Build a WhatsApp Chatbot With n8n and WaSphere—What “No Meta Approval” Really Means

You can connect n8n to WaSphere’s self-hosted WhatsApp gateway using a webhook for incoming messages and an HTTP Request node for replies. This path avoids setting up n8n’s official WhatsApp Business Cloud credentials, but it does not make the integration Meta-approved or establish that every automated use is permitted. WaSphere describes its gateway as Baileys-based, so check the applicable WhatsApp terms and account requirements before using it with customers.

How the n8n and WaSphere chatbot works

WaSphere runs the WhatsApp gateway and exposes a REST API. n8n handles the workflow: it receives an event from WaSphere, applies your routing or chatbot logic, and calls the API to send a reply. WaSphere’s integration guide describes calls passing through its Dashboard API, which proxies requests to the WA Server. WaSphere’s n8n integration guide and its GitHub repository describe this architecture.

  • Inbound: WaSphere posts a WhatsApp event to an n8n Webhook URL.
  • Workflow: n8n verifies the event, filters it, and runs your response logic.
  • Outbound: an n8n HTTP Request node sends a reply through WaSphere’s API.

What you need before connecting them

  • A running WaSphere installation and a WhatsApp session connected in its dashboard.
  • An n8n instance reachable by WaSphere over HTTPS, so it can deliver webhook events.
  • A WaSphere API key with the messages:send scope for sending replies.
  • A plan for validating webhook signatures before your workflow trusts incoming data.

WaSphere’s installation documentation, as published in 2026, lists minimum server requirements of 1 vCPU, 1 GB RAM, and 10 GB disk. It recommends 2 vCPU, 2 GB RAM, and 20 GB SSD. These are vendor-published requirements, not independent performance measurements, and can change with the product. Its documented Docker Compose stack includes PostgreSQL, the WA Server, Dashboard API, and Dashboard UI. See WaSphere’s installation documentation.

Connect WaSphere to n8n

1. Deploy WaSphere and connect a WhatsApp session

Deploy WaSphere using its installation instructions, then connect the WhatsApp session through the WaSphere dashboard. Create an API key limited to the messages:send scope. Keep the key private; treat it like a password for the account and messages it can access.

2. Add a credential in n8n

In n8n, create a Header Auth credential for the WaSphere API. Set the header name to Authorization and its value to Bearer <scoped WaSphere key>, replacing the example text with your key. Store the credential in n8n’s credential store rather than directly in node parameters or an exported workflow JSON.

3. Configure the outbound message request

Add an HTTP Request node and configure it to make a POST request to the workspace/session message endpoint shown in WaSphere’s current API documentation. Attach the Header Auth credential and use the request body format required for a text message. The exact endpoint path and body depend on the workspace and session configuration; use the values displayed or documented for your installation rather than guessing them. WaSphere says the endpoint pattern supports other message types with their own request bodies.

4. Create the inbound webhook

Add a Webhook node in n8n configured for POST, and enable its Raw Body option. Register the node’s production URL as a webhook in WaSphere. Use the production URL for the live workflow; the test URL is for n8n’s testing mode.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Verify the signature before processing events

Preserve the original request bytes and verify WaSphere’s HMAC signature before trusting the payload. Signature verification must use the unmodified raw body: parsing and re-serializing JSON first can change the bytes and invalidate the check. Follow WaSphere’s current signature instructions for the header, secret, and digest comparison. Reject requests with a missing or invalid signature before routing their contents into chatbot logic. WaSphere’s guide and repository document webhook signing and verification: integration guide and repository.

6. Route inbound messages to your chatbot logic

After verification, filter the incoming event so that only the inbound message events you intend to handle continue. Add the logic your use case needs—for example, a Switch node for menu choices, a database lookup, an AI step, or a human escalation path. Connect the resulting reply to the HTTP Request node that sends it through WaSphere.

