Best Payroll Software With Time Tracking in 2026: What QuickBooks Payroll’s Award Means

QuickBooks Payroll is the 2026 pick for best payroll software with time tracking according to Better Business Advice, which announced the recognition on January 12, 2026. That is an editorial award, not an independently verified market ranking: the announcement does not publish a complete comparison set, scoring rubric, test protocol, or evidence that QuickBooks is objectively superior to every alternative.

Intuit currently presents the product as QuickBooks Workforce. Its official payroll page says time tracking is included with Workforce Premium and Elite, allowing employee hours, approvals, schedules, payroll calculations, tax workflows, and reporting to connect in one system. Plan names and entitlements can change, so confirm the live plan page before subscribing.

What Better Business Advice actually recognized

Better Business Advice’s January 12, 2026 announcement selected QuickBooks Payroll as its “best payroll software with time tracking.” The recognition tells you what that publisher chose; it does not establish a universal industry ranking. The release does not disclose how many products were compared, how scores were weighted, what tests were run, or whether results were independently audited. Treat the label as a starting point for evaluation rather than proof that the software is the right choice for every employer.

The announcement describes the product as an all-in-one route from employee hours to payroll. It highlights mobile clock-in and clock-out, manager approval of timesheets, scheduling, alerts, project-based time, payroll reporting, and connections to payroll and accounting. Those details are attributed to Better Business Advice’s release. Because feature names and plan entitlements are volatile, verify each item in Intuit’s current documentation before relying on it for a purchase decision.

Why integrated time tracking matters in payroll

Hourly payroll errors often begin before payday. A worker forgets to clock out, a supervisor approves an uncorrected entry, or hours are copied between an attendance tool and a payroll system. Each handoff creates another opportunity for a wrong rate, missed overtime, duplicate entry, or delayed correction.

An integrated workflow keeps the same approved time record attached to the payroll run. Employees record hours, managers review exceptions, and payroll staff use the approved totals to calculate pay. That can reduce rekeying and make it easier to trace a number back to its source. Integration does not guarantee accurate pay: policies, worker classifications, rates, breaks, overtime rules, and approvals still require human oversight.

For a small employer, the practical value is usually operational rather than theoretical:

  • One place to collect hours and prepare payroll instead of exporting and reformatting spreadsheets.
  • A visible approval step before hours affect wages.
  • Schedules and alerts that can expose missing or unusual entries earlier.
  • Reports that connect labor time with payroll and accounting records.
  • A documented trail for investigating a disputed paycheck.

How QuickBooks Workforce is described to work

1. Employees record time

Intuit describes Workforce as collecting employee time and attendance data. Better Business Advice’s announcement specifically mentions mobile clock-in and clock-out. A mobile option can help workers who move between locations, but an employer should still check device, location, connectivity, and policy requirements before making it the only method of recording time.

2. Managers review and approve timesheets

Managers can review submitted timesheets and approve them remotely, according to the official product description. Approval is the control point between raw attendance data and payable hours. Decide who may approve, what happens when an approver is unavailable, and whether corrections are documented rather than silently overwritten.

3. Schedules are created and shared

The official page says schedules can be created and shared. Scheduling gives employees an expected work pattern against which actual hours can be reviewed. It is not a substitute for a timekeeping policy: define how early arrivals, late departures, split shifts, breaks, leave, and schedule changes are handled.

4. Approved time flows into payroll

Intuit describes payroll and time-tracking data as connected. In the intended sequence, approved hours become inputs to payroll rather than a second set of figures that someone retypes. Before the first live run, reconcile a sample of employees, rates, departments, projects, and pay types so that the imported values match your written policy.

5. Payroll taxes and reports are handled in the same account

The official payroll page promotes tax calculation, filing, payment, reports, and year-end form work as part of the payroll offering. These are vendor-described capabilities, not a guarantee that every employer obligation is automatically satisfied. Confirm which filings and payments the selected plan handles, which jurisdictions are supported, what deadlines remain your responsibility, and how corrections are submitted.

