Chromebook Guest Mode vs. a Separate User Account: Which Should You Use?

Choose Browse as Guest for a short, one-off session when the person should not add a Google Account to the Chromebook. Choose Add person for a family member, colleague, or other regular user who needs persistent bookmarks, files, preferences, apps, and Google services. Guest mode removes the session’s local files, cookies, website data, and browsing activity when the guest exits, but it does not make that person anonymous to websites, signed-in services, a school or employer network, an internet provider, or search engines.

Guest mode or a separate user: the quick decision

Situation Better fit Reason
A visitor needs to look something up, check email temporarily, or borrow the Chromebook for a short task Guest mode The visitor can use the device without adding a Google Account, and local guest-session data is removed when the session ends.
A family member or colleague will use the Chromebook repeatedly Separate user account Google recommends adding a person for regular use; each person keeps separate synced Chrome data and files.
The user needs bookmarks, preferences, installed apps, or continuing access to Google services Separate user account A regular sign-in is designed to preserve that person’s working environment. Guest mode does not provide the same persistence or app access.
The Chromebook belongs to a school or employer Check the administrator’s policy Owners and administrators can disable guest browsing, restrict who may sign in, or remove the option entirely.

Google Chromebook Help describes guest browsing as a way to use a Chromebook without signing in to a Google Account. Its guidance for adding a person says that option is best for people who will use the Chromebook regularly, such as family members. Those are different operating modes, not two names for the same kind of account.

How guest mode works

A temporary session with local cleanup

At the sign-in screen, Browse as Guest opens a separate guest session. The guest can browse and perform ordinary short-term tasks without adding an account to the Chromebook’s list of users. When the guest chooses Exit guest, ChromeOS clears the local data created during that session. Google documents removal of guest-session files, cookies, website data, and browsing activity.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That cleanup is the main reason to use guest mode when lending a personal Chromebook. A visitor does not leave a normal browser history or a collection of locally stored session files for the next person who uses the device. The cleanup happens when the guest session is exited; simply closing one tab is not the same thing as ending guest mode.

What guest mode does not do

Guest mode is not an anonymity service. Websites can still receive information about visits, and a site where the guest signs in can associate activity with that service account. The organization operating the network, such as a school or employer, may be able to observe or filter traffic. Internet providers and search engines may also receive information in their normal operation. Local deletion after exit does not erase records held by those outside services.

Use guest mode to keep a temporary session separate from the Chromebook’s local signed-in session, not to hide activity from a network administrator or prevent online tracking.

Feature and app limits

Guest mode is intentionally limited. Google’s Chromebook Help documentation states that a guest cannot use the Play Store or install apps, saved preferences are unavailable, and some first-party applications require a sign-in. A visitor who only needs a web page can work normally, but someone who expects an installed productivity app, a persistent extension, or a continuing app configuration will need a regular user account instead.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Because preferences are not saved, a guest should expect to configure temporary choices again next time. Bookmarks, settings, and other browser customizations made in guest mode are not a substitute for a person’s synchronized Chrome environment.

What a separate Chromebook user account provides

A persistent environment for one person

Choosing Add person at the sign-in screen starts the normal account setup flow. The user signs in with their own Google Account, subject to the Chromebook owner’s and any organization’s rules. Their Chrome data and files are kept separate from other users’ data, and the account can bring the person’s own preferences and Google services to the device.

This arrangement is appropriate when the same person will return to the Chromebook. Their bookmarks and other synchronized Chrome information can follow their account, rather than disappearing at sign-out as guest-session data does. A separate user also avoids mixing one person’s working files and browser choices into another person’s signed-in environment.

Why it is different from sharing one account

Giving another person access to the owner’s signed-in session defeats the separation the Chromebook provides. The second person would be operating inside the owner’s environment, where the owner’s open tabs, local files, account sessions, and settings may be present. A separate user account makes the boundary explicit: each person signs in to their own session instead of borrowing the owner’s.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Regular use, apps, and services

A regular account is the practical choice when a user needs the Play Store, installed applications, persistent preferences, or Google services that require sign-in. The exact services available still depend on the account, device, and administrator policy, but guest mode’s documented restrictions do not apply in the same way to a normal user session.

