Channel Management: How Sales Routes, Partners, and Software Fit Together

Channel management is the work of choosing and coordinating the routes a business uses to reach customers. Those routes may include a company’s own website or store, as well as retailers, distributors, resellers, wholesalers, brokers, and online marketplaces. The goal is to make the routes, partners, and internal teams work toward business goals without creating avoidable friction or a disjointed customer experience.

What channel management means

A sales channel is a route through which a product or service reaches a customer. Channel management is the strategy and ongoing work of coordinating those routes and the people or systems involved. A channel partner is an outside organization that participates in a route to market, such as a distributor, retailer, or reseller.

In a direct channel, a business sells to customers itself—for example, through its own ecommerce site or store. In an indirect channel, one or more intermediaries help bring the product to market. SAP describes a distribution channel as the route through which saleable materials or services reach customers, with wholesale, retail, and direct sales among typical routes (SAP Help).

The phrase can also refer more broadly to coordinating marketing channels, such as digital and offline communications. Here, the emphasis is on sales and distribution routes; some businesses manage both together. Salesforce distinguishes direct-sales management from partner-focused channel sales, while Shopify and HubSpot describe coordination across a broader mix of routes.

Examples of channel management

A manufacturer sells directly and through retailers

A manufacturer may sell from its own website while also supplying independent retailers. Channel management means defining what each route is responsible for, tracking sales across both, and coordinating product information and customer experience. The company must also decide how the routes should coexist—for example, how to handle customer inquiries or promotions that involve both direct and retail sales.

A vendor builds a reseller network

A vendor may recruit value-added resellers or distributors, onboard them, provide sales resources, monitor their pipeline, and set performance expectations. This is partner-focused channel management: the vendor is not only choosing a route, but also building the relationships and operating practices needed to make it function.

A retailer coordinates its online storefronts

A retailer or brand may sell through its own ecommerce site and third-party marketplaces. Coordinating product and inventory information across those destinations can help keep listings current and make the shopping experience more consistent. The precise systems and workflows depend on the business and the channels it uses.

What channel management involves

The work varies by company, product, and route to market, but commonly includes:

  • Choosing channels: identify routes that suit the product, target customers, and business goals.
  • Selecting and supporting partners: recruit relevant organizations, onboard them, and provide the training or sales resources they need.
  • Setting operating rules: clarify responsibilities, pricing or messaging expectations, and how leads or accounts are handled.
  • Coordinating teams and information: keep internal sales teams and external partners aligned on offers, product details, and customer needs.
  • Tracking performance: monitor leads, pipeline, sales, and other measures that show whether channels are contributing to goals.
  • Resolving friction: identify overlap or disputes between routes and adjust responsibilities, incentives, or communication where appropriate.

A channel manager typically develops and oversees channels, works with partners on strategy and relationships, and checks that channel activity aligns with company goals. Depending on the organization, the role may also include partner recruitment, enablement, account coordination, forecasting, and conflict resolution; there is no single job description that applies everywhere.

Direct versus indirect channels

Neither route is automatically better. Selling directly keeps the transaction with the business, while intermediaries can help extend reach but require partner coordination. The right mix depends on the customers a company needs to reach, its capabilities, and the experience it wants to deliver.

Decision factor Direct channel Indirect channel
Customer relationship and control The business manages the sale and has more direct control over the customer interaction. A partner participates in the customer relationship; responsibilities and handoffs need to be clear.
Investment and operating effort The business must build and operate the route itself. Partners can contribute route-to-market capability, but the business must recruit, support, and coordinate them.
Reach and speed Reach depends on the business’s own capabilities and coverage. Intermediaries may provide access to markets or customer segments the business does not serve directly.
Customer experience The business can manage more of the experience itself. The experience depends partly on partner execution, so standards and communication matter.
Economics Costs and returns depend on the business’s own selling and fulfillment model. Partner margins, incentives, and other terms affect the economics of the route.

Use these factors as prompts for comparing options, not as a fixed scoring formula. A business should weigh customer preferences, product characteristics, desired reach, costs, partner capabilities, and how much control it needs over the customer experience.

How to choose sales channels

  1. Start with the customer. Identify who buys the product, where they expect to find it, and what kind of buying experience they need.
  2. Match the route to the product. Consider how the product is sold, delivered, supported, or explained, and whether a partner can perform those tasks effectively.
  3. Set the business objective. Decide whether the priority is greater reach, a direct customer relationship, a particular market segment, or another measurable goal.
  4. Assess the cost and capability required. Compare the effort of building a direct route with the resources and coordination needed to work through partners.
  5. Define responsibilities before launch. Specify who handles leads, accounts, pricing communication, customer support, and performance reporting.
  6. Review results and adjust. Track whether each route is contributing to business goals and whether customers and partners are experiencing avoidable problems.

How to prevent channel conflict

Conflict can arise when direct teams and partners pursue the same customers, or when responsibilities, pricing, or incentives are unclear. Start by identifying where overlap is likely: shared accounts, territories, leads, or product offers.

Possible measures include setting clear account or territory boundaries where appropriate, differentiating offers or pricing where it makes sense, aligning incentives fairly, and maintaining regular communication. These are options to evaluate rather than universal rules; overly rigid boundaries or pricing arrangements may not suit every market. Shared performance measures can also help teams identify whether a change is improving cooperation rather than merely shifting sales between routes.

What channel management software does

“Channel management software” is not one fixed product category. Depending on the business, relevant capabilities may sit in a customer relationship management (CRM) system, a partner relationship management (PRM) platform, ecommerce or marketplace operations software, or an integrated business suite.

These tools may help centralize partner records, support onboarding and training, communicate with partners, track leads or pipeline, collect sales data, and report performance. Capabilities differ by product, so the label alone does not tell you which workflows a system covers. A CRM generally centers on customer and sales relationships; a PRM platform is oriented toward partner workflows. In practice, systems may overlap, and a business may use integrations or more than one platform.

Questions to ask when evaluating software

  • Which sales channels and partner types must the system cover?
  • Does it support the partner records, onboarding, deal registration or pipeline visibility, and communication workflows the team actually needs?
  • Can it connect with the CRM, ecommerce, inventory, or reporting systems already in use?
  • Can the business represent its channel responsibilities, pricing rules, and performance measures without creating conflicting incentives?
  • Will the system scale with the partner network and provide useful reporting?
  • Does it meet the organization’s usability, security, and total-cost requirements?

Compare platforms by workflow coverage, integrations, reporting, usability, security needs, scalability, and total cost. Current plans, prices, and feature availability vary by vendor and are not established here, so verify them directly before making a purchase decision.

Frequently Asked Questions

What is the difference between a channel management system and a CRM?

A CRM generally focuses on customer and sales relationships, while a partner relationship management platform focuses on partner workflows. Channel-related features can overlap, so compare the actual capabilities and integrations rather than relying on the product label.
