Use the Windows app that completes your task with the least friction. Keep a built-in app when it still handles the files, formats and workflow you need. Switch when Microsoft has removed it, when a redesigned app no longer fits your routine, or when a specialist alternative solves a real compatibility problem.
The clearest example is WordPad: Microsoft removed it from all editions starting with Windows 11 version 24H2 and from Windows Server 2025. Microsoft’s replacement guidance is task-specific: use Word for rich-text .doc and .rtf documents, and Windows Notepad for plain-text .txt files. Those recommendations do not make Notepad and Word interchangeable.

What changed in Windows, and why the version matters
“Classic Windows app” can mean two different things. Some familiar programs still ship with Windows but have been redesigned. Others have been deprecated and removed. Treating both situations as a single “old versus new” choice leads to bad advice.

Removed is not the same as redesigned
WordPad is the removed-app case. Microsoft says it is absent from all editions beginning with Windows 11 version 24H2 and from Windows Server 2025. If you install or update to one of those releases, there is no supported WordPad component to turn back on. Downloading an old copy from an unverified site is a security and file-integrity risk, and it does not restore Microsoft support.

Paint, Notepad and Media Player are different. Microsoft described them as redesigned or refreshed included apps in a 2022 Windows 11 Insider post. Their names remained familiar while their interfaces and capabilities changed. That post documents Microsoft’s product direction at the time; it is not a complete specification of every feature in the current releases. Check the release notes or the app’s current help pages before relying on a particular feature.
Support can end for one app family without ending everywhere
Microsoft also ended support for the Word, Excel and PowerPoint mobile UWP apps for Windows on October 14, 2025, and those apps are no longer downloadable from Microsoft Store. This applies to that legacy Windows app family. It does not mean that the desktop or web versions of Word, Excel or PowerPoint ended.
At-a-glance: keep, replace or reassess
| Windows app or app family | Current status | Use when | Consider instead when |
|---|---|---|---|
| WordPad | Removed from Windows 11 version 24H2 and Windows Server 2025 | Not applicable on those releases | Use Word for rich-text .doc/.rtf; use Notepad for plain-text .txt |
| Notepad | Included app; redesigned versions exist | You need plain-text editing and a simple Windows workflow | You need rich formatting, document layout or broader office tools |
| Paint | Included app; refreshed versions exist | Your image task fits the current Paint workflow | You need capabilities that the current release does not provide; verify features before choosing another editor |
| Media Player | Included app; refreshed versions exist | Your local playback and library workflow works with it | You need broader playback coverage or a different workflow |
| Mail and Calendar | Microsoft positions new Outlook as the future Windows mail, calendar and people experience | You want the supported Microsoft direction for those functions | You need a different account, offline or interface model; evaluate another client on those requirements |
| Word, Excel and PowerPoint mobile UWP apps | No longer downloadable from Microsoft Store; support ended October 14, 2025 | Not a current installation choice | Use the supported desktop or web products that match your work |
Use five tests before replacing a Windows app
Do not switch simply because an app looks different. Compare the actual job, the files involved and the way you work.
Windows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallOutdated Drivers Are Slowing You Down
One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware match- Can the app perform the task? Define the output first: plain text, a formatted document, an image, a local video or a synchronized calendar. A replacement that cannot produce the required output is not a replacement.
- Will it open and save what you already have? Identify extensions such as
.txt,.docand.rtf, along with any media files or account data. Preserve originals before converting or importing. - Do you need offline desktop use, a web app or account synchronization? Built-in desktop programs and browser-based services behave differently when you are offline, moving between devices or working with multiple accounts.
- What is the cost model? A free desktop suite, an included Windows app and a subscription product are not equivalent offers. Microsoft states that some Microsoft 365 features require a subscription. LibreOffice is presented by its publisher as a free office suite with Windows downloads. VLC is described by VideoLAN as free and open source.
- How much transition can you tolerate? Familiar menus, keyboard habits, file associations and shared-team conventions often matter more than a long feature list. A smaller change that solves the problem is usually safer than a wholesale migration.
WordPad is gone: choose the replacement by file type
WordPad’s removal is the one case where “keep the classic app” is impossible on affected Windows versions. The correct replacement depends on what the document contains.
For plain-text .txt files, use Notepad
Choose Notepad when the document is text without fonts, paragraphs with styling, embedded objects or page layout. Typical examples include notes, configuration text, logs and code-like files that must remain unformatted.
- Open the file from File Explorer or from Notepad’s Open command.
- Confirm that the filename ends in
.txtor another format intended to remain plain text. - Edit the content without adding formatting.
- Use Save As when you need to preserve the original and create a separate copy.
If a file contains visual formatting, tables, embedded content or a requirement for printed layout, do not force it into Notepad. Plain text cannot preserve those elements.

