1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsThere is no evidence-based single winner for every AI-driven marketing team. The right direct-mail automation platform is the one that connects to your CRM or marketing system, supports the mail formats and destinations you need, exposes reliable triggers and merge fields, measures responses in a way your team can audit, and passes your security review. This guide compares the documented capabilities of Lob, PostGrid, and Postalytics, then gives you a practical framework for selecting and piloting a platform without mistaking vendor claims for independent performance proof.
What direct-mail automation does
Direct-mail automation links a digital system—such as a CRM, customer data platform, or marketing-automation workflow—to audience selection, creative generation, printing, and postal fulfillment. A contact event can create a personalized postcard or letter without someone exporting a spreadsheet and uploading it manually. The digital system decides when a message should be sent; the mail platform validates data, renders the piece, and sends it to production.

Lob defines a direct-mail API as one that lets businesses “automate and integrate the creation, customization, and sending of physical mail — such as postcards, letters, and flyers — directly from their software or marketing platforms.” That description is useful as a functional definition, but it is a vendor statement rather than an industry standard. Lob’s API and integrations documentation explains its implementation.
AI may score accounts, summarize a conversation, select a trigger, or generate copy. It does not remove the need for explicit workflow rules, address handling, approvals, suppression logic, and measurement. In most deployments, an AI or marketing system makes a decision and an API, native app, or connector executes the mailing.

Which platforms are the strongest starting points?
Use the profiles below as fit-based starting points, not as an independently tested ranking. The available evidence is vendor documentation and marketplace listings, not a comparable benchmark of deliverability, response lift, or security controls.
| Platform | Documented strengths | Best initial fit | Important qualification |
|---|---|---|---|
| Lob | Print & Send API; CRM, CDP, and marketing activation integrations; address verification; developer libraries; postcards, letters, snap packs, self-mailers, checks, and booklets. | Teams building API-led journeys or needing several physical formats and programmatic controls. | Its page says the API is free to use, while physical-mail charges vary by account type, format, volume, and destination. Obtain a quote for your exact mix. |
| PostGrid | REST API, native CRM routes, Zapier and ActiveCampaign connections; HubSpot and Salesforce use cases; address parsing and verification; campaign tracking and conversion metrics; multiple mail formats. | Teams wanting a choice of API, CRM, or no-code trigger paths and a platform dashboard. | Security, compliance, integration breadth, and test-environment limits are vendor-described and should be verified contractually. |
| Postalytics | HubSpot Marketplace integration using lists and workflows to trigger postcards and letters; listed support for contacts, companies, and custom objects. | HubSpot-centric teams that want direct-mail actions inside existing workflows. | The marketplace listing displayed a free plan with pay-per-mailer pricing and was marked last updated November 24, 2025; terms and availability can change. |
| PostGrid in HubSpot Marketplace | Marketplace listing describes use through HubSpot, the vendor dashboard, or an API. | Teams evaluating a HubSpot-native entry point while retaining API access. | The listing showed pricing last updated August 9, 2025. Confirm current plan limits and integration behavior. |
These examples are not a complete market census. A platform that looks ideal on a feature page can still fail if it lacks your CRM object, destination, mailing class, approval step, or data-retention terms.
How to match a platform to your marketing stack
1. Start with the system that owns the trigger
Write down the event that should create mail: a lead reaching a score, an opportunity entering a stage, a renewal date approaching, a support recovery workflow, or a product-qualified account becoming sales-ready. Then identify where that event is stored. A native integration may expose the event directly; an API may require your engineering team to map it; a no-code connector may move it between systems but add another service to maintain.
Recommended Free Tools
PostGrid documents HubSpot, Salesforce, Zapier, and ActiveCampaign use cases, while Lob describes CRM, CDP, and marketing-activation integrations. Postalytics’ HubSpot listing describes list- and workflow-triggered mail. Verify that the specific object and event you use—not merely the application name—are supported.
2. Confirm the data object and trigger behavior
Ask whether the route can read contacts, companies, accounts, custom objects, lists, and one-off audiences as appropriate. Check whether a trigger fires once, on every status change, or on a schedule; whether retries can create duplicate mail; and whether suppression or consent changes are rechecked immediately before production.
3. Decide who owns integration maintenance
- Native app: fastest for a standard workflow, but you depend on the vendor’s supported fields and release cadence.
- Documented API: most flexible for AI orchestration, custom objects, and internal controls; requires engineering ownership, monitoring, and key management.
- No-code connector: useful for a pilot or simple handoff; evaluate task limits, error visibility, replay behavior, and the connector’s data-processing role.
Platform details and documented capabilities
Lob: API-first format breadth
Lob’s API and integrations page describes a Print & Send API for triggered mail, address verification, CRM/CDP/marketing activation, and developer libraries. The listed formats include postcards, letters, snap packs, self-mailers, checks, and booklets. That range can matter when one journey needs a simple postcard while another requires a more elaborate package.
The same page says the API itself is free to use, with physical-mail charges depending on account type, format, volume, and delivery location. Treat that as directional pricing guidance, not a quote. Request a line-item estimate that separates printing, postage, minimums, rush handling, and any support or integration charges.

