Egnyte is usually the better fit when your company manages shared business content across several applications, clouds, and external parties. OneDrive for Business is usually the better fit when each employee needs personal work-file storage that is tightly integrated with Microsoft 365. Neither is a universal winner. The right choice depends on your existing productivity suite, governance model, storage requirements, collaboration tools, and the exact subscription SKU available in your region.
This comparison uses vendor-documented plan terms and capabilities available in 2026. Prices, quotas, integrations, security packaging, and regional availability can change, so treat the figures below as plan-specific reference points rather than a quote.

Egnyte and OneDrive solve different storage problems
The most important distinction is the storage model. Microsoft describes OneDrive as each person’s personal online storage space for work files, with storage, synchronization, sharing, collaboration, web and mobile access, and IT administration, security, and compliance capabilities. In practice, it is designed to give every employee a managed work-file space inside a broader Microsoft environment.

Its documented integrations cover Microsoft 365 co-editing, Google Workspace collaboration, specialist authoring tools, business applications, and connectors to public-cloud storage. That orientation is useful when project files must move through several systems or be governed as organizational content rather than simply stored in an individual’s work area.

Storage quotas and file-size limits by plan
Storage is not a single OneDrive-wide number. Microsoft lists 1 TB per user for Business Basic, Business Standard, and Business Premium. For Microsoft 365 E3 and E5, the listed allocation starts at 1 TB per user, with an option to increase to 5 TB when the tenant and users meet Microsoft’s eligibility and administrative conditions. Confirm the allocation rules in Microsoft’s plan-comparison documentation before committing to an enterprise deployment.
Egnyte’s displayed Business offer lists 1 TB of storage and a 100 GB maximum file size. The offer is shown at $22 per user per month with annual billing. It is a displayed vendor offer, not a guaranteed price or entitlement for every country, reseller, contract term, or edition. Ask for the written quote to state the storage pool, per-user allocation, maximum file size, overage treatment, and any separately licensed capabilities.

What each product is intended to manage
OneDrive: an individual work-file space
OneDrive’s documented use case starts with the employee. Each person receives a personal online location for work files and can access those files through web and mobile experiences, synchronize them, and share or collaborate with others. IT administrators can apply the management, security, and compliance capabilities included with the organization’s Microsoft plan.
This model is straightforward when employees create and own working documents, then share them with colleagues as needed. It also fits organizations that already manage identities, Office applications, and policy through Microsoft 365. The trade-off is conceptual: a project, department, or customer record may need additional information architecture and governance so that important content does not remain tied to one person’s work area.
Egnyte: a business-content layer
Egnyte’s plan materials emphasize organizational content and the workflows around it. The documented Microsoft 365 connection supports co-editing from online and desktop experiences. Google Workspace users can collaborate in a browser, while authoring integrations extend into Autodesk, Adobe, Esri, and Bentley. Business-process connections include Procore, Salesforce, and Autodesk Construction Cloud, and cloud connectors include Azure and Amazon S3.

- Entry-level NAS Personal Storage:UGREEN NAS DH2300 is your first and best NAS made easy. It is designed for beginners who want a simple, private way to store videos, photos and personal files, which is intuitive for users moving from cloud storage or external drives and move away from scattered date across devices. This entry-level NAS 2-bay perfect for personal entertainment, photo storage, and easy data backup (doesn't support Docker or virtual machines).
- Set Your Devices Free, Expand Your Digital World: This unified storage hub supports massive capacity up to 64TB.*Storage drives not included. Stop Deleting, Start Storing. You can store 22 million 3MB images, or 2 million 30MB songs, or 43K 1.5GB movies or 67 million 1MB documents! UGREEN NAS is a better way to free up storage across all your devices such as phones, computers, tablets and also does automatic backups across devices regardless of the operating system—Window, iOS, Android or macOS.
- The Smarter Long-term Way to Store: Unlike cloud storage with recurring monthly fees, a UGREEN NAS enclosure requires only a one-time purchase for long-term use. For example, you only need to pay $459.98 for a NAS, while for cloud storage, you need to pay $719.88 per year, $2,159.64 for 3 years, $3,599.40 for 5 years. You will save $6,738.82 over 10 years with UGREEN NAS! *NAS cost based on DH2300 + 12TB HDD; cloud cost based on 12TB plan (e.g. $59.99/month).
- Blazing Speed, Minimal Power: Equipped with a high-performance processor, 1GbE port, and 4GB RAM on Board, this NAS handles multiple tasks with ease. File transfers reach up to 125MB/s—a 1GB file takes only 8 seconds. Don't let slow clouds hold you back; they often need over 100 seconds for the same task. The difference is clear.
- Let AI Better Organize Your Memories: UGREEN NAS uses AI to tag faces, locations, texts, and objects—so you can effortlessly find any photo by searching for who or what's in it in seconds. It also automatically finds and deletes similar or duplicate photo, backs up live photos and allows you to share them with your friends or family with just one tap. Everything stays effortlessly organized, powered by intelligent tagging and recognition.
That breadth matters when a file is part of a design, construction, sales, engineering, or multi-cloud process rather than an isolated office document. It does not automatically mean every integration is included in every plan. Confirm the edition, connector limits, administrator setup, and current support status for the workflow you intend to run.

