For most school workrooms, the Xerox C320 is the best color laser printer: it combines 33 pages per minute, a 250-sheet tray, automatic duplexing and strong color output, with high-yield cartridges available. Choose the Canon Color imageCLASS MF753Cdw when scanning and copying are as important as printing, the Brother HL-EX470W for a larger secured workgroup, or the Xerox VersaLink C7000 when tabloid pages and broad mobile or Chromebook connectivity are required.

The right purchase depends less on a headline speed than on how many people share the device, which paper sizes and finishing steps teachers need, how students connect, and whether the district requires authentication and centralized administration.

Shortlist: which printer fits your school?

These four models cover the most common education scenarios. The figures below are the published specifications identified by TechRadar (2025), Brother USA and Xerox product pages; they are not a promise of the same throughput in every classroom. Actual speed varies with color coverage, paper size, computer, network and job complexity.

Model Best fit Published capacity and speed Functions and connectivity Important qualification
Xerox C320 Shared teacher workroom and everyday color handouts 33 pages per minute; 250-sheet tray; automatic duplex printing Color laser printing; high-yield cartridges are available TechRadar describes its color output as unusually close to inkjet quality for a laser printer.
Canon Color imageCLASS MF753Cdw Staff who scan, copy and print from one device 35 pages per minute in monochrome; 250-sheet main tray plus 50-sheet capacity; A4 support Print, scan and copy functions The quoted 35-page figure is for black-and-white output, not a stated color rate.
Brother HL-EX470W Mid-sized or large workgroups needing controls and media flexibility Speed and tray capacity were not stated in the cited product information Wireless color printing; advanced security Supports letter, legal, executive, A4, A5, A6, B5, B6 and folio paper sizes.
Xerox VersaLink C7000 Tabloid worksheets, posters and mixed-device schools Color first-page-out as fast as 7.6 seconds Tabloid color printing; AirPrint, Chromebook Printing, Mopria and Wi-Fi Direct A pages-per-minute rating was not stated in the cited Xerox product page.

If your school has no need to scan or copy, a single-function printer usually has a simpler workflow and fewer components to manage. If staff regularly digitize permission slips, copy exam forms or send documents to a shared folder, an all-in-one can eliminate a separate step and a second device.

Start with the school’s workload

Estimate the real peak, not the annual average

List the busiest periods: report-card week, enrollment, exam printing, open-house packets and the first days of a term. Count pages produced during the busiest hour by a classroom, department or office. A printer that feels fast for one teacher can become a bottleneck when several classes release jobs simultaneously.

Use the rated pages-per-minute figure as a comparison point, not a guaranteed classroom result. Printer ratings commonly reflect controlled conditions and may use black-only pages. Color-heavy worksheets, photos, envelopes and mixed paper sizes require more processing. The MF753Cdw’s published 35-page rate, for example, is explicitly monochrome.

Separate classroom, department and district roles

  • Single classroom: Prioritize uncomplicated setup, duplexing and a tray large enough for a lesson’s handouts. Wireless printing can be convenient where network access is tightly controlled.
  • Department or shared workroom: Look for a faster published rate, a substantial input tray and high-yield toner availability. The C320 is aimed at this shared color role.
  • School office: Scanning and copying may matter more than raw color speed. The MF753Cdw combines those functions with printing.
  • District or large campus: Security, user authentication, device administration and service coverage should be procurement requirements, not afterthoughts. The HL-EX470W is positioned for mid- to large-sized workgroups and includes advanced security.

Paper capacity, duplexing and media choices

Capacity determines how often staff intervene

A 250-sheet tray is useful for a shared room because staff can load a ream-sized quantity without immediately returning to the printer. The C320’s published 250-sheet capacity and the MF753Cdw’s 250-sheet main tray plus a 50-sheet input provide two different approaches: one straightforward main tray versus a main tray paired with an additional input.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Multiple inputs are particularly useful when a school alternates between standard copy paper and envelopes, letterhead or another approved stock. Before buying, confirm the manufacturer’s supported weights and loading instructions for the exact media your school uses. A printer may accept a paper size but still require a manual feed or a different driver setting.

Automatic duplexing saves paper and handling

Automatic two-sided printing is valuable for lesson packets, forms and administrative notices. It reduces paper consumption and produces shorter packets, but it can change the feel of thin worksheets and may slow a job compared with single-sided output. Set duplex as the default only after checking that teachers who need single-sided originals can change the setting easily.

When tabloid support changes the decision

Most classroom handouts are letter or A4, but posters, seating charts, timelines and visual rubrics may require tabloid pages. The VersaLink C7000 is the shortlist option specifically identified for tabloid color printing. If tabloid work is occasional, compare the cost and space of a dedicated device with sending those jobs to a central print room; if it is routine, native support avoids scaling and tiling workarounds.

Print-only or multifunction?

