Change the OneDrive Sync-Root Folder Name with Microsoft Intune

To rename the local OneDrive sync folder on Windows, deploy the OneDrive administrative-template policy Set a custom name for the OneDrive folder in Intune. Its policy string ID is CustomSyncRootFolderName. The policy changes the folder created on the Windows device, commonly shown as OneDrive - {organization name}; it does not rename your Microsoft 365 organization, SharePoint site, or cloud tenant. Configure it before first-run setup for new users. Users who already synchronize OneDrive must unlink and relink their account before the new name appears.

Microsoft documents this policy and its Intune administrative-template availability in Use OneDrive policies to control sync settings. Confirm that the setting is available in your tenant’s current Intune catalog before assigning it broadly.

What the Intune policy actually changes

OneDrive creates a local synchronization root for each work or school account. The default presentation is generally OneDrive - {organization name}. The Set a custom name for the OneDrive folder policy replaces that local root-folder name with the string you choose.

The change is local to Windows devices that receive the policy. It does not change the tenant’s display name, the Microsoft 365 organization name, a SharePoint URL, a OneDrive web address, or names that other people see in the cloud. A user can therefore see a custom folder name in File Explorer while the same account still carries the organization’s normal identity in Microsoft 365.

Microsoft identifies the setting with the string ID CustomSyncRootFolderName. The policy is a machine-level setting, so the mapping is stored under:

HKLMSOFTWAREPoliciesMicrosoftOneDriveCustomSyncRootFolderName

Within that key, the tenant ID is used as the value name and the desired local folder name is stored as the string value. One tenant can therefore be mapped to one selected sync-root name on a device receiving the policy.

The policy is documented for Windows OneDrive clients. The supplied Microsoft material does not establish equivalent behavior for macOS, so do not extend this procedure to Mac computers without separate, platform-specific documentation.

Check the naming and path rules first

Validate the proposed name before you build the profile. OneDrive will not accept an empty value or a value that is exactly OneDrive. The name also cannot contain characters that Windows disallows in folder names. Microsoft limits the complete OneDrive sync-root path to 120 characters, including the folders above the custom root and the root name itself.

Requirement What to use Why it matters
Policy name Set a custom name for the OneDrive folder This is the administrative-template setting to enable.
String ID CustomSyncRootFolderName Use it when searching the catalog or correlating policy documentation.
Registry location HKLMSOFTWAREPoliciesMicrosoftOneDriveCustomSyncRootFolderName The machine policy is represented at this key.
Value name Your tenant ID The tenant ID identifies which OneDrive account mapping the value applies to.
Value data Your chosen folder name This becomes the local sync-root name.
Minimum content At least one character An empty custom name is invalid.
Reserved exact name Do not use OneDrive Microsoft specifically excludes this exact value.
Path limit 120 characters for the full sync-root path A long root consumes space needed by nested folders and files.

Keep the name shorter than the maximum you think you can use. The 120-character limit applies to the complete sync-root path, not merely the final folder name. A compact root leaves more room for project folders, file names, and deeply nested team content.

Configure the policy in Intune

Microsoft says the OneDrive policies in its policy documentation can be configured through administrative templates in Intune. Intune menu labels can change, so use the current Windows administrative-template workflow in your tenant and verify the setting name rather than relying on an old screenshot.

  1. Create or edit a Windows administrative-template profile. In the Intune admin center, open the Windows device configuration area and create a profile based on the Administrative Templates policy type, or open the existing OneDrive administrative-template profile that should carry this setting. Select the Windows edition and platform options offered by your tenant.
  2. Search for the exact setting. Search the profile for Set a custom name for the OneDrive folder. If the catalog exposes identifiers, confirm that the entry is CustomSyncRootFolderName. Do not substitute similarly worded settings that change the OneDrive location or disable synchronization.
  3. Enable the setting and enter the mapping. Turn the policy on, then provide the tenant ID and the custom folder name in the setting’s options. The intended representation is the tenant ID as the value name under the documented registry key and your folder name as its string value. Check spelling, spaces, and capitalization before saving.
  4. Review assignments. Assign the profile to the device or user groups that should receive it. Start with a pilot group containing representative Windows devices and OneDrive account types. Exclude devices whose existing synchronization state cannot be interrupted during the pilot window.
  5. Save and allow policy processing. Complete the profile, trigger a device sync for pilot machines when appropriate, and watch the profile’s per-device and per-user deployment status. A successful Intune assignment only proves that the policy was targeted; the OneDrive client still has to process the setting.
  6. Record the exact value. Keep the tenant ID, selected name, assignment scope, and rollout date in your change record. This makes it possible to distinguish a naming issue from an unrelated OneDrive synchronization problem.

If the setting does not appear in your current catalog, do not create an ad-hoc registry preference and assume it is equivalent. First confirm that you are using the current OneDrive administrative-template content and that the policy is available for the Windows devices in your tenant.

Use the registry mapping to verify delivery

The documented policy key gives administrators a direct way to verify that the machine received the intended mapping. On a pilot computer, after Intune reports the profile as applied, inspect the key with an elevated Command Prompt:

reg query "HKLMSOFTWAREPoliciesMicrosoftOneDriveCustomSyncRootFolderName" /s

You should find a value whose name is the tenant ID and whose data is the custom folder name. The command confirms policy data on the device; it does not by itself prove that an already configured OneDrive account has rebuilt its local root. Existing accounts require the unlink/relink process described below.

Time the deployment around OneDrive setup

New OneDrive users

Deploy the policy before a user completes initial OneDrive setup. When OneDrive creates the sync root for the first time, it can use the custom name immediately, avoiding a later account reset. This is the least disruptive path for newly provisioned devices, new employees, and machines being reimaged.