Choose OneDrive when Microsoft 365 is already the operating environment
- Your users work primarily in Microsoft applications and already authenticate through the Microsoft tenant.
- Personal work-file storage, familiar sharing, and centralized administration are the immediate requirements.
- You want to avoid introducing a separate content platform for ordinary office documents.
- Your governance team is prepared to configure Microsoft’s available security and compliance controls for the selected plan.
Choose Egnyte when files cross application boundaries
- Teams need to edit Microsoft 365 or Google Workspace files while keeping content in a separate business-content system.
- Specialist tools such as Autodesk, Adobe, Esri, or Bentley are part of the authoring process.
- Operational systems such as Procore, Salesforce, or Autodesk Construction Cloud need document connectivity.
- Your architecture includes Azure or Amazon S3 and you want documented connectors to those public clouds.
Integration names establish that a capability is documented, not that it will work without configuration or that it is included in the cheapest edition. During evaluation, map one real workflow from creation through review, approval, external sharing, retention, and deletion. Ask each vendor to identify the required plan and administrator settings at every step.
Security, encryption, and compliance: compare controls, not slogans
Microsoft’s service description groups administration, security, and compliance features across its standalone, small-business, enterprise, education, government, and nonprofit offerings. The presence of a category on a plan page does not prove that a particular control is enabled in your tenant, nor does it by itself establish a legal certification or compliance outcome.

Egnyte states that managed encryption keys are available on all plans and that customer-managed keys are available only on Ultimate. A managed key is not the same as a customer-controlled key. If your policy requires your organization to control key custody, rotation, revocation, or access approval, verify that the Ultimate requirements and operating model meet that policy.
| Security question | What the documented terms establish | What you must verify |
|---|---|---|
| Are administration and security capabilities available? | Microsoft identifies administration, security, and compliance capabilities by plan group. | The exact feature, SKU, licensing dependency, tenant configuration, and regional availability. |
| Are encryption keys managed by the provider? | Egnyte lists managed encryption keys across its plans. | Key scope, rotation, access procedures, and any plan-specific limits. |
| Can the customer manage encryption keys? | Egnyte lists customer-managed keys on Ultimate. | Implementation prerequisites, operational responsibility, and whether the feature satisfies your policy or audit requirement. |
| Does a feature guarantee compliance? | No. A product feature or certification reference is not proof that your configured service meets a particular law, contract, or audit control. | Have legal, security, and compliance teams assess the configured service and documented responsibilities. |
How to compare total cost without choosing a misleading winner
There is no fully supported total-cost winner from the displayed terms alone. A fair comparison must use the same geography, seat count, billing term, storage requirement, productivity-suite assumptions, and add-ons.
- Define the user population. Count full-time users, contractors, external collaborators, administrators, and service accounts separately. Do not assume every identity needs the same license.
- Choose equivalent terms. Compare annual with annual and monthly with monthly. Record whether a displayed price is promotional, reseller-specific, or contingent on a minimum commitment.
- Separate storage from productivity software. OneDrive may be purchased as part of a Microsoft 365 bundle or under another licensing arrangement. State whether Word, Excel, Outlook, Teams, security products, or other rights are already owned before assigning a value to the storage component.
- Price required integrations and controls. For Egnyte, ask whether the required authoring, business-application, cloud, encryption-key, or governance capability is included in the selected plan. For Microsoft, identify the exact business or enterprise SKU and any additional security or compliance licenses needed.
- Model capacity. Calculate active users, expected file growth, shared content, large-file workloads, retention copies, and temporary project data. Check both the per-user allocation and any pool or tenant-level rule.
- Request a written quote. Require currency, taxes, region, reseller or direct channel, renewal price, seat minimums, storage limits, file-size limits, support scope, and cancellation terms.
Using those inputs, the annual comparison is conceptually: (licensed seats × recurring price × billing periods) + required add-ons + implementation or migration services. The formula is useful only when every variable is defined. The Egnyte displayed annual-billing price is not enough to calculate a buyer’s final cost, and a consumer Microsoft subscription price must not be substituted for a business plan.

