Short answer: SharePoint Online is usually the better starting point when your company already works in Microsoft 365 team sites, document libraries, Teams and related identity controls. Egnyte is the stronger candidate to evaluate when the priority is a business-first file repository with tightly governed sharing, classification, legal holds and threat-management features. Neither is a universal winner, and they do not have to be mutually exclusive.
The unusual part of this comparison is that Egnyte can be embedded in a SharePoint site and can support Microsoft 365 for the Web co-authoring. Microsoft also provides a Migration Manager path for moving Egnyte content to OneDrive, SharePoint and Teams. The practical decision is therefore about workflow, governance, licensing and migration risk—not a simplistic “which cloud storage is best?” contest.

The decision in one view
Choose the platform that matches the place where work already happens and the controls your administrators must enforce. SharePoint Online is part of Microsoft 365 and is designed around team sites, document libraries, lists, workflows and collaboration. Egnyte presents itself as a content-security and governance platform centered on controlled file sharing and information management.
- Evaluate SharePoint first if users already depend on Microsoft 365 identities, Teams, Office files, team sites and document libraries.
- Evaluate Egnyte first if controlled external sharing, content classification, legal holds, privacy controls, secure enclaves or threat management are the defining requirements.
- Consider both together when business units need Egnyte’s repository and governance model while the corporate intranet and collaboration layer remains SharePoint.
- Do not declare a price winner without matching user count, storage, security features, support, geography and contract terms. The available Microsoft comparison is US-facing, while Egnyte directs buyers to custom pricing.
No independent head-to-head performance study or named quantitative comparison was established for these services. Upload speed, search responsiveness and synchronization behavior will depend on tenant configuration, network conditions, file sizes, integrations and workload.

What SharePoint Online and Egnyte are designed to do
SharePoint Online: the Microsoft 365 collaboration layer
Microsoft describes SharePoint as a Microsoft 365 service for team sites, document libraries, file sharing and collaboration. A SharePoint site can provide the shared workspace, navigation and permissions for a department, project or organization. Libraries organize files, while lists, workflows and connected Microsoft 365 services extend the workspace beyond a simple folder tree.
Microsoft’s own description, in its file-collaboration guidance, is that “SharePoint powers secure file sharing in Microsoft 365.” That positioning matters because SharePoint is rarely purchased or administered in isolation. Identity, guest access, Office editing, Teams and other Microsoft 365 services influence the user experience and the administrator’s operating model.
Egnyte: a governed content repository and sharing service
Egnyte’s Microsoft Marketplace listing describes a content-security and governance platform. The listing highlights classification, legal holds, advanced privacy and compliance, sharing restrictions, secure enclaves, threat management and document rooms. It identifies financial services, life sciences, media and advertising, and architecture, engineering and construction as industries where Egnyte says it excels. Those are vendor-provided positioning statements, not an independent certification that every organization in those sectors will get the same result.
An Egnyte competitive guide dated February 2024 frames the service as business-first file sharing and governance with a familiar repository structure and drive-letter access. The same guide characterizes SharePoint Online as a Microsoft 365 intranet and collaboration service with sites, libraries, lists and workflows. Because that guide represents Egnyte’s perspective at that date, use it as context rather than as a current, neutral feature audit.

How the daily workflow differs
When a Microsoft 365 workspace is the center of work
SharePoint is a natural candidate when a project starts in a Team or SharePoint site, documents are edited in Office, and permissions follow Microsoft 365 groups or site membership. A library can be structured around the project’s working process, with metadata, views, lists and workflows rather than only nested folders. This model can reduce context switching for organizations already administering Microsoft 365.
The trade-off is that SharePoint decisions are tied to tenant architecture. Poorly designed sites, excessive unique permissions, unclear ownership or uncontrolled guest access can make a library difficult to govern. The relevant question is not whether SharePoint has a folder tree, but whether your information architecture, naming, retention and ownership rules fit a site-and-library model.
When governed file sharing is the center of work
Egnyte is relevant when teams think in terms of a controlled business file repository and need explicit policies around who can share, what content is sensitive and how legal or compliance events are handled. Drive-letter access and familiar folder structures can be useful during adoption, particularly where users are replacing a traditional file server.