For rich-text .doc and .rtf files, use Word
Microsoft explicitly recommends Microsoft Word for rich-text documents such as .doc and .rtf. Word is therefore the direct Microsoft replacement path for former WordPad documents that depend on formatting.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minute- Make a backup copy of the original document before opening or converting it.
- Open the copy in Word and inspect headings, spacing, images, tables and page breaks.
- Save in the format required by the recipient or system. Keep the original file until you have confirmed that the new copy renders correctly.
- Print or export a test page when layout is important.
Microsoft 365 includes subscription-dependent features, so distinguish the desktop product, web access and licensing arrangement available to you. You do not need a paid subscription merely because WordPad was removed; the requirement is to choose an editor appropriate to the document.
When a free desktop suite makes more sense
LibreOffice is a free office suite with Windows downloads. It is relevant when you need more than a plain-text editor but do not want a subscription-based office workflow. Compare the exact documents you exchange, the features your team uses and the level of compatibility you can verify before moving a large archive.
A practical test is to copy a representative set of documents, open them in the candidate suite, edit them, save them and reopen the saved versions. Check page breaks, fonts, tables, images and tracked changes if those elements matter to your work. Do not assume that “office suite” means identical behavior across products.
Notepad: stay with it when simplicity is the feature
Notepad is the appropriate choice for plain-text work and for users who value a minimal Windows-native workflow. It is also Microsoft’s stated replacement for plain-text files formerly handled by WordPad.
Stay with Notepad when
- The output must remain unformatted text.
- You want a small, included Windows application rather than a separate suite.
- Your files are local and do not require office-style collaboration.
- You need a dependable editor for notes, logs or text-based configuration.
Move beyond Notepad when
- The document must retain rich formatting or page layout.
- You exchange files that require Word-compatible review and editing.
- You need a coordinated set of document, spreadsheet and presentation tools.
- Your workflow depends on capabilities that the current Notepad release does not provide.
Because Notepad has been redesigned over time, check the build installed on your machine before documenting a workflow for other people. A feature visible in one Windows release may not appear in another.

Paint and other refreshed apps: test the current version before switching
A redesigned interface is not proof that an app has become unusable. It is also not proof that it still meets every historical use case. Treat Paint, Notepad and Media Player as current products whose capabilities can change independently.
A sensible Paint decision
Start with the image outcome: a quick crop or annotation, a simple edit, or a more demanding graphics workflow. Try the current Paint version with a copy of a typical file. If the commands you need are present and the saved result opens correctly elsewhere, staying with the included app avoids another installation and another file-association decision. If a required capability is missing, choose an editor that explicitly provides it; verify that capability in the current release rather than relying on an old feature list.
Do not confuse a familiar name with an unchanged workflow
Redesigned apps may move commands, alter defaults or change how files are opened. Before rolling out instructions to a household, school or office, test the exact Windows edition and app version. Record the menu path you actually see, and include a recovery step such as reopening the original file if a save result looks wrong.
Mail and Calendar: move toward new Outlook deliberately
Microsoft’s current support guidance positions new Outlook as the future Windows experience for mail, calendar and people, and explains how users can open it from the prior Mail and Calendar app. That is a direction-of-travel statement, not a promise that every account or preference will behave identically after the switch.
Before moving
- List every account in the old app, including personal, work and school accounts.
- Note folders, signatures, rules, calendars and contacts that you actually use.
- Confirm whether your organization permits the new Outlook and whether any account requires a particular sign-in method.
- Keep access to the old workflow until you have verified incoming mail, sending, calendar events and contacts.
After opening new Outlook
- Add or confirm accounts one at a time.
- Send a test message to an address you can check independently.
- Verify that new mail arrives, calendar events appear at the correct time zone and contacts are available.
- Recreate only the rules and signatures you need; this is an opportunity to remove obsolete settings.
- Use Microsoft’s free Microsoft 365 web apps when a browser-based workflow is sufficient, and distinguish that option from subscription-dependent features.
If new Outlook does not satisfy a specific offline, account or interface requirement, document that requirement first and then evaluate another mail client. Do not choose solely because the old app feels familiar or the new one looks modern.
Media Player versus VLC: decide from your playback needs
Windows Media Player represents the included-app path. VLC is a free, open-source multimedia player that VideoLAN says plays many multimedia files and supports Windows through Windows 11. The useful question is not which name is universally better; it is whether your files and routine work reliably in the app you choose.

