For most applicants, the best resume format is a single-column, reverse-chronological resume with standard section headings, clear dates, ordinary bullet points, and keywords tailored to the specific job description. Use a combination resume when transferable skills, a career change, or a non-linear work history needs more emphasis. Use a functional resume only for a narrow, deliberate reason: it gives skills priority but can hide chronology and create parsing problems.
The goal is not to make a resume visually elaborate. It is to make your qualifications easy for software to extract and easy for a recruiter to verify in seconds. A plain structure, accurate language, and role-specific evidence will usually outperform decorative templates.

Which resume format is best?
CareerOneStop identifies three basic styles: chronological, functional, and combination. In practice, the choice should follow the evidence a hiring team needs to see.
Recommended Free Tools
| Format | How it is organized | Best fit | Main risk |
|---|---|---|---|
| Reverse-chronological | Most recent job first, followed by earlier roles | A steady career in the same or a closely related field | Older or less relevant experience may receive more space than it deserves |
| Combination | Summary or skills section first, followed by a detailed date-ordered history | Career changes, transferable skills, promotions, consulting, or a non-linear background | A long skills section can bury the actual evidence if it is not focused |
| Functional | Skills or competency groups dominate; work history receives limited detail | A special-case situation in which skills must be foregrounded | Missing chronology can be misinterpreted by recruiters or screening software |
The U.S. Department of Labor describes the decision as dependent on the work performed and whether you plan to continue in the same field. Its practical message is that “one size never fits all.” For most private-sector applications, however, a clear timeline remains the safest starting point.

Reverse-chronological resumes: the default choice
A reverse-chronological resume begins with your current or most recent position and moves backward. Each job should show the employer, location when useful, title, dates, and achievement-oriented bullets. This format lets a recruiter answer the first screening questions quickly: What do you do now? How long have you done it? Have your responsibilities and results progressed?
Use it when your history tells a coherent story
- You are applying for work similar to your recent roles.
- Your employment dates are reasonably complete and easy to explain.
- Your latest experience is your strongest qualification.
- The job announcement emphasizes years of experience, progression, or specific recent tools.
Chronology is also the format most consistently recommended for mainstream ATS use. CareerOneStop, the NTAC toolkit, and Roche’s parsing guidance all favor chronological or combination structures because they preserve the timeline that software and people need.
How to make chronology stand out without decoration
Put the strongest evidence near the top, not in a graphic sidebar. Follow the contact block with a concise professional summary, then relevant skills, work experience, education, certifications, and optional sections such as projects or volunteer work. Within each role, lead with outcomes: revenue protected, processing time reduced, defects prevented, customers served, systems migrated, or projects delivered. Numbers are useful when they are accurate and properly qualified.

A combination resume keeps a complete, date-ordered employment history while placing a focused skills or qualifications section near the top. It is often the best compromise when a purely chronological resume would make your target role unclear, but a functional resume would leave too many questions about when and where you gained your skills.
When combination works best
- Career change: Translate earlier work into capabilities required by the new field before the recruiter reaches your older titles.
- Transferable experience: Group evidence under themes such as project delivery, customer operations, data analysis, or stakeholder management.
- Non-linear work: Make consulting, contract assignments, caregiving periods, education, and short engagements understandable without deleting dates.
- Promotion-heavy careers: Show a progression of responsibility while surfacing the competencies needed for the next role.
Keep the skills section evidence-based. A heading such as “Project leadership” should be followed by concrete capabilities or results, not a list of adjectives. Every important skill should appear again in the relevant work entry with context.

