Yes for some document workflows, no as a blanket replacement for every Microsoft 365 plan. A Microsoft Office reimplementation such as LibreOffice or ONLYOFFICE can create, open, edit and save ordinary Word, Excel and PowerPoint files. That does not guarantee identical layout, formulas, macros or collaboration behavior, and an editor cannot automatically replace Microsoft 365 services such as cloud storage, administration, upgrades or enterprise controls.
The practical decision is therefore two separate questions: can another suite replace the Office applications you use, and can it replace the wider Microsoft 365 service bundle your people depend on?

What does “replace Microsoft 365” mean?
Microsoft 365 is a subscription bundle whose contents vary by plan. The desktop or web applications are only one part. Depending on the plan, users may also receive offline rights, feature updates, Power Query, cloud storage and sharing, identity and administration tools, compliance controls, and other business services.

How compatible are Microsoft Office file formats?
LibreOffice documentation says it can open and save Microsoft Office formats, including DOC and DOCX, XLS and XLSX, and PPT and PPTX. ONLYOFFICE also advertises compatibility with Microsoft Office formats. Those statements establish format support, not a universal guarantee that every file will render or behave identically.
Word documents
Simple text, headings, tables and images usually provide the least risky test. More demanding files can expose differences in fonts, pagination, section breaks, fields, headers and footers, comments, tracked changes, embedded objects and templates. A document that looks correct on screen can still change page breaks or print output after conversion.
Excel workbooks
Test formulas, named ranges, pivot tables, charts, external links, data validation, conditional formatting and print areas. A workbook may open successfully while a less common function, data connection or chart setting behaves differently. Reopen the saved copy in the original application and compare important results rather than relying on the initial display.
PowerPoint presentations
Check slide masters, fonts, animation, transitions, SmartArt-like objects, embedded media, speaker notes and handout printing. Presentations are particularly sensitive to missing fonts and object repositioning, so inspect every slide in the final presentation environment.
Macro-enabled files and format-specific behavior
Microsoft identifies DOCM as a macro-enabled XML format that stores VBA code. Saving a macro-enabled file in a format or application that does not preserve that code can remove the automation even when the visible document remains intact. Microsoft also warns that ODT formatting may be lost when an ODT file is saved and reopened in Word. Format names alone therefore do not describe the full behavior of a file.

Will Office macros work in LibreOffice?
Do not assume they will. LibreOffice Help states: “With a few exceptions, Microsoft Office and LibreOffice cannot run the same macro code.” VBA is Microsoft Office’s macro language and object model; LibreOffice Basic uses a different API environment. Some Excel VBA scripts may run when the relevant compatibility feature is enabled, but that is not a promise that a business-critical workbook will work unchanged.
What to inventory
- VBA procedures triggered by buttons, events or scheduled tasks.
- References to Office applications, Windows components, databases or external files.
- Third-party add-ins, COM components, connectors and custom functions.
- Digital-signature, security and trusted-location requirements.
- Macros embedded in DOCM, XLSM or PPTM files.
For each critical automation, make a copy, run the complete workflow in the proposed suite, inspect the output, close the file and reopen it in both applications. If the macro cannot be ported, estimate the work to rewrite it against the new suite’s API before retiring the existing environment.

Microsoft’s official plan comparison shows that entitlements differ by plan. Offline use, upgrade rights, Power Query, cloud services and enterprise functions are not interchangeable assumptions. List what each person or team actually uses instead of comparing application names.

If the answer to any row is “yes,” evaluate a replacement for that service separately. It may be sensible to move desktop editing while retaining specific Microsoft services, or to adopt a different collaboration and storage platform for the whole organization.

Neither product should be described as a complete Microsoft 365 clone. Choose candidates by workflow, not by the number of familiar application names. Confirm current operating-system requirements on the vendor’s documentation before deployment because support policies change.