Stay with the built-in player when
- Your local media opens without errors.
- The playback controls and library behavior suit your routine.
- You prefer a Windows-included app with no additional installation.
- You do not need a specialist workflow beyond ordinary playback.
Try VLC when
- A file that matters to you does not play correctly in the built-in option.
- You want a free, open-source player and are comfortable installing a separate application.
- You need to test whether a broader playback tool resolves a specific compatibility problem.
Test with the actual files you receive, not only with a sample video. Confirm audio, subtitles, seeking and full-screen behavior if those are part of your routine. Keep the original files unchanged while comparing players, and change default-app associations only after you know which player you want to own double-click playback.
Office apps: distinguish current products from retired Windows UWP apps
The October 14, 2025 end-of-support date for the Word, Excel and PowerPoint mobile UWP apps can create unnecessary alarm. Those legacy apps are no longer downloadable from Microsoft Store, but the date does not close the desktop or web versions of Microsoft Office.
Choose a path based on your work
| Need | Most relevant path to evaluate | Important qualification |
|---|---|---|
| Plain text only | Notepad | Formatting and page layout are not preserved |
| Rich-text document editing | Word | Microsoft recommends it for rich-text .doc and .rtf; some Microsoft 365 features require a subscription |
| Broad office work without a subscription-first model | LibreOffice | It is presented as a free desktop suite; test exchanged documents before migration |
| Browser-based access and collaboration | Microsoft 365 web apps | Availability and features differ from desktop products |
| Legacy Windows mobile UWP Office apps | Do not plan a new installation | They are no longer downloadable from Microsoft Store and support ended October 14, 2025 |
A low-risk migration checklist
- Inventory. Write down the app, Windows version, file extensions, accounts and tasks involved.
- Back up. Copy documents and media before converting files or changing default apps.
- Classify. Separate plain text from rich text, local playback from account-based media, and mail from calendar requirements.
- Choose one representative sample. Include the most complex document or media file you regularly use.
- Test the complete workflow. Open, edit, save, reopen, share or play the sample. A replacement is only successful when the entire loop works.
- Record the exact version. Note the Windows release and app version so instructions remain reproducible.
- Change defaults last. Keep the old association until the candidate app has passed your tests.
- Keep a rollback copy. Preserve originals and write down how to restore the previous default app or reopen files manually.
Common mistakes and how to avoid them
Installing an alternative before identifying the file type
A new application cannot compensate for choosing the wrong editor. Check the extension and whether formatting is required first. WordPad’s removal makes this distinction especially important: Notepad is for plain text, while Microsoft points rich-text users to Word.
Assuming every redesigned app has the same features everywhere
Windows builds and app updates can differ. Use the installed release, not a two-year-old screenshot, as the authority for a menu or capability.
Reading an app-support date too broadly
The October 14, 2025 date belongs to the Word, Excel and PowerPoint mobile UWP apps for Windows. It is not evidence that desktop or web Office products ended.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Changing file associations during the test
If every double-click immediately opens the candidate app, it becomes harder to compare behavior. Test by opening files from inside each app first, then set a default after you have a clear result.
Best Value
Confusing free access with identical features
LibreOffice is a free desktop suite, VLC is free and open source, and Microsoft offers web apps; these statements do not establish identical feature sets, support arrangements or offline behavior. Compare the requirements that matter to you.
Recommendations by user profile
You only edit notes and text files
Use Notepad. Keep files as plain text and avoid moving to a full office suite unless a real formatting or collaboration requirement appears.
You inherited WordPad documents
Sort them into plain-text and rich-text groups. Open the first group with Notepad and the second with Word, preserving originals while you check layout.
Free tools Windows power users keep installed
One-click scans. No signup required.
You need a no-subscription desktop office suite
Evaluate LibreOffice with representative documents. Confirm the formats and collaboration steps your recipients require before converting an archive.
You mostly watch local media
Start with the included player. Add VLC when a specific playback file or workflow justifies a separate, free open-source application.
You want the supported Microsoft mail direction
Plan a controlled move to new Outlook, verify every account and calendar, and retain a fallback until testing is complete.
You are supporting several Windows PCs
Document the Windows release, app versions, default associations and file types. A short, version-specific procedure is more reliable than telling everyone to “use the new app.”
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Bottom line: replace capability gaps, not familiar names
There is no universal winner between classic Windows apps and modern replacements. Keep the included app when it performs the job and its workflow remains dependable. Replace WordPad because Microsoft removed it in Windows 11 version 24H2 and Windows Server 2025; then choose Notepad for .txt and Word for rich-text .doc or .rtf. For broader office work, compare LibreOffice with the Microsoft 365 desktop or web paths. For media, compare the built-in player with VLC using the files you actually play. For Mail and Calendar, treat new Outlook as Microsoft’s supported direction, but verify your accounts and habits before committing.
