A bank may offer direct APIs, an accounting or ERP connector, a treasury portal, secure file transmission, or a combination of these. The right choice depends on the systems you already run, the banking tasks you need to automate, how quickly data must update, and the controls your organization requires.
For a sound decision, verify the bank’s exact supported products and versions, available functions, authentication and approval controls, third parties that handle data, implementation process, and ongoing support. The examples below are drawn mainly from U.S. bank documentation and should be treated as provider-specific descriptions rather than guarantees about every bank.

What business banking software actually connects
In this context, “business banking software” means the applications and services that let a company view accounts, move money, collect reports, verify account details, or reconcile transactions through a bank’s systems. The connection can be built into your accounting or enterprise resource planning (ERP) platform, operated through a bank portal, or implemented as a technical exchange between systems.

Typical data and actions include:
- Current and available balances.
- Transaction history and account activity.
- Payment files, payment initiation, and payment-status updates.
- Account verification information.
- Cash reports and statements.
- Data used for reconciliation inside an accounting or ERP system.
Not every connection supports every item. A bank may expose balances but not payment initiation, or offer file processing without real-time status updates. Confirm the specific service description before designing a workflow around it.

Four common integration approaches
Direct APIs
An application programming interface (API) is a software interface through which one system requests information or services from another. BMO describes APIs that can link business online banking with accounting, treasury, and other financial systems. Its documented use cases include balances, transaction histories, payments, and payment-status updates.
API projects normally involve developer documentation, credentials, authentication, testing, and a production approval process. BMO describes a developer portal with sandbox and pre-production stages; access to production requires progressing through its process. PNC describes commercial APIs for treasury management and payments and says its API authentication uses OAuth 2.0. Those are examples of the named providers’ offerings, not evidence that all banks use OAuth 2.0 or provide the same endpoints.
Accounting and ERP connectors
A connector places banking functions inside an accounting or ERP environment instead of requiring staff to switch between systems. KeyBank names NetSuite, Sage Intacct, and Microsoft Dynamics 365 Business Central for an ERP plug-in. City National names NetSuite, Microsoft Dynamics, and Sage for its connectors.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Connector compatibility is narrower than the word “ERP” suggests. Check the exact bank product, accounting or ERP edition, supported version, regional configuration, and workflows. A connector may support importing transactions but not initiating payments, or may require a separate treasury service for approvals.
Treasury portals
A treasury portal centralizes cash management, payments, reporting, and access to multiple banking services in a bank-hosted interface. U.S. Bank describes SinglePoint as an online platform for treasury tasks. Truist describes One View as consolidated access to multiple banking applications.
Portals can be practical when users need a controlled workspace and the bank’s own tools cover the required tasks. They may be less suitable when your team needs banking data embedded in an ERP or an automated, system-to-system process. Ask how data is exported, how often it refreshes, and whether portal users can be restricted by account, function, amount, or approval role.

Secure file transmission
File transmission supports batch workflows, such as sending payment files or receiving reporting files on a schedule. U.S. Bank describes processing batches in industry-standard and custom formats. KeyBank describes signed files, multiple protocols, and data translation when a system cannot use a standard format.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteFile-based processing can fit payroll, supplier payments, and high-volume reporting, but it requires careful handling of file creation, signing, delivery, validation, acknowledgements, exceptions, and retention. Ask which formats and protocols are supported, what schedules apply, how rejected records are reported, and who can release a file for processing.
| Approach | Best fit | Questions to verify |
|---|---|---|
| API | Automated, system-to-system exchange and near-continuous workflows | Endpoints, authentication, rate or volume limits, sandbox access, production approval, and supported payment functions |
| ERP or accounting connector | Banking tasks performed inside a named accounting or ERP product | Product and version compatibility, import versus payment capabilities, installation, and upgrade responsibility |
| Treasury portal | Centralized browser access for cash, payments, reporting, and user administration | Supported accounts, refresh timing, role controls, exports, approvals, and availability commitments |
| Secure file transmission | Scheduled, high-volume payment or reporting batches | Formats, protocols, digital signatures, validation, acknowledgements, exception handling, and retention |
Is one connectivity option better than another?
There is no universal winner. U.S. Bank’s treasury connectivity FAQ puts the decision this way: “One connectivity option may be better for your organization than another. It all depends on your business applications and IT infrastructure, so it’s important to understand where you are and where you want to go.”
Use the following order when comparing options:
- List the required workflows. Separate viewing balances, importing transactions, reconciling, initiating payments, approving payments, receiving reports, and checking payment status. Eliminate options that cannot perform a required task.
- Map your current systems. Record the accounting or ERP product, edition, version, payroll or payment system, treasury tools, identity provider, and file-processing software that must participate.
- Set data-timing requirements. Decide whether daily files are sufficient or whether your process needs frequent balance and status updates. Ask the provider to define “real time,” “same day,” or other timing terms.
- Define control requirements. Specify who may connect an application, create a payment, approve it, administer users, download data, and revoke access.
- Estimate implementation work. Compare development, mapping, testing, migration, user training, and change-management effort—not just the apparent convenience of the interface.
- Confirm support. Identify the technical and client-service contacts available during setup and after launch, including escalation routes and hours.
What to examine in data security
Security belongs to the entire arrangement: the bank, your software, the connection method, users, administrators, and any third party that receives or processes information. A feature listed on a product page is not an independent audit, certification, or guarantee.
Authentication for people and applications
Ask how human users sign in and how connected applications authenticate. BMO documents OAuth 2.0 for its APIs. Truist describes multi-factor sign-in for One View. These examples show two provider-specific implementations; they do not establish a universal market standard.
- Is multi-factor authentication required for every user, or only selected roles?
- Does the application use short-lived tokens, certificates, keys, or another credential type?
- How are credentials issued, stored, rotated, monitored, and replaced?
- Can access be limited by network, device, session, or transaction risk?
Permissions, approvals, and separation of duties
Determine who can authorize a connection, administer users, create or modify payments, approve transactions, and disconnect an application. BMO documents application-access management and disconnection controls. KeyBank describes custom approvals and permissions. City National describes approval workflows and audit trails.

