Before signing, get the refund formula, notice method, access rules and complete fee schedule in writing.
How coworking deposits work
A deposit or service retainer is security for your contractual obligations, not prepaid rent and not permission to use the space without paying invoices. The agreement should say the amount, whether it earns interest, what the operator may deduct and when the balance is returned.

What the deposit can cover
IWG plc/Regus’ 2026 global terms state that a service retainer or deposit is held without generating interest as security for performance of all obligations. The operator may deduct outstanding fees and other costs before returning the balance. That wording can include unpaid membership charges, damage, missing access credentials or other amounts expressly allowed by the agreement.
The Commons’ membership FAQ uses a condition-based refund: the member must leave the space in its original condition, return keys and access passes, and pay all fees. Its stated deadline is within six weeks of the last day, or the date bank details are supplied, whichever is later.

Trevor Workspaces states that office-room and exclusive-office packages require a security deposit equal to one month’s rent. It says the deposit is refunded within seven days after complete vacancy, less outstanding balances. That is a different trigger from a calendar-based membership end, so clarify what “complete vacancy” means for furniture, files and access cards.

These are operator-specific examples, not a universal industry rule. Ask for an itemized deduction statement, the address or account details required for payment, and the date the countdown starts. Photograph the desk or office, record meter or equipment condition where relevant, and obtain written confirmation that keys and cards were returned.
How much notice is needed to cancel?
Notice can be longer than one billing cycle. The decisive terms are the membership type, fixed or rolling duration, renewal clause, delivery method and whether a partial month is billed in full.

A notice period is not automatically a right to leave early without cost. A fixed-term agreement may continue charging through its end date, impose an early-termination amount or require a replacement member. Conversely, a month-to-month plan may still renew if notice arrives after the provider’s cutoff. Ask whether the deadline is measured in calendar days, business days or complete billing periods.
Cancellation procedure
- Locate the signed membership agreement, renewal notice and fee schedule; identify the exact end or renewal date.
- Check whether notice must be sent through an account portal, by email, by certified mail or to a particular legal entity. A message to a community host may not satisfy the contract.
- Send written notice before the deadline and state the requested final day, membership or suite number, and forwarding address.
- Request confirmation of the final invoice, any full-month charge, early-termination amount and deposit-return process.
- Keep proof of delivery and continue paying undisputed amounts until the contractual end date and move-out conditions are complete.
Does a coworking membership include 24/7 access?
Only if your plan and local house rules grant it. Access is a contractual entitlement with boundaries, not an assumption created by having a key card or app login.
Hours, approval and overnight rules
Coworking Whistler states that memberships include use of a designated desk between 9am and 5pm local time. It allows approved extended access between 5am and 11pm, but says, “You may not use it outside these hours until you get this written approval.” The same terms prohibit overnight stays from 11pm to 5am. A credential that technically opens a door does not override those restrictions.

The Commons says holders of a 24/7 access pass must provide identification for security purposes. Confirm whether 24/7 applies to every location, only a named member, or a particular plan; whether guests can enter outside staffed hours; and what happens when a membership is suspended for non-payment.

Cards, keys and guests
Ask whether a key or access card requires a separate deposit, whether credentials are personal, and how quickly a lost card is disabled. Coworking Whistler charges $100 when a key is not returned within 24 hours after membership ends. Other operators may use different amounts or deadlines, so the signed schedule controls.
Clarify guest registration, photo identification, escort requirements, meeting-room access and entry to partner locations. WeWork’s On Demand terms, updated April 20, 2026, incorporate location house rules, app terms, internet-access terms, partner-location terms and additional policies or payment obligations. The practical lesson is to read the linked rules for the specific site, not just the headline plan page.

Which fees are commonly omitted from the headline price?
Variable usage and administration charges can materially change the monthly cost. The Commons’ current fee schedule illustrates the categories to check. Amounts below are quoted as listed by that operator; GST applies where shown.

Use the schedule as a checklist, not as a prediction of every provider’s pricing. Ask for the overage rate for meeting rooms, printing, phone booths, lockers, storage, mail, events, cleaning, after-hours support and additional users. Confirm whether taxes, card-processing charges or annual increases are separate.

It can if the contract leaves an unpaid obligation or the move-out was incomplete. Common triggers include a notice deadline that was missed, a fixed term that had not ended, unpaid final invoices, damage, missing keys or cards, package storage, forwarding, or a deposit deduction authorized by the agreement.

Moving your belongings out is not necessarily the contractual end. Obtain a written surrender or vacancy confirmation, return every credential, remove mail and equipment, and ask for the final meter, room or desk inspection. The agreement may define the end date as the later of the membership expiry, complete vacancy, key return or settlement of the account.
If a post-move invoice arrives
- Compare the invoice with the signed agreement, fee schedule and cancellation notice.
- Request an itemized explanation, dates of service, tax calculation and evidence for damage or missing items.
- Dispute only the amount you genuinely contest, in the method and timeframe specified by the agreement, while paying undisputed charges.
- Ask when the deposit will be applied or refunded and whether a final statement closes the account.
- Preserve emails, photographs, delivery receipts and access-return confirmation in case a local consumer, small-claims or contract process becomes necessary.
Questions to answer before signing
Get written answers attached to the agreement or acknowledged by the provider. Marketing pages and verbal assurances may not override local terms.
- Is the arrangement a licence to use space or a tenancy, and which local law governs it?
- Is the plan month-to-month or fixed-term, does it auto-renew, and what happens at renewal?
- What exact notice form, recipient, email or postal address and deadline apply?
- What does the deposit secure, can it earn interest, which deductions are allowed, and when is an itemized refund sent?
- What hours apply to this plan? Is 24/7 access available, and are guests, meeting rooms, lockers and partner locations included?
- Are identification, key or card deposits, replacement charges and post-termination return deadlines specified?
- What are the joining, pause, late-payment, printing, room, mail, package, tax and overage charges?
- Can the operator change fees, hours, amenities or house rules, and how much notice must it give?
- What happens to access and billing if an invoice is late or disputed?
- What remedy applies if the desk, office, internet or other promised service is unavailable?

Compare contracts on the same axes rather than comparing only monthly prices:

- Cash at exit: deposit amount, interest treatment, permitted deductions and refund deadline.
- Commitment: term length, notice period, auto-renewal and early-termination cost.
- Usable access: ordinary hours, 24/7 eligibility, guest rules, identification and suspension policy.
- Included services: meeting-room credits, printing, mail, storage, phone booths and support.
- Variable exposure: published overage, administrative, replacement, late, tax and forwarding fees.
- Change rights: how the operator can alter prices, hours, amenities or house rules.
- Service failure: credits, relocation, cancellation or other remedies when space or services are unavailable.
Calculate a realistic first-year and exit cost using your expected room bookings, pages printed, guests, mail volume and likely cancellation date. A plan with a higher headline price can be cheaper if it includes the services you actually use; a low price can become expensive when every extra is metered.
