It sorts incoming messages into Primary, Transactions, Updates and Promotions so personal or urgent mail can be separated from receipts, newsletters and marketing. If you prefer one uninterrupted inbox, swipe to All Mail or open the inbox’s More menu and choose List View.
What Mail Categories does
Apple describes the feature this way: “The Mail app automatically sorts your email messages into categories to help you find and manage messages more quickly (not available in all countries or regions).” Classification happens automatically as messages arrive; you do not create rules for every individual email.

A message in Transactions, Updates or Promotions that contains time-sensitive information can also appear in the Primary list. That is intentional visibility across lists, not necessarily a duplicate copy of the email.

Requirements and regional availability
Apple’s iPhone mailbox guidance identifies iOS 18.2 as the minimum version for the Categories layout. Update your iPhone through Settings > General > Software Update if the option is missing. Apple also says Categories is not available in all countries or regions, so an absent Categories view may reflect regional availability rather than a configuration error.

How to see every message again
Use All Mail temporarily
- Open an inbox that is showing category tabs.
- Swipe left across the category tabs at the top.
- Tap All Mail to inspect every message in one list.
Switch permanently to List View
- Open the inbox.
- Tap More.
- Choose List View.
List View removes the category-tab layout and restores a unified inbox presentation. These paths are useful when an email seems to have disappeared: check All Mail before assuming it was deleted or moved to another account.
Why some messages are grouped
Transactions, Updates and Promotions use sender digests. Opening a sender shows that category’s messages from the same sender together, which can make a busy inbox shorter but hides the one-message-per-row view. Primary messages remain ungrouped.

To return to individual messages, go back to the inbox, tap More, and turn off Group by Sender. This changes presentation rather than the category assignment itself.
Correcting a wrong category
Recategorizing a sender is broader than moving one message: Apple says the selection applies to that sender’s current and future messages.

For a message in Primary
- Open the message.
- Open More Actions.
- Tap Categorize Sender.
- Select the desired category, then tap Continue.
For a message in Transactions, Updates or Promotions
- Open the sender’s message list.
- Tap More at the top.
- Choose Categorize Sender.
- Select the desired category and tap Continue.
Because the setting affects future mail from that sender, use it when the sender consistently belongs in another category rather than for a one-off exception.
Why the Mail badge can look too low
With Categories enabled, the Home Screen Mail badge counts unread messages in Primary. It therefore can be lower than the total unread count across Transactions, Updates and Promotions. To show all unread messages, open Settings > Notifications > Mail > Customize Notifications and enable All Unread Messages. You can also audit unread mail from All Mail or by switching to List View.

Flagging limitation in Categories view
In the iOS 18.2 Categories view documented by Apple, messages categorized as Promotions, Updates or Transactions cannot be flagged. If flags are central to your workflow, use a mailbox or List View for those messages, or switch layouts before doing a flag-based review. You can still move an individual message into a specific mailbox.

Choose Categories when automatic separation reduces triage work. Choose List View when a single chronological-style list, complete badge context or unrestricted flag workflow matters more.
