What embedding a video in Google Slides actually does
Embedding places a playable video object on a slide rather than pasting a plain text link. During the presentation, the object follows the playback behavior you choose in Google Slides. The video still comes from its selected source, so the source’s availability and access rules remain important.
Google Slides offers three insertion sources:
- Search YouTube searches for a video from inside the insertion dialog.
- By URL inserts a video when you already have its web address.
- Google Drive inserts a compatible video stored in Drive.
The documented insertion workflow is for editing Google Slides on a computer. If the Video command or search field is missing, first verify that you are in the desktop editor and using Insert > Video, rather than trying to add the video from a viewer-only screen.

Embedding does not guarantee that every audience member can watch. A shared presentation can be restricted, and YouTube can impose its own owner, age, regional, sign-in or network-policy limits. Treat insertion, playback behavior and audience access as three separate decisions.

How to embed a YouTube video in Google Slides
1. Open the presentation in the desktop editor
Open the Google Slides presentation in a computer browser and confirm that you can edit it. The insertion controls are available from the editing interface. If you only have viewing or commenting access, ask the owner for editing permission or have the owner insert the video.

One-click scans. No signup required.
2. Select the slide that should contain the video
In the slide filmstrip, click the slide where the video should appear. Selecting the slide before opening the menu prevents the object from being added to an unintended location.
3. Open the video insertion command
Choose Insert > Video from the top menu. Google Slides opens a dialog with the available source tabs. If Video is not present, check that you are editing on a computer and that the presentation is open in Google Slides rather than another document editor.
4. Choose how to locate the video
Select one of the three source options:
- Search YouTube: enter search terms, review the returned videos and select the intended result.
- By URL: paste the YouTube address into the URL field, then select the video returned by Slides.
- Google Drive: browse or search Drive for the video file you want to place on the slide.
Use the source that gives you the clearest identity and access path. Searching is convenient when you know the title or topic. A URL is useful when a particular video has already been approved. Drive is appropriate when the presentation uses a video file stored in the same Workspace environment.

5. Insert the selected video
Click the video result and then click Select. Google Slides places the video object on the active slide. Click the object to select it before changing playback settings.
6. Save the presentation and test the slide
Slides saves changes in the presentation. Start a presentation or preview the relevant slide and test the interaction you intend to use. Testing in the same type of account your audience will use is especially important when the presentation is shared outside the owner’s account.
Search YouTube, paste a URL or use Drive?
The insertion sources create different workflows, but they all place a video object on the slide. Choose based on how you identify the video and where its access is managed.
| Insertion source | Best fit | What you do | Access consideration |
|---|---|---|---|
| Search YouTube | You know the video’s title, subject or search terms | Search in the Insert > Video dialog, select the result, then click Select | The video remains subject to the YouTube owner’s availability rules |
| By URL | You already have the exact video address | Paste the address in the By URL tab, select the returned video, then click Select | A valid link does not override age, region, sign-in or network restrictions |
| Google Drive | The video file is stored in Drive | Open the Google Drive tab, locate the file, select it and click Select | People who need to play it may also need permission to access the Drive file |
For a public talk or class, record the exact source you inserted so that you can identify it if a presenter or viewer reports a playback problem. For a private meeting, verify both the presentation’s sharing setting and the source file or YouTube video’s availability.
Set the video’s playback behavior
After inserting the video, select it and click Format options in the toolbar. You can also right-click the video and choose Format options. In the side panel, open Video playback and choose the mode that matches your presentation flow.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors| Mode | What starts playback | Use it when |
|---|---|---|
| Play (on click) | The documented default; playback begins when you advance the slide | You want the video tied to the presenter’s normal slide-advance action |
| Play (automatically) | The video starts without an additional click | The video is part of a scripted sequence and should begin as soon as its slide runs |
| Play (manual) | Playback begins when you click the embedded video itself | You want an explicit click on the video object rather than a general slide action |
When automatic playback is the right choice
Choose Play (automatically) when the slide’s video is meant to run as soon as the presentation reaches that point. This is useful for a narrated sequence, a demonstration that must begin on cue, or a transition where the presenter should not perform a second action.

When on-click playback is safer
Choose Play (on click) when the presenter needs to decide when the clip starts while moving through slides. It preserves a deliberate presentation rhythm and avoids launching the video before the presenter has introduced it.
When manual playback is clearest
Choose Play (manual) when the video object itself should be the obvious control. The presenter clicks the embedded video rather than relying on the general action used to advance the slide.
How Google’s newer autoplay wording fits these modes
Google’s documentation states, “Google Slides now automatically plays videos like other animation or slide transitions.” It also says that a presenter can start a video by pressing any key, clicking the mouse or using a remote clicker. That wording describes Slides’ current presentation behavior, but the selected Video playback mode still determines the interaction expected for the inserted video. Review the mode instead of relying on instructions from an older tutorial that may describe a former default.