6. Payroll AI drafts payroll for review

Intuit says Payroll AI can collect time and attendance data, identify inconsistencies, and draft payroll for an administrator’s review. “Draft” is important: the description places a person in the approval loop. Use any automated suggestions as an exception list, not as permission to skip checking hours, rates, deductions, tax settings, and new hires.

Which plans include time tracking?

Intuit’s current official page answers “Is time tracking included with QuickBooks Workforce?” with “Yes. It’s included with Workforce Premium and Elite.” The following table reflects that statement as accessed October 13, 2026.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Workforce plan Time tracking status What the available evidence establishes
Workforce Premium Included Intuit’s official product page explicitly includes time tracking.
Workforce Elite Included Intuit’s official product page explicitly includes time tracking; Better Business Advice’s release describes additional advanced capabilities associated with the higher tier.
Other plans Not stated The cited sources do not establish inclusion. Check Intuit’s live plan comparison for your region and edition.

Better Business Advice’s release associates Premium and Elite with QuickBooks Time features such as mobile capture, scheduling, approvals, alerts, project time, and, for Elite, geofencing. Since the release and the current product page use different naming conventions, do not assume that every historically described feature remains in the same tier. Confirm the exact entitlement, user limits, and any separate time-service charge at checkout.

Who is most likely to benefit

Small teams paying hourly workers

A business with a modest payroll team may value fewer imports and a straightforward approval chain. The benefit is strongest when the same people already manage schedules, timesheets, and payroll and can adopt one set of employee and pay-type records.

Mobile or multi-location operations

Mobile clocking and remote approvals are relevant when staff work away from a central office. Ask whether the operating environment supports the required devices and connectivity, and establish a process for correcting a missed or duplicated punch.

Project-based employers

Project or job time can help assign labor hours to work, clients, or internal activities when the plan and configuration support it. Define the project list, who may select a code, and how managers resolve time assigned to the wrong job before payroll closes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Businesses already using QuickBooks accounting

A payroll and accounting connection can reduce duplicate employee and wage entries. The connection still needs reconciliation: compare payroll registers with accounting postings, verify liability accounts, and document who investigates differences.

Employers needing advanced location controls

The announcement identifies geofencing with Elite. That may matter for teams expected to clock in at defined worksites. Because location features can affect privacy, notice, and local employment requirements, obtain internal approval and verify the current terms before enabling them.

Who should be cautious

  • Very simple salaried payrolls: If nobody is paid by the hour and there is no scheduling need, paying for time tracking may add complexity without solving a problem.
  • Highly regulated or complex workforces: Multiple jurisdictions, collective agreements, unusual overtime rules, or intricate job costing require a detailed configuration review and possibly specialist advice.
  • Organizations requiring a published independent benchmark: The Better Business Advice recognition does not provide a reproducible scorecard or testing evidence.
  • Teams with strict device or privacy restrictions: Mobile and location-based features need policy, consent, security, and retention decisions before deployment.

Use these questions before choosing a plan. Record the answers in writing; a sales description is not a substitute for a plan document.

Implementation: a controlled first payroll

Before inviting employees

  • List every worker, pay rate, pay type, department, project, worksite, and manager.
  • Write the rules for breaks, rounding, overtime, leave, missed punches, schedule changes, and corrections.
  • Choose the approval chain and a backup approver for holidays or absences.
  • Confirm the payroll tax jurisdictions, deposit schedule, filing responsibilities, and year-end obligations.
  • Decide which reports will be reviewed and retained each pay period.