PostGrid: multiple trigger routes and measurement features
PostGrid’s direct-mail API page describes a REST API, CRM integrations, address verification and parsing, and postcards, letters, and other formats. Its platform page describes campaign tracking and conversion metrics. The vendor also presents API, native CRM, and Zapier routes for triggering personalized mail in its AI workflow documentation.
Those routes can support different operating models: engineering can call the API, operations can configure a CRM action, or a workflow builder can pass a record through a connector. Confirm field mappings, authentication, rate limits, test-environment terms, and what happens when a downstream print job fails. The pages’ security and compliance descriptions are vendor claims; obtain current attestations, data-processing terms, retention settings, and subprocessor information for your review.
Postalytics: a HubSpot-workflow option
The Postalytics HubSpot Marketplace listing describes triggering postcards and letters from HubSpot lists and workflows. It lists contacts, companies, and custom objects among the supported functionality. This can reduce custom integration work for a HubSpot-centered team, provided your workflow uses the listed objects and your approval and suppression rules can be represented in HubSpot.
The marketplace displayed a free plan with pay-per-mailer pricing and showed a last-updated date of November 24, 2025. Marketplace displays are time-sensitive. Confirm current availability, included features, postage treatment, volume pricing, and whether the free tier has production restrictions.
PostGrid’s separate HubSpot listing
A separate PostGrid HubSpot Marketplace listing describes use through HubSpot, the vendor dashboard, or an API. Its displayed pricing was marked last updated August 9, 2025. Treat that date and any plan details as historical marketplace information until the vendor confirms current terms.
Compare platforms with the same buyer scorecard
Use one question set for every candidate. Record the answer, evidence link, owner, and date so a feature claim does not become an untraceable assumption.
| Buying axis | Questions to answer | Why it changes the decision |
|---|---|---|
| Workflow fit | Which events trigger mail? Are recurring journeys, one-off lists, re-entry rules, delays, and cancellations supported? | A platform may support your CRM but not the exact lifecycle behavior you need. |
| Integration route | Is the path native, API-based, connector-mediated, or custom? Who maintains credentials, mappings, retries, and version changes? | Maintenance cost and failure visibility differ substantially by route. |
| Personalization | Which merge fields, conditional content, templates, image variables, QR codes, and personalized URLs are available? | AI-generated or account-specific content is useful only if the rendering system can safely apply it. |
| Formats | Are the required postcard, letter, snap pack, self-mailer, booklet, or other formats available? What dimensions and paper choices apply? | Creative and postage rules vary by format; a generic “direct mail” label is insufficient. |
| Geography and postal operations | Which countries and postal services are covered? What address verification, mailing classes, delivery estimates, and tracking exist? | Destination and class affect eligibility, timing, and cost. |
| Measurement | Can you see production and delivery status? Are QR codes, URLs, response capture, and conversion reporting available? How is attribution defined? | A dashboard metric is not automatically incremental revenue or causal lift. |
| Security and governance | What certifications, residency, retention, access controls, audit logs, subprocessors, and contractual commitments apply? | Mail workflows often contain names, addresses, account data, and model-generated content. |
| Economics | What are platform fees, print, postage, minimums, volume tiers, connector charges, support, and reporting costs? | Per-piece pricing can conceal fixed or integration costs. |