Choose a print-only model when output is the main job

A print-only device is easier to place in a classroom or workroom and has no scanner glass or document-feeder workflow to maintain. It is a sensible choice when teachers already have reliable access to a copier or scanner and need fast, repeatable color output. The C320 and HL-EX470W fit this type of deployment.

Choose an all-in-one when paper enters and leaves the school

The MF753Cdw adds print, scan and copy functions. That matters for signed forms, student work samples, lesson-plan packets and records that must be digitized or duplicated at the point of use. Map the full process before purchase: where scans are sent, who can copy sensitive material, whether staff need a document feeder and how files are named and retained.

Do not buy multifunction hardware solely because it offers more features. If scanning is rare and the machine will sit in a cramped classroom, the additional footprint and maintenance may outweigh the convenience.

Connectivity for mixed-device schools

Plan for the devices students and staff actually use

Schools often mix Windows or macOS staff computers, managed Chromebooks, iPads and phones. The VersaLink C7000 listing explicitly names AirPrint, Chromebook Printing, Mopria and Wi-Fi Direct, covering several common paths. The HL-EX470W is identified as supporting wireless color printing. Confirm that the exact operating-system versions and management policies used by your district are supported before placing an order.

  • AWARD-WINNING RELIABILITY – Performance you can count on page after page, and always ready for the high demands of business.

Prefer managed network printing for shared rooms

Direct wireless printing is convenient for a small deployment, but a shared workroom usually benefits from a managed print queue. A queue lets IT install one approved driver, apply defaults such as duplex and color restrictions, and remove a job when a user leaves the school. Wi-Fi Direct can be useful for a temporary or isolated setup, but it should not bypass the school’s security policy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Test the whole path before rollout

  1. Print a color test page from every supported staff platform.
  2. Send a Chromebook job through the district’s managed account if Chromebooks are in use.
  3. Test AirPrint or Mopria from a representative mobile device, rather than assuming the icon will appear.
  4. Print a duplex, a mixed-size job and a PDF containing images.
  5. Verify that a canceled or failed job does not remain visible to the next user.

Security and administration in an educational setting

Student records, individualized education documents, examination papers and personnel files make school printing a distinct institutional use case. Education-focused guidance from HP describes high-capacity LaserJet Enterprise multifunction equipment and school-oriented printing solutions, while Canon’s K–12 material discusses assignments, lesson plans, newsletters, sensitive administrative documents, authentication and badges. Those workflows justify evaluating printers as managed endpoints rather than as oversized home-office devices.

Questions for IT and procurement

  • Can the device require user authentication or release a job only when the user is at the printer?
  • Can administrators apply separate permissions for students, teachers and office staff?
  • Does it support the district’s network segmentation, certificate process and firmware-update policy?
  • Can logs show who printed without exposing document contents?
  • What is the process for securely clearing stored jobs or address-book data before redeployment?
  • Is there a local service partner with defined response times?

The HL-EX470W is the only model in this shortlist whose cited description specifically highlights advanced security and a mid- to large-workgroup position. That does not automatically make it the right district standard; your IT team still needs to validate authentication, management and integration requirements.

Model-by-model guidance

Xerox C320: the balanced shared-workroom choice

The C320 is the strongest general recommendation when a school wants color worksheets and notices from a dedicated printer. Its published combination of 33 pages per minute, a 250-sheet tray and automatic duplexing addresses the three daily frustrations in a busy workroom: waiting, refilling and manually turning pages. TechRadar’s 2025 description calls it a “Color laser printer that’s probably as close to inkjet as you can get,” which is a useful indication that color appearance is a priority as well as speed.

High-yield cartridges are available, giving procurement a way to compare fewer interventions against the purchase price of standard-yield supplies. The cited material does not establish cartridge page yields, replacement prices or a total cost per page, so request those figures for your region before approving a recurring budget. Choose the C320 when scanning and copying are handled elsewhere and when normal letter or A4 handouts make up most jobs.

Canon Color imageCLASS MF753Cdw: the multifunction workflow choice

The MF753Cdw is the practical option for an office or department that wants printing, scanning and copying in one unit. TechRadar lists 35 pages per minute for monochrome output, a 250-sheet tray plus 50-sheet capacity, and A4 support. The extra input capacity can help when staff keep standard paper loaded while reserving another feed for a different stock.

Its value is workflow consolidation rather than a claimed color-speed advantage. Ask staff to demonstrate the scan destination, copying of a multipage original and duplex handling before purchase. If the school already owns a well-integrated copier and document scanner, adding these functions may duplicate equipment instead of simplifying it.

Brother HL-EX470W: the larger, security-conscious workgroup choice

Brother positions the HL-EX470W for a “mid to large-sized workgroup” and describes it as offering “enterprise-level performance.” The cited product page highlights advanced security and wireless color printing, making it a candidate for a department, library or administrative area where many users share one device.