Configure and test

  1. Open the current QuickBooks payroll and Workforce plan comparison and verify that Premium or Elite includes the time features you need in your region.
  2. Configure employee profiles, pay types, rates, schedules, worksites, projects, and manager permissions.
  3. Invite a small pilot group and test clock-in, clock-out, missed punches, schedule changes, manager approval, and a correction.
  4. Enter a controlled set of hours and compare the resulting payroll inputs with a hand calculation or your existing approved register.
  5. Review tax settings, deductions, accounting mappings, and report totals before importing the full workforce.
  6. Run a parallel or preview payroll. Investigate every difference rather than assuming the software is wrong or right.
  7. After approval, document the close process: deadline, reviewer, sign-off, payment release, and record retention.

Every pay period

  1. Check that all expected employees have submitted time and that inactive or departed workers cannot submit new entries.
  2. Review exception alerts and compare unusual hours with schedules, work locations, and manager notes.
  3. Have the designated manager approve or return each timesheet before the payroll cutoff.
  4. Inspect the draft payroll, including regular time, overtime, leave, bonuses, deductions, taxes, and employer liabilities.
  5. Release payroll only after a second person, where practical, reviews the register and approval evidence.
  6. Reconcile payroll postings and tax liabilities with accounting records, then retain the reports required by your policy and local rules.

Controls, privacy, and compliance responsibilities

Software can calculate and route data, but the employer remains responsible for entering correct rates, classifying workers, following wage-and-hour rules, providing required notices, and correcting errors. The official page’s descriptions of tax filing and Payroll AI should therefore be read as service capabilities, not a promise of legal compliance in every situation.

Limit access by role. An employee who records time does not necessarily need permission to change a pay rate; a manager who approves hours may not need access to tax settings. Review administrator access when people change jobs or leave the company.

Location data and mobile device use deserve a separate policy. Explain what is collected, when it is collected, who can see it, how long it is retained, and how an employee can report a technical error. Avoid using geofencing as the sole evidence of hours worked; compare location signals with schedules, corrections, and manager knowledge.

Keep a correction trail. If a timesheet is changed after submission, record who made the change, why it was needed, and who approved it. This makes employee questions easier to answer and helps identify recurring training or configuration problems.

Costs and plan volatility

The cited sources do not provide a current price table, team-size quote, regional tax fee, or confirmed recurring cost. Do not use an old promotion or a price from another country to estimate your budget. Ask for a written total covering the payroll subscription, time-tracking users, employee count, optional services, implementation, tax filings, year-end forms, and cancellation terms.

Plan names and feature entitlements can change. The safest purchasing sequence is to open Intuit’s live plan information immediately before signup, select the exact business location and edition, expand the feature details, and save the displayed terms with the date. Recheck after a renewal or major product change.

Strengths and limitations of the 2026 case

Potential strength Why it matters Qualification
Connected time and payroll data Less manual re-entry between approved hours and payroll. Only useful when setup, approvals, and mappings are correct.
Remote approvals and mobile capture Supports distributed or mobile teams. Device, connectivity, privacy, and correction procedures still matter.
Schedules, alerts, and project time Helps managers compare expected work with recorded labor. Exact availability depends on the current plan and edition.
Payroll tax and reporting workflow Centralizes recurring payroll administration. Employer responsibilities and jurisdiction-specific limits must be confirmed.
Payroll AI draft and inconsistency checks Can focus an administrator’s attention on unusual entries. Intuit describes a draft for administrator review, not autonomous payroll approval.
Better Business Advice recognition Provides a clear editorial recommendation for readers starting a shortlist. No published comparison set, rubric, test protocol, or independent validation accompanies the award.

Bottom-line decision rule

QuickBooks Payroll is a credible shortlist candidate when you want payroll and employee time in one workflow and your required clocking, scheduling, approval, project, and tax features are available in Workforce Premium or Elite. The strongest fit is an hourly or mixed workforce that benefits from reducing manual transfers and already uses compatible accounting processes.

Do not buy solely because of the “best” label. Use the checklist, verify the live plan for your jurisdiction, test a representative payroll, and document who remains responsible for approvals, tax obligations, corrections, privacy, and record retention. That approach respects what Better Business Advice recognized while avoiding a broader claim than its announcement supports.