A reliable combination structure
- Contact information in the document body.
- A two- or three-line target-focused summary.
- A short “Core skills” or “Selected qualifications” section using job-relevant terms.
- Detailed reverse-chronological work experience with dates and achievement bullets.
- Education, certifications, projects, volunteer work, or additional sections that support the target role.
Do not let the opening section become a keyword wall. The chronology still needs enough detail for a reader to verify your claims.
Functional resumes: a deliberate exception
A functional resume organizes content around skills and gives work history little detail. That can help when an applicant has very limited experience or must foreground capabilities that do not map neatly to job titles. It can also be useful as a planning document for identifying transferable skills.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesFor an actual application, the trade-off is substantial. A recruiter may wonder what you did, for whom, and when. An ATS may fail to associate a skill with the correct employer or date, or may treat the document as incomplete. The NTAC toolkit recommends chronological or combination resumes for most people and cautions that functional resumes may not work well with screening software.
If you must use functional organization
- Include a complete employment timeline somewhere on the page, even if it is brief.
- Give each skill group two or more specific examples tied to an employer, project, client, or date.
- Use conventional headings such as “Work Experience” and “Education” in addition to skill headings.
- Test the text extraction before submitting; do not assume a visually attractive layout will parse correctly.
In many cases, a combination resume delivers the same skills-first emphasis with less ambiguity.
How ATS software reads a resume
An applicant tracking system collects, ranks, sorts, and presents resumes before recruiter review. It may extract names, titles, employers, dates, skills, education, and locations into separate fields. Parsing is not identical across vendors, so an arrangement that works in one system can be misread in another.

Use a single column
CareerOneStop advises a simple, single-column layout because many systems scan from left to right. Tables, text boxes, logos, images, graphics, and multi-column designs can cause text to be read out of order, omitted, or attached to the wrong heading. Roche gives the same warning, noting that some systems read columns across the page rather than down a logical sequence.
Use standard headings
Choose familiar labels such as “Professional Summary,” “Work Experience,” “Education,” “Skills,” “Certifications,” and “Projects.” A creative heading may look distinctive to a person but can prevent software from recognizing the section. Keep the skills section separate rather than scattering tools and competencies across decorative callouts.
Keep contact details in the body
Place your name, phone number, email address, city and state or region, and relevant professional link in the main document area. Do not put essential contact information in a header or footer; some parsers ignore those regions.
Make dates and bullets predictable
Use one date convention throughout, such as “March 2022–Present” or “03/2022–Present.” Do not alternate formats without a reason. Ordinary round or square bullets are safer than icons, symbols, or custom shapes. A readable professional font and consistent spacing help both software extraction and human scanning.
Tailor every resume to the vacancy
A technically parseable resume can still be rejected if it does not match the role. The University of Texas at Austin recommends reading each job description, identifying repeated or prominent keywords, incorporating matching terms accurately, and saving a new tailored resume for every application. The Department of Labor likewise advises emphasizing the qualifications that match the announcement and describing results in understandable language.

- Read the entire posting. Note required qualifications, preferred qualifications, tools, certifications, job functions, and alternate terms for the same skill.
- Separate must-haves from nice-to-haves. A required certification or language should be visible in the appropriate section, not hidden in a paragraph.
- Map evidence to each requirement. Identify the role, project, class, volunteer activity, or credential that proves the requirement.
- Use the employer’s wording when accurate. If the posting says “customer relationship management,” do not rely only on an unrelated abbreviation. Include both terms when they truthfully describe your experience.
- Rewrite bullets around outcomes. Explain the action, method, and result rather than copying responsibility statements from the posting.
- Save a distinct version. Keep a master resume separately, then save the tailored file with a clear name such as
FirstName-LastName-Role.docx.
Keyword matching is not keyword stuffing. Repeating a term without evidence can make the document harder to read and may undermine credibility when a recruiter asks for examples.
DOCX or PDF: follow the employer’s instruction
There is no universal winner because parsing behavior varies. The application instructions control.
| Situation | Recommended action | Reason |
|---|---|---|
| The employer specifies a format | Use that exact format | The employer’s workflow is more important than a general preference |
| No format is specified and ATS parsing is the priority | DOCX is a safe default | Roche says DOCX is parsed more accurately in its guidance; NTAC also treats DOCX as a safe default |
| No format is specified and preserving visual layout matters | Use a text-based PDF | CareerOneStop recommends PDF when no other format is specified because it preserves formatting |
| Scanned or image-only document | Do not submit it | Image-only text may be invisible to parsers and inaccessible to assistive technology |
Before uploading, open the file on another device, select and copy several lines, and paste them into a plain-text editor. Check that the text appears in the intended order and that dates, titles, and contact details are present. A PDF created from selectable text is different from a photograph of a printed resume.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Length: one or two pages, with an important federal exception
For ordinary private-sector applications, CareerOneStop recommends one to two pages. Use two pages when the amount of relevant experience requires it, not to enlarge a thin history or repeat keywords. If you use a second page, carry your name and page number in a simple text line and keep the document structure consistent.