Users who are already syncing

An existing root does not automatically change when Intune delivers the policy. Microsoft requires the user to unlink and then relink the OneDrive account for the custom name to take effect. Treat this as a controlled account transition, not as a cosmetic rename that can be forced silently.

Safely unlink and relink an existing account

Coordinate the change with the user and follow your organization’s data-protection procedure. Microsoft specifically advises stopping folder backup and choosing where to keep files before unlinking.

  1. Confirm synchronization health. Make sure pending uploads or downloads have completed and resolve visible OneDrive errors before starting. Do not begin while the client is still processing a large change set.
  2. Open OneDrive settings. Use the OneDrive cloud icon in the Windows notification area, open its settings, and go to the backup controls.
  3. Open Manage backup. Review the folders protected by Known Folder Backup, such as Desktop, Documents, or Pictures, and stop backup according to your organization’s plan. Stopping backup is important because unlinking while backup is active can leave users unsure where protected folders should remain.
  4. Choose where to keep files. When OneDrive asks what to do with local content, select the location that preserves the user’s files according to your data-retention policy. Do not interpret the unlink prompt as permission to delete synchronized data.
  5. Unlink the account. Complete the account-unlink action and wait for the current OneDrive connection to close. The existing folder may remain on the computer until the new connection is established; do not manually rename it while the client is transitioning.
  6. Relink the account. Start OneDrive, sign in with the same work or school account, and allow the client to read the policy. Choose the intended local location when prompted, then let OneDrive create the sync root using the custom name.
  7. Resume backup if required. Reopen Manage backup and re-enable the folders your organization protects. Confirm that the backup state and local paths are correct before ending the session.
  8. Validate synchronization. Check the new root in File Explorer, create or update a small test file, and confirm that it synchronizes. Then verify that the user’s important folders and shortcuts point to the new path.

Schedule this work outside critical deadlines and communicate the expected sign-in and backup prompts. If your organization has retention, legal-hold, or endpoint-backup requirements, have the responsible administrator approve the unlink/relink sequence before broad deployment.

Troubleshoot the common failure modes

The policy is assigned but the setting is absent

Check that the profile is an administrative-template policy for Windows, that the assignment includes the affected device or user, and that the device has completed an Intune check-in. Confirm that the setting is enabled rather than left at its default state. If the catalog entry is unavailable, compare the tenant’s current policy catalog with Microsoft’s OneDrive policy documentation instead of assuming a registry workaround is supported.

The registry key is present but the folder name is unchanged

This is expected for an account that was already syncing when the policy arrived. Verify the tenant-ID value and name in the registry, then perform the managed stop-backup, unlink, relink, and backup-resume sequence. Do not repeatedly rename the folder in File Explorer; OneDrive must create the root itself.

OneDrive rejects the custom name

Check for an empty value, the exact reserved name OneDrive, or a Windows-invalid character. Also check the total path length, including all parent directories. Shorten the name and test again. A shorter name is usually safer because nested content can consume the remaining path allowance later.

Files appear in an unexpected location after relinking

Pause and document the selected local location before making further changes. Compare it with the organization’s standard OneDrive path and confirm that the new root contains the expected files. Do not delete the former folder until synchronization status and retention requirements have been verified.

Folder backup does not return after relinking

Open Manage backup and review each protected folder individually. Re-enable only the folders your policy requires, then wait for OneDrive to report a healthy state. If the backup controls remain unavailable, resolve the account or policy error shown by OneDrive before attempting another unlink.

Plan a controlled rollout

A custom root name can improve consistency or reduce path pressure, but the relink requirement makes timing important. Use a staged rollout:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Pilot: Apply the policy to a small group with both newly provisioned and already active Windows devices. Test sign-in, backup, local paths, and synchronization of representative files.
  • Document: Record the exact tenant ID-to-name mapping, the selected short name, the profile assignment, and the user instructions for unlinking and relinking.
  • Communicate: Tell existing users when the change will occur, what backup prompts they will see, and whom to contact if a file appears missing.
  • Expand gradually: Move from pilot to additional groups only after checking deployment status and confirming that the 120-character path ceiling is practical for your deepest common folder structures.
  • Keep a rollback plan: If the custom mapping causes operational problems, remove or disable the policy through the same Intune profile and decide how affected accounts should be relinked. A rollback still requires care for users whose accounts have already been unlinked.

What this setting does not do

  • It does not rename your Microsoft 365 tenant or organization.
  • It does not change SharePoint sites, document-library names, sharing links, or OneDrive web URLs.
  • It does not automatically rename an existing local root while the account remains linked.
  • It does not establish a macOS configuration based on the Windows policy documentation.
  • It does not remove the 120-character maximum for the complete OneDrive sync-root path.

Rollout history and current documentation

Microsoft’s Message Center notice MC1242782, titled “Set a custom name for the OneDrive sync folder,” was published on March 3, 2026 and updated on March 18, 2026. The archive marks that announcement expired on May 6, 2026. It described the capability as an opt-in Windows policy intended in part to help reduce file-path length issues. Because the notice is historical, use the current Microsoft Learn policy page for configuration details and treat the archived item as rollout context: MC1242782 archive.

Administrator checklist

  • Confirm the Windows-only scope and the OneDrive client population receiving the policy.
  • Use the exact setting name Set a custom name for the OneDrive folder and string ID CustomSyncRootFolderName.
  • Map the correct tenant ID to a non-empty, Windows-valid name that is not exactly OneDrive.
  • Keep the complete sync-root path within Microsoft’s 120-character limit.
  • Deploy before first-run setup for new users.
  • Schedule stop-backup, unlink, relink, and optional backup-resume work for existing users.
  • Verify both the registry mapping and the resulting File Explorer path on pilot devices.
  • Document the change and monitor Intune deployment results before expanding the assignment.
