An invoice is more than a list of charges: it is a structured financial record in which the supplied items, taxable base, tax calculation, rounding policy, and amount due must agree. The required fields and calculation rules depend on the jurisdiction, transaction, and invoice type, so invoicing software needs an explicit policy rather than one supposedly universal formula.

What details belong on an invoice?

There is no universal invoice checklist. Rules can distinguish, for example, between full and simplified invoices, and the applicable requirements depend on the jurisdiction and transaction.

For a full UK VAT invoice, HMRC lists details including a unique sequential number; the tax point and, if different, the issue date; supplier identity and VAT number; customer name and address; a sufficient description of the supply; relevant quantities or service extent; VAT rate and net amount; gross total; total VAT in sterling; and unit price where applicable. A cash-discount rate must also be shown when one is offered. HMRC treats simplified and retailer invoices under separate provisions, so the full-invoice list should not be applied indiscriminately. Spain’s Tax Agency also sets out content for complete and simplified invoice categories, reinforcing that the right fields depend on the category of invoice. Spanish Tax Agency: VAT invoice content

#1 Best Overall
XKDOUS 2 Pack Invoice Books, 2-Part Carbonless Receipt Books
  • Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
  • Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
  • Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
  • 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
  • Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.

Electronic invoices still need compliant content

In the UK, an electronic VAT invoice must contain the information required on a paper VAT invoice. HMRC also describes conditions for electronic transmission and says authenticity of origin, integrity of data, and legibility must be ensured for electronic invoices used as evidence for input tax deduction under the normal rules. A digital file format does not, by itself, satisfy those requirements. HMRC VAT guide (Notice 700)

How do you calculate tax on an invoice?

Start by identifying the taxable base under the rules that apply to the transaction. Apply the relevant tax rate and calculation method to that base, then calculate the amount payable. Whether prices are tax-exclusive or tax-inclusive, and which amounts must be shown, also depends on the governing rules.

A Swedish VAT example

The Swedish Tax Agency gives an example in which a gardening consultant charges SEK 3,500 for plants, SEK 720 for work, and SEK 247.75 for mileage. The taxable base is SEK 4,467.75. At 25%, the unrounded VAT is SEK 1,116.9375; rounded to SEK 1,116.94, the invoice total is SEK 5,584.69. This illustrates the arithmetic in that Swedish example; it is not a recommended rate for other jurisdictions or transactions. Swedish Tax Agency: invoice content and example

When should invoice tax be rounded?

Rounding is part of the calculation policy, not a cosmetic formatting choice. The permitted approach can depend on taxpayer context and local rules, and rounding tax on each line can produce a different total from calculating tax across the document and rounding once.

UK invoice traders and retailers

HMRC Notice 700 describes a concession for invoice traders that can permit rounding down total VAT payable to a whole penny. It also describes consistent line calculations using specified increments. HMRC says the concession is generally not appropriate to retailers. HMRC VAT guide (Notice 700)

For retailers, HMRC’s guidance addresses a separate context. Its internal manual says HMRC cannot require retailers to account for more tax than the law provides, and describes rounding up or down as fair and reasonable when the retailer chooses that approach. That is not a blanket rule for every invoice or taxpayer. HMRC VATREC12040: retailer rounding HMRC VATREC12030: rounding up and down

Saudi e-invoicing implementation example

ZATCA’s XML implementation standard, dated 24 June 2022, specifies two-decimal document totals and document-level rounding for VAT category tax rather than summing rounded line VAT amounts. This is an example within Saudi Arabia’s e-invoicing context, not a global prescription; confirm the current standard version and its applicability before treating it as an implementation requirement. What should invoicing software make explicit?

To keep the invoice internally consistent, define the rules that control how each amount is calculated and presented. The exact policy must be selected for the relevant jurisdiction and transaction; the examples above do not establish one policy for all businesses.

Better Office Products Sales Order Book, 6 Pack Sales Order Book 2 Part Carbonless, 5-7/16 x 8-7/16, 50 Sets per Book, White/Canary, Sales Receipt Book for Business Invoices & Records
  • 6-PACK/50 Sets (300 Total Sets): Six 5-7/16 x 8-7/16" bound Sales Order Books with two-part forms which produces two identical records of each sales transaction, one for the customer and one for your business
  • CARBONLESS COPY: No carbon paper! Each 2-part set features a white top sheet for recording each transaction and a bottom canary yellow sheet that captures written text from top sheet.
  • CONSECUTIVE NUMBERS: Effortlessly identify the chronological order of transactions in each book by the pre-printed number on each sales order set
  • WRAPAROUND DIVIDER FLAP: A thick, folded paperboard divider is integrated into the back of each book to use between each 2-part sales order form.
  • PERSONALIZE: Each sales order form sheet contains space at the top to add a company stamp or sticker
  • Taxable base: which charges are included in the amount to which tax applies.
  • Rate and price basis: the applicable rate and whether entered prices are tax-exclusive or tax-inclusive.
  • Calculation precision: how much precision is retained before rounding.
  • Rounding method and level: how values are rounded and whether rounding occurs per unit, line, or document.
  • Displayed totals and currency: which subtotals, tax amounts, and payable totals are required, and the currency rules that apply.

These choices need to reconcile. If a system rounds each line’s VAT but a governing policy calls for document-level rounding, the displayed tax total may not match the tax calculated across the document. That is a software-design implication of the different approaches described by HMRC, the Swedish Tax Agency, and ZATCA—not a universal legal rule.