Share the presentation so viewers can play the video
New Google presentations are Restricted by default. In that state, only the owner and people explicitly invited can access the presentation. A viewer who can open the slide deck under one account may still receive a permission error under another account.
Give named people access
- Open the presentation and click Share.
- Enter the people or groups who need access.
- Choose the appropriate role: Viewer, Commenter or Editor.
- Send the invitation, then confirm that the intended account appears in the access list.
Use the least-permissive role that supports the meeting. Viewers can watch without changing the deck; commenters can add feedback; editors can change slides and settings.
Change General access when appropriate
In the Share dialog, review General access if the presentation must be available beyond named invitees. Select the access level that matches your organization’s policy, then test the resulting link with an account that is not the owner. A broader presentation link does not remove restrictions imposed by the YouTube video or a Drive file.

Use Access checker suggestions
Google says Access checker can automatically suggest permission updates for people who need to play embedded video or audio. If Slides displays a suggestion, inspect the proposed audience and permission change before applying it. The goal is to give the actual viewers enough access without unintentionally exposing the entire presentation.
Test with the audience’s account
Open the shared presentation while signed in as a representative viewer, or ask a real attendee to test it before the event. This catches account-specific restrictions that are invisible to the owner. Test the slide in presentation mode and confirm that the chosen playback action works, not merely that the video thumbnail appears.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Why can’t my audience play the video in my shared presentation?
Separate a presentation-sharing failure from a video-availability failure. The following checks cover the common branches without changing more permissions than necessary.
The audience sees a permission error for the presentation
- Open Share and inspect General access.
- Confirm that each affected person is invited or that the selected general-access setting includes them.
- Check whether the invitation was sent to the account the person is actually using.
- Review any Access checker recommendation for embedded media.
- Retest from the audience account after the permission change.
Do not diagnose a YouTube problem until the viewer can open the presentation itself.
The slide opens, but the video will not start
Select the video, open Format options > Video playback, and verify the chosen mode. A presenter expecting an object click may be using Play (on click), while a presenter expecting the slide to start it may have selected Play (manual). Change the mode to match the intended action, then test again in presentation mode.

The video starts at the wrong moment
Check whether Play (automatically), Play (on click) or Play (manual) is selected. Automatic mode is appropriate for a scripted sequence; on-click mode follows the documented default interaction; manual mode requires a click on the video object. Older tutorials may describe different behavior because Google has updated how Slides handles video playback alongside animations and transitions.

The Video command or YouTube search is missing
Confirm that you are using Google Slides on a computer and editing the presentation. Then use the exact menu path Insert > Video. A viewer-only page, a different Google editor or a mobile workflow will not present the same desktop controls described here.
A YouTube video is unavailable to some viewers
Check the video on YouTube itself while signed in as an affected viewer. The owner’s settings, an age restriction, a regional restriction, a sign-in requirement or a network policy can block playback even when the Slides presentation is shared correctly. If the source is unavailable to the intended audience, changing the slide’s playback mode will not fix it; choose a source that those viewers are allowed to watch.
A Drive video cannot be played
Verify that the audience has access to the Drive file as well as to the presentation. The Drive insertion option references a file whose permissions can differ from the deck’s permissions. Test with the same viewer account and correct the file access before changing presentation settings.

This is usually an account or source-access difference. Recheck the guest’s invitation, General access and Access checker suggestions, then test the YouTube or Drive source under that guest account. Owner playback proves that the owner has access; it does not prove that every invited viewer does.
A practical choice guide for presenters
| Presentation situation | Insertion source | Playback choice | Sharing check |
|---|---|---|---|
| You want a known YouTube clip and the presenter controls the timing | By URL or Search YouTube | Play (on click) | Invite each viewer or set suitable General access, then test a viewer account |
| The video should begin as soon as its slide runs | Search YouTube, By URL or Google Drive | Play (automatically) | Confirm that every audience account can access both the deck and the source |
| The presenter wants to click the video object deliberately | Any of the three supported sources | Play (manual) | Check the presentation permissions and source availability before presenting |
| A private Drive recording is used in a restricted meeting | Google Drive | Choose the mode that matches the meeting flow | Share the presentation and the Drive file with the same audience |
Pre-presentation checklist
- Open the deck on a computer with editing access.
- Confirm the video is on the intended slide.
- Verify the source: YouTube search result, pasted URL or Drive file.
- Open Format options > Video playback and confirm the selected mode.
- Run the slide in presentation mode and perform the exact action the presenter will use.
- Open Share and review named people, roles and General access.
- Apply an Access checker suggestion only after confirming the people and permission change.
- Test with an audience account, not only the owner account.
- For YouTube sources, verify that the video is not blocked by owner settings, age, region, sign-in or network policy.
- For Drive sources, verify that viewers can access the underlying file.
The shortest reliable workflow
For most presentations, the reliable sequence is: insert the video from Insert > Video, select the correct source, set Video playback to the interaction the presenter expects, share the deck with the actual audience, and test from a non-owner account. The insertion itself takes only a few clicks; audience permissions and source restrictions are what determine whether the embedded video works at showtime.
