Donating old equipment means transferring a used device to a person or organization that will keep using it. The item must still be useful to the recipient. If it is obsolete or broken, the usual path is recycling rather than donation. The term has no single formal meaning, and whether a particular recipient will accept a particular item depends on that recipient. The tax and handling rules below come from US federal sources and should not be applied as universal rules to other countries or to every charity.
What the term covers
“Donating old equipment” is everyday language rather than a defined legal category. In practice it describes a transfer with three features: the equipment is used, it still works or is still useful to the receiving party, and the transfer is intended to extend its life rather than end it. Whether that describes your device depends on who receives it and what they need.

The clearest contrast is with recycling. The U.S. Environmental Protection Agency’s federal electronics materials treat reuse and donation as the right path for equipment that remains useful, and recycling as the right path for equipment that is obsolete or broken. The table below sets the two side by side.

Confirm the recipient before anything else
Acceptance is the first test, and it is set by the recipient, not by the item. Before you move anything, ask the organization or program directly:
- Does it accept this category of equipment (for example, desktops, laptops, monitors, or printers)?
- What condition does it require, and does it test items before accepting them?
- Does it need the power cords, peripherals, manuals, or installation media that came with the device?
- Does it offer pickup, or must you drop off the item? Some programs limit where or from whom they collect, and the federal sources cited here do not establish which local groups accept which items or what geographic restrictions apply.
- How does it handle data on storage media, and does it want you to remove or sanitize drives first?
Recipients change their requirements, so answers from a previous year or from a different organization should not be assumed to hold.

Age and condition: a federal benchmark, not a charity standard
EPA’s federal presentation on electronics reuse and donation, which carries no publication date in the version reviewed, gives a general equipment-age criterion of less than five years old. It names three exceptions: laptops, laser printers, and flat-panel monitors. That criterion describes federal electronics reuse programs. It is not a cutoff that private charities, schools, or refurbishers must apply, and some will accept older or newer equipment than that benchmark suggests. Use it as a rough guide for deciding whether to ask, then confirm with the recipient.

- Remove external media such as USB drives, memory cards, optical discs, and any removable drive from the device and its bays.
- Sanitize internal and external storage media. EPA’s federal guidance calls for sanitization of both, so do not assume the recipient will wipe the device for you. If you cannot sanitize it yourself, ask the recipient to confirm in writing how it handles drives.
- Gather the cables, power supplies, peripherals, manuals, and software media or documentation that belong with the equipment. Include them only when they are actually part of the transfer.
- Package the equipment to reduce breakage in transit. Original packaging is ideal; otherwise use a sturdy box with padding around every side.
- Note in writing what you are sending and its condition. A short list is enough and helps the recipient match items to requests.
These are EPA recommendations for federal transfers. They are good practice for any donation, but a given program may require less or more.
Does donating equipment earn a tax deduction? (US federal rules)
Giving an item away and deducting its value are separate questions. A deduction depends on the recipient being a qualified organization, the property meeting IRS condition rules, and the donor keeping the right records. The points below summarize IRS Publication 526 (2025), Charitable Contributions. This is a summary of federal tax rules, not personal tax advice.

- The IRS treats electronics as household items. Household items generally must be in good used condition or better to be deductible.
- An exception applies to a single clothing or household item that is not in good used condition. The donor must claim more than $500 for it, obtain a qualified appraisal, and complete Form 8283, Section B.

Used equipment is worth much less than it cost new. IRS Publication 561 (revised December 2025), Determining the Value of Donated Property, states that the fair market value of used household items is usually far below the price paid when new, and that items which are worn, out of style, or no longer useful may have little or no market value. The IRS rejects valuing an item by taking a percentage of what it would cost to buy a replacement, so do not use that shortcut.

Support the value you claim with evidence such as photographs, purchase receipts, or other records that show the item’s condition and age. The publication is available at IRS Publication 561.
Publication 561 also sets documentation levels by amount. Its general framework is summarized below. Exceptions exist, so check the current instructions for your facts.
| Value of donated property | Documentation described in Publication 561 |
|---|---|
| Under $250 | A receipt from the recipient |
| $250 to $5,000 | A contemporaneous written acknowledgment |
| Higher values, or certain property types | Additional Form 8283 and qualified appraisal rules may apply |
A donation does not have to qualify for a deduction to be worth making. If you do not plan to claim one, the valuation and documentation steps matter less, but a dated list of what you gave still helps the recipient.
Limits of the available evidence
This article does not cite a national statistic on donation or reuse rates, because the federal sources it draws on do not publish a topic-wide figure. The published numbers here are the IRS thresholds and EPA’s federal age criterion, and each applies only within its stated scope. Recipient rules, local collection options, and whether a particular program accepts a particular device are matters to confirm with that program directly.