Ask for a role matrix showing account-level and function-level permissions. Confirm whether payment limits, dual approval, release windows, and separate administrator and approver roles are available. Request a sample audit record so you know what is logged and how long records remain available.
Data paths and third parties
Document what information leaves your systems, where it travels, where it is stored, and which service providers can access it. The FDIC’s guidance on third-party information handling emphasizes vendor management and risk assessment when institutions entrust sensitive information to outside providers.
Your review should identify:
- Account, transaction, employee, supplier, and payment data included in each exchange.
- Whether a connector, processor, hosting provider, or implementation partner receives the data.
- Regions or jurisdictions in which information is stored or processed, when disclosed.
- Retention, deletion, incident-notification, and subcontractor terms.
- How the bank and software provider distinguish production data from test data.
Payment and file safeguards
For payment workflows, examine digital signatures, file encryption, transport protocols, malware screening, validation, duplicate detection, approval sequencing, and release controls. KeyBank describes signed files and secure file protocols; treat those descriptions as features to verify for the exact service. Ask how a rejected or partially accepted file is reported and how operators prevent resubmitting successful items.
Revocation and offboarding
Access should be removable when an employee leaves, a vendor relationship ends, or an integration is replaced. BMO documents a process for disconnecting an application. Confirm the equivalent process for every provider under consideration, including who can invoke it, how quickly tokens or certificates are invalidated, what happens to queued payments, and how data is returned or deleted.
Implementation: a practical sequence
Implementation is more than obtaining credentials. Use a controlled sequence that separates design, testing, and production access.
- Capture requirements. List accounts, entities, currencies, transaction types, payment schemes, reports, users, approval rules, data frequency, and retention needs.
- Confirm compatibility in writing. Have the bank and software provider identify supported products, versions, endpoints, file formats, and excluded functions.
- Assign ownership. Name a business owner, technical lead, security reviewer, approvers, and a support contact. Establish who can authorize production access.
- Obtain documentation and test access. Ask for API documentation, sandbox credentials, sample files, schemas, error codes, and test data. BMO describes sandbox experimentation and a pre-production environment.
- Build least-privilege roles. Start with the smallest account and function scope needed for testing. Keep development, testing, and production credentials separate.
- Test normal and failure paths. Test balance retrieval, transaction imports, reconciliation, payment creation, approval, rejection, duplicate submission, timeout, expired credentials, and service interruption.
- Reconcile independently. Compare imported totals and payment statuses with the bank’s records before enabling automation. Preserve evidence of test results and approvals.
- Plan cutover and rollback. Choose a low-risk window, define who monitors the first production runs, retain the prior process temporarily, and document how to stop automated submissions.
- Review after launch. Monitor failed calls, rejected files, unusual access, reconciliation breaks, and support tickets. Schedule periodic access and vendor-risk reviews.
What implementation and support should include
Support differs by bank, product, customer size, and connection type. Published examples include developer portals, sandbox and pre-production environments, solution engineers, bank integration teams, relationship managers, implementation assistance, and ongoing client care.

A comparison worksheet for procurement
Use one row per bank service or connection, not one row per bank brand. This prevents an API from being compared with an unrelated portal as if they were identical products.
| Decision area | Evidence to record |
|---|---|
| Compatibility | Bank service, accounting or ERP product, version, entities, regions, and supported workflows |
| Connection method | API, connector, portal, file transmission, or a combination |
| Functions and timing | Balances, transactions, reconciliation, payments, reports, status updates, schedules, and stated freshness |
| Security and governance | Authentication, user and application permissions, approvals, audit records, revocation, transmission protections, and third-party review |
| Implementation | Documentation, test environments, development effort, data mapping, migration, training, and cutover plan |
| Support | Named contacts, implementation assistance, escalation path, hours, service terms, and change notices |
Do not create a numerical ranking unless the compared services provide like-for-like, current evidence. The cited bank pages describe their own capabilities; they do not provide an independent cross-bank performance or security test.
Common failure modes and how to prevent them
Choosing by brand name instead of workflow
A familiar bank or ERP label does not prove that the needed function is supported. Require a written compatibility check for the precise product and version.
Assuming an API means every payment is available
APIs are collections of endpoints, not a single universal feature. Verify payment types, status information, account scope, limits, and approval behavior.

Best Value
Ignoring exception handling
Successful test transactions do not cover expired credentials, rejected records, duplicate files, partial acceptance, or delayed status updates. Include each case in testing and operating procedures.
Using “secure” as the entire security review
Ask for the actual controls, responsibilities, data path, retention terms, audit evidence, and incident process. A marketing description alone cannot establish independent assurance.
How to keep the decision current
Bank product pages and APIs change. Reconfirm compatibility, authentication, supported functions, support contacts, and file or endpoint requirements immediately before contracting and again before production launch. Maintain an inventory of applications, credentials, permissions, data flows, and third parties, then review it after personnel changes, software upgrades, acquisitions, or a change in payment volume.

The Bottom Line
