For frequent package labels, choose a dedicated label printer; for everyday documents and occasional label sheets, choose an office printer that explicitly supports the exact sheet stock. Businesses with both steady shipping and substantial document work may need two devices. The right choice depends on label format, volume, and media—not a single “best” printer.
Which kind of printer fits your work?
| Workflow | Example | What it is suited to | Key qualification |
|---|---|---|---|
| Shipping and package labels | Brother QL-1100c | Roll-fed adhesive paper labels up to 4 inches wide, including package and envelope labels; USB connection to a PC or Mac. | The cited listing is Brother Canada’s. Confirm the exact model suffix, DK media compatibility, and local availability. |
| Office documents plus occasional label sheets | Brother HL-L6400DW | Monochrome printing for demanding workgroups; Brother lists Avery Laser Label #5160 as a recommended paper brand. | It is a workgroup document printer, not a dedicated shipping-label printer; it may be more machine than a light home office needs. |
| Durable narrow labels, barcodes, and QR codes | Brother PT-P900WC | Desktop industrial labeling with laminated labels up to 36 mm wide. | Its narrow tape format is not interchangeable with a 4-inch shipping-label printer. |
| On-demand color product labels | Epson ColorWorks CW-C6500P | Specialized color label printing with peel-and-present and integration features. | The matte configuration’s ink is not recommended for gloss label stock; confirm the media and workflow fit. |
These are workflow examples, not a controlled head-to-head ranking. Manufacturer specifications and one editorial guide do not establish a universal winner or comparable current operating-cost ranking.

Do you need a separate shipping label printer?
If you print shipping labels regularly, a roll-based label printer is usually the more direct fit: it is designed for label media and avoids handling individual adhesive sheets. Brother lists the QL-1100c for paper labels up to 4 inches wide and says it can print up to 69 standard labels per minute. That rate and width are manufacturer-listed specifications, not independent test results. The Canadian listing identifies DK tape media, so check that the exact model and rolls are available in your market.
A two-device setup can make sense when shipping-label work is frequent and documents also matter: use a dedicated label printer for rolls, and an office printer for reports, invoices, and other paper. This keeps the two workflows matched to their intended media instead of making one printer serve incompatible routines.

Can an office printer handle label sheets?
Sometimes. Use only sheet labels specified or supported for the exact printer and print technology; adhesive stock is not universally interchangeable across laser and inkjet models. Brother lists Avery Laser Label #5160 among the recommended paper brands for its HL-L6400DW. That makes the model a possible fit when label sheets are an occasional part of a broader monochrome office workload, but it does not turn it into a roll-fed shipping-label printer.
Brother publishes up to 52 pages per minute for the HL-L6400DW, with an included toner yield of approximately 12,000 pages and an optional ultra-high-yield toner rated at approximately 20,000 pages. Standard input capacity is a 520-sheet tray plus a 50-sheet multipurpose tray. These are manufacturer specifications, not independent comparative measurements. Actual suitability depends on document volume, supported media, and the printer’s current compatibility guidance.

When does specialized labeling make more sense?
Durable narrow labels and codes
The Brother PT-P900WC is a desktop industrial label printer for laminated labels up to 36 mm wide, with barcode and QR-code support and USB/Wi-Fi options. Brother lists a two-year limited warranty. Consider this format for narrow, durable identification labels rather than shipping labels; check the manufacturer’s page for current compatibility details before choosing software, connectivity, or consumables.
Color product labels and application workflows
The Epson ColorWorks CW-C6500P is a more specialized option for on-demand color labels, with peel-and-present and integration features. Epson lists speeds up to 5 inches per second and resolution up to 1200 dpi; these are manufacturer-published maximum specifications, not a comparative test of real-world throughput. The matte configuration’s ink is not recommended for gloss label stock. Media finish, application method, software integration, and total cost matter as much as headline speed or resolution.

How to choose without buying the wrong media system
- Identify the format. Decide whether you need roll labels, narrow tape, or adhesive sheets. A printer’s media path determines which job it can handle conveniently.
- Estimate recurring volume. Frequent shipping favors a dedicated roll-label workflow; occasional sheets may be practical on a supported office printer. Do not treat a maximum speed as a prediction of your actual output.
- Match the label to the printer. Check width, stock type, finish, and durability requirements against the exact model’s supported media. For sheet labels, verify the manufacturer’s guidance for the specific stock and printer technology.
- Check workflow and connections. Confirm USB, Wi-Fi, host-device compatibility, software, and any peel-and-present or integration requirements you rely on.
- Compare total ownership cost. Include the printer and compatible rolls, tape, sheets, toner, or ink. Current comparable cross-model operating costs are not established here, so verify consumable prices and availability for your region.
- Check local details before purchase. Model suffixes, regional listings, stock, software support, and compatible supplies can vary or change.
What to know about other office-printer options
TechRadar’s 2026 small-business printer guide describes the HP Color LaserJet Pro 3201dw as a compact color laser printer with duplexing and Wi-Fi, and reports a speed of up to 26 pages per minute. Those are details reported by TechRadar, not measurements made for this article. The guide notes that the single-function device cannot scan and flags cartridge cost. The cited guide passage does not establish label-sheet compatibility, so do not assume it can print adhesive labels without checking HP’s official media specifications.
