Do not create every name automatically. Create an alias when the corresponding function exists, route it to a monitored owner or queue, and publish it only if someone can respond.
What a role-based email address is
A role-based address identifies a function rather than an individual. Messages sent to [email protected], for example, should reach the people handling sales inquiries, even when staff members change. A role mailbox can be a shared inbox, a distribution list, an alias that forwards to several people, or an address connected to a ticketing system.

The governing rule comes from RFC 2142, an Internet standards-track document published by the Internet Mail Consortium in May 1997: organizations that exchange email on the Internet are encouraged to support “AT LEAST each mailbox name for which the associated function exists within the organization.” The same document says that if a service is offered, its associated mailbox name must be supported and delivered to an appropriate recipient. That does not mean every domain needs every conventional name; it means a real function should have a reachable contact.

Role addresses are useful because they provide continuity, make the destination clear to outsiders, and separate unrelated conversations. They also create obligations: someone must monitor each address, protect access, and know what response is expected.

Info, sales, support, and marketing: the differences
info@: the general front door
Use info@ for broad questions about the organization, products, or services when the sender cannot reasonably choose another department. It is a useful public address on a small-business website, but it should not become an unowned dumping ground. Publish a response expectation or an alternate route if messages need specialist handling.
sales@: purchase and commercial questions
sales@ is for product-purchase information, quotes, plans, availability, and pre-sale questions. RFC 2142 assigns SALES specifically to product-purchase information. Order confirmations and other transaction messages may use a consistent sales sender, but billing disputes or technical faults belong with the appropriate operational team.
support@: help after or during use
support@ is the customer-service channel for product or service problems. Connect it to a queue with assignment, status tracking, and escalation rather than forwarding it to one employee’s personal inbox. If support is handled through a help center or contact form instead, publish that route clearly and do not advertise an unattended mailbox.
marketing@: communications and campaigns
marketing@ handles marketing communications, campaign questions, partnership proposals, and content requests. Keep it separate from support and transactional mail so consent, suppression requests, and customer problems are not lost among promotional work.
Administrative and trust addresses
admin@
admin@ is a flexible administrative contact, but its exact scope is organization-specific. Define what it accepts—such as contracts, invoices, account paperwork, or general administration—before publishing it. If the only administrator is a single person, use a role mailbox or forwarding rule that survives staff changes.

abuse@
abuse@ receives reports of spam, fraud, harassment, malicious activity, or other inappropriate public behavior associated with your domain or service. Google Workspace directs abuse reports to abuse@domain or postmaster@domain and treats these names as reserved aliases in its service. Treat incoming reports as an operational channel: preserve evidence, acknowledge receipt when appropriate, and route confirmed issues to the people who can investigate.
security@
security@ is for security bulletins, vulnerability reports, and security questions. Limit access to trained staff, protect attachments and links, and define an escalation path for suspected account compromise or an active incident. Do not mix this mailbox with marketing or routine support if doing so would delay urgent reports.
postmaster@
RFC 2142 assigns postmaster@ to the mail-system administrator and SMTP operations. Other mail operators may use it when delivery fails or when they need to report abuse involving your domain. Even if a hosted email provider handles the servers, keep the address reachable and monitored. It is not a newsletter destination, and promotional campaigns should not be sent there.
hostmaster@
hostmaster@ is the conventional DNS and host-administration contact. Use it for zone changes, delegation problems, and host records. It is relevant to anyone controlling DNS, even when a third party operates the authoritative servers, provided the organization can route the messages to the responsible administrator.
webmaster@ and www@
RFC 2142 maps webmaster@ to HTTP and lists www@ as its synonym. These addresses can receive reports about broken pages, certificate warnings, redirect loops, or other web-service problems. A modern site may prefer a support form, but retaining a monitored technical address can help operators who cannot use that form.

