A self-hosted office editor can handle common DOCX, XLSX and PPTX files, especially when it uses Office Open XML (OOXML) as its primary editing format. However, “can edit” does not mean every page, formula, chart or slide will render identically to Microsoft Office. Google’s documented workflow is different again: Office files are uploaded to Google Drive, edited in Docs, Sheets or Slides, and saved in Office format. That documentation does not establish direct editing of arbitrary files that remain on your own server.
The safe approach is to match the editor to the file format, test representative documents, keep backups, and prevent simultaneous edits through different applications.

What “without formatting problems” really means
There are three separate questions hidden in the title:
- Can the file open? Most modern office suites can open common Microsoft Office formats.
- Can users make and save changes? Self-hosted integrations and Google’s Drive workflow both support editing in documented circumstances.
- Will the result look and behave exactly the same everywhere? The official material reviewed does not provide a universal fidelity guarantee or a cross-suite benchmark.
Formatting can change when an application converts a file, substitutes a font, interprets a layout feature differently, or rewrites a feature it does not fully support. A document may appear acceptable at a glance while page breaks, formulas, chart types, embedded media or other details differ. Treat complex files as compatibility tests rather than assuming that a successful upload proves perfect interchange.

Two workflows that are often confused
“Self-hosted office files” can describe two very different arrangements. In one, the storage and editing service run on infrastructure you control. In the other, a user uploads a copy to Google Drive and edits that copy in Google’s web applications.

This distinction matters for data location, permissions, audit trails and offline procedures. A team that must keep the canonical file on its own server should evaluate a self-hosted editor. A team comfortable placing a working copy in Drive can use Google’s Office-file mode, subject to the compatibility limits described below.

Why the file format determines the outcome
OOXML files are the strongest starting point
DOCX, XLSX and PPTX are Office Open XML formats. The ONLYOFFICE documentation identifies OOXML as the basis of its editor, so these formats are the logical first candidates for a self-hosted workflow that exchanges files with Microsoft Office users.
That is a format-alignment advantage, not a promise of pixel-perfect output. OOXML files can contain features with different implementations across applications. A document that uses ordinary paragraphs, tables and headings is a lower-risk test than one built around unusual fonts, intricate section breaks or embedded objects.

Other formats may be converted
ONLYOFFICE warns that converting selected formats can cause data or formatting loss. If a file is not already in the editor’s primary format, determine whether opening or saving will trigger conversion and preserve the original before proceeding. Do not overwrite the only copy while evaluating compatibility.
“Save in Office format” is not the same as “native Google format”
Google’s documented Drive feature lets users edit an uploaded Office file and save changes in the original Office format. Users can also convert it to a Google document, spreadsheet or presentation; conversion creates a separate copy. The two choices have different collaboration and fidelity implications, so establish which file is authoritative before a team begins editing.

How to set up a safer self-hosted editing workflow
The exact labels depend on your Nextcloud and editor versions, but the control sequence is consistent.
- Inventory the files. Group them by extension and note which documents contain complex layouts, large workbooks, unusual charts, embedded media, add-ins or uncommon fonts. Mark the files that must remain byte-for-byte recoverable.
- Confirm the deployment versions. The relevant Nextcloud documentation is the Server 35 stable administration manual, while connector and editor behavior can change between releases. Record the installed Nextcloud, integration and editor versions before testing.
- Back up the originals. Make a restorable server backup and keep an untouched copy of each test file. A version-history entry is useful, but it should not be your only recovery mechanism.
- Install and configure the office integration. In Nextcloud’s Administration settings, enable the office-editing app and connect it to the self-hosted editor according to that editor’s current connector instructions. Verify that a test account can open, edit and save a copy.
- Use OOXML test copies first. Start with representative
DOCX,XLSXandPPTXfiles. Open each in the self-hosted editor, make a small change, save, close and reopen it. Then inspect the result in the Microsoft Office application used by your recipients. - Compare the details, not just the first page. Check pagination, headers and footers, tables, styles, formulas, calculated values, charts, comments, tracked changes, slide layouts, fonts and embedded objects. Record any difference and decide whether it is acceptable for that file class.
- Define an approval rule. If a file fails a required check, keep the Microsoft Office version as the editing authority or redesign the document around features both applications handle reliably. Do not move the whole library based on one simple document.
- Set a concurrency policy. Decide whether a file may be edited in Microsoft Office, the self-hosted editor and Google tools at the same time. If not, communicate a single-editor rule and use temporary file locking where the connector supports it.
These steps do not remove incompatibilities; they make them visible before they affect production documents.