Governance and external sharing decisions
Both services document sharing and collaboration, but governance depends on how your organization structures ownership, access, and lifecycle rules. Before selecting a platform, write down who may invite external users, whether links can be forwarded, how long access should last, who approves sensitive sharing, and what happens when an employee leaves.
- Employee-owned working files: OneDrive’s personal work-file model can be a natural starting point, provided administrators define transfer, retention, and departure procedures.
- Project or customer repositories: A business-content platform may be more intuitive when ownership must remain with a team or process instead of an individual.
- Regulated or confidential content: Map classification, retention, audit, key custody, and legal-hold requirements to actual plan features and configuration. Do not infer compliance merely from a product label.
- External production workflows: Test guest access, co-editing, version behavior, download restrictions, and revocation with the identities and applications your partners actually use.
Migration and operational fit
No source in this comparison establishes migration speed, implementation effort, user satisfaction, or support response times for either product. Those are material buying criteria, but they require a discovery exercise or a vendor-supported proof of concept rather than assumptions from a feature page.
Use a controlled pilot to answer operational questions:

- Recreate the workflow in the candidate service, including desktop synchronization, browser editing, mobile access, external sharing, and administrator review.
- Measure your own transfer duration, user training time, permission corrections, integration configuration, and help-desk volume. Label these as your results, not universal benchmarks.
- Test employee departure, accidental deletion, link revocation, restoration, and administrator access before moving production data.
The pilot should end with a signed requirements matrix showing which plan, setting, and owner satisfies each requirement. If a requirement cannot be demonstrated, mark it as unresolved rather than assuming it will be covered later.
Decision framework: which one should you buy?
Pick OneDrive for Business when most answers are “yes”
- Microsoft 365 is already your identity, office-app, and administration standard.
- The dominant use case is each employee’s work files with routine sharing and collaboration.
- You want the fewest separate systems for ordinary documents.
- Your required storage fits the allocation of the selected Business or enterprise SKU.
- Your security and compliance team can configure and evidence the controls included in that SKU.
Pick Egnyte when most answers are “yes”
- Business content must span Microsoft 365, Google Workspace, specialist authoring tools, and operational applications.
- Projects, customers, or processes—not individual employees—should be the primary organizing principle.
- Azure or Amazon S3 connectivity is part of the target architecture.
- Your governance design calls for a distinct content platform and may require customer-managed encryption keys on Ultimate.
- The displayed storage and file-size terms match your workload after a written regional quote confirms them.
Use a two-platform design only for a defined reason
Some organizations may retain both services: OneDrive for personal work files and Egnyte for controlled project or cross-application content. That can be rational, but it creates duplicate policy, sharing, lifecycle, and support obligations. Define which system is authoritative for each content class, prohibit ambiguous copies, and document the handoff between platforms. Do not deploy both simply to postpone the ownership decision.
Questions to put in the vendor quote
- Which exact SKU and edition supplies the stated storage allocation?
- Is storage per user, pooled, or subject to tenant-level limits?
- What is the maximum file size, and does it vary by client, connector, or integration?
- Which integrations are included, and which require a higher plan or separate license?
- What are the geographic data-residency options and contractual terms for our region?
- Which security and compliance controls are enabled by default, and which require administrator configuration?
- For encryption, who controls keys, who can access them, how are they rotated, and what happens if key access is unavailable?
- How are external users, guest accounts, shared links, and departed employees handled?
- What are the renewal price, seat minimum, cancellation rule, support scope, and escalation process?
- Can the vendor demonstrate our real workflow with representative files before signing?
What can change after you decide
Plan names, prices, storage quotas, file-size limits, regional availability, integrations, security packaging, and partner programs are changeable commercial terms. Recheck the live vendor page and obtain a current quote immediately before purchase or renewal.