Side-by-side comparison

Question Guest mode Separate user account
Does the person add a Google Account to the Chromebook? No account is added for the guest session. Yes. The person follows the sign-in and setup flow for their own account.
Best duration One brief or occasional session. Repeated or ongoing use.
Local data after exit Guest-session files, cookies, website data, and browsing activity are cleared when the guest exits. The user’s files and account data remain available for that user, subject to normal account and device management.
Bookmarks and preferences Not saved as a continuing guest profile. Can persist with the user’s account and synchronized Chrome data.
Play Store and app installation Unavailable in guest mode. Available according to the device, account, and administrator’s policy.
First-party apps that require sign-in Some cannot be used without signing in. The user can sign in where the service and policy permit it.
Online privacy Local cleanup only; websites, signed-in services, network operators, internet providers, and search engines may still observe information. Normal online privacy and account controls apply; a separate user is not an anonymity mechanism.
Who can change availability? The Chromebook owner or administrator can disable guest browsing. The owner or administrator can restrict which accounts may sign in.

Start a guest session

  1. Sign out of the current Chromebook session if the sign-in screen is not already visible.
  2. On the sign-in screen, choose Browse as Guest. The wording and screen layout can vary by ChromeOS version and device management.
  3. Use the browser for the temporary task. Do not expect Play Store access, app installation, or saved preferences in this mode.
  4. When finished, open the session’s controls and select Exit guest. Ending the session triggers removal of the guest-session files, cookies, website data, and browsing activity stored locally.

If Browse as Guest is missing, treat that as a policy or device-management issue rather than a hidden setting to work around. School and employer administrators can turn guest browsing off.

Add a separate person for regular use

  1. Sign out until the Chromebook sign-in screen appears.
  2. Select Add person.
  3. Follow the on-screen setup and sign in with the new user’s Google Account.
  4. Complete any account, verification, or device prompts shown by ChromeOS.
  5. After setup, the person can choose their own account at the sign-in screen instead of entering the owner’s session.

The owner may need to approve the account, and a managed Chromebook may allow only organization-approved accounts. If Add person is unavailable or a sign-in is rejected, the device policy determines what can be changed.

Choose based on the person’s real needs

One-time visitor

Use guest mode when someone needs a quick web search, a temporary form, a map, or another short task and will not return to the device regularly. It avoids adding another account and cleans up local session data at exit. Tell the visitor to select Exit guest when done, especially if the Chromebook will immediately be handed to someone else.

Family member who returns often

Add a separate person when a spouse, child, parent, or other family member will use the Chromebook repeatedly. The person can maintain their own files, bookmarks, preferences, and account sessions without changing the owner’s environment. This is the use case Google identifies as appropriate for adding a person rather than relying on guest browsing.

Shared household device with different app needs

Separate users are a better fit when people need different applications or Google services. Guest mode cannot install apps and does not retain preferences, so it is unsuitable as a permanent profile for a household member.

Borrowed Chromebook

Guest mode is usually the least invasive option on a personally owned Chromebook when the borrower only needs temporary web access. If the borrower needs a continuing workspace, ask the owner whether adding a person is allowed. Never assume that a borrowed device permits new accounts; the owner’s settings may limit them.

School or employer Chromebook

Follow the organization’s instructions. A managed device may disable guest browsing, restrict sign-in to organizational accounts, or apply filtering and monitoring policies. The person using it cannot infer from a missing button that a personal account may be added or that policy can be bypassed.

Privacy: local separation is not network anonymity

What is removed locally

When a guest exits, ChromeOS removes the guest session’s local files, cookies, website data, and browsing activity. This protects the next local user from finding ordinary remnants of that temporary session on the Chromebook itself.