- Fast and Reliable 85W Charging: Offers high-capacity, speedy charging for laptops up to 85W, so you spend less time tethered to an outlet and more time being productive.
- What You Get: Anker USB-C Hub (7-in-1), welcome guide, 18-month warranty, and our friendly customer service.
- Define eligibility in the source system. Create a list, workflow, or segment that includes consent, address completeness, geography, suppression status, and the business event.
- Select the execution route. Choose a native action when the required object and fields are supported; choose an API when you need custom orchestration; use a connector when its limits and error handling are acceptable.
- Map and validate fields. Map name, postal address, offer, owner, campaign ID, and any personalization variables. Reject incomplete or ambiguous addresses before sending them to production.
- Apply deduplication and suppression. Store a stable send key or campaign event ID. Check do-not-mail, recent-send, legal, and customer-contact rules at execution time.
- Render and approve creative. Keep AI-generated copy within approved templates and length limits. Require a human approval step for regulated, high-value, or unusual content.
- Submit and capture the response. Record the provider job ID, template version, format, destination, and timestamp back in the CRM. Make retries idempotent so a timeout does not create a second piece.
- Measure the defined outcome. Use a unique QR code, URL, phone extension, redemption code, or matched conversion event. Document the attribution window and comparison group before launch.
For a HubSpot workflow, verify whether the integration can act on contacts, companies, and custom objects—not just contacts—and whether list membership changes can accidentally retrigger a send. For Salesforce, verify the supported object, field-level permissions, bulk behavior, and whether the integration respects automation recursion controls.
Designing AI-assisted mail without losing control
Separate decisioning from execution
Let the AI layer recommend an audience, timing, or message variant, then pass a constrained payload to the mail platform. The payload should contain only the fields required for fulfillment. Keep the final eligibility decision, consent check, suppression check, and template selection in a deterministic workflow that can be audited.
Use bounded personalization
Define allowed variables, character limits, prohibited claims, and fallback text. If a model produces an empty, unsafe, or unsupported value, the workflow should stop or use an approved default rather than printing the raw output. Store the model version or prompt policy alongside the campaign record when your governance process requires reproducibility.
Prevent duplicate and stale sends
Use an idempotency key composed of the customer, campaign, and intended send event. Recheck address and suppression data immediately before submission. Set an expiration for queued jobs so a delayed workflow does not mail an outdated offer.
Address quality, delivery, and measurement
Address verification is a separate buying question from campaign analytics. Lob describes address verification, while PostGrid describes US and Canada address verification and platform conversion metrics. Ask exactly which destinations, address types, and postal classes are covered, how corrections are returned, and whether a failed validation blocks the workflow or creates a manual queue.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Define operational statuses before launch: accepted, rendered, printed, inducted, returned, and delivered if available. “Sent” may mean only that a provider accepted the request. Ask whether delivery estimates are modeled or confirmed by postal scans, and which events are exposed through API, webhook, dashboard, or CRM activity.
For response measurement, combine a physical identifier with a digital event: a campaign-specific QR code or URL, a redemption code, or a dedicated phone path. Decide whether attribution is first-touch, last-touch, multi-touch, or an experiment with a holdout group. Vendor-reported conversion metrics can organize reporting, but they do not independently demonstrate incremental lift.

