The right crypto-tax workflow connects every exchange and wallet, classifies swaps and transfers, preserves acquisition history, accounts for applicable fees, and produces a report for your jurisdiction and tax year. It does not make incomplete source data correct automatically: you must reconcile imports, investigate warnings, and review the final calculations.
For U.S. federal taxes, the Internal Revenue Service (IRS) treats digital assets as property. Selling, exchanging, or otherwise disposing of an asset can create a reportable transaction, so a complete record of dates, units, U.S.-dollar values, fees, and basis is essential. Other countries use different rules and forms.

What crypto tax software actually does
Crypto-tax software is an accounting and reporting layer between your transaction records and a tax return. It can connect to exchange accounts, read wallet addresses or uploaded files, normalize different transaction formats, and group related entries. The useful result is not merely a transaction list; it is an auditable history showing how each asset was acquired, moved, disposed of, and valued.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems- Imports activity: Exchange APIs, wallet addresses, and CSV files can bring in trades, deposits, withdrawals, staking or other income entries, depending on the integration.
- Matches transfers: A withdrawal from one account can be paired with a deposit to another account that you control, preventing the movement itself from being treated as a sale.
- Builds acquisition history: The system links units sold or exchanged to purchase lots and records their cost basis.
- Calculates disposals: It estimates proceeds, basis, fees used in the calculation, and resulting gain or loss for each disposal.
- Flags exceptions: Missing purchase history, unmatched transfers, duplicate imports, impossible balances, and unusual classifications can be sent for review.
- Generates reports: Depending on the product and country, reports may be tax forms, form-ready summaries, or files accepted by tax-preparation software.
Those functions are only as reliable as the records supplied. An exchange API may omit older trades, a wallet address may not show activity on every chain, and an imported fee may lack the currency or U.S.-dollar value needed for a calculation. Keep original exchange exports and wallet records even after connecting an account.

U.S. federal rules that determine what must be tracked
This section applies to U.S. federal tax reporting; it is not a universal rule for every country. The IRS says digital assets are property rather than currency for U.S. tax purposes. Its Digital assets guidance states: “If you have digital asset transactions, you must report them whether or not they result in a taxable gain or loss.”
The return question on that IRS page asks: “At any time during the tax year, did you: (a) receive (as a reward, award or payment for property or services); or (b) sell, exchange, or otherwise dispose of a digital asset (or a financial interest in a digital asset)?” Receiving an asset and disposing of one are different events, so your software needs both income records and disposal records where applicable.
Information needed for a disposal calculation
The IRS identifies the inputs needed to calculate gain or loss: the asset type, transaction date and time, number of units, fair market value in U.S. dollars at the transaction time, and basis. A tax application may infer some values, but you should be able to inspect the underlying transaction and correct an incorrect inference.
Forms and the 2025 broker-reporting change
For digital assets held as capital assets, the IRS describes Form 8949 for sales, exchanges, and other dispositions; totals generally flow to Schedule D. The IRS also says broker Form 1099-DA reporting applies to covered transactions on or after January 1, 2025. Coverage, basis reporting, and exceptions depend on the transaction and current IRS instructions, so compare any broker form with your own complete records rather than assuming it contains every wallet or exchange activity.

How swaps, transfers, basis, and fees are represented
Swaps are usually two sides of a disposal
Trading one token for another is an exchange of property. The outgoing asset is generally the disposed asset for a U.S. taxpayer, while the incoming asset starts a new holding with a basis derived from the transaction. A software record should show the outgoing units, incoming units, timestamp, dollar value, and any fee, not just a label such as “swap.” The tax treatment of a particular transaction can depend on facts and jurisdiction; do not assume that a token-to-token trade is tax-free.
Transfers should not become accidental sales
Moving coins between two wallets or exchanges you control is normally a transfer rather than a disposal, but only if the software can identify both sides. Matching depends on timestamps, quantities, network fees, and the accounts you have connected. A transfer sent to an unconnected wallet may appear to be a withdrawal with no matching deposit, leaving a false disposal or a missing-basis warning. Add every relevant wallet and preserve transaction hashes so you can prove the relationship.
Cost basis follows the asset, not the account balance
Basis begins with what you paid and can include other allowable acquisition costs. When units are sold or swapped, the selected basis lot determines the gain or loss. If an account was imported only from the date you started using the software, earlier purchases may be missing even though later disposals are present. Resolve that gap by importing older history or entering supported adjustments; do not accept a zero or estimated basis without understanding its effect.
Fees need a documented treatment
Fees can change proceeds, basis, or both depending on the transaction and the applicable tax rules. Koinly says its capital-gains report includes disposal-level costs, proceeds, and gain or loss, and that trading fees are already accounted for in that report (Koinly tax reports, June 23, 2026). Intuit’s TurboTax guidance says cost basis includes purchase price and transaction fees among other costs (TurboTax Crypto 2025–2026). Those are provider descriptions, not a guarantee that every fee type is handled identically by every product or tax authority.

