Overview

GymSales is a fitness-focused lead and sales management platform for clubs that handle guest visits and prospect enquiries through a team. Its strongest case is the joined-up workflow from sign-in to follow-up and sales reporting; it is a less natural fit for a business seeking a low-cost, self-serve CRM.

Key features

Gyms can capture guest details and signed waivers through a branded iPad sign-in app or QR-code flow. That gives front-desk teams two ways to turn visits into trackable prospects, though the dedicated guest app is for iPad rather than a general mobile sales workflow. Existing lead forms can also connect through the GymSales API.

After capture, staff can build prospect profiles, assign salespeople and manage follow-up tasks. Automated follow-ups, bulk campaigns and individual email, SMS and phone engagement give teams several ways to keep enquiries moving. SMS is supported, but optional SMS is billed per credit sent, so high-volume campaigns may add to subscription costs.

Managers can review campaign performance, waiver compliance, daily activity, sales funnels, team performance and custom sales targets. This range is useful for connecting outreach with sales execution, not just storing contact details. GymSales can also track secondary sales such as personal training and childcare, with separate automated items and follow-up tasks; that extension is most relevant to clubs that sell more than memberships.

Member-system integrations include ABC Ignite and ABC Glofox, as well as ASF, Club Automation, Circuit, Clubwise, Excerp, Gladstone, Gym Master, Hapana, Jonas Fitness, Membr, Mindbody, Motion Soft, Peak Payment and Virtuagym. WhatsApp is described as coming soon, so it should not be treated as a current messaging option.

Pricing

GymSales uses custom pricing: prospective customers are directed to book a demo, and subscription fees are set out in a subscription agreement. Fees are invoiced monthly and paid monthly in advance. Optional SMS is charged per credit sent, an important variable for clubs that expect to send frequent texts. There is no published tier comparison to weigh against team size or usage, so buyers should confirm the included services and expected messaging costs during the sales process.

Platforms

GymSales is web-based, with Android, iOS and API support. Its branded ABC GymSales Guest Waiver app is specifically an iPad tool for lead capture and guest waivers. The terms set a 99.95% monthly uptime target, subject to exceptions including planned downtime and third-party outages. They also say support aims to respond within one business day, with reasonable efforts to respond within two hours or less. GymSales says it will notify subscribers within 72 hours of becoming aware of a personal-data security breach. Its Data Processing Addendum includes standard contractual clauses for applicable cross-border transfers.

Who it's for

GymSales is best suited to fitness clubs with staff responsible for converting enquiries and guest visits, especially those that want sales assignments, follow-up automation, campaign reporting and member-system integrations in one workflow. Clubs selling personal training or childcare may also benefit from tracking those sales alongside membership prospects. Businesses wanting a transparent published price, or only a simple contact list, should compare alternatives before committing to a demo-led purchase.

Pros and cons

Pros: Guest sign-in supports both branded iPad and QR-code workflows, with waiver submission, giving clubs practical capture choices.
Pros: Automated and one-to-one outreach, salesperson assignments and task management link lead handling with team accountability.
Pros: Reporting spans campaigns, waivers, daily activity, funnels and custom targets, with additional sales tracking for services such as personal training.
Cons: Custom pricing requires a demo and subscription agreement, making costs harder to compare before speaking with sales.
Cons: Optional SMS is charged by credit, which can make messaging volume a separate budget consideration.
Cons: The dedicated guest waiver app is for iPad; it is not described as a general mobile app for staff sales work.

Alternatives

BuddyPT Fitness CRM is worth considering for buyers who want a free entry point: its free plan supports 10 clients, while paid tiers are priced at $35.00 USD per month for 25 clients and $60.00 USD per month for Professional. GymSales is the more directly described choice for club guest capture, team sales workflows and gym-system integrations.

Cratio CRM may suit buyers seeking an annually billed option: its Pro plan is 799.00 INR per year with a five-user minimum and 18% GST extra; its Enterprise plan has custom pricing. GymSales may fit better when gym-specific guest sign-in and listed member-system integrations are priorities.

Keepme is another paid, web-based option to compare.

Smarfle offers a published Solo plan at $19.00 USD per month, month-to-month, for one user and up to 100 clients. That makes it a clearer starting point for an individual who wants known costs and client management; GymSales is oriented toward fitness-club lead capture and team sales processes.

TatvaCRM and UrbanGym are freemium alternatives for readers who want to compare products with free plans.

WinChilla is a paid alternative for readers comparing another platform in this category.

Verdict

Choose GymSales if your fitness club needs a coordinated system for guest capture, prospect follow-up, team accountability and sales reporting, particularly alongside an existing member platform. Its breadth is the reason to consider it; custom pricing and per-credit SMS charges are the main reasons to look elsewhere if cost predictability or a lightweight self-serve setup matters more.
