Choose the least identifying method that still gives you feedback you can use. For a sensitive or nuanced question, talk one-to-one and take brief notes only with permission. To compare answers from several friends, use a short form, limit its audience where possible, and ask only what you need. Before collecting anything, tell participants who will see their responses and how you plan to use them.
A setting labelled “anonymous” is not a promise of total anonymity: response details, account requirements, a forwarded link, or the surrounding service and device can still affect privacy. Form settings control specific information and access choices; they are not a complete privacy audit.

Choose a method that fits the sensitivity of the feedback
Start with two questions: how private is the subject, and do you need answers you can compare? A private conversation is often better for sensitive feedback or follow-up. A short form suits comparable answers from several people. A group chat works for casual input when everyone is comfortable seeing one another’s replies. Paper can be a low-tech alternative when you are together, but it does not make responses unidentifiable.
| Method | Useful when | Privacy and organization trade-off |
|---|---|---|
| One-to-one conversation | The feedback is sensitive, nuanced, or likely to need follow-up | No form link to forward; ask before taking notes, and keep them minimal. |
| Short form shared privately | You want to compare answers from several friends | Ask only essential questions, restrict access where supported, and avoid names or email collection unless needed. |
| Group chat prompt | The question is casual and participants already share the chat | Replies are visible to the group and harder to compare; reserve this for low-sensitivity input. |
| Paper notes or cards | Everyone is together and wants an offline option | Avoids online form accounts, but handwriting or contextual details may identify the writer. Store and dispose of notes thoughtfully. |
Before choosing a form or service, consider who can respond, whether sign-in is required, which identity fields are collected, who can see answers or summaries, whether duplicate responses are prevented, and whether you need to follow up.

Set expectations before asking
Tell friends what decision their feedback will inform, who will see individual responses, and whether you will share a summary. Be direct about whether a form requires sign-in and whether answers will be linked to a name or email. If you cannot confidently describe a setup as anonymous, do not promise anonymity.
For a form, ask only questions that will affect the decision. Avoid collecting names, email addresses, or other identifying details unless you have a clear reason. If you need to ask a follow-up question, explain how participants can contact you separately rather than collecting extra personal information by default.

Google Forms: useful controls and the sign-in trade-off
Google Forms lets an owner limit a form to one response per user. That setting requires respondents to sign in to a Google account, but Google says usernames are not recorded unless the owner enables email collection. In other words, the one-response limit and a no-email setup can coexist, but participants still need to sign in. Check that trade-off before choosing it for friends who may not want to use an account.
Owners can also manage responder access, grant access to named people or groups, use target audiences, and optionally set an access expiration. Google allows owners to let respondents edit responses. It also warns that a response summary can show full-text answers or charts to anyone who can respond if that option is enabled. Review both identity collection and result visibility before sharing. See Google’s Forms settings guidance.

Microsoft Forms: anonymous external responses and audience limits
Microsoft Forms includes a “Record name” option that owners can clear. Its “Anyone can respond” option does not require respondents to sign in; Microsoft’s account guidance says people without a Microsoft account can submit responses anonymously. An open link can still be forwarded, so it may reach people beyond the friends you intended to invite.
For eligible work or education accounts, owners can instead restrict responses to people in their organization or to specified people, and can choose whether to record names or limit responses to one per person. Those organization-only restrictions are not available to every personal-account user. Microsoft supports sharing through Outlook, Teams, a QR code, a copied URL, or an embed. Check the current audience options, sharing instructions, and account guidance for the account you plan to use.

Check Microsoft’s security and privacy guidance, along with any organizational requirements that apply to your account.
A privacy-conscious workflow
- Define the decision. Write down what you will do with the feedback, then keep only questions that help make that decision.
- Choose the channel. Use a conversation for nuance, a form for comparable answers, or a group prompt for low-stakes input.
- Set the audience. Restrict access before sharing if the responses should come only from invited friends. Treat an unrestricted link as forwardable.
- Review identity and sign-in settings. Remove identity fields and email collection unless you need them for follow-up or duplicate prevention. Explain any sign-in requirement.
- Check response visibility. Find out whether participants can see one another’s answers or a summary. Do not expose private comments through a public or respondent-visible summary.
- Organize and clean up. Group responses by theme, keep a short list of decisions or next actions, and delete raw responses when they are no longer useful.
Organize answers without keeping more than you need
For a small group, a simple theme list is usually enough: cluster comments around the decision they inform, note the action you will take, and avoid copying identifying details into the summary. Keep individual responses accessible only to people who need them. If you collected paper responses, store them securely and dispose of them once they are no longer useful.