Run a controlled replacement pilot
A short, representative pilot is more reliable than a compatibility slogan. Keep the current environment available until the tested workflow passes.
- Map actual use. For every person or team, record the applications, services, storage locations, sharing patterns, add-ins, macros, templates and offline requirements they use. Include occasional but business-critical tasks.
- Build a risk-weighted file set. Collect ordinary DOCX, XLSX and PPTX files plus the most complex spreadsheet, presentation, template and macro-enabled file. Include files with comments, tracked changes, charts and external links.
- Test both directions. Open copies in the proposed suite, edit them, save them, then reopen those copies in the original application. Repeat after a second edit so that conversion problems are not hidden by a one-time import.
- Verify visible output. Compare page breaks, fonts, formulas, calculated values, charts, comments, tracked changes, slide positions, printing and PDF output. Record any change that would affect a customer, regulator or operational decision.
- Exercise automation. Run every critical macro and add-in through its full workflow. Test error handling, file paths, permissions and output files, not just whether a button appears.
- Pilot collaboration and storage. If shared editing, cloud access, version history or on-premises storage matters, test the proposed deployment with real permissions and recovery scenarios.
- Set acceptance criteria. Decide in advance which differences are harmless, which require a documented workaround and which block migration. Assign an owner and a deadline to every remediation.
- Choose a staged cutover. Migrate low-risk users first, retain access to the existing applications for unresolved files, and provide a documented process for opening legacy or macro-enabled documents.
Collaboration, storage and deployment decisions
Shared editing
Ask whether users need simultaneous editing, comments, review workflows and dependable version history. A desktop editor may open the same file as another product while offering different locking, conflict-resolution or co-authoring behavior. Test two or more users editing a shared copy, including an offline-to-online return, before promising a team-wide workflow.
Cloud and self-hosted storage
Determine whether files must remain in a particular cloud, on a local server or in a self-hosted environment. Verify identity integration, permissions, backup, retention and restore procedures. ONLYOFFICE describes integrations and enterprise deployment options, but the exact connector, edition and support terms must be confirmed for the proposed setup.
Desktop, web and mobile boundaries
Define which platforms are required. LibreOffice publishes desktop requirements for Windows, macOS and GNU/Linux. ONLYOFFICE describes desktop editors for Windows, Linux and macOS. A desktop replacement does not automatically cover browser or mobile use, so test those surfaces separately if they are part of the current workflow.

- Licenses or subscriptions for the chosen applications and any remaining Microsoft services.
- Migration, macro rewriting, template conversion and data cleanup.
- Packaging, deployment, update management and help-desk training.
- Storage, identity, backup, compliance and collaboration services.
- Vendor support or specialist assistance for failures that internal staff cannot resolve.
A free desktop editor can still be more expensive overall if it requires extensive automation rewrites or a new collaboration platform. Conversely, moving only low-risk desktop work may reduce subscription use without forcing a risky all-at-once migration.
Common failure modes and safer responses
“The file opened, so it is compatible.”
Opening proves only that an import path exists. Save, reopen and compare the features that matter to the workflow, including calculated results and printed output.
“The extension is DOCX, XLSX or PPTX, so behavior is identical.”
The container can hold feature-specific structures, embedded objects and code. Treat the extension as a starting point for testing, not a fidelity guarantee.
“The macro button is visible, so the macro works.”
Run the complete automation and verify its outputs. Different object models and APIs can cause silent errors or partial execution.
“Replacing the editor replaces the subscription.”
Recheck storage, identity, communication, administration, compliance, upgrades and offline rights. Retain or replace each service deliberately.
“A vendor’s compatibility claim is an independent test result.”
Vendor documentation describes intended support. Your own representative pilot is the evidence needed for a migration decision.
Who is most likely to succeed with a switch?
A replacement is usually practical when work consists mainly of standard documents, basic spreadsheets and conventional presentations; users can tolerate minor layout differences; critical automation is absent or portable; and storage and collaboration needs are modest or already covered elsewhere.
Keep Microsoft Office applications available, at least for selected users, when work depends on complex VBA, specialized add-ins, exact pagination, advanced data connections, regulated review workflows or files exchanged with parties that require Microsoft-specific behavior. A hybrid arrangement can be more reliable than forcing every workflow onto one suite.
Bottom line for your decision
Can a Microsoft Office reimplementation replace Microsoft 365? It can replace the document-editing portion for many people, provided representative files pass a two-way pilot and critical macros are migrated or retired. It cannot be assumed to replace the Microsoft 365 service bundle until storage, collaboration, identity, administration, compliance, updates and other plan entitlements have each been matched. Decide application replacement and service replacement separately, then migrate in stages with the original environment available for exceptions.
