Build Better Business Growth With Financial Management and AI

Professional financial management and well-governed AI can give a small business clearer records, more useful forecasts, and more time to act on what the numbers show. They do not guarantee growth: demand, pricing, costs, operations, and funding still determine whether sound decisions translate into results.

What the evidence says—and does not say

Intuit QuickBooks’ July 2026 Small Business Insights survey found that 50% of respondents said their business was growing, 79% wanted growth, and 86% reported being profitable. In the same survey, 49% said poor financial or resource management was holding them back. These figures describe respondents’ reports; they do not show that weak financial management caused slower growth or that improving it will produce a particular result.

The quarterly survey covers approximately 5,000 small-to-midsize businesses across the United States, Canada, the United Kingdom, and Australia. It defines small businesses as having 0–100 employees in the first three countries and 0–50 in Australia. Participants are owners and decision-makers; responses are anonymous and remunerated, and the sample includes a Dynata panel. Treat the results as survey findings, not audited outcomes or a causal analysis. Intuit QuickBooks Small Business Insights

Financial discipline is best understood as decision infrastructure: reliable records reveal what has happened, planning helps estimate what may happen next, and management decisions determine what the business does about it. AI can assist with parts of that process, but it cannot make incomplete or inaccurate source records reliable by itself.

Why financial visibility matters to growth

Growth can increase the complexity of cash management, pricing, and resource allocation. In the July 2026 survey, 44% reported cash-flow problems and 59% said they waited more than 30 days for invoices to be paid. Project costing and price estimates were the most commonly cited operational challenge, at 19%. These pressures can leave owners unsure whether a profitable-looking sale will cover its costs or when expected revenue will actually arrive. Intuit QuickBooks Small Business Insights

Useful financial management connects everyday records to decisions. Bookkeeping captures transactions; accounting helps interpret and report them; planning translates records into choices about hiring, inventory, investment, pricing, or financing. The right level of outside support depends on transaction volume, complexity, internal capability, and the decisions the business needs to make. In the survey, two-thirds (67%) reported support from a qualified accountant—a measure of current practice, not a requirement for every business. Intuit QuickBooks Small Business Insights

Start with records you can trust

When asked what system they use to record and manage financial transactions, respondents reported a mix of methods: 53% used spreadsheets for financial management, while 31% used pen and paper to record or manage transactions and data. Accounting systems were rated the most useful category of digital tool. The figures do not mean every business needs the same software; they do illustrate why a business should know where its authoritative records live and how consistently they are updated. • Keep transaction records current. Reconcile accounts and resolve missing or duplicated entries before relying on reports or forecasts.
  • Make costs visible. Track direct and operating costs in a way that supports realistic estimates and pricing decisions.
  • Connect the workflow. Check whether accounting, invoicing, payroll, and payment tools can exchange the data the business needs. In the survey, 36% said lack of integration between digital tools was a challenge.
  • Separate actuals from assumptions. A forecast should make clear which figures are recorded results and which are planned events or estimates.

Respondents most often said efficiency was the leading benefit of their most useful digital tools (64%); saving time and reducing errors were also cited. That potential benefit has to be weighed against setup effort, recurring cost, data migration, and integration limits. Intuit QuickBooks Small Business Insights

Use forecasting to make cash decisions earlier

A cash-flow forecast is not a promise of future cash. It is a working view of likely receipts and payments that helps an owner see when cash may be tight, test planned decisions, and decide whether to accelerate collections, delay spending, or arrange funding. Its usefulness depends on timely records and explicit assumptions about invoices, payroll, taxes, planned purchases, and other significant events.