When network and news aliases are appropriate
noc@
noc@ identifies a network operations center. It is intended for infrastructure peers, transit providers, data-center operators, and other technical contacts—not ordinary product support. A small organization without a network operations function should not create it merely because the name appears in a standards list.
news@ and usenet@
RFC 2142 assigns usenet@ to NNTP administration and recognizes news@ as a synonym. These aliases matter only when you operate a news service or server. They are unnecessary for a normal website, cloud application, or business email domain.
How to choose the right set for your organization
Start with functions, not a checklist of names. Map each activity to an accountable team, the people who need access, and the audience that will use it.
- General information: Add
info@when visitors need a broad public route. - Purchases: Add
sales@if someone handles quotes, plans, or orders. - Customer help: Add
support@when users need post-sale assistance. - Promotion: Add
marketing@only when marketing communications have an owner. - Administration: Add
admin@if there is a defined administrative workflow. - Security and abuse: Add
security@andabuse@when you run a public service, software, or domain that may receive reports. - Infrastructure: Add
postmaster@for Internet mail,hostmaster@for DNS,webmaster@orwww@for a website, andnoc@for network operations. - Specialized services: Add
news@orusenet@only for NNTP/news administration.
A small business often needs only a general address plus the functions it genuinely performs—for example, info@, sales@, and support@. A domain that runs web, DNS, and mail infrastructure may need the technical aliases as well. RFC 2142 does not require the full set when the associated functions do not exist.
Set up role addresses so they remain reliable
- Write the purpose. For each alias, record the accepted requests, the excluded requests, and the intended audience. This prevents
info@andsupport@from competing for the same work. - Assign an owner and backup. Name a team, rota, or ticket queue rather than relying on one person’s account. Record who can change routing and who covers absences.
- Choose the delivery model. Use a shared mailbox when staff need a common history, a distribution list for simultaneous notifications, or a ticket system when assignment and service-level tracking are required.
- Set access controls. Grant the minimum necessary access, enable multi-factor authentication where available, and remove former staff promptly. Sensitive addresses such as
security@,abuse@, andpostmaster@deserve stricter membership and audit review. - Define a response target. An urgent abuse or security report should not wait behind a general inquiry. Set an acknowledgement and escalation target appropriate to the function, then document holidays and on-call coverage.
- Configure consistent sending identities. Use the role address as the From address for messages of that category. Gmail’s sender examples include
[email protected]and[email protected]; the practical point is to make the sender match the team that owns the conversation. - Test delivery from outside the domain. Send a message from an unrelated account, verify every intended recipient receives it, check that replies return to the role address, and confirm that automated filters do not silently discard it.
- Publish only working routes. Put the address on the website, documentation, invoices, or abuse contact page only after testing. If a help center or contact form is the real support path, state that clearly instead of promising a mailbox nobody checks.
- Review on a schedule. At least review the owner, forwarding rules, access list, and response target when staff, providers, domains, or services change. Role addresses can outlive the person who first configured them.
Handling sensitive mail correctly
Do not send marketing campaigns to abuse@, postmaster@, or spam@. Those names are associated with abuse reporting and mail operations, so promotional traffic can obscure a legitimate report and damage trust with other operators. Keep promotional consent and unsubscribe handling in the marketing workflow instead.

- THE PERFECT GIFT - Use address and password book for yourself, give it to your beloved ones, your friends, colleagues, neighbors etc as a gift
Separate ordinary inquiries from reports that may contain personal data, exploit details, or evidence of misuse. Restrict forwarding, avoid copying large groups unnecessarily, and preserve the original headers when an investigation depends on them. Acknowledge receipt without promising a particular outcome until the responsible team has assessed the report.
For every alias, maintain a short internal record containing its purpose, current destination, backup owner, access list, response target, and last review date. This is especially important when the address is an alias rather than a full mailbox because routing changes may otherwise be invisible to the people expected to monitor it.

The address exists but nobody answers
Remove the address from public pages or assign a real owner immediately. A published but unmonitored alias creates a false expectation and can hide service failures.
Messages reach the wrong department
Rewrite the public description, add routing rules for recognizable subjects, and provide a handoff process. Do not tell senders to start over if the organization can forward the message safely.

One employee owns the entire mailbox
Move delivery to a shared mailbox, team queue, or controlled forwarding group. Keep the role address as the public identity so staff turnover does not break the contact.

Abuse or security reports are treated like sales leads
Give these aliases separate permissions, filtering, and escalation. Remove promotional rules and ensure urgent reports reach an operational responder.
A technical alias is created without a technical function
Delete or redirect it rather than allowing it to decay. hostmaster@, noc@, and usenet@ are useful when the corresponding DNS, network, or news service exists—not as decorative additions.
Automatic replies expose too much information
Use a neutral acknowledgement that confirms receipt and explains the next step without disclosing staff names, internal systems, or security details. Review the message with the owner of the function before enabling it.

What to put before the @ for a general contact
Use info when the address is a broad public information desk. Use admin when the intended work is administrative. Use support for help with an existing product or service, and sales for purchase-related questions. If none of those descriptions fits, choose a different, plainly named function and explain it where you publish the address. The name should describe the destination, not the current employee.
Does every domain need postmaster@?
RFC 2142 assigns postmaster@ to SMTP and mail-system administration, and many operators expect it to be reachable. A domain that exchanges Internet email should keep it monitored or route it to the provider or administrator responsible for mail. A domain that never sends or receives email has less operational need for it, but should still avoid publishing an address it cannot service. In hosted environments, verify how the provider handles reserved aliases and ensure reports are not silently rejected.