Security and compliance questions to put in the contract review
Do not treat a security badge or a product-page statement as a completed review. For the exact data and geography you will use, request:
- Current independent attestations or certification reports and their scope.
- Data-processing terms, subprocessors, transfer mechanisms, and data-residency options.
- Retention and deletion behavior for source records, rendered artwork, addresses, logs, and backups.
- Encryption in transit and at rest, key-management responsibilities, and secret-rotation procedures.
- Role-based access, single sign-on or multifactor options, audit logs, and support access controls.
- Incident-notification timelines, breach responsibilities, and service-level commitments.
- Controls for model-generated content if an AI service processes names, addresses, or account information.
PostGrid’s pages include security and compliance claims, but the available evidence is vendor-published and does not independently validate current certifications or contractual terms. Request the underlying documents before sending sensitive customer data.

Lob says physical-mail charges vary with account, format, volume, and delivery location. Postalytics’ marketplace display showed free access with pay-per-mailer pricing as of its November 24, 2025 update. These statements are not interchangeable quotes; ask each vendor to price the same volume, formats, destinations, and service assumptions.
A controlled pilot that reveals operational risk
Run a small pilot with representative, consented data and the formats you expect to use in production. A meaningful pilot tests the system, not just the postcard design.
- Create test records for complete, incomplete, corrected, international, duplicate, suppressed, and recently mailed addresses.
- Trigger one event through the intended route and verify the exact fields, template version, and campaign ID received by the mail platform.
- Force a timeout or rejected request in a non-production environment and confirm alerting, retry behavior, and idempotency.
- Change a record after it qualifies but before submission; verify whether the workflow rechecks suppression and address data.
- Send representative pieces through approval, production, and postal handoff while recording status timestamps.
- Scan or redeem every tracking mechanism and reconcile responses to CRM records.
- Document manual work, failure modes, turnaround time, and ownership before expanding volume.
Do not describe the result as an independent performance test unless you actually measured it under a defined method. Use the pilot to validate your configuration and operating process.

Decision checklist
- Our trigger event and CRM object are explicitly supported.
- We know whether the route is native, API, connector, or custom and who maintains it.
- Required formats, dimensions, destinations, and postal classes are confirmed in writing.
- Address validation, suppression, deduplication, and retry behavior are tested.
- Merge fields and AI-generated values have limits, fallbacks, and approval rules.
- Production and delivery statuses can be reconciled to CRM records.
- Attribution, response windows, and any holdout design are documented.
- Security, retention, residency, subprocessors, and incident terms match the use case.
- Total cost includes software, print, postage, integration, support, and operational labor.
- A representative pilot has an owner, success criteria, and a rollback plan.
Bottom line for AI-driven teams
Choose by workflow fit rather than a generic “best” label. Lob is a logical starting point for API-first teams that need broad documented formats and programmatic controls. PostGrid is worth evaluating when you want API, CRM, and connector routes alongside address and campaign features. Postalytics is a natural candidate for a HubSpot-centered workflow that can use its listed objects and actions. Validate every claim against your own trigger, geography, security requirements, and cost model, then expand only after a controlled pilot proves the operational path.
Frequently Asked Questions
Can AI trigger a mailing without a CRM or marketing-automation platform?
AI can propose or initiate a request through an API, but you still need a controlled execution service for address validation, templates, suppression checks, fulfillment, and status tracking. A CRM is not mandatory, but explicit workflow logic and audit records are.
What should I ask about international mailing?
Ask for supported countries and postal operators, address formats, customs or documentation requirements, delivery estimates, tracking events, data-transfer terms, and country-specific suppression or consent rules. Do not assume US address verification or pricing applies elsewhere.
How do I compare a native integration with a Zapier-style connector?
Compare supported objects and triggers, field mapping, rate and task limits, retry and replay controls, error visibility, data-processing roles, and who owns maintenance. A connector can accelerate a pilot but adds another dependency.
What is the safest way to use AI-generated copy on physical mail?
Use approved templates with bounded variables, validate length and prohibited claims, retain a fallback value, and require human approval for regulated or high-value campaigns. Keep consent and suppression checks deterministic and outside the model.
How often should platform pricing be rechecked?
Reconfirm pricing and marketplace availability immediately before purchase and whenever volume, format, destination, or integration scope changes. The documented marketplace dates for the examples here were in 2025, so they should not be treated as current quotes.