How Google Docs users edit an Office file
Google’s supported sequence begins in Drive, not on an arbitrary self-hosted file share.
- Upload the
DOCX,XLSXorPPTXfile to Google Drive. - Open it with the corresponding Google application: Docs for word-processing files, Sheets for spreadsheets or Slides for presentations.
- Edit the uploaded Office file in the Office-file workflow and allow Drive to save the changes.
- Keep the file in its original Office format if Microsoft Office users need to receive the same format.
- Choose a conversion command only when you intentionally want a separate Google-format copy. Treat that converted copy as a different file with its own compatibility and sharing behavior.
This workflow answers “Can a Google Docs user edit an Office file?” with yes. It does not answer “Can Google Docs directly edit a file that stays on my self-hosted server?” The cited Google documentation describes files uploaded to Drive, so a self-hosted system would need its own synchronization, upload or integration process. That additional process is outside the documented guarantee.
Spreadsheet cases where Excel remains the safer choice
Google specifically recommends continuing in Excel for certain spreadsheet scenarios. These are product guidance thresholds and feature exceptions, not a universal compatibility score.

If a workbook falls into one of these categories, do not treat a successful upload as evidence that formulas, charts or add-in behavior will remain intact. Keep the workbook in Excel for the operations that depend on those features and use another editor only for a controlled, tested subset of tasks.

Concurrent editing can lose work
The most serious risk may be operational rather than visual. ONLYOFFICE’s integration guidance warns that simultaneous editing in other tools can overwrite changes or cause edits to be lost. For example, one person could open a file in the self-hosted editor while another saves a copy from Microsoft Office or another service. The later save may replace the earlier one without producing a useful merge.
Use temporary file locking when available, or enforce a written rule that only one product edits a given file at a time. If people must work in parallel, create separate copies with clear names and merge changes deliberately. Confirm that version history and backups can restore an earlier state before enabling broad collaboration.
A practical compatibility test plan
Before migrating a team, build a small test set rather than relying on a single “hello world” file.
Word-processing sample
- A document with multiple sections, page breaks, headers and footers.
- Tables, numbered lists, comments and tracked changes.
- Fonts that are standard in your organization plus any licensed or unusual fonts.
Spreadsheet sample
- Formulas that reference several sheets and include calculated totals.
- Charts, filters and conditional formatting.
- A workbook close to the size and complexity users handle in production.
Presentation sample
- Theme layouts, speaker notes and embedded media.
- Slides using the fonts, images and transitions your presenters rely on.
For each file, compare the original and edited versions in the application that recipients actually use. Test both directions: open an Office-edited file in the self-hosted editor, then open the saved result in Office. For Google, test the uploaded Office-file workflow separately from a converted Google-format copy. Keep a change log so a small visual difference is not confused with a data loss, and reject the workflow if a required feature fails.
Common symptoms and what to do
Page breaks or fonts move
Check whether the same fonts are installed or available in each editing environment and whether the document uses complex layout rules. Reproduce the issue on a copy, then either standardize the fonts and layout or keep that document in the application that renders it correctly.

Verify the workbook in Excel after saving elsewhere. Pay particular attention to the Google-listed exceptions: very large datasets, Hyperion add-ins and rare chart types. If a required result differs, restore the original and designate Excel as the authority for that workbook.
Changes disappear after collaboration
Check whether two products had the file open or saved it during the same period. Restore the last known-good version, compare the separate copies and adopt a single-editor or temporary-locking policy before trying again.
A non-Office file loses content
Determine whether the editor converted the file on open or save. Preserve the original, test an OOXML copy where appropriate and do not replace the source until the converted result passes inspection.
Choosing the right policy for your team
- Choose a self-hosted editor when files must remain on infrastructure you control and your main exchange formats are OOXML. Validate complex files and plan for locking.
- Choose Google’s Office-file workflow when users can place working copies in Drive and need browser-based editing. Keep Office format when interoperability matters; convert only to create a deliberate second copy.
- Keep Microsoft Office as the authority for workbooks or documents containing features that testing shows are not preserved, especially Google’s listed spreadsheet exceptions.
- Use a hybrid policy when ordinary documents can be edited collaboratively but regulated, complex or high-value files require one designated application.
Product versions and documented behavior change. Recheck the current Nextcloud, editor and Google guidance when upgrading, and repeat the compatibility test for files that matter.
Bottom line
Microsoft Office and Google Docs users can edit many office files in self-hosted or cloud-assisted workflows, but no official material here supports a promise of zero formatting changes. OOXML files are the best starting point for a self-hosted editor built around that standard. Google’s documented method begins with an upload to Drive, not direct editing on a self-hosted server. Backups, representative tests, spreadsheet exceptions and a strict concurrency policy are what turn “it opens” into a dependable workflow.