What may remain with online services

Websites and services can keep their own logs. If the guest signs in to a website, that service can associate activity with the signed-in account. Search engines, internet providers, and network operators such as schools or employers may receive information while the session is active. Guest mode does not retroactively delete those records.

What a separate user account protects

A separate Chromebook user keeps one person’s Chromebook files and synchronized Chrome information apart from other users’ data. It does not make the user invisible online, and it does not override administrative controls. It is an account and data-separation feature, not a network privacy tool.

Do not confuse a Chromebook user with a Chrome browser profile

Chrome’s multiple-profile feature separates browser information such as bookmarks and settings within the browser. Google’s Chrome Help documentation also warns that someone who can use the computer may be able to switch between profiles. A browser profile can therefore be useful for organizing one person’s browser data, but it is a different layer from a Chromebook user account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For regular shared Chromebook use, choose separate Chromebook users. That choice matches ChromeOS’s sign-in boundary and keeps each user’s files and synchronized information associated with the appropriate account. Use browser profiles only when the people already share the same Chromebook session by design and understand that profile switching is available.

Owner and administrator controls

Personal Chromebook owner settings

The device owner controls who can use the Chromebook and whether guest browsing is available. An owner may restrict additional accounts even when the hardware itself supports them. If you are the owner, review the Chromebook’s user-management settings when deciding whether to lend the device or add a family member.

School and employer management

ChromeOS administrators can set policies for guest mode and sign-in. Those policies may make Browse as Guest unavailable, limit accounts to an organization, or impose other restrictions. The exact controls depend on how the device is managed, so the sign-in screen is not a complete statement of what the administrator can see or allow.

When to contact the administrator

Contact the school or employer administrator if guest browsing has disappeared, an approved account cannot sign in, or a policy message appears. Do not present a managed-device restriction as a malfunction or try to defeat it with a different profile.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Troubleshooting common choices and problems

There is no Browse as Guest option

  • Check whether the Chromebook is managed by a school or employer; administrators can disable guest browsing.
  • Ask the device owner whether guest mode was intentionally turned off.
  • Check the ChromeOS version and sign-in screen wording, since labels can vary.
  • If the device is managed, ask the administrator rather than attempting to override the policy.

Add person is unavailable or sign-in is blocked

  • The owner may not have allowed additional users.
  • A managed Chromebook may accept only specified organizational accounts.
  • Confirm that the new user is following the organization’s required sign-in process.
  • If the restriction remains, the owner or administrator must change the policy; a guest session cannot substitute for an authorized regular account.

The visitor needs an app or persistent settings

Guest mode is the wrong fit when the task depends on Play Store installation, an installed application, saved preferences, or a first-party app that requires sign-in. Ask the owner to add an authorized user account or use a different device approved for that software.

The guest’s files disappeared

That is expected when the guest session ends. Guest mode is designed to clear local session files and other documented guest data on exit. A guest who needs to keep work should save it to an approved online service or another permitted location before choosing Exit guest, while recognizing that any service used may retain its own copy.

Someone wants to use the owner’s open session

Sign out first. Sharing the owner’s active session exposes that environment rather than creating a separate boundary. Use guest mode for a short temporary task or add the person as a regular user if the use will continue.

A practical decision checklist

  • How often? One brief visit points to guest mode; recurring use points to a separate user.
  • Must anything persist? If bookmarks, files, preferences, apps, or account sessions need to remain, use a regular account.
  • Is Play Store access required? Guest mode does not provide it.
  • Is the expectation local privacy or online anonymity? Guest mode provides local cleanup, not anonymity from websites or networks.
  • Who controls the Chromebook? The owner or administrator may disable guest browsing or restrict accounts.
  • Is the device managed? Follow the school or employer’s policy and contact its administrator when an option is missing.

Bottom line

Use Browse as Guest for short, occasional borrowing when no account, app installation, or persistent data is needed. Use Add person for anyone who will use the Chromebook regularly or needs a continuing, separate workspace. In either case, treat the Chromebook mode as a local account and data choice—not as protection from websites, network operators, internet providers, or search engines.
