Overview

ClassWolf brings course administration together for schools that run recurring activities, from dance and martial arts to music and languages. It is strongest for operators who want schedules, enrollment, attendance and class entitlements in one system; its free tier is too constrained for a growing school.

Recurring sessions stay synchronized with their source course, while public enrollment pages, attendance records and pass balances address the work around each class. That breadth is useful, but schools needing fee collection, reports or communications must move beyond the free plan.

Key features

Class sessions are generated automatically on a calendar and update when the underlying course changes. This reduces schedule upkeep for schools with repeat classes, though it is not a reason by itself to choose ClassWolf if the school only needs a calendar.

The mobile-first attendance tool records present, absent, late or excused status, supports walk-ins and saves automatically. Public course pages offer branded enrollment links, seat counts and waitlists; when a place opens, a waitlisted student can be promoted automatically and sent a confirmation email. These features connect registration and attendance rather than leaving staff to reconcile separate workflows.

Class packs, time-based passes and unlimited memberships show expiry dates and remaining balances, helping staff track what students can use. Teacher earnings can be calculated from fixed fees or a percentage of collected fees and exported as monthly reports. ClassWolf sends collections to existing invoicing software such as Holded; Pro adds Verifactu and SDI integrations for EU electronic invoicing.

Starter includes a Telegram bot for classes, attendance and time clock, while Pro adds Telegram push alerts. Staff tools and automated emails support English, Spanish, Italian, French and German. ClassWolf uses passwordless magic-link authentication. Its privacy policy describes TLS encryption, encryption at rest where supported, role-based tenant access, network isolation, backups and audit logging. Customer data is hosted on EU infrastructure, can be exported at any time, and is handled under the EU GDPR with ClassWolf acting as processor.

Free migration from an existing platform and a public-facing school website connected to enrollment may ease a move, especially for a school consolidating its administration. ClassWolf is a multi-tenant cloud service, so schools should expect to work in a shared hosted platform rather than run their own installation.

Pricing

Cub is free, but its caps make it a small-scale starting point: up to 3 courses, 3 disciplines, 3 teachers and 30 students. It excludes fee collection, reports, communications and online payments, so schools that need those functions should budget for a paid plan rather than treat Cub as a full operating system.

Starter costs €99/mo and lifts capacity limits, with unlimited students, courses, teachers and disciplines. It is the practical fit for schools that need ClassWolf's core administration at scale, including the Telegram bot and monthly teacher payout reports.

Pro costs €149/mo and adds EU electronic invoicing, a custom domain and unlimited video hosting to Starter. Choose it when those additions matter; online payments are marked as coming soon, so they should not be treated as a current Pro capability. ClassWolf has no free trial, which makes the free plan the only no-cost way to assess the product before paying.

Platforms

ClassWolf is web-based, with web and mobile booking channels. Its attendance tool is mobile-first, but the platform is not identified as a native mobile app.

Who it's for

ClassWolf is a good fit for schools managing recurring activities, multiple teachers and student enrollment, particularly when waitlists, attendance and passes need to stay connected. Its unlimited Starter capacity favors organizations that have outgrown a small free tier. A school with no more than 30 students and only basic scheduling may manage on Cub, but should account for its excluded reporting, communications and collection features. Those seeking online payments today should look elsewhere or wait for that capability to arrive.

Pros and cons

Pro: Automatic recurring-session updates reduce manual calendar maintenance when courses change.
Pro: Enrollment, waitlists, attendance and pass balances cover several linked school workflows in one service.
Pro: Starter has unlimited students, courses, teachers and disciplines, avoiding per-seat or course caps as a school grows.
Pro: EU-hosted, exportable customer data and stated GDPR processing protections suit schools handling student records.
Con: Cub's 30-student and three-each course, discipline and teacher caps, plus excluded features, make it unsuitable for a fully functioning larger school.
Con: The first paid tier is €99/mo, a substantial step from free for schools that only need a subset of the system.
Con: Online payments are not yet available, despite class packs and membership tracking.
Con: It is web-based rather than listed as a native mobile app, which may not suit schools seeking an app-first platform.

Alternatives

For a broader category search, compare Fitness Class Scheduling Software or Yoga Studio Software.

Resovu is worth considering for a smaller booking operation: its free plan allows 3 services, 45 bookings per month and 1 team member, while Starter is €12.00 per month for 10 services, 300 bookings per month and 3 team members. Its free plan also charges a card payment fee of 2,9 % + €0,15.
YogaCRM is an option for teachers who want Android or iOS as well as web access; it has a free plan and trial, and its Solo Teacher plan is shown at $10 saved with unlimited bookings and 0% platform fee on online bookings.
Momence is a paid alternative with web, iOS and Android platforms.
DANZ may suit a school preferring desktop and mobile apps: DANZ Solo is €49/month excluding VAT, with no commitment, monthly cancellation, 26 modules, 4 app roles and unlimited students and teachers.
Arketa is a paid option with Android, iOS and web access and a free trial; its Individual plan is $49.00 per month billed annually, with a 3% transaction fee plus Stripe fees and one team member login.
Eversports Manager is another paid studio-management option, with Android, iOS and web access; Light is €49.00 per month with annual billing and up to 49 bookings per month.
Pike13 may suit studios seeking unlimited staff seats and client profiles; its Essential plan is $159.00 per month, billed monthly, with a 12-month contract.
PM Course Booking is a paid web-based alternative.

Verdict

Choose ClassWolf if your school needs recurring schedules and the administration around them—enrollment, attendance, passes and teacher payouts—in one web platform. Its unlimited Starter capacity is a clear advantage for growing schools, but the €99/mo entry price and Cub's narrow limits make it a poor bargain for basic scheduling alone. Look elsewhere if native mobile apps or currently available online payments are essential.