Inspect whether a fee was charged in the asset sold, the asset received, or a separate currency; whether the importer recorded its quantity and dollar value; and whether the fee appears once rather than on both sides of a transfer. Network fees, withdrawal fees, trading commissions, and subscription charges may have different treatment. Ask a tax professional about an unusual fee instead of applying a blanket rule.
A complete workflow from raw records to a tax report
- Inventory every source. List each exchange account, custodial platform, hardware or software wallet, self-hosted address, and chain used during the tax year. Include accounts that were closed and wallets used only once. Download native CSV or transaction-history files and retain them unchanged.
- Choose the tax year and jurisdiction first. Set the filing country, state or provincial requirements where supported, currency, and tax year before importing. A report for the wrong year can omit transactions or apply the wrong forms.
- Connect or import records. Use read-only API credentials when available, add wallet addresses, and upload files for unsupported accounts. Check the importer’s date range and transaction-type coverage; a successful connection does not prove that historical data is complete.
- Confirm account ownership and transfer links. Review proposed matches between withdrawals and deposits. Correct the sending and receiving accounts, timing, quantity, and network-fee amount when the match is wrong. Leave an unmatched entry unresolved until you find the corresponding source record.
- Review classifications. Separate buys, sells, swaps, transfers, rewards, staking, gifts, loans, airdrops, and other special activity where the product supports those categories. Classification affects whether an entry is income, a disposal, or neither.
- Repair acquisition history. For every disposal with a missing or implausible basis, locate the original purchase, migration, or transfer record. Check that the software did not create a duplicate lot when an asset moved between your own accounts.
- Audit fees and values. Open representative trades and confirm fee currency, quantity, dollar conversion, timestamp, and whether the fee is included once. Compare prices used by the software with the exchange confirmation or a reliable contemporaneous record.
- Reconcile balances. Compare ending quantities for each account and asset with exchange statements and wallet explorers. Investigate unexplained negative balances, large residual amounts, duplicate deposits, and assets that exist in the source account but not in the tax file.
- Resolve material warnings. Address missing history, unmatched transfers, unsupported transaction types, and duplicate imports before generating forms. Document any judgment call and keep the evidence supporting it.
- Generate and inspect the report. Select the correct tax year and report format, review proceeds, basis, short- and long-term results where applicable, and totals by account. Compare the output with broker forms and your own reconciliation.
- File through a supported workflow. Import the report into compatible tax software or give it to a qualified tax professional. Preserve the source files, adjustments, and final report with your tax records.
Koinly’s getting-started guidance recommends reviewing imported transactions, confirming that all wallets were added, checking balances, and addressing missing purchase history. It also cautions that reports reflect the completeness and correctness of imported data (Getting started with Koinly, June 23, 2026).

| Coverage | Are every exchange, wallet, chain, token, and transaction type supported? What date range does each API or CSV cover? | An unsupported source creates missing activity that no later calculation can reliably reconstruct. |
| Reconciliation | Can the system match transfers between accounts you control and show unmatched deposits or withdrawals? | Good matching reduces false disposals while exposing gaps instead of hiding them. |
| Basis and fees | Can you inspect lots, choose or correct classifications, see fee currency and value, and trace a result to its source transaction? | Opaque basis or fee treatment makes a plausible-looking gain difficult to audit. |

Koinly documents country-specific and tax-year reports. Its U.S. report page lists Forms 8949, Schedule D, and Schedule 1, and lists TurboTax and TaxAct report options for tax year 2025 (Koinly tax reports, June 23, 2026). Availability and form requirements can change, so check the current report selector for your filing year.
Koinly’s integration guide describes workflows for TurboTax, TaxAct, Wealthsimple, and H&R Block, while noting that its described H&R Block workflow does not use a special export (How to use Koinly with TurboTax, TaxAct, etc., March 27, 2025). Because that documentation is dated, verify the current import method and supported file format in both products before purchasing.

Only one exchange was connected
Symptom: The report shows gains for a custodial account but no history for a wallet or second exchange. Fix: Recheck the inventory you made for the year, add every source, and compare each source’s first and last transaction dates with the software’s imported range.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →A transfer was classified as a sale
Symptom: A withdrawal and deposit with similar amounts appear as a disposal, or a large gain appears immediately after an internal move. Fix: Confirm both accounts are marked as yours, inspect the timestamp and network fee, and link the two records. If the receiving wallet is not connected, add it or preserve evidence before changing the classification.
Best Value
Basis is missing or implausibly low
Symptom: A disposal has zero basis, an unexpectedly large gain, or a warning about missing purchase history. Fix: import the earlier account history, locate the original lot, and check for duplicate or incorrectly tagged transfers. Do not invent a purchase price merely to remove the warning.
Fees are duplicated or absent
Symptom: The same commission appears on both a trade and a transfer, or the report contains no fee despite an exchange confirmation showing one. Fix: compare the raw record with the normalized transaction, verify the fee currency and quantity, and determine how that product applies the fee before editing it.
Balances do not reconcile
Symptom: Ending holdings differ from the exchange statement or wallet balance. Fix: look for unsupported tokens, spam or dust transactions, duplicate CSV uploads, failed or reversed trades, and transfers on another chain. Keep a written explanation for any residual difference that cannot be resolved.

Reports, broker forms, and review before filing
A report should let you trace a total back to individual disposals. Check the number of transactions, proceeds, basis, fees, holding-period breakdowns where applicable, and any income schedules. For U.S. returns, compare software totals with every Form 1099-DA you received, but remember that a broker form may not include self-custodied wallets or accounts held elsewhere.
Export both the filing-ready file and a human-readable transaction detail. Save the import date, source files, corrected classifications, transfer explanations, and report version. If software cannot explain a material result, pause filing and ask a qualified tax professional; automation is not a substitute for a defensible record.
When software is not enough
Professional advice is especially important when you used margin or derivatives, participated in decentralized-finance contracts, received compensation in tokens, operated a mining or staking business, transferred assets through entities or trusts, made gifts, became a nonresident, changed tax residence, or experienced a theft, hack, bankruptcy, or chain migration. These events can involve rules that a standard capital-gains importer does not model correctly.
If your country is not the United States, confirm the local definition of a disposal, treatment of crypto-to-crypto swaps, valuation currency, allowable fees, reporting thresholds, and required forms with that jurisdiction’s tax authority or a local professional. A U.S.-formatted Form 8949 export is not evidence that the underlying treatment is correct elsewhere.
