For most small and midsize teams, the best self-hosted Google Workspace replacement on a VPS is a modular stack: Nextcloud for files, sharing, calendars, contacts and collaboration; ONLYOFFICE or Collabora for browser-based document editing; and Mailcow on a separate host or isolated stack when you need self-managed email. This arrangement covers the major Workspace functions without forcing mail operations and file collaboration into one failure domain.
Choose Zimbra instead when an integrated mail, calendar, contacts and tasks suite matters more than simple deployment. It is closer to an Exchange-style system, but its Java, database and search components require more memory, maintenance planning and recovery discipline than a typical Nextcloud installation.

What a self-hosted Google Workspace replacement actually includes
Google Workspace is a bundle, not a single application. A VPS alternative must account for several separate jobs:
Free tools Windows power users keep installed
One-click scans. No signup required.
- File storage and synchronization: desktop and mobile clients, shared folders, links, permissions and version history.
- Office editing: browser editing for word-processing documents, spreadsheets and presentations.
- Communication: email, calendars, contacts, chat and sometimes video meetings.
- Administration: identity, groups, quotas, updates, audit controls and app integrations.
- Operations: TLS certificates, DNS, backups, monitoring, abuse handling and disaster recovery.
No single option in this group reproduces every Workspace feature with identical behavior. The practical decision is whether you want a modular system whose parts can be scaled independently, or an integrated suite that concentrates more functions—and more operational risk—in one deployment.

Best overall architecture: Nextcloud plus office editing and separate mail
Nextcloud is the broadest general-purpose starting point in this field. Its portal can combine file sync and sharing with calendars, contacts, chat and additional applications. That breadth makes it the most useful central workspace for a team that wants one login and one web destination for collaboration.
Nextcloud does not itself provide a complete mail service or a full office editor. Add an editing server such as ONLYOFFICE Docs or Collabora, then connect it through the supported integration in Nextcloud. ONLYOFFICE describes its product as offering “Self-hosted deployment on your private server” and lists integrations with Nextcloud, ownCloud, Seafile, Liferay, Nuxeo, Jira and SharePoint. The vendor FAQ also describes ready integrations and enterprise licensing on a per-server basis; check the license terms that apply to your deployment before committing.
When the team needs self-hosted email, run Mailcow separately. Mailcow supplies SMTP and IMAP services, webmail, spam filtering and antivirus components, but it is not a replacement for the file, sharing or office layer. Keeping it on a separate VPS or isolated stack limits the effect of a mail outage, a compromised mailbox or a resource spike during spam and antivirus analysis.
Why the modular model is usually safer
- You can resize the office-editing service without moving file storage.
- Mail queues and antivirus scans cannot consume all memory needed by the collaboration portal.
- You can replace one component—for example, Collabora with ONLYOFFICE—without migrating every file and calendar.
- Backups can follow the data type: database and file snapshots for Nextcloud, mail data and configuration for Mailcow, and separate document-editor configuration.
- Each service can have a narrowly scoped firewall policy and independent maintenance window.
The trade-off is administration across several products. You must understand reverse proxies, databases, Redis, DNS, certificates, mail reputation and backup restoration rather than relying on one installer to hide those dependencies.
Option-by-option guide
Nextcloud: the broadest collaboration hub
Choose Nextcloud when your priority is a unified portal for files, sharing, calendars, contacts, chat and a large application ecosystem. It is the strongest default for teams that want more than a file server but do not require mail to be embedded in the same product.
The normal stack includes a supported PHP runtime, a supported database, Redis for locking and cache duties, a reverse proxy and TLS. Updates are frequent; the 2026 comparison notes that some can introduce breaking changes. Test upgrades on a staging copy, read the release notes, and maintain a rollback path before applying them to production.

