Store important clips in a dedicated notebook or database, back up exports separately, and keep invoices, signed contracts, official notices, and other primary records in their proper systems. A clip is a useful reference—not automatically a legally sufficient business record.
Build a small, searchable web archive
Start with a dedicated notebook or database such as “Business reference archive.” For every page you save, preserve its source URL and the date you captured it. Add a short note explaining why it matters, who should act on it, and, if relevant, when to review it. Use a compact, consistent tag vocabulary—such as tax, supplier, market, and policy—so that saved pages remain findable as the archive grows.

- Create the notebook or database and agree on a few shared tags.
- Clip the article or simplified-article view when searchable, readable text is the priority.
- Check that the saved item includes the original URL; add it yourself if the tool did not.
- Write a brief context note and apply the relevant tag or tags.
- Add a full-page screenshot or PDF when layout, a displayed price, or the visual presentation of a notice matters.
- Export or copy important captures to a separate backup location, then periodically open a restored sample to confirm it works.
For exported files, use predictable names that distinguish capture date from publication date, for example 2026-10-03_supplier-policy_source-domain_topic.pdf. The date in the filename should be the date you saved the page, not an assumed publication date.
Choose a clipper based on what you need to retrieve
These tools document different capture and organization options. Their feature pages do not establish a comparative reliability ranking, so test the specific websites your business depends on—especially dynamic pages, logged-in portals, and pages that change often.

Article extraction and visual capture serve different jobs: extracted text is easier to search and annotate, while a screenshot or PDF gives you a visual record of the page as captured. A clipper’s documented options do not guarantee that every site will save completely or remain available indefinitely. For a critical page, keep more than one useful capture format and retain official downloads where available.
Keep provenance and back up important captures
A saved page is more useful later when someone can identify where it came from and when it was captured. Section 7 of India’s Information Technology Act, 2000 describes conditions for satisfying certain statutory retention requirements electronically: information must remain accessible for subsequent reference, be retained in its original format or a format that accurately represents it, and include identifying details such as origin, destination, and dispatch or receipt date and time. Read the Act. This supports keeping source details and readable copies, but a clipper’s features alone do not establish that a particular record meets every legal requirement.

Back up important exports somewhere separate from the device or account where you normally use the clipper. A portable drive is one possible second copy; the cited GST rules require proper electronic backup and restoration, not any particular storage hardware. Periodically restore a sample and open it, rather than assuming that a backup is usable.

GST retention obligations apply to covered accounts and records, not automatically to every webpage someone clips for reference. The GST Council’s 2019 flyer describes preservation for seventy-two months (six years) from the due date of furnishing the annual return for the relevant year. For records connected with an appeal, revision, proceeding, or investigation, it describes keeping them until one year after final disposal or for the stated period, whichever is later. CBIC’s Accounts and Records Rules and the GST Council flyer provide the official materials; confirm current applicability and amendments with an Indian tax professional.

The rules also require proper electronic backup of covered records in a way that enables restoration within a reasonable period after destruction due to accidents or natural causes. They address producing relevant records in hard copy or electronically readable form on demand. A web clipping should not be treated as a substitute for the original invoice, signed document, official notice, portal confirmation, or other primary record for a tax, contract, compliance, or payment matter.

Troubleshoot incomplete or hard-to-find clips
- The clip is missing text or images: the page may be dynamic or require a login. Try another capture mode, save a screenshot or PDF as a companion, and keep an official download if one exists.
- You cannot tell where a saved page came from: verify the original URL is present in the clip; add it manually along with the capture date and a context note.
- Searches return too many unrelated results: apply the agreed tag vocabulary and store business captures in the dedicated notebook or database rather than creating a new tag for each page.
- An exported backup will not open: export or copy the capture again, then restore and test a sample periodically. Do not assume a backup is usable until it opens.
- You need evidence of a transaction or compliance event: retain the source document or official confirmation in addition to any clip; a webpage capture alone may not be the required record.