That convenience should not be mistaken for proof that Egnyte will be simpler in every environment. Administrators still need to define groups, folder ownership, external-user rules, retention, classification and incident procedures. Confirm which Egnyte edition and modules provide each required control before treating a Marketplace description as a contractual feature commitment.
External users, sharing and governance
Microsoft says SharePoint and OneDrive support configurable external sharing and use Microsoft Entra B2B guest authentication for SharePoint external collaboration. Your tenant’s sharing settings, domain allowlists or blocklists, guest expiration, sensitivity policies and data-loss-prevention configuration determine the practical experience. A plan comparison alone cannot tell you whether a proposed guest workflow meets your policy.
Egnyte’s Marketplace description emphasizes sharing restrictions, classification, legal holds, advanced privacy and compliance, secure enclaves, document rooms and threat management. Treat these as capabilities to map to a requirement list. Ask for the exact plan, administrative roles, audit fields, retention behavior, export options and regulatory documentation needed by your organization.
For either service, test the complete external-user journey: invitation, first sign-in, browser and mobile access, download and reshare behavior, revocation, expiration, audit visibility and response when a user changes organizations. A control that exists but is difficult to administer or explain to partners can still create operational risk.

SharePoint controls are plan- and configuration-dependent
Microsoft describes encryption in transit and at rest, virus scanning, data-loss-prevention options and configurable external sharing for SharePoint and OneDrive. Those statements do not establish that every control is included in every SharePoint SKU. The current Microsoft service-limits material identifies SharePoint across several Microsoft 365 and Office 365 categories and also describes standalone configurations; storage limits and add-ons are plan-specific.
Build a matrix that names the exact Microsoft 365 plan, tenant region, retention and compliance add-ons, guest policy, DLP scope, audit retention and administrator roles. Verify the settings in a test tenant or controlled pilot rather than assuming that a feature shown on a general plan page is enabled by default.
Egnyte controls require an edition and configuration check
Egnyte’s listing provides a useful checklist of governance concepts—classification, legal holds, privacy and compliance, sharing restrictions, secure enclaves and threat management—but it does not establish a like-for-like feature matrix against a specific SharePoint plan. Request written confirmation of which package includes each control, how policies are applied, what reports are available and how data can be exported for investigations or audits.

Storage is not the same as usable capacity
The Microsoft business-plan comparison accessed October 13, 2026, on a US-facing commercial page lists 1 TB of cloud storage per user for the listed business plans. That figure is not universal to every SharePoint SKU or deployment, and it does not by itself describe version history, recycle-bin retention, archives, add-on storage or organizational growth.
A comparable Egnyte allowance was not stated in the available Marketplace material. Obtain a quote that specifies included capacity, overage treatment, file-version retention, archive behavior, backup responsibility and any limits on large files or external collaboration.
Can Egnyte and SharePoint be used together?
Yes. Egnyte documents a SharePoint Online integration version 2 that lets administrators embed Egnyte content in a SharePoint site. Egnyte says the integration keeps content current, preserves Egnyte user and group permissions for embedded content, provides full Egnyte Web UI access, supports real-time synchronization and exposes Egnyte access reporting. This allows a SharePoint site to act as the navigation or intranet layer while Egnyte remains the governed content repository for selected folders.
Egnyte’s March 12, 2026 release note says the v2 integration adds real-time sync, enhanced performance, full Egnyte Web UI access and granular control. The legacy v1 integration stopped functioning on April 2, 2026 after Microsoft retired the SharePoint Add-in model. New deployments should therefore use v2 documentation, not legacy v1 instructions.
Integration prerequisites and operating boundaries
- An Egnyte administrator must have the permissions required to configure the integration.
- The Microsoft tenant requires Global Admin rights with the SharePoint permissions specified by Egnyte’s current setup guide.
- Confirm the current Egnyte subscription and Microsoft 365 plan before committing; the documentation identifies administrator and subscription requirements.
- Decide which system owns permissions, retention, classification and audit response for embedded folders.
- Test navigation, search, editing, link creation, revocation and reporting with representative internal and external users.
Egnyte separately documents real-time co-authoring for files stored in Egnyte through Microsoft 365 for the Web. The documented requirements include an enabled administrator permission and a Microsoft 365 for Business subscription. Test concurrent editing, version history, comments, conflict handling and offline behavior before making co-authoring a critical workflow.

Microsoft’s Migration Manager provides a documented path for moving Egnyte documents, data and users to OneDrive, SharePoint and Teams. Microsoft describes the process as a sequence of source connection, scanning and assessment, migration-list preparation, destination-path review, identity mapping, migration and monitoring. Its stated goal is to “Collaborate all in one place by migrating your Egnyte documents, data, and users to OneDrive, SharePoint, and Teams in Microsoft 365.”
1. Inventory the source before designing destinations
Record owners, departments, folder paths, file counts, sizes, versions, sharing links, external users, stale content, legal holds and regulated data. Separate active collaboration content from archives and duplicates. Do not design SharePoint sites from a directory listing alone; ownership and retention requirements should determine the destination.

2. Connect with least privilege
Use the least-privileged role appropriate to the connection, scan and migration tasks. Document every account, consent, scope and credential expiration. A migration account with excessive rights can create avoidable security exposure, while insufficient rights can produce incomplete scans that look successful until users report missing content.
3. Scan and assess
Run the assessment before scheduling a production transfer. Review file-size limitations, unsupported files, invalid names, excessive path depth, duplicate destinations, sharing links and permission anomalies. Microsoft warns that file-size limits and unsupported files apply; treat the assessment report as a remediation queue, not as a formality.