- Best fit: mixed collaboration workloads, shared files, calendars and integrations.
- Strength: functional breadth and a large ecosystem.
- Watch for: PHP/database/Redis tuning, app compatibility and storage growth.
- Indicative memory: 4 GB minimum recommended in Selfhostr’s 2026 comparison; this is a starting point, not a user-capacity guarantee.
Mailcow: a focused self-hosted mail platform
Mailcow is appropriate when email control, filtering and deliverability are the central requirement. It combines SMTP and IMAP services with webmail, spam filtering and antivirus components. It does not provide a complete Drive- or Docs-style experience, so pair it with Nextcloud or another file platform.
Mail operations have obligations that file sharing does not: authoritative DNS, reverse DNS, SPF, DKIM, DMARC, TLS, abuse monitoring, queue management and sender reputation. A technically correct installation can still have poor delivery if an IP address has a bad reputation or DNS is incomplete.
- Best fit: teams willing to operate their own mail reputation and DNS.
- Strength: a concentrated mail stack with filtering and webmail.
- Watch for: high CPU use during antivirus and spam analysis, plus the consequences of a compromised account.
- Indicative memory: 4 GB minimum and 8 GB recommended in Selfhostr’s 2026 comparison.
Zimbra: integrated mail, calendar and contacts
Zimbra combines mail, calendars, contacts and tasks in one enterprise-oriented suite. Among these choices, it is the closest to an integrated Exchange-style experience. That convenience comes with a heavier architecture: Java, database and search services all need memory and careful maintenance.
The comparison rates deployment on a standard VPS as high complexity. Plan maintenance windows, backups and recovery procedures before onboarding users. An outage can affect several functions at once because mail and groupware are concentrated in the same suite.
- Best fit: organisations that specifically want one integrated mail-and-calendar system.
- Strength: cohesive groupware rather than separate mail and collaboration portals.
- Watch for: higher resource demand, more involved upgrades and broader blast radius during failures.
- Indicative memory: 8 GB minimum and 16 GB recommended in Selfhostr’s 2026 comparison.
ONLYOFFICE and Collabora: the document-editing layer
ONLYOFFICE and Collabora should normally be treated as office engines attached to a storage and collaboration platform, not as complete Workspace replacements on their own. They provide browser editing for common document, spreadsheet and presentation workflows while Nextcloud, ownCloud or Seafile handles files, sharing and permissions.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesDocument-format fidelity is a decision factor. Test the templates your team actually uses—complex spreadsheets, tracked changes, macros, slide transitions and embedded objects—before migration. A file that opens is not necessarily a file that renders or recalculates identically to the desktop application your staff used before.

ownCloud and Seafile: narrower file-collaboration choices
ownCloud and Seafile are sensible when the requirement is primarily file synchronization, sharing and governance. The 2026 VPS comparison describes ownCloud as a focused file-collaboration option with office integrations and Seafile as another narrower alternative.
They can reduce the surface area compared with a broad groupware portal, but you may need separate products for calendars, chat, identity or other Workspace functions. Choose them when a disciplined file service is more valuable than an all-in-one application catalog.
Coverage and operating model compared

VPS memory and resource planning
The figures below are indicative minimums from Selfhostr’s 2026 comparison, not benchmarks or promises of a particular user count. Concurrent editors, indexing, previews, antivirus scans, database size, retention and backup jobs can move the requirement substantially.

| Service | Minimum guidance | More comfortable target | Why usage can rise |
|---|---|---|---|
| Nextcloud | 4 GB recommended minimum | Not stated | Preview generation, indexing, database growth, apps and concurrent sync |
| Mailcow | 4 GB recommended minimum | 8 GB recommended | Antivirus and spam analysis, mail queues and multiple services |
| Zimbra | 8 GB recommended minimum | 16 GB recommended | Java, database and search services operating together |

Do not size only for average load. Leave headroom for updates, database maintenance, virus scans, search indexing and simultaneous logins. Monitor memory pressure and swap activity; swapping during a database or mail-queue spike can make a service appear down even when CPU usage looks normal.

