Sometimes. You can use AI tools for work without exposing trade secrets only when three things line up. Your employer has approved the specific service and workflow. The contract and settings meet company requirements. You don’t submit information that policy prohibits. A “business” or “enterprise” label alone doesn’t settle it. The service, account type, contract, retention configuration, sharing controls and connected data sources all matter.
Is it safe to paste company information into ChatGPT or a similar tool?
Treat every prompt or upload as a disclosure to the provider, governed by that provider’s terms for your account type. The FTC puts the risk plainly in a January 2024 staff article: “This risk is particularly salient given that customers may reveal sensitive or confidential information when using a company’s models, such as internal documents and even their own users’ data.” (FTC). That is an agency statement, not legal advice about whether your information qualifies as a trade secret in your jurisdiction.

So the question isn’t whether “AI” is safe. It’s whether this tool, on this account, under these terms, is approved for this kind of data.

Training, retention, history, sharing and access are different questions
People often collapse these into “is it private?” They are separate controls, and one can be locked down while another is wide open.

- Training: whether your inputs and outputs are used to improve the provider’s models.
- Retention: how long content is stored, including for safety or abuse review.
- History: whether chats stay visible in your account.
- Sharing: shared links, workspaces and connected apps that expose content to others.
- Access: who in your organization, and which connected sources, the assistant can reach.
Does turning off training keep my work private?
No. It addresses one of the five questions above. OpenAI’s consumer data controls let users turn off model improvement for new conversations, but chats remain in history when that setting is off. Temporary chats may be retained for up to 30 days for safety purposes (OpenAI data controls). Opting out of training is not deletion and not zero retention.
Can my employer’s AI account protect confidential data?
It can offer stronger protections, but not automatically. Business accounts have different defaults and administrative controls from personal ones.

OpenAI business products and API
OpenAI states that its listed business products and API do not use organization inputs or outputs for training by default (OpenAI business data). This is a product commitment for those offerings. It is separate from the consumer setting above, and it is not a blanket promise that nothing is retained.

Microsoft says protections for covered organizational Copilot experiences include encryption, tenant isolation, and controls that follow identity, permissions, sensitivity labels, retention and audit settings. Specific controls vary by subscription (Microsoft enterprise data protection). Its deployment guidance stresses fixing oversharing first (Microsoft deployment guidance). An assistant that respects permissions will still surface a confidential file to anyone who has been over-permissioned to it.

Whose approval counts
Vendor claims don’t replace your employer’s authorization or its review of the terms. Your organization’s data classification and AI policy decide what may go in. The NIST AI Risk Management Framework, including its Generative AI Profile, is a useful reference for managing these risks. It doesn’t prove any particular product is secure.
Pre-use checklist
- Confirm approval. Check with your employer that the exact tool, account and workflow are sanctioned.
- Check the data class. Don’t submit trade secrets, credentials, customer records or other restricted data unless the organization explicitly allows it for that tool.
- Read the terms. Look at the business terms and privacy documentation for training use, retention, deletion, region, access and sharing.
- Review admin settings. Check connected apps, shared links, agents, workspace access and the permissions on any source the assistant can retrieve.
- Minimize the prompt. Redact, summarize or substitute placeholders when a useful answer doesn’t need the original material.
- Don’t rely on one toggle. Verify history, retention, sharing, access and deletion separately from training.
- Report mistakes. If sensitive material is submitted by accident, follow your organization’s incident process promptly.
How to compare tools beyond “consumer versus enterprise”

Is there a statistic for how often AI causes trade-secret leaks?
No reliable published figure for the likelihood of trade-secret exposure through AI tools turned up in the sources reviewed, so none is given here. Product terms and settings change, so check the live documentation and your organization’s actual contract rather than relying on a summary, including this one.

Use AI for work only through tools your employer has approved, and put in only what policy allows. Minimize what you paste. Treat the training toggle as one control among several.