Test the message loop before using it with customers

Start with a low-risk test workflow. Confirm that an invalid signature is rejected, a valid inbound event reaches the intended branch, and the outbound request sends the expected reply. The cited product sources describe configuration, not independent testing, so they do not establish delivery rates, throughput, reliability, account safety, or setup time.

  • Check that n8n is publicly reachable over HTTPS and that WaSphere is posting to the production webhook URL.
  • Confirm that the API key has the required scope and that the workflow uses the saved credential.
  • Test the signature check against both valid and altered request bodies.
  • Provide a human handoff for cases the bot cannot handle, and obtain consent for messages.

What “no Meta approval” does—and does not—mean

WaSphere markets its default Baileys-based connection as a QR-code route that avoids the official Business Platform onboarding described in n8n’s Cloud API credential setup. In this context, “no Meta approval” means there may be no Meta Cloud API approval or setup step in this particular connection path. It does not mean Meta has approved WaSphere, the gateway is the official WhatsApp API, or automated messaging through it is necessarily authorized.

WaSphere’s repository identifies Baileys as the WhatsApp gateway engine. WhatsApp’s Business App terms say that, absent prior written permission, a company must not “develop or use any applications that interact with our Business App Services without our prior written consent.” The WhatsApp Business App terms are effective September 23, 2026, according to the terms. WhatsApp’s general terms also restrict unauthorized or impermissible automated use and describe possible account action.

Those terms do not, by themselves, resolve the status of every possible deployment. Their application can depend on the service, account, jurisdiction, and how the integration is used. Review the terms that apply to your use and do not assume that skipping Cloud API onboarding prevents policy enforcement or account restrictions.

WaSphere/Baileys versus the official WhatsApp Business Cloud route

The two approaches differ in setup, operational responsibility, and policy framework. This comparison describes the routes in the cited vendor and n8n documentation; it is not a claim that one is universally cheaper, safer, or more reliable.

Consideration WaSphere with Baileys WhatsApp Business Cloud through n8n
Onboarding WaSphere describes connecting a session through its gateway rather than completing the Cloud API setup flow. n8n lists a Meta developer account, Meta business portfolio, and a business app configured with WhatsApp; further configuration is required to fully verify and launch the app.
Authorization and policy Avoiding Cloud API onboarding is not evidence of Meta approval or permission under WhatsApp’s terms. Uses the official Business Cloud route documented by n8n; applicable WhatsApp policies still govern use.
Infrastructure You operate or arrange hosting for the WaSphere stack and maintain the gateway. Uses Meta’s Cloud API; n8n’s credential documentation does not describe operating a WaSphere-style gateway.
n8n integration Webhook node for inbound events and HTTP Request node for outbound API calls. n8n’s WhatsApp Business Cloud credentials and node use the API access token and Business Account ID.
Business-initiated messages The cited WaSphere integration guide does not establish what message rules apply; check the current terms and requirements for your account and use. n8n’s tutorial describes pre-approved templates for business-initiated messages and customized replies within 24 hours of a user message. Check current official guidance before relying on these operational details.
Costs and upkeep WaSphere claims no per-message fee, but self-hosting entails infrastructure and maintenance costs. No comparative cost study is established by the cited sources. The cited n8n documentation does not establish a comparable total cost; check current service and hosting costs for your setup.
Protocol dependency Depends on WaSphere’s Baileys-based gateway implementation rather than the official Cloud API route. Depends on the documented WhatsApp Business Cloud API and its onboarding and policy requirements.

For the official route’s credential prerequisites, see n8n’s WhatsApp Business Cloud credentials documentation. Its WhatsApp chatbot tutorial discusses templates and the 24-hour reply window; verify current policy details before launch.

When this setup is a fit

WaSphere and n8n offer a webhook-and-REST pattern for readers who can operate a self-hosted gateway and are prepared to assess the policy and maintenance implications. If you need the documented official WhatsApp Business Cloud onboarding path, use n8n’s Cloud credentials route instead. For either approach, confirm current product documentation and WhatsApp requirements before sending automated messages.