Forecasting features vary by product. Intuit’s support documentation, updated August 3, 2026, says Intuit Enterprise Suite uses 18 months to two years of historical financial data to generate a 13-week cash-flow forecast. Users can switch between AI-assisted forecasting and planned transactions, alter forecast periods and data sources, and adjust planned events or transaction dates. Those details describe this product, not a universal standard for AI forecasting. Intuit Enterprise Suite forecast documentation

Bank of America’s January 2022 announcement described CashPro Forecasting as learning from historical cash flows and supporting scenarios based on trailing averages or assigned growth rates, multibank reporting, transaction mapping, and daily, weekly, or monthly forecasts up to a year. The announcement was a vendor description for CashPro clients; it does not independently establish forecast accuracy or growth results. Check current availability and eligibility with the provider. Where AI can help—and where it cannot

In the July 2026 QuickBooks survey, 80% of respondents said they used AI regularly; among respondents using AI, 75% said it boosted productivity. Among AI users, 41% said they used it for marketing, and 18% of businesses using AI said it was core to operations. These are reports of adoption and perceived impact, not independently measured productivity gains, revenue growth, or return on investment. Intuit QuickBooks Small Business Insights

For financial work, AI may help organize information, draft summaries, identify patterns for review, or support a forecast workflow. It should not be treated as a replacement for accurate source data, accounting judgment, or advice from a qualified professional. A generated explanation can sound confident while reflecting a bad input, an incorrect assumption, or a misunderstanding of the business context.

Bank of America’s May 2026 guidance recommends identifying the workflow problem first, tracking repetitive or data-heavy work, and reviewing and validating AI output before implementation. The guidance gives an example of using financial statements and receivables/payables data to prepare a cash-flow snapshot and a 12-week projected calendar. Such an output is only useful if the data can be handled appropriately and a person checks the result against the records and business reality. Protect sensitive business information

Bank of America’s AI guidance states: “You should never input confidential customer financial information, employee Social Security numbers, proprietary business formulas or other confidential data into AI tools.” Follow the tool provider’s data terms and your own obligations when deciding what information may be entered; use appropriately protected systems and remove sensitive details when they are not needed. Choose tools or outside support by the decision they improve

Before buying software or hiring support, identify the recurring decision that is currently difficult: for example, whether cash can cover a planned expense, whether a job is priced to cover its costs, or whether invoices are being collected quickly enough. Then compare options on practical fit rather than on an “AI” label alone.

  • Business complexity: Can it handle the number and types of transactions, entities, accounts, and reporting needs involved?
  • Data sources: Does it work with the accounting, bank, invoicing, payroll, and payment data the business actually uses?
  • Forecasting: What horizon and scenario controls are available, and can assumptions be edited or overridden?
  • Transparency: Can a user trace a forecast or summary back to its inputs and understand its assumptions?
  • Integration: Will information flow between systems, or will staff have to duplicate entry and reconcile mismatches?
  • Security and access: Are sensitive records handled under acceptable terms, with controls appropriate to who needs access?
  • Total effort and cost: Compare setup, subscriptions, maintenance, and review time with the manual work or external support the tool may replace.

Routine transaction recording, periodic accounting and tax work, and forward-looking financial planning are distinct needs. A business may use software for some and an accountant, bookkeeper, or other adviser for others. Choose the combination that addresses the specific gap, and retain human review where an error could materially affect taxes, cash commitments, pricing, or compliance.

A practical way to put the pieces together

  1. Pick one consequential question. Start with a decision such as whether the business can afford a planned hire or whether a project estimate covers expected costs.
  2. Check the underlying records. Bring transactions, invoices, bills, and relevant payroll or payment data up to date; investigate gaps before interpreting results.
  3. Build a simple baseline. Review recent actual income and costs, outstanding receivables and payables, and the timing of expected cash movements.
  4. Test one useful forecast or workflow. Compare a baseline with a plausible change, such as a delayed customer payment or a planned expense. Keep assumptions visible.
  5. Validate before acting. Reconcile summaries and projections to source records, ask a knowledgeable person to review material judgments, and revise inputs when circumstances change.
  6. Measure whether the process helps. Track whether it reduces time spent assembling information, surfaces cash constraints earlier, or improves the quality of the decision. Do not assume tool adoption itself is a growth result.
