For an existing Word, Excel, or PowerPoint file on a phone, use the dedicated Office app to edit it. The Microsoft Copilot app can preview supported files, answer questions about them, and help create new Office files, but Microsoft’s current mobile guidance redirects editing to Word, Excel, or PowerPoint. Copilot can also appear inside those Office apps, where it assists with the document or workbook already open.
The confusing part is the name “Microsoft 365.” It can mean the subscription, the collection of Office apps, or Copilot features embedded in those apps. Those are related but not interchangeable. Ordinary Office editing and AI-assisted editing have separate access rules, and availability changes by account type, plan, platform, app channel, file format, storage location, and rollout status.

The short answer: Copilot is the entry point; Office apps are the editors
Think of the Copilot app as a conversational front door to Microsoft’s productivity tools. You can ask it to draft something, analyze a supported file, or create a Word, Excel, or PowerPoint file. When you need to make conventional changes to an existing file—typing paragraphs, changing spreadsheet cells, adjusting slide layouts, or applying detailed formatting—the workflow moves to the matching Office app.
On mobile, Microsoft says that when you open a Word, Excel, or PowerPoint file in the Copilot app, selecting the editing action redirects you to the appropriate Word, Excel, or PowerPoint mobile app. The Copilot previewer can remain useful for reading and asking questions, but it is not the replacement for the full editor.

Copilot inside an Office app is a different experience. In Word, for example, “Edit with Copilot” works as an in-document co-creator: it can create, edit, refine, and format content in the document currently open. It does not create a separate new Word file in that mode. The feature is rolling out, so the controls and eligibility shown on one account or device may not appear on another.
What “Microsoft 365” means in this comparison
Readers commonly use “Microsoft 365” to describe three different things:
- The app suite: Word, Excel, PowerPoint and related services used on mobile, the web, or desktop.
- A subscription or work/school license: an account entitlement that can unlock additional apps, storage, and features.
- Copilot features inside Office: AI tools presented within Word, Excel, PowerPoint, and other Microsoft 365 surfaces.
These definitions matter because an Office file can often be opened or edited through a dedicated app without treating every edit as a Copilot operation. Conversely, having a Microsoft 365 subscription does not guarantee that every Copilot capability is enabled. Microsoft says availability depends on the signed-in account, subscription or license, platform, app version or channel, and rollout state.

Copilot app and Office apps compared by task
| Task | Copilot app | Word, Excel, or PowerPoint |
|---|---|---|
| Ask questions or brainstorm | Chat-based questions and file-related conversations, subject to account and feature availability. | Copilot features may be available inside the open Office file for eligible accounts. |
| Create a new Office file | Microsoft describes creating Word, Excel, and PowerPoint files from Copilot. On mobile, subscribers can prompt in Chat and follow the generated link to open the file. | The dedicated app is where you open the generated file and continue normal editing. |
| Edit an existing mobile file | Can preview a supported file and answer questions about it; Microsoft’s mobile flow redirects editing to the corresponding Office app. | The dedicated app provides the normal editing surface. Copilot assistance appears only when the account and rollout support it. |
| Use AI on content already open | File-oriented chat and creation features vary by account and platform. | Features such as Edit with Copilot in Word act directly on the currently open document. |
There is no universal feature-parity promise across every build. A capability listed in Microsoft’s general Copilot overview may not be present in a particular mobile release, geographic market, account type, or license.
Editing an existing file on a phone
Subscribers: preview in Copilot, edit in Office
- Sign in to the Copilot mobile app with the account that has access to the file.
- Open the Word, Excel, or PowerPoint file from the available file view or a shared link.
- Use the previewer to read the file or ask Copilot questions when that capability is offered.
- Choose the edit action. Microsoft’s current mobile guidance says you will be redirected to the appropriate Word, Excel, or PowerPoint mobile app.
- Make the changes in that dedicated app, then save or share from the Office app’s normal controls.
Microsoft’s February 2026 mobile guidance describes a broader change: full file browsing and in-app Word, Excel, and PowerPoint editing functions are being discontinued in the Copilot mobile app. OneDrive is the destination for full file management, while the dedicated Office apps handle editing.
Non-subscribers: start in the dedicated app
Microsoft’s guidance directs non-subscribers to the dedicated Office apps for creating new files. Copilot may still show recent files or provide a conversational entry point, but full file management uses OneDrive and editing uses Word, Excel, or PowerPoint. The exact prompts and buttons depend on the account and current app release.
Creating a file from Copilot
- Open Copilot Chat and describe the file you want, such as a short report in Word, a budget workbook in Excel, or a presentation outline in PowerPoint.
- When Copilot offers a generated file, follow its download or open link.
- Continue in the corresponding Office app. Treat the generated result as a starting document: inspect formulas, formatting, references, and factual content before sharing it.
Creation from Copilot does not turn the Copilot app into a complete replacement for the Office editor. The handoff is intentional: Copilot starts the artifact, and the dedicated app provides the full editing controls.

