Overview

Appspace Workplace brings employee communications together with intranet content and workplace screens. It suits organizations that need to reach both office-based and frontline employees through several channels, especially when signage or workplace services matter alongside messaging. Its main trade-off is scale: the free account is useful for a small pilot, but its user, device, storage, and bandwidth caps rule it out for broad deployment.

Communications can be published through the Employee App, Slack, Webex, Microsoft Teams, digital signage, and the company intranet. That mix gives organizations a choice between familiar collaboration tools and dedicated channels. The intranet gathers project files, announcements, and company conversation; the Employee App can also serve as a route to space reservation and visitor management. Those workplace functions add reach, but may be unnecessary overhead for a buyer seeking only a straightforward employee-messaging tool.

Appspace began as a digital signage company in 2002 and later broadened into other workplace products. Its signage covers conference rooms, meeting areas, public spaces, and connected display walls.

Key features

Publishing and audience control

Teams can use email publishing and mobile access, target audiences, and apply content approvals. Customizable templates can help keep branded messages consistent across channels. These controls suit organizations with multiple audiences or review steps; a small team with little publishing governance may have less reason to value them.

Integrations and dynamic content

Named connections include Slack, Microsoft Teams, Webex, Office 365, Atlassian, WordPress, SharePoint, Outlook, Okta, and Google Search. Appspace also says it can use APIs to pull material from intranets, wikis, and collaboration products, and share dynamic information from RSS and XML feeds. This breadth can support a connected communications setup, though the value depends on which services an organization already uses.

Security, backups, and support

Appspace states that customer data is encrypted with TLS 1.2 or higher in transit and AES256 at rest. It lists SOC 3 Type II, ISO 27001, ISO 27017, and Cloud Security Alliance credentials. Platform database and content backups occur at least every four hours and are retained for at least three months. Base support includes managed cloud infrastructure, current software releases, online documentation, and video tutorials; higher tiers add chat or phone support and stated response times. Organizations needing direct assistance should weigh those higher-tier support options.

Pricing

Appspace uses a freemium model, and its plan terms include monthly quotas as well as user and device limits. The free plan costs 0.00 USD per free and allows two Premium Users, one Appspace Device ID, up to two Admins, 5GB storage per month, and 5GB bandwidth per month. That makes it a constrained way to evaluate the product, not a free rollout for a sizable workforce or signage network.

Express has custom pricing and includes 25 Premium Users, 25 Appspace Device IDs, 25GB storage per month, and 25GB bandwidth per month; it is offered month-to-month or annually. It is a better fit than Free for a small organization that needs more capacity, but the quotas still bound usage.

Enterprise also has custom pricing, with 50 Premium Users, 50+ Appspace Device IDs, 50GB+ storage per month, and 50GB+ bandwidth per month, on month-to-month or annual terms. Its higher minimum capacity better fits a broader deployment, though buyers should compare that capacity with their expected audience and screen count when seeking a quote.

A separate Growing business bundle offers a 30-day free trial for up to 500 intranet users and 25 signage screens, with no credit card required. That is a more relevant evaluation path for an organization whose needs exceed the Free account’s two Premium Users and single device. Appspace also offers a free trial; trial duration is stated for this bundle.

Platforms

Appspace supports Android, iOS, web, Windows, and API access. This gives organizations mobile and browser options alongside Windows and integration access, while the product's channel coverage also includes workplace displays.

Who it's for

Appspace is strongest for organizations coordinating employee communications across frontline and office channels, particularly those that also want an intranet, digital signage, or access to space reservation and visitor management through the Employee App. Its full frontline-channel coverage, audience targeting, and approvals support more structured communications. It is a weaker fit for buyers who need only one simple channel or want a free plan sized for a large audience.

Pros and cons

Pro: Messages can span employee apps, collaboration services, intranet, email, and signage, giving communications teams several ways to reach different audiences.
Pro: Intranet, signage, and links to space reservation and visitor management extend the offer beyond messaging alone.
Pro: Free and trial options provide entry points, including a 30-day bundle trial for up to 500 intranet users and 25 screens without a credit card.
Con: The Free plan’s two Premium Users, one device, 5GB storage, and 5GB monthly bandwidth sharply limit its usefulness beyond evaluation.
Con: Express and Enterprise have custom pricing, so buyers cannot compare their cost from the plan terms alone.
Con: Base support centers on documentation and tutorials; chat or phone support requires a higher tier.

Verdict

Choose Appspace Workplace if your organization needs one communications setup spanning employee channels, intranet content, and physical signage, with workplace services within reach through its Employee App. Its breadth is the clearest reason to choose it. Look elsewhere if you need only a lean messaging tool, or if a free plan must support more than two Premium Users and one device.