- Edge: place a reverse proxy in front of web services, terminate TLS there, and enforce security headers and request limits.
- Collaboration: run Nextcloud with a supported database and Redis. Keep persistent files on dedicated block or object-backed storage rather than an ephemeral system disk.
- Office editing: deploy ONLYOFFICE or Collabora as a separate service when browser editing is important or concurrent sessions are heavy.
- Mail: run Mailcow on its own VPS or an isolated stack with the DNS and network controls it requires. Avoid allowing mail queues to compete with the database that serves file collaboration.
- Backups: send encrypted database dumps, configuration archives and file snapshots to storage that is independent of the primary VPS.
- Monitoring: alert on disk capacity, memory pressure, queue health, certificate expiry, backup freshness and mail reputation indicators.
Even a single VPS should keep services logically isolated with separate containers, networks, credentials and backup jobs. A second host is preferable for mail or backups because a provider outage, filesystem failure or destructive administrator error can otherwise remove both production and recovery data.
Deployment checklist
1. Define the services and domains
List the exact functions you need before installing anything: file sync, shared calendars, contacts, chat, browser editing, mailboxes, aliases, groups and mobile access. Assign separate hostnames where practical, such as a collaboration hostname, an office-editor hostname and a mail hostname. Decide which users need mail and which need only files.
2. Prepare the VPS and network
- Use a supported Linux distribution and apply security updates before exposing services.
- Set a hostname, correct time synchronization and a least-privilege administrator account.
- Configure firewall rules so only required web, mail and administration ports are reachable.
- Confirm provider reverse DNS support if you will send mail.
3. Install the collaboration base
- Deploy Nextcloud with its supported database and Redis rather than relying on a single-process test setup.
- Put the data directory on persistent storage and enforce quotas appropriate to the VPS.
- Configure the reverse proxy and TLS before inviting users.
- Enable only the applications you need, because every additional app adds update and compatibility work.
- Test desktop synchronization, mobile access, shared links, calendar invitations, contact synchronization and permission inheritance with test accounts.
4. Add browser office editing
- Deploy ONLYOFFICE or Collabora on a service with enough CPU and memory headroom for concurrent sessions.
- Connect the editor through the Nextcloud integration and restrict callback traffic to trusted hosts.
- Open representative documents and verify editing, co-authoring, comments, revision history, downloads and format conversion.
- Document licensing requirements, especially if using an enterprise per-server license.
5. Add mail only after DNS is ready
- Configure the mail hostname, reverse DNS, SPF, DKIM and DMARC records.
- Set mailbox quotas, aliases, catch-all policy and password requirements before migration.
- Send test messages to several independent providers and inspect authentication results and spam placement.
- Enable monitoring for deferred mail, queue growth, certificate expiry and unusual outbound volume.
- Start with a small group of users and verify inbound, outbound, attachments, mobile configuration and calendar invitation behavior.
6. Prove restoration
Backups are not complete until restoration works. Restore a Nextcloud database and a sample file set into a non-production environment, recover a Mailcow mailbox and configuration, and record the commands and credentials needed by a second administrator. Measure how long recovery takes and whether the result includes permissions, versions, calendars and mail metadata—not merely raw files.
Backups, upgrades and failure recovery
The operational warnings attached to these platforms are material: updates, SSL certificates, DNS and database backups require real administration skill. Schedule maintenance instead of applying changes during peak work, and keep a staging copy for major upgrades.
- Nextcloud: back up the database, configuration, application list and data files in a consistent state. Coordinate database dumps with file snapshots so versions and metadata match.
- Office editor: preserve configuration and integration secrets. The documents remain in the storage platform, but a broken editor service can interrupt active work.
- Mailcow: protect mail data, domain configuration, DKIM keys and account data. Losing keys or DNS records can damage delivery even when messages are restored.
- Zimbra: test full-suite recovery because mail, calendar, contacts and tasks are interdependent.
Keep at least one backup copy outside the VPS provider and protect it from deletion by the same administrator account that runs production. Encrypt backups, retain enough history to recover from delayed ransomware discovery, and review restore procedures after every major architecture change.
Common pitfalls and how to avoid them
Assuming one product replaces every Workspace feature
Mailcow cannot replace a file and office layer, and an office editor cannot provide mailboxes or identity management. Map each Workspace function to a specific component before choosing a platform.
Best Value
Putting everything on an undersized VPS
Minimum memory figures are starting points. Database caches, previews, antivirus and concurrent editing all compete for RAM. Use separate services or resize before the system begins swapping.
Ignoring mail reputation
Self-hosted mail means owning DNS correctness, IP reputation, abuse response and queue management. If the team cannot staff those duties, run collaboration self-hosted while using a separately managed mail service rather than pretending mail is a solved problem.
Upgrading without a rollback plan
Nextcloud updates are frequent and some may be breaking. Snapshot the VPS, back up the database and test the upgrade path with the enabled applications before changing production.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Treating a file backup as a complete backup
Files alone do not restore users, permissions, calendars, contacts, shares, mailboxes or signing keys. Back up databases and configuration alongside content and perform an actual restore test.
Skipping document-format testing
Open the team’s real templates and spreadsheets in the chosen browser editor. Check formulas, tracked changes, fonts, comments, embedded objects and export results before declaring the migration successful.
Which option should you choose?
| If your priority is… | Start with… | Reason |
|---|---|---|
| One broad collaboration portal | Nextcloud | It covers files, sharing, calendars, contacts, chat and integrations. |
| Browser document editing | Nextcloud plus ONLYOFFICE or Collabora | The editor supplies office functionality while Nextcloud manages storage and permissions. |
| Self-managed email | Mailcow, usually separate from collaboration | It concentrates on SMTP, IMAP, webmail, filtering and antivirus. |
| One integrated mail-and-calendar suite | Zimbra | It combines mail, calendar, contacts and tasks, with greater deployment complexity. |
| Primarily file synchronization and governance | ownCloud or Seafile | Both are narrower file-collaboration choices that can be paired with office integrations. |
For most teams, deploy Nextcloud first, attach ONLYOFFICE or Collabora only when editing requirements justify it, and add Mailcow on a separate host when you are prepared to own mail operations. Select Zimbra when the integrated groupware model is the explicit requirement and the organisation can support its heavier VPS and maintenance profile.
What the available figures do—and do not—tell you
The cited 2026 comparison provides indicative memory guidance but does not establish a verified total cost of ownership, user-capacity benchmark, uptime figure or current licensing total for a complete stack. Provider pricing, storage volume, backup retention, support contracts, mail traffic and office-editor licensing vary by region and deployment. Build your budget from those variables rather than multiplying a memory recommendation into a promised cost or capacity.