Using Copilot inside Word, Excel, or PowerPoint
Word’s “Edit with Copilot” workflow
Microsoft describes Edit with Copilot in Word as working “in the currently open document.” You select or invoke the feature from within Word, describe the change, and review the proposed result in that document. It can help create, edit, refine, and format content, but it cannot create a separate new Word file from this editing mode.
Microsoft also says this Word feature cannot generate or insert images into the document. Use Word’s ordinary insertion tools or another supported workflow when you need images. Changes should be reviewed rather than accepted blindly: Word provides undo controls and, where available, prior-version review.
Excel and PowerPoint
Microsoft says Copilot features can be available in Office apps for supported accounts, but it does not establish identical controls or entitlement rules for every Excel or PowerPoint release. If Copilot is missing, verify the account, license, app update, platform, and rollout channel instead of assuming that the file is unsupported.

Edit with Copilot has been rolling out and may require an eligible license, Frontier or Insider preview participation, or a particular app channel, depending on the account and release status. These are not a permanent universal license matrix. Microsoft can change the conditions as the feature moves between preview and general availability.

File formats and storage affect what Copilot can do
Microsoft publishes task-specific format guidance rather than one blanket compatibility promise. For personal-plan workflows, Microsoft says Copilot works with supported files stored in OneDrive and used in Microsoft 365 apps. The listed formats differ by task:
| Task or app | Formats listed by Microsoft | Important qualification |
|---|---|---|
| Word documents | DOCX, DOC, PDF, TXT, RTF, HTML, and HTM | Support applies to the relevant Copilot task, not automatically to every operation on every file. |
| Excel analysis | XLSX, XLSM, and XLSB | The workbook must meet the task’s access and storage requirements. |
| PowerPoint creation or enhancement | PPTX, PPT, PDF, and DOCX | Creation and enhancement support are task-specific. |
A file extension alone does not guarantee that Copilot can edit, analyze, or create from the file. Confirm that the file is in the supported storage location, that you are using the correct Microsoft account, and that the requested operation is listed for that format.
Which option should you choose?
Choose the Copilot app when you want to:
- Turn a request into a first-draft Word, Excel, or PowerPoint file.
- Ask conversational questions about a supported file without immediately changing it.
- Brainstorm, summarize, or plan before opening the full editor.
- Use one entry point that can launch the appropriate Office app.
Choose the dedicated Office app when you need to:
- Edit an existing mobile file with the complete Word, Excel, or PowerPoint controls.
- Change individual cells, formulas, slide objects, styles, comments, or document layout precisely.
- Work with files that Copilot can preview but cannot edit in its mobile surface.
- Continue editing a file created from a Copilot prompt.
Use Copilot inside Office when you need AI help on the open file
This is the middle path: you stay in Word, Excel, or PowerPoint while asking Copilot to revise or work with content already open. Its usefulness depends on the feature being enabled for your account and app channel. It should be treated as an assistant layered onto the editor, not as evidence that the standalone Copilot app has full editing parity.

- Account: Confirm whether you are signed in with a personal account or a work/school account.
- License or plan: Check that the specific Copilot feature—not merely the Office app—is included in your entitlement.
- Platform: Compare the mobile, web, and desktop behavior; they may not expose the same controls.
- App channel and version: Preview or Insider builds can show features that a standard release does not.
- Rollout: A documented feature may still be arriving gradually.
- Storage: For personal Copilot file workflows, verify that the supported file is stored in OneDrive.
- Format: Match the file type to the task-specific format guidance.
Common problems and fixes
“I can open the file, but there is no Edit button in Copilot.”
This is expected in the current mobile design for many files. Open the matching Word, Excel, or PowerPoint app. Use OneDrive for broader file management rather than expecting the Copilot mobile app to provide the full editor.

“Copilot created a file, but I cannot make detailed changes there.”
Follow the generated open or download link and continue in the dedicated Office app. Copilot’s creation flow and the Office editing flow are separate stages.
“Edit with Copilot is missing in Word.”
Check the signed-in account, license, Word version, app channel, and rollout status. The feature may require an eligible license or preview participation, and Microsoft’s conditions can change as deployment progresses.
“Copilot will not analyze my file.”
Check the extension, OneDrive location, account type, and requested task. Microsoft’s format list is task-specific, so support for opening or previewing a file does not establish support for every analysis or editing action.

Pick the symptom - the matching free tool is one click away.
“I am worried about changing a shared document.”
Review Copilot’s proposed edits before accepting them, use undo when necessary, and check prior versions where the Office app provides version history. Microsoft specifically advises care with sensitive or shared documents.
What the comparison means in practice
The practical division is straightforward: Copilot helps you start, understand, and transform content through conversation; Word, Excel, and PowerPoint remain the places where you perform dependable, fine-grained file editing. A Microsoft 365 subscription or Copilot-enabled license can add AI assistance, but it does not erase the distinction between the Copilot app and the Office editors.
For a phone workflow, open the file in Copilot if you want a preview or questions, then switch to the dedicated Office app to edit. For a new file, Copilot can generate a starting artifact and hand it off to Office. For AI-assisted revisions, open the file in Word, Excel, or PowerPoint and use the Copilot control shown for your account. Always verify the account, plan, platform, format, storage location, and rollout before concluding that a feature is unavailable.
