For an Indian GST e-way bill, the current GSTN FAQ gives regular vehicles and transport modes one validity day for every 200 km or part of 200 km. Over Dimensional Cargo (ODC) gets one day for every 20 km or part thereof. The clock starts when the first Part-B transport detail is entered, and a later vehicle update does not restart or recalculate it. The bill should always show the vehicle or conveyance actually carrying the goods. An extension is possible only through the prescribed portal process and time window, so check the live bill’s expiry and the rules for your specific movement.
The explanation below reflects the GSTN e-Way Bill System material available on 12 October 2026 for India. Confirm the current bill, applicable exemptions and any later notification before dispatch.

Current e-way bill validity at a glance
The distance band is based on the approximate distance entered when the e-way bill is generated. “Part thereof” means that any fraction of a band counts as a full day.

How the distance calculation works
Use the distance entered at generation
The system calculates validity from the approximate distance entered when the bill is generated. It estimates a motorable distance from the origin and destination PIN codes. The user may enter the actual distance, but the FAQ says that entry is subject to a ceiling of 10 percent above the displayed estimate. Keep the distance supportable: an inflated figure can create a compliance question, while an understated figure can leave the vehicle without enough validity.
Import and export movements
For an import or export movement, the FAQ describes the relevant distance as the portion travelled within India. Do not count an overseas leg when determining the Indian e-way bill’s distance.
Do not use the old 100-km rule
Older pages and search results may still state one day per 100 km. GSTN’s announcement history records that Notification No. 94/2020 changed the validity increment from 100 km to 200 km, in the version 1.03 announcement history dated 30 December 2020. The current FAQ therefore uses 200 km for regular transport. See the GSTN announcements when an older document conflicts with the live portal guidance.
When the validity clock starts and ends
First Part-B entry starts the period
Validity begins when the first applicable Part-B transport detail is entered. For road movement this is the first road-vehicle entry. For rail, air or ship movement it is the first entry of the relevant transport document or conveyance detail. The important event is the first Part-B entry, not the time the invoice was created or Part A was prepared.

Later entries do not create a fresh period
If the vehicle is changed or another Part-B detail is entered later, the system does not recalculate validity. The FAQ states: “It may be noted that validity is not re-calculated for subsequent entries in Part-B.” A replacement truck therefore uses the days remaining on the original bill.
Read the expiry shown for the bill
The FAQ describes expiry at midnight of the last validity day. Because the portal displays the operative date and time for each bill, use that displayed expiry rather than calculating a new deadline after a vehicle change.
Vehicle-number rules
The record must match the actual vehicle
The vehicle number on the e-way bill should correspond to the vehicle physically carrying the goods. This applies when the movement starts and after a lawful change in conveyance. A trans-shipment, vehicle breakdown or another operational change is a reason to update Part B before continuing, not a reason to leave the original number on the bill.
Who may update Part B
The generator may update the vehicle number when no transporter is assigned. When a transporter is assigned, the assigned transporter is the party authorised to make the Part-B update. The GSTN API documentation describes the same permission rule: only the generator in the no-transporter case, or the assigned transporter, can perform the update.

Repeated updates are allowed within validity
The FAQ says vehicle details in Part B may be updated repeatedly while the goods are moving to their destination, provided each update is made within the bill’s validity. Repeated updates do not add days. The bill must remain active and unexpired when the update is submitted, and a road movement requires a valid vehicle-number format. For rail, air and ship movements, the corresponding transport document number is required. Those validation conditions are set out in the GSTN vehicle-number update documentation.
Mixed modes need the latest conveyance
When goods move through more than one mode, update the latest mode and conveyance details so the portal record reflects the conveyance currently carrying the consignment. A switch from road to rail, for example, should not leave an obsolete road vehicle as the active Part-B detail.
Updating a vehicle after a breakdown or trans-shipment
Use this sequence whenever the vehicle changes:
- Confirm that the e-way bill is active and has not expired.
- Have the authorised party sign in: the assigned transporter, or the generator if no transporter is assigned.
- Open the portal or API operation for updating Part-B transport details.
- Enter the replacement road vehicle number in the required format, or the applicable rail, air or ship transport-document number.
- Save the update and verify that the bill now shows the conveyance actually carrying the goods.
- Continue using the original expiry displayed on the bill; the update does not restart the validity clock.
If a breakdown occurs close to expiry, updating the number and requesting an extension are separate actions. The vehicle update makes the record accurate; it does not itself grant additional time.