The Department of Labor says federal resumes may be longer than average and should not be cut merely to fit one or two pages. A federal application may require the announcement number, job title and grade, detailed education, citizenship or hiring-authority information when applicable, and comprehensive relevant work, volunteer, academic, and extracurricular experience. Follow the specific announcement and agency instructions rather than private-sector conventions.

What the published evidence actually shows
The NTAC toolkit reports findings from a study of 99 resumes submitted by blind and low-vision job seekers. Only 11% were rated acceptable for content, language, layout, and style. The same toolkit reports that ATS software read about 88% of content correctly in chronological and combination resumes, compared with 55% in functional resumes, citing Antonelli, Cmar, and Dabbs (2025).
Those figures are study-specific. They do not represent a universal pass rate for every ATS vendor, resume population, disability group, industry, or job level. They are useful evidence for preserving chronology and using a conventional structure, not a promise that any format will pass every system.
Build an ATS-friendly resume step by step
- Start with a plain document. Use one column, normal margins, a readable font, and no graphics, logos, sidebars, tables, or text boxes.
- Add the contact block. Put your name and contact information in the body, followed by a target-specific summary.
- Select the format. Choose reverse chronology unless a combination structure solves a clear career-change or transferable-skills problem.
- Write the experience section. Use employer, title, location where useful, and consistent dates. Explain achievements with ordinary bullets.
- Add skills deliberately. Include tools, methods, languages, licenses, and competencies that are relevant and supported by the experience section.
- Add education and credentials. Include the level, institution, field, completion date when relevant, and required certifications.
- Tailor the language. Compare the draft with the vacancy and add accurate terms that a recruiter would expect to see.
- Run a text-order check. Copy the document into plain text and confirm that headings, dates, and bullets remain logical.
- Proofread for human readers. Remove unexplained acronyms, inconsistent punctuation, vague claims, and duplicated content.
- Submit the requested file. Confirm the attachment opens correctly and contains selectable text.
Common problems and fixes
The ATS shows dates under the wrong employer
Remove columns, tables, floating text boxes, and decorative alignment. Rebuild each job as a straightforward block with the employer and dates close to the title.
Your skills are not being recognized
Move them into a clearly labeled Skills section and repeat the most important terms naturally in achievement bullets. Use the full term and a common abbreviation where both are accurate.
The document looks polished but extracts as nonsense
Replace icons, logos, charts, and image-based text with ordinary text. Recheck the document by copying it into a plain-text editor before submitting.
A career gap dominates the reader’s attention
Use a combination structure to foreground relevant capabilities, then explain the timeline honestly with dates, contract work, education, caregiving, volunteering, or other applicable activity. Do not delete chronology solely to hide a gap.
The resume has become too long
Remove duties that do not support the target role, consolidate repeated achievements, and keep older positions concise. Do not remove a federal application’s required details simply to reach a private-sector page count.

Quick Recap
Choosing the format for common situations
| Your situation | Best starting point | What to emphasize |
|---|---|---|
| Five years in the same occupation | Reverse-chronological | Recent results, progression, and role-specific tools |
| Moving from teaching into corporate training | Combination | Instructional design, facilitation, measurement, and relevant projects alongside the full timeline |
| Returning after several years away | Combination | Current skills, recent training, volunteer or contract work, and an honest date history |
| Little paid experience | Chronological or combination | Education, projects, internships, volunteer work, and measurable outcomes |
| Federal vacancy | Chronological or combination adapted to the announcement | All required fields and comprehensive qualifying experience |
| Strong skills but unclear work history | Combination before functional | Transferable capabilities supported by dated examples |
Final pre-submission checklist
- Is the layout single-column and free of tables, text boxes, graphics, and logos?
- Are “Work Experience,” “Education,” and “Skills” easy to identify?
- Are contact details in the document body rather than a header or footer?
- Does every role have a consistent date format?
- Do the most important skills appear accurately in both the skills section and relevant evidence?
- Did you tailor the resume to this vacancy without copying the posting?
- Does the file meet the employer’s requested format?
- Is the PDF text selectable, or is the DOCX cleanly formatted?
- Does copied plain text preserve the intended reading order?
- Is the length appropriate for the application, with federal requirements handled separately?
