Business Loan Uses: How to Fund Cash Needs You Can Repay

A business loan can help with cash flow only when it addresses a specific timing gap or funds an investment that the business can repay. Borrowing adds cash today but also creates future payments: most SBA 7(a) term loans are repaid from business cash flow, and applicants must show a reasonable ability to repay. The five uses below can be sensible when the proceeds, expected benefit, and repayment source are clear.

1. Bridge a short-term working-capital gap

A loan may cover a temporary mismatch between outgoing costs and incoming revenue—for example, when payroll or supplier invoices fall due before customers pay. Keep the need specific and time-bound, and identify the receipts expected to close the gap. The SBA lists short- and long-term working capital among eligible uses of 7(a) loans (SBA 7(a) loans).

Borrowing is not a durable fix for recurring operating losses. If the business has no credible path to restore positive cash flow, adding debt can make the shortfall harder to manage.

2. Buy inventory for a defined sales opportunity

Inventory financing may fit a seasonal cycle or a confirmed order when the business can estimate how quickly the stock will sell and when customer payments will arrive. Map the cash cycle: when you pay for inventory, when it is expected to sell, and when the proceeds become available for loan payments. The SBA lists inventory as an eligible microloan use and describes working-capital facilities that may borrow against inventory (SBA microloans; SBA 7(a) loans).

Do not assume unsold stock will solve a repayment problem. Slower sales, discounts, or a delayed order can leave the business with debt payments due before the expected cash arrives.

3. Cover salaries or specific bills during a revenue ramp

A short-term loan can bridge payroll or named operating bills if the business has a grounded forecast showing when revenue is expected to increase and how that cash will support repayment. The SBA’s business-plan guidance asks applicants to explain whether they need funds for salaries or bills until revenue rises (SBA guidance on writing a business plan).

Set a clear end point for the bridge. If the expected revenue increase is delayed or uncertain, borrowing to meet recurring bills can turn a temporary gap into a continuing debt burden.

4. Buy machinery or equipment that can improve operations

Equipment can support cash flow if it credibly reduces operating costs, removes a production bottleneck, or enables additional revenue. Estimate when the improvement will begin and compare that timeline with the loan’s payment schedule. SBA 7(a) loans and microloans can finance machinery and equipment, subject to program and lender requirements (SBA 7(a) loans; SBA microloans).

5. Refinance eligible existing business debt

Refinancing may change payment timing or total borrowing cost, but it is useful only if the new terms work better after fees, collateral requirements, and other conditions are included. SBA 7(a) loans may be used to refinance current business debt when program requirements are met; eligibility is not automatic (SBA 7(a) loans).

Compare the full cost and repayment schedule of the proposed loan with the debt it would replace. A lower payment alone does not prove savings if the new loan extends repayment or adds fees.

Build a repayment forecast before borrowing

Use a cash-flow forecast to connect the amount borrowed to its purpose and repayment source. The SBA recommends historical financial statements and prospective projections, with monthly or quarterly detail for the first year (SBA guidance on writing a business plan).

  1. Record when the loan proceeds will arrive and when they will be spent.
  2. Estimate when the intended benefit—customer receipts, inventory sales, cost reductions, or other cash—will reach the business.
  3. Add the proposed payments, fees, and other debt obligations to the forecast.
  4. Test a downside case, such as slower collections, lower sales, or delayed equipment benefits, and check whether payroll, suppliers, taxes, and payments remain manageable.

As SBA contributor Marco Carbajo wrote in an August 5, 2019 article, “If you don’t have the cash flow to service the debt, it may not be the best option for your business at this time.” The SBA’s 2017 financing article also quoted Jay DesMarteau, then identified as head of small business banking at TD Bank: “If your business has too tight of a margin, work toward lowering expenses or finding ways to grow revenue before applying for a loan.” These cautions are especially relevant when a forecast depends on optimistic assumptions (SBA article on ways to get working capital).

Match the loan structure to the cash need

A term loan, line of credit, microloan, or asset-based facility may have different permitted uses, access conditions, repayment schedules, costs, and monitoring requirements. Compare the actual offer and program rules rather than assuming one type is universally cheaper or more flexible. SBA 7(a) programs include working-capital lines, while microloans and 504 loans have distinct restrictions (SBA 7(a) loans; SBA microloans; SBA 504 loans).

  • Permitted use and eligibility: Confirm that the program and lender allow the intended spending. SBA microloans cannot be used to pay existing debt or purchase real estate; SBA 504 loans cannot be used for working capital or inventory.
  • Total cost: Compare interest and fees over the repayment period, not just the amount advanced or the first payment.
  • Payment terms: Check frequency, maturity, any grace period, and whether the schedule fits the timing of expected cash receipts.
  • Access and availability: Ask how soon funds can be accessed, whether a line requires a draw, and whether interest accrues only on amounts drawn.
  • Security and oversight: Review collateral, guarantees, reporting duties, and conditions that could require full repayment. Asset-based lending may use accounts receivable, inventory, or equipment as collateral (SBA Working Capital Pilot; SBA 7(a) loans; SBA microloans; SBA 504 loans; SBA asset-based lending).

The SBA Lender Match tool can help connect U.S. businesses with participating lenders, but a request does not guarantee a match or a loan offer. The SBA recommends asking prospective lenders about interest rates, cash-flow requirements, collateral, prepayment penalties, grace periods, and circumstances that could trigger full repayment (SBA Lender Match).

When borrowing may not improve cash flow

A loan is a poor fit when the business cannot identify a credible repayment source, the need is an ongoing loss rather than a temporary gap, or the expected cash benefit arrives after payments become difficult to meet. Debt service competes with payroll, suppliers, taxes, and other operating needs. Before borrowing, consider whether expense reductions, faster collections, revised payment timing, or revenue growth can address the problem without adding a repayment obligation.