Extension is intended for exceptional circumstances and is not an automatic extra allowance. The current API documentation permits an extension request from eight hours before expiry until eight hours after expiry. Outside that window, the portal validation may reject the request.

Who submits the request
The current transporter ordinarily submits the extension. If no transporter is assigned, the generator may submit it. The request is tied to the active bill and its transport information.
Information required
The extension process asks for the operational facts needed to assess the unfinished journey:
- A reason for the exceptional delay.
- The present location of the goods or vehicle.
- The distance still remaining.
- The relevant current Part-B transport details.
The remaining distance cannot exceed the original distance entered on the e-way bill. An extension also does not provide a way to edit Part A; the API and FAQ treat these as different operations. The required fields and validation window are documented in the GSTN Extend Validity API documentation.

Practical extension sequence
- Check the bill’s displayed expiry and confirm that the request falls within the eight-hour-before to eight-hour-after window.
- Ensure the Part-B conveyance details are current, including any replacement vehicle.
- Use the Extend Validity function under the authorised transporter or generator login.
- Select or enter the genuine delay reason, current location and remaining distance.
- Submit the request and confirm the new expiry shown by the portal before the vehicle proceeds.
Keep evidence of the event that caused the delay, such as breakdown or trans-shipment records, because the extension reason should describe the actual circumstances rather than simply request more time.

What to do when Part A is wrong
Part A cannot simply be edited through the extension process. The FAQ describes cancellation and fresh generation as the correction route when Part-A information is incorrect. Cancellation is subject to a 24-hour limit and other portal conditions, including whether an officer has already verified the bill. Check the bill’s status before attempting cancellation, then generate a corrected bill if the portal permits it. The general FAQ discussion is available at GSTN’s FAQ.
Consolidated e-way bills
A consolidated e-way bill is a trip sheet for multiple consignments. It has no independent validity period. Each individual e-way bill included in it retains its own distance-based validity and expiry, so a consolidated document cannot extend an expired consignment bill. Check every underlying bill when planning a delayed or multi-drop journey. GSTN explains this distinction in its FAQ.
When an e-way bill is required
The FAQ refers to a ₹50,000 consignment-value threshold in prescribed cases, but it also lists exemptions and special situations. That threshold should not be treated as a universal requirement for every movement, commodity or taxpayer. Before generating a bill, check the GST rules and the exemption applicable to the goods, origin, destination and mode of transport. Common mistakes and fixes

Dispatch checklist
- Confirm that an e-way bill is required for this movement and that no exemption applies.
- Enter a defensible distance based on the PIN-code estimate and actual Indian road or conveyance movement.
- Apply 200 km per day for regular transport or 20 km per day for ODC.
- Record when the first Part-B detail was entered; that event starts validity.
- Before departure and after every transfer, verify that Part B identifies the actual conveyance.
- Monitor the expiry shown on the live bill, especially around midnight on the final validity day.
- If an exceptional delay occurs, prepare the extension within the eight-hour window and keep the current location and remaining-distance information ready.
- If Part A is wrong, check whether cancellation is still available instead of attempting a Part-B update.
Bottom line for transporters and generators
Calculate regular validity in 200-km bands, ODC validity in 20-km bands, and start counting from the first Part-B entry. Keep the vehicle or transport-document number synchronized with the actual movement, remembering that updates do not reset the clock. Use the narrowly timed extension process for genuine delays, and treat each underlying e-way bill—not a consolidated trip sheet—as the document whose expiry controls the consignment.
