Binary and OpenDocument files
.xlsb and .ods are recognized formats, yet individual features may not map perfectly to the browser editor. Test a representative file, especially if it contains connections, controls, unusual formatting or protection settings.
Fonts, protection and signatures
Unsupported fonts can be substituted in the browser, changing the appearance or layout. Worksheet protection also has additional web limitations. Digital signatures, whether visible or invisible, and XML maps can block browser viewing. These are compatibility and governance issues, not merely missing buttons: retain desktop Excel for a signed or tightly controlled workbook unless you have verified the online behavior.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Platform and plan considerations
“Excel for the web” is not one identical product for every user. Feature availability can vary by Microsoft 365 subscription, account type, administrator or tenant configuration, platform, geography and the timing of web rollouts. The full Power Query and Power Pivot entitlement cited by Microsoft is specifically associated with Excel on Windows for Microsoft 365 Apps for enterprise; do not infer that a consumer account, Mac installation or browser session has the same tools.
Before promising a feature to a team, test with the actual account and file location that will be used in production. A capability documented for one plan or platform may be absent from another, and a web feature introduced in a rollout may not yet be enabled for every tenant.

A decision guide for common scenarios
| Scenario | Best starting point | Reason |
|---|---|---|
| Team enters rows in a shared tracker | Excel for the web | Automatic saving, browser access and co-authoring reduce setup. |
| Monthly budget with formulas, tables and ordinary charts | Excel for the web | Routine calculations and formatting are supported. |
| Reviewing a PivotTable with filters and slicers | Excel for the web | PivotTable exploration, filtering, sorting and drilling are generally available. |
| Button-driven VBA process | Desktop Excel | Macros and embedded controls do not run or appear fully in the browser. |
| Signed regulatory workbook | Desktop Excel | Digital signatures can prevent or limit browser viewing. |
| XML-mapped data exchange | Desktop Excel | XML maps are a documented browser limitation. |
| Build a new, complex Power Query and Power Pivot model | Windows desktop Excel with the required Microsoft 365 entitlement | The full toolset is documented for that environment. |
| Refresh an authenticated Power Query source online | Test Excel for the web first | Web refresh exists in current documentation, but source, account and tenant conditions determine whether it works. |
| Highly customized chart formatting | Desktop Excel | Some advanced chart options are not web-ready. |
How to test a workbook before moving it online
- Inventory dependencies. Record macros, controls, external connections, XML maps, signatures, protected sheets, custom fonts, unusual charts and file format.
- Make a test copy. Preserve the original desktop file and use a separate copy for browser testing.
- Place it in supported storage. Use OneDrive, Dropbox or a Microsoft 365/SharePoint library and open it with the account that will actually use it.
- Check visual fidelity. Inspect every sheet for missing controls, substituted fonts, altered chart elements and protection behavior.
- Check calculations. Pay special attention to time functions,
INFO,RTD, hyperlinks and formulas that depend on external data. - Check collaboration. Have two users edit different cells, confirm presence indicators and verify that updates save and appear for both users.
- Check the business process. A workbook that opens is not necessarily a workbook that operates; test imports, refreshes, pivots, printing and any approval or signature step.
- Document the handoff. Tell users exactly when to choose “Open in desktop app” and which operations must not be attempted in the browser.
Troubleshooting: when the web version is not enough
A macro button is missing or does nothing
This is expected for VBA, ActiveX and form-control workflows. Open the workbook in desktop Excel and run the process there. If browser access is still required, create a separate web-friendly workflow using ordinary cells, formulas or supported automation rather than assuming the original macro can be enabled online.
Best Value
A workbook will not display in the browser
Check for Excel 4.0 macro functions, 5.0 dialog sheets, digital signatures, XML maps and connection-dependent content. Copy the file, remove or isolate the blocking feature in desktop Excel, and test again. Do not discard the original if it is signed or part of a controlled process.
Dates or times differ online
Compare the workbook’s time-zone assumptions with the server-time behavior documented for NOW and TODAY. If the result must follow a local machine clock, perform the calculation in a controlled desktop or server workflow and record the chosen time zone.
A chart, font or protected sheet looks different
Use desktop Excel to inspect advanced chart settings, restore a supported font, or change protection settings. The browser may substitute fonts and has additional worksheet-protection limitations.

Confirm that the source supports the web refresh scenario, authentication is available to the signed-in account, and the tenant and plan have the capability enabled. If the query needs editing or the connection remains unsupported, refresh and maintain it in Windows desktop Excel.
Bottom line
Choose Excel for the web when the job is collaborative, browser-based and centered on standard worksheet work: formulas, tables, formatting, printing, PivotTable exploration and shared review. Choose desktop Excel when the workbook is an application rather than just a sheet—especially when it relies on VBA, legacy macros, controls, signatures, XML maps, advanced charts or the complete Windows Power Query and Power Pivot environment. A two-client workflow is often the most practical: collaborate in the browser, then open in desktop Excel for the specialized operation that the web edition does not support.
Feature availability is subject to change. Confirm the exact Microsoft 365 plan, platform, account, tenant and file location before deploying a critical workbook.
