The best CRM for a real estate business is the one that reliably captures leads, supports the follow-up your team actually performs, and fits the tools and budget you already use. There is no universally best platform: a solo agent focused on referrals may need a different workflow from a brokerage managing portal leads, assignments, and transaction stages.
Start with your lead sources and daily process, then compare a shortlist of current candidates. Names appearing in HousingWire’s 2026 editorial comparison include Follow Up Boss, Lone Wolf Relationships, CINC, Rechat, Sierra Interactive, Wise Agent, Real Geeks, and Fello. Treat these as options to investigate, not a definitive ranking; verify current plans, features, integrations, availability, and total cost with each vendor.

What should a real estate CRM do?
A CRM should make it easier to keep track of prospective clients and existing relationships, take the next follow-up action, and see relevant property or transaction context. The useful feature set depends on how your business works; a long list of capabilities is not useful if the team will not maintain the system.
Salesforce’s vendor-authored guide suggests mapping business goals and customer or deal journeys, then considering customization, budget, and scale. Use that as a planning prompt rather than independent evidence that any particular product is best.
- Lead capture and source tracking: Determine whether leads arrive from the website, portals, ads, social channels, and referrals you use, and whether the CRM records where each came from.
- Follow-up: Check for tasks, reminders, lead routing, and nurture sequences that fit your response habits and longer-term contact schedule.
- Property and transaction context: See whether users can connect a person with property interests, deals, and relevant transaction stages.
- Communication: Verify email and SMS capabilities, templates, communication logging, consent controls, and compatibility with the channels your team prefers.
- Team workflow: For a group, assess lead assignment, shared visibility, role permissions, handoffs, and reporting.
- Integrations and portability: Confirm connections to your specific website or IDX, MLS-related services, marketing tools, transaction management, calendar, and phone systems. Generic integration claims do not establish compatibility with your setup.
- Cost and scale: Calculate the total for required seats, lead volume, onboarding, implementation, integrations, and add-ons; confirm billing frequency and contract terms.
How to choose a CRM that fits
- Map your lead sources. List each channel that delivers inquiries and referrals. Ask vendors to demonstrate how a lead from each one enters the CRM and how its source is recorded.
- Write down the next actions. Define who responds, what reminders are needed, how long-term prospects are nurtured, and how leads are reassigned when someone is unavailable.
- Trace a client journey. Follow a typical contact from first inquiry through property interest, deal, and transaction milestones. Identify the information and handoffs your team needs at each stage.
- Separate must-haves from optional features. A solo agent may not need complex team permissions; a multi-agent business may consider assignment and shared visibility essential. Prioritize capabilities that remove real friction.
- Verify integrations in your market. Ask for confirmation of the exact services and versions supported, any additional fees, and what data syncs in each direction. Do not assume a connection works simply because a vendor mentions an integration category.
- Price the complete setup. Request the cost for your required seats and expected lead volume, including setup, onboarding, integrations, and optional modules. Check contract length and renewal terms.
- Test a realistic workflow before committing. Use representative lead sources and handoffs to see whether staff can keep records current without adding unnecessary administration.

What survey evidence says about CRM value and budgets
In the National Association of REALTORS® 2025 REALTORS® Technology Survey, conducted in July 2025, 23% of responding NAR members identified CRM as a technology producing the highest number of quality leads. Social media was named by 39% and local MLS by 17%. These are respondents’ reported views; they do not show that a CRM alone caused leads or establish the same result for every real estate business. Read the NAR 2025 survey report.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesThe same survey found that 66% of respondents adopted new technology primarily to save time and 64% cited improving the client experience. Those motivations suggest a practical test for a CRM: will it reduce administrative friction or make follow-up more consistent for your business?
On spending, 34% of respondents reported spending $50–$250 per month on technology for their individual real estate business, while 24% spent more than $500 per month. These figures are total technology spending reported by NAR survey respondents, not CRM subscription prices or recommended budgets. Set a CRM budget from the full quote for your needs, not from these overall spending brackets.

- Use the same sample lead and workflow when evaluating each system.
- Ask who can see, assign, edit, and reassign contacts, and how the system records handoffs.
- Check whether email and SMS are supported in the way your team needs, including logging and consent controls.
- Have vendors identify which integrations are native, which require another service, and what data is synchronized.
- Request a written breakdown of recurring and one-time costs for your expected users and lead volume.
- Evaluate ease of ongoing use: a CRM that staff do not update will not provide reliable records or reminders.
