Overview

Workday puts benefits operations beside core employee records instead of treating enrollment as an isolated process. HR teams can manage plans, eligibility rules, enrollment, communications, and analytics in the same environment. Employees receive a guided way to compare plans, costs, and provider information, then complete enrollment from a desktop or mobile device.

Total Benefits extends that model to wellness and employee guidance on Workday’s AI platform. Real-time provider data can produce insights and benchmarks across enrollment, usage, claims, costs, and employee sentiment. That breadth is useful for employers wanting a consolidated view of benefits activity, but results depend on the providers connected and the quality of data flowing into Workday.

Key features

Administration and enrollment

Connected administration is designed to automate complex benefits programs end to end. Eligibility, enrollment, employee communications, and analytics remain associated with employee data, reducing the need to reconcile separate systems. The Benefits and Pay Hub gives employees one destination for benefits information and related tasks, while personalized guidance, cost estimates, plan comparisons, and provider details help them make choices rather than simply submit a form.

Provider connectivity and benefits coverage

Cloud Connect for Benefits supplies prebuilt provider templates using ANSI X12 834 and LIMRA Data Exchange schemas. The supported scope includes medical, dental, vision, insurance, COBRA, spending accounts, retirement plans, evidence of insurability, and additional benefits. Workday also supports provider connections through APIs and offers partner categories spanning healthcare, financial wellness, insurance and absence, mental health, family and lifestyle, advisory, and platform services. This is a strong fit for organizations with varied benefits portfolios; employers with unusual provider requirements should confirm connection coverage before committing.

Compliance, wellness, and insight

Workday tracks hours and can trigger healthcare enrollment for eligible part-time workers. Certified integrations can transmit data for ACA reporting and generate compliance reports, helping teams connect administration with regulatory workflows. Workday Wellness lets employees discover and connect with partner solutions. Provider data can support benchmarks on claims, costs, usage, enrollment, and sentiment, giving benefits leaders a wider management view than enrollment counts alone.

Security and support

Workday says customer data is encrypted at rest with AES-256 and protected in transit with TLS. Benefits integrations use encrypted transmission or secure FTP and support the HIPAA-compliant 834 standard. Mobile apps do not store personally identifiable data locally, and permissions control what employees can see. Workday cites SOC 2 Type II coverage for security, availability, confidentiality, processing integrity, and privacy, along with ISO 27001, 27017, 27018, and 27701 certifications. General support is available 24/5, severity-one cases 24/7/365, and subscription Success Plans provide 24/7/365 availability. Employees needing account assistance must go through their employer’s HR or IT department.

Pricing

Workday Benefits uses paid, custom pricing. There is no public seat quota, free tier, trial period, or renewal term to compare, so buyers should request a quote that reflects workforce size, required modules, provider connections, compliance needs, and support coverage. Custom pricing suits organizations budgeting for an integrated enterprise HCM deployment, but it makes direct cost comparison difficult for smaller employers and teams with narrowly defined benefits requirements.

Platforms

Workday Benefits is available on the web, Android, iOS, and through an API. Workday says its Android, iPhone, and iPad apps are free to Workday customers. The API and provider integrations matter most to organizations connecting benefits carriers and other partners, while the mobile apps support employee self-service away from a desktop.

Who it's for

This is aimed at organizations that already use, or intend to use, Workday for employee data and want benefits administration in the same operating environment. It is particularly suitable for employers managing multiple benefit types, part-time eligibility, ACA reporting, wellness partners, and carrier exchanges. It is less suitable for a small organization that wants transparent pricing, a short implementation, or only basic enrollment without HCM integration.

Pros and cons

Pros

Unified administration: Plans, eligibility, enrollment, communications, and analytics stay connected to employee records.
Broad benefits support: Coverage spans core insurance, COBRA, spending, retirement, evidence of insurability, and additional benefits.
Employee decision support: Guided comparisons, cost estimates, provider details, and a central Benefits and Pay Hub improve the enrollment journey.
Compliance workflows: Hours tracking, part-time enrollment triggers, and certified ACA reporting integrations support regulated processes.
Enterprise controls: Encryption, secure transfer options, mobile privacy controls, and multiple security certifications address sensitive benefits data.

Cons

Custom pricing: Buyers cannot assess a published per-user cost or free trial before contacting sales.
Workday dependence: The connected model is most compelling in a Workday HCM environment and may be unnecessary as a standalone tool.
Provider fit matters: The value of templates, APIs, analytics, and wellness connections depends on participating providers and available data.
Employer-mediated account help: Employees cannot obtain account support directly from Workday.

Alternatives

Choose Employee Experience Management Software when the priority is a wider employee-experience category rather than benefits administration specifically. Nonprofit Payroll Software is the more relevant starting point for nonprofit payroll needs. Talent Marketplace Software fits internal opportunity and mobility programs, while HR Service Delivery Software focuses on service workflows. Job Description Management Software and Skills Management Software address job content and workforce skills rather than benefits.

ThriveSparrow Rewards Marketplace offers paid plans plus a free plan and trial on Android, iOS, and web, making it worth considering for recognition-oriented programs. Harmny HR Compliance has a forever-free plan for up to 10 users with 5 GB storage, suited to very small compliance teams. Qualtrics provides a free survey tier for one user, three active surveys, and 500 responses; choose it for feedback collection rather than benefits administration. QuestionPro has a free Essentials plan with 200 responses per survey and a $99-per-month Advanced plan billed annually, fitting survey programs with explicit response limits. Perceptyx, Gallup Access, Korn Ferry Assess, and Medallia use custom or sales-led pricing and are alternatives to evaluate for their respective employee listening, assessment, or experience offerings.

Verdict

Choose Workday Benefits if your organization wants broad benefits administration, employee self-service, provider connectivity, and ACA workflows anchored to Workday employee data. Its strongest reason to buy is the unified operating model, reinforced by extensive benefits coverage and enterprise security controls. Look elsewhere if transparent pricing, a lightweight standalone enrollment product, or direct employee support is more important than HCM integration.
