Overview

A timeline makes availability visible, while two-click reservations and filters for capacity, amenities, and location help people find and book a suitable room. Roomzilla also covers desks and other assets, so it can suit offices, venues, classrooms, and home offices that need more than meeting-room scheduling. The three-resource free cap is enough to assess a small setup, but it is a narrow starting point for a larger workplace.

Key features

Booking and space management

QR-code quick reservations, interactive maps, approval queues, guest reservations, reports, and booking limits extend the system beyond basic availability lookup. These controls are useful when administrators need to manage varied resources and booking rules; a team that only needs simple desk reservations may not benefit from the broader toolkit.

Check-in and calendars

Check-in rules can trigger automatic cancellation when someone misses the configured window, returning an unused room or resource to availability. That helps reduce space left idle by no-shows, though the benefit depends on people following the check-in process. Roomzilla describes syncing resources, users, and calendar events with Google Calendar and Microsoft Outlook.

Mobile access and displays

Users can search, book, modify, and cancel reservations through the mobile version in a phone or tablet browser. Room displays work with Android tablets and iPads. Android and iOS are among the supported platforms, alongside web access, but the mobile reservation workflow is browser-based.

Security and data

Roomzilla says it does not yet have formal security documentation for customers, while specialists handle application security. Its privacy policy says it collects account and reservation information, including names, email addresses, and reservation location, time, and stated purpose. Organizations that require formal customer-facing security documentation should weigh that gap before adoption.

Pricing

The Free plan costs 0.00 USD per free and covers up to 3 resources. It includes email support, but the resource cap makes it best for a small operation or an initial evaluation rather than a broad rollout. The pricing page offers a 14-day free trial with no card needed.

Standard (yearly) is 10.00 USD per year, billed monthly rate paid yearly, per resource, with unlimited resources. Standard (monthly) is 12.00 USD per month, billed per resource, with unlimited resources. These plans suit teams booking rooms and other resources; the yearly option costs less per month on the stated rate but commits the buyer to annual payment.

Business (yearly) is 10.00 USD per year, billed monthly rate paid yearly, per desk/equipment, with unlimited resources. Business (monthly) is 12.00 USD per month, billed per desk/equipment, with unlimited resources. These are the relevant billing bases for teams managing desks or equipment; compare the counted inventory with the Standard per-resource basis before choosing. Discounts are available for accounts with more than 30 resources.

Platforms

Roomzilla supports Android, iOS, and web. Reservations on mobile are handled in a phone or tablet browser, and room displays are compatible with Android tablets and iPads.

Who it's for

Roomzilla is best suited to workplaces that manage meeting rooms alongside desks or other shared assets and want check-in rules to return unused bookings to circulation. Its support for offices, venues, classrooms, and home offices broadens its potential fit. It is less compelling for teams with only a few simple desk-booking needs, or for buyers who require formal security documentation before selecting a system.

Pros and cons

Pros: The timeline, filters, and two-click reservations keep room selection focused on availability and fit.
Pros: Check-in and auto-cancellation can release missed bookings, helping others use space that would otherwise stay reserved.
Pros: Calendar syncing, interactive maps, approvals, guest bookings, reports, and limits serve more complex resource-management needs.
Cons: The free plan stops at three resources, limiting its usefulness for larger workplaces.
Cons: Pricing is charged per resource or per desk/equipment, so the appropriate plan and total cost depend on the inventory being managed.
Cons: Roomzilla does not yet provide formal security documentation for customers, a drawback for organizations that require it.

Alternatives

For a simpler desk-booking focus, Officely has a free plan for up to five users with all features, while its Basic plan is 2.50 USD per month per user for simple desk booking. desk.ly may suit a small team looking for a free plan for up to 15 users, with Enterprise features. If self-hosting and open-source software are priorities, DeskGrid is free under the MIT License and self-hosted. Kadence is worth considering for buyers seeking desk and room booking alongside visitor management, workplace analytics, move management, interactive floor plans, and integrations with Microsoft Teams, Slack, and HRIS.

Trezod is another workplace software option. deskbird offers desk, room, and parking booking, native mobile apps, check-ins, auto releases, smart recommendations, and MS Teams integration at 4.75 USD per month per active user. DeskFlex may appeal to buyers seeking a paid plan that combines desk and meeting-room booking with visitor management and workplace analytics; its Growth plan is 50.00 USD per month on an annual subscription for up to 25 spaces. OfficeSpace is an alternative with desk and room booking, a mobile app, integrations, facility requests, visitor management, and portfolio reports.

For broader directories, compare Desk Booking Software and Room Booking Software.

Verdict

Choose Roomzilla if your workplace needs to coordinate rooms, desks, or equipment and would benefit from check-in rules that release missed bookings. Its booking and space-management breadth is the main reason to choose it. Look elsewhere if the three-resource free cap is too restrictive, per-item billing does not suit your inventory, or formal customer security documentation is a requirement.