4. Prepare the migration list and destination paths
Map each source account and folder to a specific SharePoint site and library, OneDrive location or Teams-connected library. Establish owners, metadata, retention labels, sensitivity rules and external-sharing defaults before content arrives. Avoid creating a single giant library simply because it mirrors the old file server.
5. Map identities and permissions
Match Egnyte users and groups to Microsoft identities, handling renamed accounts, departed staff, service accounts and external collaborators explicitly. Decide which permissions can be reproduced and which must be redesigned for Microsoft 365 groups, sites, libraries or folders. Validate representative cases, including a user with multiple group memberships and a partner who should retain limited access.
6. Plan for API rate limits
Microsoft notes that newly created Egnyte applications may encounter API rate limits that prevent migration until the customer requests an increase. This is a planning constraint, not proof that every project needs an increase. Ask Egnyte support about the tenant’s limits, expected transfer window and escalation process before booking a cutover.
7. Pilot and validate
Migrate a representative sample that includes large files, deep paths, Office documents, unusual characters, shared folders, retained content and external links. Compare file counts, hashes or other approved integrity checks, owners, timestamps, versions, permissions and search results. Have business owners perform real tasks rather than accepting an administrator-only sign-off.

Cost and licensing: how to compare without false precision
Microsoft’s listed business plans include 1 TB of cloud storage per user on the cited US-facing comparison page, but capabilities differ by plan. Egnyte’s Marketplace listing directs buyers to request custom pricing. Neither fact supports a claim that one service is cheaper.
Request quotes using the same assumptions:
- Number and type of users, including internal, guest and occasional users.
- Active data, annual growth, versions, archives and backup copies.
- Required governance features, compliance modules, DLP, threat management and legal holds.
- Microsoft 365 licenses already owned, or the cost of adding them.
- Support tier, implementation assistance, migration services and contract term.
- Billing currency, region, taxes, discounts, minimum seats and renewal treatment.
Compare the total operating cost over the contract term, including administration and migration labor. A lower per-user figure can be offset by add-on storage, separate compliance licenses, duplicated repositories or a longer migration project.
A practical selection framework
- Map the dominant workflow. If work begins in Teams and Microsoft 365 sites, score SharePoint highly. If work begins in a governed file repository shared across departments and partners, score Egnyte highly.
- List non-negotiable controls. Write down classification, legal holds, retention, guest restrictions, audit exports, DLP, threat response and data-location requirements. Mark the exact plan that supplies each control.
- Measure ecosystem cost. Include existing Microsoft licenses, identity administration, endpoint behavior, support skills, integration work and training.
- Test the external-user journey. Invite real partner personas and verify access, expiration, download, reshare and revocation behavior.
- Run a representative pilot. Include difficult paths, large files, regulated content, inherited permissions and concurrent editing. Record remediation effort, not just whether a file eventually opens.
- Choose an ownership model. If both platforms remain, specify which one is authoritative for each content class and how links, retention, audit and incident response work across the boundary.
Common failure modes and fixes
Choosing by brand familiarity
Familiarity does not guarantee a suitable information architecture. Fix this by modeling two or three real projects end to end, including ownership, guest access, search, retention and offboarding.

Assuming plan-page features are automatically enabled
Microsoft capabilities vary by plan and tenant configuration, while Egnyte controls depend on the purchased package and setup. Obtain a feature-and-responsibility matrix and verify it in a pilot.
Recreating every old folder and permission
A literal copy can preserve obsolete access and create an unmanageable SharePoint structure. Classify content first, then design sites, libraries, groups and retention around current business ownership.
Ignoring unsupported files and API throttling
Migration Manager flags file-size and unsupported-file constraints, and Egnyte API limits may require a support request. Complete assessment scans, remediate exceptions and schedule time for rate-limit coordination.
Deploying the retired SharePoint integration
Egnyte’s v1 SharePoint integration stopped functioning on April 2, 2026. Use the v2 implementation and confirm current prerequisites with both administrators before deployment.

Bottom-line decision
SharePoint Online is the logical first evaluation for a Microsoft 365-centered organization that wants team sites, libraries, Office collaboration and integrated identity. Egnyte deserves priority when governed file sharing, controlled external access and content-security workflows are more important than keeping every repository function inside Microsoft 365.
The most defensible 2026 architecture may be a deliberate combination: SharePoint for the intranet and Microsoft 365 workspace, Egnyte for selected governed content, connected through the current v2 integration. If you are consolidating, use Migration Manager’s assessment, identity mapping, pilot and validation stages to make the decision measurable before changing the system of record.