Its broad listed media support—letter, legal, executive, A4, A5, A6, B5, B6 and folio—can reduce the need for a second printer when forms arrive in different formats. Because the supplied specifications do not state its speed or tray capacity, obtain those figures, recommended monthly volume and consumable yields in the formal quote. Treat those omissions as procurement questions, not as evidence that the printer is faster or larger than the alternatives.

Xerox VersaLink C7000: tabloid and device-compatibility specialist

The C7000 earns a place on the list when tabloid color pages or broad client-device support are decisive. Xerox lists a color first-page-out time as fast as 7.6 seconds and names AirPrint, Chromebook Printing, Mopria and Wi-Fi Direct. Those features can shorten the path from a teacher’s Chromebook or phone to a finished page, especially in a mixed-device campus.

How to calculate running cost responsibly

Live prices, toner yields and service contracts were not established for these models, and they change by country, supplier and contract. Avoid choosing on printer price alone. Ask each vendor for the same information:

  • Standard- and high-yield toner page yields for black and each color, with the test standard identified.
  • Current replacement prices in the school’s purchasing region.
  • Whether a maintenance kit, imaging unit or waste container is a separate recurring item.
  • Warranty length, on-site service terms and response time.
  • Expected delivery time for toner and critical parts.

Use a simple annual estimate: (expected black pages ÷ black-cartridge yield × black-cartridge price) + (expected color pages ÷ color-cartridge yield × color-cartridge price) + maintenance and service charges. Calculate black-only, light-color and heavy-color scenarios separately. A photo-rich newsletter can consume color toner much faster than a mostly black worksheet with a colored heading.

Deployment checklist for a classroom or campus

  1. Inventory the workflow. Record monthly pages, peak-hour demand, paper sizes, duplex requirements, scan destinations and user groups.
  2. Choose the location. Provide stable power, ventilation, secure network access and enough clearance for tray and service access. Keep student traffic away from confidential output.
  3. Standardize drivers and defaults. Set duplex, monochrome and color permissions according to policy. Make the color option available to teachers who need it without making accidental full-color printing the default for every user.
  4. Connect through the approved method. Add the managed print queue first; enable wireless, AirPrint, Chromebook Printing, Mopria or Wi-Fi Direct only where IT permits.
  5. Apply security controls. Change administrator credentials, update firmware through the district process, configure authentication and disable unused services.
  6. Run acceptance tests. Print letter or A4, the school’s alternate media, a duplex PDF, a color chart and a scan or copy job if applicable. Check alignment, legibility and release behavior.
  7. Train users. Show how to select the correct tray, release a confidential job, cancel a queue and report a toner or paper fault.
  8. Track consumption. Record meter readings, toner changes, service calls and peak-period delays for the first term. Use that evidence when renewing or expanding the fleet.

Common problems and practical fixes

Jobs are slow even though the rated speed looks high

Check whether users are sending high-resolution images, mixed media or duplex color documents. Verify that the driver is not converting every page to a large raster file, and confirm the printer is connected through the intended queue rather than a weak wireless link. Compare a simple black text page with the same job in color before concluding that the device is underperforming.

The printer runs out of paper during shared jobs

Set a refill schedule tied to the busiest class periods and label each input with its approved paper. If staff frequently switch stock, use the model’s additional input where available instead of unloading the main tray repeatedly.

Students can see another person’s documents

Move the device out of open student areas, enable secure release or authentication where supported, and instruct users not to leave originals or output on the glass or tray. Ask IT to review stored jobs and logs as part of routine device retirement.

Color does not match the teacher’s screen

Use the printer’s approved color settings and a consistent paper stock. For posters or artwork where color accuracy is critical, test a representative file and paper before producing a full class set; office laser printers are optimized for dependable documents, not necessarily for proofing every display.

A decision framework for procurement teams

Requirement Most suitable shortlist direction Why
Everyday color worksheets in a shared room Xerox C320 Published speed, 250-sheet tray, duplexing and available high-yield cartridges.
Print, scan and copy at one station Canon Color imageCLASS MF753Cdw Multifunction design with 250 + 50 sheet capacity.
Large workgroup with stronger controls Brother HL-EX470W Advanced security, wireless color and broad listed media support.
Tabloid pages and mixed mobile platforms Xerox VersaLink C7000 Tabloid color support plus AirPrint, Chromebook Printing, Mopria and Wi-Fi Direct.
Lowest running cost No model can be selected from the published data alone Obtain regional toner yields, prices, maintenance items and service terms before comparing cost per page.

For a small school, standardizing on one model can simplify toner storage, driver support and training. A larger district may sensibly use different devices: a secure multifunction printer in the office, a fast color unit in a workroom and a tabloid-capable device where visual materials justify it. Document the reason for each role so a lower purchase price does not create higher support or consumable costs later.
